I. Preface
Technology has become a very important part of our lives nowadays. During the
past few years, technology has evolved in many ways and is probably without a doubt
better than ever before. People are always trying to find something new that will improve
our lives dramatically. Some of the creations that have really changed our lives are the
computer, telephone, internet and electronic mail, television, cell phone and voice mail.
Everything has a positive and a negative effect on our lives and so does technology.
Technology may be very helpful but it can sometimes be very harmful.
In our modern society, people can't see themselves without computers. Computers
have evolved so much during the past years. They used to be bulky, expensive and not
very reliable machine but nowadays there are fast, small and affordable and nearly every
family has a computer. With computers you can browse over the internet and look for
information about a subject instead of having to do read books at the library or read the
newspaper. Nowadays mostly everything is available on the internet. You can even do
your Christmas shopping over the internet instead of having to spend a long time waiting
at the malls. Electronic mails can be sent over a network and it's much faster and takes up
less time than to have to write a letter and then send it and the person would have to wait
a day or more to get your letter. Cell phones are also very useful gadgets as people can
reach you wherever you are. In case of emergency people can contact you even if you're
not at home. When you have a computer you can just store your files on your hard drive
and it can be retrieved at any time.
II. Introduction
The Advance Contact Management System was developed for everyone
especially for organization. Its main purpose is to design a certain application that will
minimize the time consumed a free storage for all types of images and information the
user can provide to the system. And easy recovery of information to the person he’s
searching for.
Everyone, who always seeks for innovation and efficiency and never ran out of
ideas, is the primary customer of their own work, the technology. Seeing beyond existing
possibilities lead to the creation of new and advanced innovation in information
technologies. These innovations produce a new-phased world that people benefit in terms
of information as well as taskful jobs.
The innovations that we are experience nowadays are all products of scientific
discoveries and experiments, the principle and the people. All technological gadgets are
products of people’s way on how they will simplify tasks. But then, people must not let
the technology lead them from discovering the true meaning of their existence these
innovations are just tools to help in discovering much modern innovation that will be
more beneficial for people as well as the country.
In manual operation, the user takes time to do their paper works just to comply
with all the necessary forms of information about their self but with computerized contact
management system, no need for manual operations. All you have to do is enter the
information about yourself such as your name, age, address, phone and home number,
email address, job title, job company, country, fax number, zip code and even image then
the program will do the rest and store the information in the database.
This system would be a alternative solution to the problem in securing and storing
information.
III. Glossary
For clearer and understanding, some terms are define conceptually and
operationally.
Email Address: Electronic mail, commonly known as email or e-mail, is a
method of exchanging digital messages from an author to one or more recipients.
Modern email operates across the Internet or other computer networks. Some
early email systems required that the author and the recipient both be online at the
same time, in common with instant messaging. Today's email systems are based
on a store-and-forward model.
Zip Code: a system of code numbers assigned by the postal service to be used as
part of the mailing address: each code designates a delivery area such a code
number, typically consisting of five digits, although often expanded to nine.
Computerized: it means to control, perform, process or store (a system, operation
or information) by means of an electronic computer. Operationally define in this
study as the process of devising software program relative to the advance contact
management system.
Database: is a collection of information that is organized so that it can easily be
accessed, managed, and updated. In this study, databases can be classified
according to types of content: bibliographic, full-text, numeric, and images.
Visual Basic: this term refers to a programming environment from Microsoft in
which a programmer uses the graphical user interface to choose and modify a free
selected of code written in basic programming language. It denotes the provision
of various interesting set of tools to aid the researchers in building exciting
application and also to make the program easier.
Fax Number: Device for the transmission and reproduction of documents by
digitized signals sent over telephone lines. Fax machines scan printed text and
graphics and convert the image into a digital code: 1 for dark areas, 0 for white
areas. The code is transmitted through the telephone network to similar devices,
where the documents are reproduced in close to their original form. Though the
concepts for fax technology were developed in the 19th century, widespread use
did not occur until the 1970s, when inexpensive means of adapting digitized
information to telephone circuits became common.
Contact Management: Software that keeps track of people and related activities.
It is similar to a personal information manager (PIM), but is specialized for sales
and service reps who make repetitive contact with prospects and customers. The
foundation of a contact manager is a name and address database, from which
phone calls, meetings and to-do items are scheduled. The contact manager may
also link each record to related e-mail messages and text documents.
System: A set of detailed methods, procedures, and routines established or
formulated to carry out a specific activity, perform a duty, or solve a problem.
Technology: is the making, usage, and knowledge of tools, machines, techniques,
crafts, systems or methods of organization in order to solve a problem or perform
a specific function. It can also refer to the collection of such tools, machinery, and
procedures. Technologies significantly affect human as well as other animal
species' ability to control and adapt to their natural environments.
Organization: is a social group which distributes tasks for a collective goal. The
word itself is derived from the Greek word organon, itself derived from the better-
known word ergon - as we know `organ` - and it means a compartment for a
particular job.
Executive: A person or group having administrative or managerial authority in an
organization.
IV. User Requirements Definition
The proposed Advanced Contact Management System was design to provide the
necessary information with less time. Advanced Contact Management System to be
another advantage for the organization. With these organizations, you can easily access to
the system if you know the username and the password you input when you register.
A major benefit derived from used of computerized information system is more
effective in an organization especially executive person. A person would have proper
storage of information can retrieve data and secure information.
Computerized information system is the best way of storing and securing
information and easily search because of the images store in it.
The system had their database, which facilitated information handling and file
management.
