VOLUNTEER ONBOARDING TOOL As a volunteer run organization, we strive to ensure our volunteers have the necessary resources, tools, and support available to ensure success. As their leader, you play a critical role in providing this information and creating a welcoming environment beginning day one. The following guide is designed to assist you in onboarding your new volunteers. If you have any questions, contact TCHRA’s VP of Volunteer Engagement, Amanda Greenberg, at amanda.greenberg@ecolab.com.
Contact your volunteer via phone or email to schedule your initial in-person meeting within two weeks of him/her joining your team. In advance of the meeting, provide the volunteer a link to the Volunteer Reference Guide, schedule of your upcoming team meetings, and a list of TCHRA’s upcoming programs. In particular, inquire if he/she has attended a New Member Orientation session. If not, strongly encourage his/her attendance as the sessions provide an excellent overview of TCHRA’s history, structure, and purpose.

All questions related to the completion of this form should be directed to your VP and/or the TCHRA Office.
Checks will be voided after six months if not cashed. The office will attempt to contact the payee to resolve issue.
EXPENSE VOUCHER
This voucher is intended to accurately reimburse volunteers for expenses incurred in the execution of volunteer activities for TCHRA. The TCHRA office prepares reimbursement checks approximately every two weeks. Vouchers will only be processed if the voucher has been accurately completed and returned with all required receipts and signatures. Please be aware that an inaccurately completed voucher form, missing signatures and missing receipts will result in a delay in the reimbursement.
If another check is requested, any fees associated with duplicating the replacement check may be deducted from the original amount paid.
*Description/Comments: This field should include an accurate description including the team, a full description (including any comments), the account number/name alligned to the expense/budget line item (if unsure, please check with your VP). EX1: Webinar team; Lunch meeting to discuss team strategy, attendees included John Doe, Sally Smith and Arthur Anderson. EX2: Spring Conference Team, Equipment rental of projector screen and microphone for Spring Conference on 05/12/10
Reimbursable Expenses: Below please indicate your team, complete description, the account number the expense matches, and the amount of the expense. Each expense listed must have an attached itemized receipt (fax or scanned). Vouchers will not be processed if invoices/receipts are missing and/or if the expenses are greater than three (3) months old.
This voucher must be signed by a TCHRA Board VP or by the TCHRA Board President. Email approvals will be accepted when accompanied by an accurately completed voucher form and received copies (fax or scanned) of all detailed receipts. Board members will confirm the amount of the expense and the validity of the expense.
