Dear Parents/Guardians,
We would like to take this time to welcome you to the inaugural year of St. Joseph’s College
Summer Fun Recreational program. We thank you for choosing this fun-‐filled Summer Fun
program. We ask that you read the following information carefully to ensure a safe, smooth
and fun experience for your child this summer.
Our Summer Fun Program will provide your child(ren) with a unique opportunity to develop
new skills and passions, and make new friends in a constructive, safe, supportive and fun
environment. Here at the Summer Fun Program we emphasize supportive relationships,
meaningful opportunities and ability to grow with new skills.
The Summer Fun Program consists of the following eight one-‐week sessions: *Session I is only a four-‐day session due to the Fourth of July holiday.

SUMMER FUN OFFICE HOURS:
February-June: 11:30 a.m.-6:30 p.m. June-January: 8:30 a.m.-4:30 p.m.
The program office is open all year around from 8:30 a.m.-‐4:30 p.m., with the exception of Feb-‐June when it is open from 11:30 a.m.-‐6:30 p.m. Basic questions or concerns that you may have can be directed to the front desk at 631.687.1444, or Kimberly Teague at 631.687.1436.
SUMMER FUN PROGRAM HOURS:
Program Day hours are from 9 a.m.-‐4 p.m.
Early Bird Hours: 7:30-‐9 a.m.
Eagle Hours: 4-‐5:30 p.m.
Fees:
Deposits: $50 per participant, per session
Summer Fun Program: $275 per participant, per session
Early Bird OR Eagle Hours: $25 per participant, per session (this is the fee if you would like to participate in ONE of the extended-‐care times)
Both Early Bird & Eagle Hours: $45 per participant, per session (this is the fee if you would like to participate in both the Early Bird & Eagle Hours)
Directions:
Please enter the campus from Sunrise Highway South Service Road. We are Exit 52, Waverly Avenue. The entrance will be just East of Waverly Avenue on the south side of Sunrise Highway.
Alternative Route:
If the Sunrise Highway Service Road is inaccessible, please enter the College through the Waverly Avenue entrance. Upon getting off at Exit 52, head south on Waverly Avenue. Make the left at Savannah Boulevard (across from Staples at the traffic light). The parking lot will be on your right.
Picture Days:
Every Friday there will be a photographer walking around the program taking pictures, captivating your children enjoyment while participating in Summer Fun activities.
Parent Portal:

Illnesses:
If your child falls ill during the program day, you will receive a phone call describing the situation and then will be asked to come pick them up. If you are not able to pick up your child, we will call their emergency contact or you can have one of the “Authorized Pick Up “people come.
If your child falls ill and will not be able to attend the program that day, please call either 631.687.5112 or 631.687.1436 to notify the director. If your child is absent three or more consecutive days, a refund will be provided with a doctor’s note. If your child suffers an injury and is verified by a doctor that he or she will not be able to participate within Summer Fun Activities for the week he or she is registered, please call either number above and notify the director.
What to bring to camp:
OUR GIFT TO YOU: Each child will receive one official Summer Fun Program drawstring backpacks where these items can be carried in. You will receive this on the first day of the program.
For the safety of all participants, we ask that you send your child/children in with the following:
_____ Peanut-‐free/nonperishable lunch and snacks (extra if they are attended Early Bird or Eagle Hours)
_____ Dressed in comfortable clothes that allow them to participate in all activities
_____ Appropriate footwear (tied or Velcro sneakers, NO slip-‐ones)

_____ Refillable water bottle
_____ Sunscreen (must be apply to apply it on themselves)
_____ Rain poncho (if necessary)
_____ A change of clothes
BE SURE TO CLEARLY LABEL YOUR CHILD’S BELONGINGS!
Items prohibited from camp:
For the safety of all participants, we ask that you REFRAIN from sending your child/children in with the following:
• Electronics: cellphones, iPods, iPads, video game devices and cameras • Aerosol cans • Any types of weapons • Knife of any kind • Expensive or sentimental jewelry
WE ARE A PEANUT-‐FREE PROGRAM!!!
Since we do not have refrigerators for our participants lunches please pack your child with a peanut-‐free, nonperishable food for their lunch and snacks. Please pack them in a lunch box or bag clearly labeled with their name. We do allow a snack time during the day; therefore you can pack a snack for your child, as long as it is peanut free. The participants that are either coming in early or staying late, to take part in our extended hours may also pack a breakfast or late snack.
