BTW…
• Logbooks collected Thursday• ICT Meetings Thursday
– Agenda Due ASAP– Minutes?
• 10% of final grade
• Also, Pre-proposal Outline due Thursday
Project Proposals• A proposal is generally what you provide a client when you are
trying to get a job.– Examples:
• Bid for a project (provide a product)• Consulting service (provide a service)• Grants (give me money, please!)
– Combines project management with project proposalto reach your intended result
What’s in a proposal?• Introduction• Problem definition
– Quality Function Deloyment (QFD)• House of Quality
• Phases of work to be completed– Critical path
• Project Evaluation & Review Technique (PERT) Analysis– Deliverables
• Work Breakdown Structure (WBS)– Timeline/Milestones
• Gantt Chart• Budget (cost)• Tools
Tools• What tools do you use to address the tasks in each phase:
– Finite Element Analysis (FEA)– Operations Research (Optimization Techniques)– Solidworks– Prototypes– Calculations/analysis– Sketches/drawings– Test results– Other???
What is Project Management?• A system to track a project
- You must develop what works for you, but there isno substitute for good organization!
• Schedule (WBS < Gantt)• Budget• Detailed Tasks• Allocation of Roles
Tools• Scheduling :
– Gantt Charts– Google docs– Contact… weekly meetings, updates, etc
• Budget– Excel, etc.
• Optimization– Mathematical Programming– Heuristics– Computer Applications
“Plan to fail a few timesbecause:”
• It won’t work the first time.• You will learn things as you go.• Requirements may change.• Whatever can go wrong will go wrong.

Two parts• Work Breakdown Structure (WBS)
– ‘Simply’ identifying the tasks and organizing them– Fastforward-WBS guide.pdf (BbLearn)
• Scheduling the WBS– Any number of tools to use, but most prominent is
the Gantt Chart
9
Task examples• What are the activities your team will accomplish? Examples
(not limited to)…– The generation of EGR 386W graded deliverables– Generation of a project budget– Collection of customer needs/requirements– A conceptual design generation– Generation of product features/functions– The analysis– Etc…
13
Scheduling the WBSGuidelines
• Ownership– Every task is worked by least one person, but…– Every task can have only one owner
• Assign tasks to people who have the right abilities ormotivation
• With the size of your teams, every team member willbe responsible for at least one major task (probablyseveral)
14
Scheduling the WBS• Effort Estimates
– The effort that will be devoted to completing a task• work units are called “manhours”
• Duration Estimates– The duration between a task’s start time and finish time
• the “calendar length” of the task– Duration always is longer than Effort!
• weekends, holidays, working part-time, etc.
15
Estimates• Make sure task is clearly defined• Collect data from similar projects/tasks
• Ask an “expert” to Estimate:– How long for effort time in the worst case?– How long for effort time in the best case?– Average the values (or weight based upon that info)
• If no expert available,– Estimate yourself by researching the task thoroughly– Then, double that estimate

“Electric Drill Test Stand”WBS for task #5
17
WBS# Task Description Est.
Hrs Who Resources Mat’lsCost
5 Profile motor power
5.1 Design test stand 20 SE, JM SolidWorks, calculator
5.2 Build test stand 15 SE, JM Frame & brake parts $35
5.3 Test 3 motors 3 SE, JM Stroboscope,Labview PC $75
5.4 Plot torque vs. speed 2 JM Excel
• Gantt Charts– A horizontal bar chart– Elements show tasks from the WBS– The bars (and other graphical elements)
are tied to calendar duration, horizontally– Dependency between tasks are illustrated
graphically, textually, or both
Scheduling the WBS
19
• The Bar in a Gantt Chart– Length of bar = task’s duration
– Relationships between tasks• Predecessor – This task must be completed before a
second task is begun– Gantt shows as a vertical line between end of predecessor
to beginning of successor• Concurrent – Multiple tasks can be accomplished
simultaneously/independently of each other– Gantt shows as parallel bars
Scheduling the WBS
Scheduling the WBS• Milestones – Important events in the calendar
– Typically not a time duration, but a deadline date– Multiple tasks, sub-tasks result in milestone completion– Indicated as a diamond on Gantt chart– Design Reviews– Reports due– Customer visits– Deliverable due– Arrival of goods or resources– Etc…
20
Scheduling with Software• You could use the WBS to create a MS Excel illustration of a
Gantt chart, but…– Takes a lot of time to make changes
• Manually establish all tasks• Manually set up Gantt charts
– No automatic checking of predecessors is dangerous!
22
Other Software
24
• Keep it simple, there are software packages that are free…– GanttProject (URL - http://ganttproject.biz/)
• Gantt Chart• PERT• Critical Path• WBS report• Training Video takes 15 min (shows all options needed in
the package)– Used in class illustrations– Recommended for design project
