K12 Education Point of View
Key Trends and Challenges
Today, parents and government are simultaneously pressuring K12 Education for better
education and environmental standards. Parents are paying increased attention to their
children’s overall educational experience and would prefer direct and immediate
communication with the teachers through a variety of methods—this is especially the
case with working parents.
At the same time, government is focused on
educational system improvements. The No
Child Left Behind Act aims to increase
educational quality using performance
management to identify problem areas and
take corrective action. The Obama
administration recently invested $77 billion to
implement the reformative American
Recovery and Reinvestment Act, designed to
strengthen K12 Education.
To satisfy the high stakeholder expectations, schools are seeking to develop effective,
creative teaching materials and methods tailored for different learning styles. For
example, e-learning and web portals require innovative teaching technologies that
depend on improved information technology infrastructure, Internet Protocol
television (IPTV) and content creation tools. Schools face the challenge of effectively
balancing and allocating budgets given the high cost of technology. In addition,
teachers need to spend time developing and using the new teaching materials and
methods [Figure 1].

In addition to emphasizing education quality, the government is also placing new
regulatory pressure on public schools with the Family Education Rights and Privacy Act
(FERPA), in response to the concern for student information security.
Under FERPA, schools must make it possible for a parent or an eligible student to
inspect and review the student’s educational records. As well, schools cannot disclose
any information from an education record without signed and dated parental or
eligible student consent.
Teachers spend almost
60% of their time to
non-teaching activities
including planning,
preparation, and
evaluation.

Document Workflows
[Figure 2] Document Workflows in K12 Education
Note: This workflow is based on SAP Industry-Specific Business Map (http://solutioncomposer.sap.com)
Strategic Planning and Stakeholder Management: At this level, workflows
involve funding, managing legislative requirements, and working with school boards
and parent advisory boards to set direction for schools. Paper-based funding
applications and any necessary associated documentation make it difficult to quickly
assemble applications for government funding. Funding among private schools is
driven by marketing communications, which can cause a major bottleneck because
paper-based marketing materials rapidly become outdated. In addition, staffs do not
always have the most up-to-date version.
Academic Services and Learning: Teaching and learning processes consist of
content presented and interacted with by students and teachers in varying formats.
Student performance management, particularly testing and grading, are problematic
because of long lead times and expensive forms.
K12 Education

Student Information Management: Information services in education include
the registration process and student records maintenance. Paper-based student
records can hinder effective communication between parents and teachers and poses a
threat to information security.
Document Requirements
To meet key challenges across operational workflows, schools are focusing on
innovative document solutions with the following requirements:
> Optimize Testing for Cost Reduction
Testing is a major area that needs to be improved. Schools can eliminate the high cost
associated with testing forms by using the on-demand testing form printing equipment.
Document solutions capable of integrated functions allow teachers and staff to print,
scan, score and analyze tests all in-house, without having to ship documents to a
central scoring and storage location.
> Digitize and Integrate Learning Materials
Schools can greatly simplify the development and production of learning materials by
moving from paper-based materials to digital. Electronic documents allow for
integrated document management, which provides version control and rapid access to
up-to-date documents among teachers, and other staff. The electronic system provides
a solid collaborative platform that enables easy content modification and content reuse.
Because teachers no longer need to spend so much time creating and tracking down
learning materials, they can spend more time teaching so that children receive a higher
quality education.

> Improve Parent-Teacher Communications
Schools need to send information about
student attendance and performance to
parents in a timely and effective manner,
to allow parents to take action. Some
parents would prefer to receive report
cards electronically via email or through
controlled web access. To build
successful teacher-parent relationships,
schools must be able to support different
communications channels.
> Develop Custom Marketing Materials
Developing and storing marketing materials in a consolidated document management
system allows the rapid customization and distribution. Staff can send out the most up-
to-date information to prospective learners in the most effective way for the prospect,
via fax, email or through a web portal. Central storage ensures people are receiving the
latest version.
> Ensure Tight Security and Protect Privacy
To secure student information properly, schools need to take advantage of secure data
storage and communications channels. Schools must protect student records against
unauthorized access and misuse. Monitoring and tracking document access through
fully-implemented security measures including user authentication. Audit logs provide
officials with the means to trace malefactors.

One highlight of Samsung’s technology is its
enhanced ability to keep parents informed about
their child’s attendance, performance and safety.
The solution also allows school administrators
and teachers to store, share and reuse valuable
intellectual knowledge—true added value. By
accessing and contributing to a consolidated
store of learning materials, teachers can share
knowledge, find and reuse existing teaching
materials more efficiently.
We assist teachers further with flexible, on-demand test formats, allowing them to
create new templates tailored to individual needs. This dramatically reduces the time
spent on testing, grading and performance analysis. Additional benefits include
reduced paperwork as a result of streamlined administrative processes and
communications for teachers and staffs, improved material quality, and faster
turnaround for large volume handouts as a result of automatic sorting and bundling
features.
Parent, Teacher and Staff Satisfaction
New operational workflows enable teachers to concentrate on educating students
rather than on trivial tasks like grading and creating tests or searching for learning
materials. Freeing teachers from these tasks increases their job satisfaction, allowing
them to concentrate on the needs of individual students. Effective, timely teacher-
parent communications provides parents with a better idea of their child’s academic
progress, attendance, and participation extracurricular activities, providing them with
information they need to assist their children and gain peace of mind.
