Tracking the PPP Loan Proceeds
Unfortunately at this time much of the guidance on the forgiveness is unclear at this time. While
we await further direction here are some tips. Technical guidance is expected to be forthcoming
in the next few weeks.
Where to Start?
❖ Set up an efficient tracking system for tracking documentation
❖ Keep detailed records
▪ Use an excel sheet or your accounting software package
▪ If you use QuickBooks this can be done by setting up class tracking and creating a class “COVID-
19” and tagging all related expenses.
❖ Keep 3rd party payroll records
❖ If you do not use a 3rd party, keep your internal payroll reports that reflect gross wages
❖ Keep copies of receipts, invoices, and bills for paper support
What is eligible?
Payroll – this will likely be utilized at 75% or more as part of your loan amount:
❖ Payroll
❖ Health Insurance
❖ Dental Insurance
❖ Vision Insurance
❖ FSA
❖ HRA
❖ Retirement plans
❖ State and local taxes
❖ Keep copies of your bank statement(s) and tie out the listed expenses claimed.
❖ You may also wish to use and keep as part of your documentation your Form 941 or 940 and summarize the
portion on the form that was used during the 8-week period.
Other qualifying expenses - These expenses will likely be limited to 25% of the PPP loan amount.
❖ Keep invoices, statements, payment advices, etc. to validate the expenditures for rent, mortgage, utilities, etc.
❖ You may be asked to provide a copy of your rent, lease, or mortgage loan to validate these obligations were in
place before 02/15/20.
❖ Keep copies of your bank statement(s) and tie out the listed expenses claimed.
❖ Keep copies of the canceled checks for the invoices or bills paid with program proceeds.
Employee headcount:
❖ Keep track of hours worked for hourly employees. Maintain timecards and/or pull reports from electronic
timecard systems. These should be tracked the entire 8-week period.
❖ Capture any new employees hires, regardless of status. Keep the Form W-4, as they may be required as support
documentation.

The Coronavirus disease, or COVID-19, is a virus that is mostly transmitted through the air in water droplets found in coughs and sneezes by those infected. UVC irradiation has the ability to kill any kind of bacteria or virus. The COVID-19 virus is 0.1 microns in size making it highly susceptible to UV-C (https://www.cdc.gov/coronavirus/). The amount of UVC necessary to kill virus varies from virus to virus. What we do know is it takes a considerable UV dose to kill germs and virus. The principle of UVC sterilization is related to intensity of the lamps used. The more powerful the lamp the better the kill. The slower the air is moving the better the kill. All One Hour UVC products are designed to meet or exceed the design parameters set forth by Westinghouse. We need a 110 Microwatt lamp in an airflow up to 2400 CFM to get a 70 to 85% kill in a duct system. The lamp intensity is measured at one meter from the lamp. As germs get closer to the lamp the intensity increases. Two inches from the lamp we have 5,814 microwatts. We can't block the UVC with any type of cell or screen causing a shadowing effect. The light must irradiate up and down the duct to give us time and distance to allow the germs to absorb the UVC light as they flow through the duct.If a customer is trying to protect their family from spreading germs around their home through their HVAC system we would recommend installing one of the One Hour dual lamp units. Putting two high microwatt lamps in the duct will produce 360 microwatts of UVC. That will be more than three times the Westinghouse recommended intensity necessary to get an 80% single pass kill. It's not even important to kill viruses but simply deactivate or sterilize them so they can't reproduce.

Claridon Community Helps has been preparing and delivering lunches to kids throughout Geauga County funded by private donations for the last year. They started out by feeding 51 kids and have expanded to 159 kids in just one year! All accomplished by volunteers.
Due to the effects of the COVID-19 Pandemic, they need more assistance. The pandemic has caused job losses and school closures that have dramatically increased the need for that one free meal a day. Your donation, no matter what amount, will help assure these kids can look forward to at least one nutritious meal, five days a week, every week, until school opens again.
Chardon Rotary Foundation has committed to a Matching Fund Program for up to the 1st $10,000 donated. Our goal is to raise $35,000 by June 15, 2020.

LEADERSHIP GEAUGA YOUTH LEADERSHIP INSTITUTE RETURNS
Summer program takes place June 15-26, 2020. Applications open now.
Leadership Geauga County is proud to announce the second year of its summer Youth Leadership
Institute, a leadership development and civic immersion program designed for busy high school
students. It is open to any rising junior or senior who attends school and/or lives in Geauga County, as
well as students who will have just graduated. Limited to 15 individuals, this small group experience will
open the door to the network of Leadership Geauga Youth and Adult Alumni while helping students
prepare for their path following high school.
The Youth Leadership Institute pairs dynamic experiences and personalized guidance to support new
connections and enhanced learning in team settings. Students will make unique connections in Geauga
County, meet people driving community growth, enhance personal leadership skills and develop close
bonds with other young leaders. Students will virtually “travel throughout the County” while examining
Human Service offerings, Health and Safety systems, Government interactions, Business types, and
Agricultural diversities.
Leadership Geauga is excited to share that our Youth Institute will run virtually this summer over 6 two-hour sessions on June 15, 17, 19, 22, 24 and 26., from 9-11 AM on each day. Highlights of the curriculum include:
Participants work to understand their unique traits and attributes (using StrengthsQuest), which can be used to become a better team member, leader and student.
Introduce participants to business and community leaders who will share stories about their leadership journey and roles in the community.
Participate in virtual experiences (such as a mock grand jury presentation, tour of Kinetico, virtual shadowing with a professional from UH Geauga Medical Center)
The limited enrollment of 15 students will ensure personal attention and high quality, relevant
interactions. The cost of the program is $200 and includes all program materials and supplies. There are
a limited number of scholarships for candidates who have a demonstrated need. Potential students
apply for scholarship assistance using the online application.
Applications for the Youth Leadership Institute are being accepted NOW through May 22. Apply by
visiting our website: www.leadershipgeauga.org/programs/youth/youth-program-application/