We are a PEANUT-‐FREE program, therefore all food brought into the facility must be peanut free. We will enforce this policy by looking through each participants lunch box or bag in the morning after walking them to the appropriate area. Even though many foods contain peanuts or traces of peanuts, there are still a lot of peanut free foods options. Fresh foods like produce, milk, fish and unprocessed whole grains are usually good choices. Preparing a healthy, peanut-‐free lunch that includes kid-‐friendly foods is possible. Try these lunch ideas:
* Instead of peanut butter and jelly, try soy nut butter or SunButter and jelly on a sandwich or bagel. SunButter is made with sunflower seeds and is safe for kids with peanut allergies. Soy nut butter looks and smells a lot like peanut butter, but is not quite as rich and sweet. Sweeten it with a bit of honey or pair it with thin slices of apple or jam. Cream cheese and jelly is another option. * Roll up some pinwheel wraps with meat and cheese to make a quick and tasty peanut-‐free lunch. Ham or turkey sandwiches are always a hit too. Use cookie cutters to make fun shapes, such as stars, flowers or fish. * Pasta! Pasta! Add tomato or Alfredo sauce to bowtie, penne, angel hair or your child’s favorite pasta. Toss in some grilled zucchini or broccoli. Heat and pack in a thermal container. Many of these containers can keep food at a safe 140 degrees for up to four hours.
* Chicken nuggets and macaroni and cheese are popular kid-‐friendly, peanut free lunch alternatives. So are mini corn dogs. Make a batch in mini muffin pans at the beginning of the week and freeze leftovers for another time!
* Fresh fruits and vegetables and low-‐fat or fat-‐free milk are great choices to add to any lunch. Put an apple, banana, blueberries, carrots, celery sticks or other fresh fruits or vegetables into your child’s lunch.
Packing a peanut-‐free lunch can be fun for you and your child. Just remember: Never assume any food is peanut free. Always check labels.
CLOTHING
Due to spontaneous weather and unforeseen toileting accidents, we encourage participants to pack an extra pair of clothes to have stored here for the duration of their session. According to the Board of Health standards, we as staff are not allowed to help clean up with any toileting accidents. Therefore, we encourage that the extra clothes that are provided are easy for the child to put on themselves. Please be aware that all these clothes should be in a labeled bag, even though they are going to be stored, mix-‐ups can happen.
SUNSCREEN
Your child should already come in with sunscreen applied. They are allowed to re-‐apply the sunscreen throughout the day, if they themselves, can apply it. If you choose to send them in with spray sunscreen, we may assist them spraying it. They would have to rub the lotion in themselves.
General (9 a.m.-‐4 p.m. day) Summer Fun Program Drop-‐off & Pick-‐up Procedure
Dropping Off:
When arriving, you will be dropping your child off at the back of the John A. Danzi Athletic Center. There will be signs directing you to the appropriate place. There will be a table located outside where you will be responsible to check your child in. (If the weather does not permit the table being outside it will be directly located inside the gym.) Upon dropping your child(ren) off you will need to initial next to your child’s and mark down the specific time of arrival. After you check your child(ren) in, your child would be directed to their appropriate Summer Fun group by a senior staff counselor.
• If you are dropping your child off AFTER 9:30 a.m., you would need to drop them off inside in the lobby of the John A. Danzi Athletic Center.
Picking up:
You will pick up your child at the same table as drop-‐off, located at to the west of the Danzi building. When you arrive you will need to sign the participant out by showing valid ID, initial next to their name and write down the time. Upon signing the participant out, you will be handed a card with the participants name on it. With this card, you will have to go to your child’s Summer Fun Group and hand the card to their counselor. At this time you may to talk to their counselor directly.
**We understand that there are unexpected circumstances that might arise towards the end of the day. If a situation happens to occur, e.g. traffic, you have up to a 15 minutes late window for pick-‐up. If you were to arrive after 4:15 p.m., there will be $5 charge for the Eagle Hour services.
Early Bird and Eagle Hours Drop-‐off & Pick-‐up Procedure
Early Bird and Eagle Hours
• With the working family in mind, summer fun offers both Early Bird & Eagle Hours. This program is designed for parents who wish to have their children remain under the influence of Summer Fun personal. While participating in our early bird or eagle hours your child will be participating in different activities. These activities will be held either in the Danzi Multi-‐Purpose Room or the gymnasium. The located is based on the enrollment of that week and what activities are planned for that day.
