Using this document: What this is and is not.

This Job Description form is a composite list of all of the jobs and who is over each person. I want to stress as much as possible that the Board and Higher Management do not feel that these positions should be seen as hierarchical but merely how we spread the work that needs to be done. If you are a base level volunteer or middle management you are just as free to talk to me, the CEO as anyone else if you are in a position of leadership it is your job to present this fact at all times and enforce an equal standing with your team. Please do not think that this limits your position in any way other than the job description you are led to do.

Additionally just because a job description is provided please keep in mind that as a small organization we are in flux. Your job may have duties not included here, but bar minimum these are what we expect.

The framework of a job description: Take a look at the format of the job positions below. For each one I have mapped out the purpose and requirement for that position.

Job position - the title of the job should aptly describe in 2 words what they are intended to do so that if placed on a business card your role would describe your main role.

Hours per week - How much time does the job require one anticipates. This is bound to be a question asked during an interview process and is also a main statement for use on the volunteer form.

Level of Job Position - This allows us to determine how important the job is and whether it’s a minor leadership position. This allows us to determine better the degree of skill and talent we need as well as whether we can just hire in to it or are promoting in to it.

End Goal of job - With the person in this position it will yield ‘what’ to Trans* youth channel? Be very specific at what this will pull out and what they are responsible for. It helps to basically frame this as the statement, “The CEO of getting [insert end goal] done.”

For example the video blogging leader position is “the CEO of getting bloggers coordinated and all blogs in the Dropbox.”

Responsibilities of position - This is a more in depth list of duties for that position. You should be pretty specific with this but not have specific language. For the Rn’O leader for instance I would have, “coordinate and assign job positions to volunteers every week based on their

307-274-5516schedule and skills,” but I would not have “assign research and synthesizer job positions to the volunteers at the meeting every Monday”.

Applicant traits - here we start to look at what kind of person we need in this position. Do we need someone who is more of a driven person, or someone who is very nice and takes thing professionally? Do we need a highly energetic person or a hugely analytical person? For more on this please see the leadership training.

Need / Prefer table - This table is the culmination of the whole rest of the document. Now that we know what kind of person we need, and what responsibilities there are it is up to us to plan out what that kind of worker should look like. Now there are a lot of things we can train and a lot we can’t so this part basically allows us to sort it in to the traits we need to look for in the interview process, and the ones our applicant should be interested in learning. This can be hard experience as well as basic human traits about them.

If you are still confused, go ahead and look at a few of the other completed ones from the board and CEO levels for examples of fully complete job position documents!

How to hire someone:

Step 1: Building your candidate pool (this is still being developed)

Taking the time to build a high quality pool and finding that pool of people before narrowing down candidates is important. Think about how you’re using talent acquisition methods such as mass marketing or personal request to go beyond the obvious. Head-hunting through personal requests of your already vetted and good volunteers can get you special people because this is a part of networking but depending on the level of skill mass media is a great way to reach people you wouldn’t otherwise be able to. Keep in mind that no matter what you need to have a gate to ensure that people are who they say they are. Resume’s and interviews are great but put their money where their mouth is with a quick “let’s see how you do this” during the interview.

If you don’t find the people you want or the people that would qualify deny the position don’t hesitate to find connectors or people who can recommend people for you. You have to trust the connector and don't just take the connectors word for it do the work once the official position is set.

Step 2: Interviewing for a position

This Job Description should in theory allow you to match the person and who they are, the skills they have, and other items directly with whether or not they can do the position. Keep in mind that TYC is a culture and they need to match the culture as well! It usually helps to ask them to

307-274-5516role play what they would do in a position. Try not to use the cookie cutter interview questions because they’ve likely prepared answers. See how they react when caught off guard but don’t ask personal questions.

Once an interview is set even if they interviewed well they may not be the best fit. It may help to ask them to fill the role for a few days or job shadow someone in that role to show them the reality of the situation.

Developing volunteers: promotion and moving forward

The growth curve of an employee which varies widely can fall in to percentage ranges for where they are getting experience from. Around 70% is on the job experience, 20% is through feedback and coaching, and another 10% is via formal coaching and training.

Trans* Youth Channel does what it can to provide training and the best part is that our trainings are open source so anyone wanting to learn a specific job is free to do so at any time. On the Job experience is something that is done by the volunteer provided they are doing it correctly, proactive, and motivated with their job. The feedback and coaching though is immensely crucial because if they are not provided feedback or 1x1’s via coaching they can’t change their job experience and they may not develop the skills needed for a job.

In order for someone to really feel like they are able to move up we need to prepare a person for the job they really want. During 1x1’s if a volunteer is doing well be sure to talk to them about the future and where they see themselves going in the company. Inform them of positions you feel they may be good at and tell them what they lack to get there. If they want to go there then tailor your 1x1’s and extra job opportunities such as extra projects to them. Additionally sit down with them and fill out a volunteer progression plan found in the official documents of the drop box.

In short it may be helpful to follow this checklist for each of your volunteers:

1. constantly have 1x1’s and talk about where the volunteer is doing well2. provide constructive and well framed criticism in 1x1’s(the compliment sandwich)3. Provide growth assignments that are only a little bit outside of their comfort zone. 4. Teach new skills and formats that will allow them to learn whenever opportunities

present. 5. Give consistent feedback on the skills that are needed outside of structured areas. 6. Make sure they enjoy their time outside of the work. Have fun! Make sure they do too!

When a volunteer doesn’t live up to these standards its necessary to find out why, plan a fix with the volunteer, be transparent with results should that plan not work, and unfortunately let someone go if the job just isn’t being done. We have to keep our performance bar where it is set. For instance we can't do well with bad bloggers or other volunteers so we have to make sure people are raising to it.

- Compiling and providing a monthly summary of funds in preparation for every board meeting, provided to the secretary for inclusion in board records.

- Oversight of all financial dues regarding the board and staff.- Chief management of all financially related staff.- Leading the deliberative inquiry of all financial campaigns such as fundraisers at board

- Proven Leadership, coaching, and relationship management experience with social networks in the community developed.

- Track record of leadership, employee or volunteer development, and/or experience in scaling financial growth of an organization.

- Unwavering commitment to the moral and ethical standards of labor and equality for minorities.

- Demonstrated commitment to executing programs and evaluation of those programs- Previous experience on a board of directors or executing board decisions.

Recommended –

- Advanced degree in or related to one of the following areas:o Communication, media, journalism, public relationso Marketing, business, analytics, research o Teaching, visual art or design, literary degrees, or general arts

Planning, Running, and supporting your own peer-to-peer support group program on a consistent weekly, bi-weekly, or monthly basis for the closed community and providing resources and further steps for attendees.

Responsibilities of position:

- Must complete mandatory comprehensive training with Trans Youth Channel.- Must intern with Trans Youth Channel for a minimum of 3 weeks after approval.- Scheduling, planning, and running your own support group session with up to 10

participants.- Managing a network of resources to offer to attendees of support groups- Attending mandatory quarterly coordination meetings with the support group program

coordinator.- Requesting assistive and optional donations at the end of every session and otherwise

working to support the program.- If backed by a partner or other organization, other restrictions may apply. Please speak
