Cayuse Saves You Steps

• Electronic routing feature enables NAU principal investigators to circulate grants.gov and non-grants.gov proposals for electronic (not paper) internal approvals (no more walking around campus!)

Recommended Browsers

Firefox – The BESTBEST and most HIGHLYHIGHLY recommended browser for Cayuse 424 with any operating system. Firefox has the fastest load & response times. Cayuse currently supports versions 3.0 through 3.6.

Internet Explorer – Although FirefoxFirefox remains the most highly recommended browser for Cayuse 424, IEIE is now listed as a fully supported browserfully supported browser, too. It may be used with any operating system, and the former glitches and problems users experienced when using IEIE for Cayuse should no longer exist.

Google Chrome – NOTNOT listed as a supported browser at this time. Although it is usable, Google Chrome is prone to prone to glitches glitches when used for Cayuse 424.

Safari – NOTNOT supported at this time due to significant browser bugs. Cayuse is keeping watch on this Mac platform browser, but for now they recommend using FirefoxFirefox if you are a Mac user.

• It’s important to configure your browser to allow pop-up windows that are used by Cayuse 424 to create and manage required forms.

Important “DON’TS”

It is important that you DO NOTDO NOT…!•Use the BackBack or RefreshRefresh buttons!

– Instead, use the breadcrumb trails in Cayuse, which provide a quick way to navigate screens within a tab!

•Cut and paste into the application!– Some characters (e.g., “, é, etc.) do not convert

accurately and will appear as unintelligible characters

•Leave Cayuse running overnight!– Cayuse 424 times out 4 hours after inactivity– You might lose the last page of work!

– Use the tabs to move between sections without losing your place in the proposal.

What is a Professional Profile?

• Professional Profiles capture and store data about Principal Investigators (PI), Key Personnel, Other Significant Contributors, AORS, Signing Officials, etc.

• Information stored in the Professional Profile is auto-filled into the grant proposal once that individual is named as a PI, Senior/Key Person, or Authorized Representative.

• Profiles stored in Cayuse can be shared with others and used multiple times.

• Before you can create a grant application you must create your Professional Profile.

• NIH Commons ID• NIH Degree• Senior/Key Personnel Degree Type & Year• NSF Degree Type & Year• Demographic Information• eRA Role• NASA – US Government Employee Information• NASA NSPIRES ID (required if submitting to

NASA)

Finding Your Profile

• Profiles for most NAU faculty and investigators have been pre-loaded into Cayuse based on information from HR PeopleSoft.

• Updating your professional profile in Cayuse does not update your PeopleSoft profile; if that’s necessary, contact your HR representative.

• If your name does not appear as “recently viewed”, follow the instructions on the next slide to search for and locate your profile.

If You Can’t Find Your Profile…

• Use the SearchSearch bar or click on Show AllShow All to type in your name or review a list of names.

Find Your Profile

After typing your name into the search bar, click SearchSearch. When the search is complete your name should be listed under Search ResultsSearch Results. Click on your name to open your Professional Professional Profile Profile page.

After clicking Show AllShow All, an alphabetical list will appear. Click on the letter that is the first letter of your last name. (In my case, it would be “M.”) Scroll through the list, find your name, and then click on your name to open your Professional ProfileProfessional Profile page.

InformationInformation categories for Name, Degrees, Demographics, and Biosketches.

• Review the pre-loaded information in your Personal ProfilePersonal Profile to assure its accurate, or if not, update accordingly.

General Personal Information: Name

• In the NameName category enter your NIH Commons ID and your NASA NSPIRES ID, if applicable.

• Then click on DegreesDegrees.

• After selecting DegreesDegrees, provide the requested information, as applicable.

• If you need more information, click on the icon next to DegreesDegrees.

• After you’ve input your degree information, you’ll need to click on DemographicsDemographics, and provide the requested information.

• An asterisk should appear, notifying you of unsaved information:

• This will appear anytime you add information to your profile.

• To save, click on the icon on the “breadcrumb” bar:

• Continue to BiosketchesBiosketches:

• To add a Biosketch, click on the icon.

• Create a name for your Biosketch (i.e., “Hazael’s Bio”):

• Click NextNext and then click Choose FileChoose File. Upload the PDF version of your previously created Biosketch. Then click NextNext.

• You can also upload a Microsoft Word versionMicrosoft Word version of your Biosketch as a “source file,” if you wish. Then click DoneDone.

General Personal Information: Biosketches

• Your Biosketch is now uploaded! • Note that you are able to create multiple

Biosketches. To add another biosketch, click the icon.

• To delete a biosketch, click on the icon.

Benefits: Biosketches

• You can store PDFs and source documents on the server for use in proposals and later edits.

• Multiple Biosketches are allowed.• You can easily attach Biosketches to the

Senior/Key Persons page later on in the proposal.

• You can give other users access to your Biosketch so they can include you on their applications.

Institutional Association: Contact Info

• Review your pre-loaded contact information and correct as necessary.

• Add the 4-digit extension for the unit zip code, if necessary

• Select your eRA Role: Are you a PI, an assistant, or an administrative official?

• Selecting your appropriate role helps to display your name for certain proposal fields.

• Click on Dept / Division / TitleDept / Division / Title next.

• Review your Dept., Division, and Title entries • Contact your GCA (Grant and Contract Administrator) if

there are errors in the pre-loaded information

– Please remember to answer the NASA questionnaire at the bottom, if applicable.

– RememberRemember to click on the icon on the “breadcrumb” bar after you’ve finished!

Institutional Association: Salary/Fringe Worksheet

• Verify that your employee ID number is correct.

• Make sure that your salary information is left BLANKBLANK.

• Continue to Performance SitePerformance Site.

• Review the preloaded information and verify that the zip/postal code consists of 88 digits. If there are any errors, contact your GCA.

Remember To Save!

• Once you have completed your Professional Profile, remember to SAVESAVE, especially if you see ASTERISKS (*) next to any sections of your profile.

• Congratulations!Congratulations! Your Professional Profile is now complete!

Occasionally…

• Review and update the information in your profile – Has your title/rank changed?– Has your unit affiliation changed?