Dropping Off:
When arriving, you will need to drop your child off inside in the lobby of the John A. Danzi Athletic Center at the Summer Fun Table. This table is where you will be responsible to check your child in. In order to Upon dropping your child(ren) off you will need to find your child’s name, initial and mark down the specific time. After you check them in, your child would be directed to their appropriate Summer Fun group by a senior staff counselor.
Picking Up:
You will need to come inside the John A. Danzi Athletic Center to pick up your child. You need to sign them out by showing your valid ID, initial next to their name and write down the time at the Summer Fun Table. You will be handed a card with their name on it, where you can go back to where they are participating in activities, and pick them up.
Early Release: (If you need to pick your child up early)
You, not your child, must provide written documentation and hand delivery it to either the Summer Fun Director or the program director. If you choose to fax it, the letter must contain a copy of your driver’s license on it. The counselor will be notified and the participant will be sent up to the Danzi Athletic Center Summer Fun Table to wait for you at the listed time provided on the letter. If you arrive earlier then the set time, the Summer Fun director will contact the appropriate group, and your child will be escorted to the appropriate pick up location. You are not permitted to go down to the activity your child is participating in. When leaving, you are to sign your child out with the correct staff member. Do not take your child without signing them out. Please be patient for early pickups.
If it is raining, the Summer Fun Program will be held inside the Danzi Athletic Center utilizing the aerobics room, multipurpose room and the gymnasium. The program will NOT be canceled due to rain.
Although we would be inside when it rains, there may be a time where your child’s group will go outside after the rain storm passes. Therefore, please dress your child appropriately that day, for they might get a little dirtier then usually. Also, please feel free to pack any extra items of clothing you might feel is necessary.
** Thunderstorms: If there is a thunderstorm during the scheduled swim time, swimming WILL BE CANCELED for that day. If evacuation or cancelation occurs, the pool will remain closed for 30 minutes after the LAST thunder; however, your child will continue to be educated in American Red Cross and Longfellow’s Whales Tales water-‐safety Information.
It is easy for items to get lost, but easier to find if all items are clearly labeled, especially water bottles and towels. If your child does lose something, we do have a lost and found. The lost and found will be located in a central location and at the closing ceremonies the bin will be brought to the middle of the gym floor where we hope to reunite these items with their appropriate owners.

Orientation Days: Every Monday morning will be an orientation for the Summer Fun Program. This orientation will include a tour of the facility and grounds, an overview of the important rules, regulations including fire drill procedures. This will also include an introduction of the current theme week and their Summer Fun group.
Children who require medications while at Summer Fun need to have written documentation of the requirements from the doctor. Please only bring the amount of medication that your child would need for the session he/she is attending.
Drop Off: If your child requires medication during the time that he/she is at camp, you must drop the medication off in its original containers to the EMT, program director, Summer Fun director or the Early Care Summer Fun supervisor. The medication must have all of the following labels:
• Complete name of patient • Date prescription filled • Expiration date • Direction for use, precautious (if any), and storage (if any) • Dispensing pharmacy name and address • Name of physician prescribing medication
Location: All medication will be locked-‐up in the EMT’s office area. All emergency medications (inhalers, EpiPen) will be in the hands of the counselor. The EMT will have access to a locked refrigerator where we can accommodate the medication that needs to stay at a certain temperature.
Contract for the Parent or Guardian, and child(ren) enrolled in the Summer Fun Program
** This is a copy of the contract that you have signed when registering your child(ren) within this program.**
This will ensure the responsibility and agreement to the policies set forth by SJC Summer Fun Program for:
1. Payment and deposit procedures 2. Child and parent conduct policy 3. Updated immunization records 4. Injury policy 5. Authorized dismissal policy 6. Refund policy 7. Missing Child policy
Payment and Deposit Procedures
Ø I am fully aware that the fee schedule and balances for each session are as follows: Upon registration, I agree and understand that I am responsible to pay a nonrefundable, nontransferable $50 deposit per child,per session.
Ø The balance of each session is due two weeks prior to the start of that session to secure a spot in the Summer Fun Program. If an exception is made by the Summer Fun Program Administrator and the payment is made other than two weeks prior to the start of each weekly program, only cash or credit card payments are required. NO CHECKS WILL BE ACCEPTED.
Conduct Policy
The safety and well-being for all of our campers and staff is the utmost importance. Discipline for the children participating in the Summer Fun, is handled in a positive and professional manner, with much care and thought.
The Summer Fun Program will apply the following policies directly to each child as well as use this policy to determine his/her eligibility to continue participating in this program. In accordance with the level of the infraction and the amount of time the infraction reoccurs, may result in (a) loss of privilege of participating in that activity, (b) suspension of registered program, (c) Termination of weekly program due to one or more of the examples listed below:
1. Repeated use of foul language 2. Bullying towards peers as well as camp staff. Bullying will not be tolerated.
3. The reoccurrence of intentionally leaving or the refusal to remain with his/her group activity. 4. The reoccurrence of going to unauthorized areas or exiting the facility without permission is not
tolerated. This will result in that the child will not be allowed to return to camp. 5. Maliciously destroying or defacing St. Joseph’s College property. 6. Destroying, altering or stealing of other children’s property. 7. The use of illegal substances; (as deemed by SJC Camp Staff) weapons, drugs, cigarettes, alcohol
or unsafe personal equipment. 8. Inappropriate touching, including any violence towards all campers or staff. 9. Reoccurrence of toileting mishaps. (All children must be completely potty trained to participate in
camp)
In the event that a camper is unwilling to follow these policies, the parent/guardian will be notified and must meet with the Summer Fun Director in order to discuss the situation. A possible suspension or termination will be considered by the Summer Fun Director. Again, no refund will be given.
Immunization Records
I understand that, NYS Department of Health requires that we have a copy of your child’s updated immunization records, signed by your current health care provider. Immunization forms can be faxed to 631.447.3347 – attention: Summer Fun. I will complete a health history form for each child participating in the Summer Fun Program. St. Joseph’s College WILL NOT admit your child into the program without a current health history form. There will be no exceptions.
Injury Policy
I understand that I will be notified if my child is seriously injured. Some examples of injuries are: a suspected sprain or broken bone, fever, head injury or whenever deemed necessary by the SJC Summer Fun staff.
Authorized Dismissal Policy
I am aware and understand that my child will not be allowed to leave the campus with any person unless authorized by me, or is a legal custodial parent or guardian. Any changes to my child’s authorized dismissal list needs to be completed in person with the Summer Fun administrator or can be faxed to 631.447.3347 along with a copy of my valid New York State driver’s license.
Refund Policy
I understand that all deposits are non-refundable. After the camp session begins, absolutely no refunds will be made unless the withdrawal is due to illness (for three or more consecutive days) or injury verified and accompanied by a doctor’s note. No refunds will be permitted for vacations. Make-up days are not available. A refund may not be granted, if at any time St. Joseph's College determines that the needs of your child cannot be met, or that your child is behaving in a consistently uncontrollable manner.
I will provide a written notification if I should wish to withdraw my child from camp before the session begins. I understand that if I should wish to withdraw my child, the $50 camp session deposit will NOT
be refunded. If an exception is made by the Summer Fun administrator and a refund has been granted, it will be prorated, minus deposit and $25 processing fee. In addition, the college will assess a $25.00 administrative charge for all returned checks.
Missing Child Policy
If a child is reported missing, St. Joseph’s College will implement their missing child’s policy and will notify the campus security immediately. The trained staff will conduct a search of the premises for the missing child. After 10 minutes, if the child has not been found, the police and parent/guardian will be notified.
It is the goals of the Summer Fun Program, to have each child enjoy his or her camp experience to their fullest potential. It is for this reason that we have initiated these policies that were stated above. We believe these policies are fair, easily complied with and will benefit everyone participating.
Safety Procedures
**All Procedures and protocols are based on the Suffolk County Board of Health Standards and/or directed by the St. Joseph's College security team**
Evacuations: In the very unlikely event we had to evacuate you will be contacted immediately with the appropriate information regarding the situation that is occurring. We will follow St. Joseph's College’s security protocol and procedures based on the specific occurrence that is happening. (e.g. lockdown procedures, evacuation, bomb threat or fire)
Fire Drills: Fire drills will be conducted sometime during the first Monday of each session. All children will be directed and escorted to the proper meeting place, which was set forth by our security team.
