1. Introduction
TheKenyaFinancialDiaries(KFD)projectwasdesignedtoimproveourunderstandingofthefinanciallivesoflowincomeKenyans,offeringnewanddeepinsightsintohowtheyuseandthinkabouttheirmoney.Thestudywaslaunched in January 2012, by Digital Data Divide (DDD) and Bankable Frontier Associates (BFA)with fundingfromFSDKenyaandtheBill&MelindaGatesFoundation.
In addition to quantitative records of flows of money entering and leaving the households through income,expenditureandfinancialtransactions,interviewersrecordedrespondents’stories,perceptions,andtheeventshappening in their lives. In total, the study covered 298 households from fourteen communities across fiveareas in Kenya: Mombasa, Nairobi, Makueni, Vihiga and El Doret. The full report is available online atwww.fsdkenya.org.
The purpose of this guide is to provide an overview of the data collected during the course of the FinancialDiariesprojectandadescriptionofthedatasetsavailableforuse.Figure1.0providesaschematicoverviewofthedatacollection,storageandcleaningprocess.Section4ofthisguideprovidesanin-depthexplanationofthecontentsoftheprocesseddatasetsforuse.

Datacollectionprocess
The KFD research team first identified communities for the study and recruited households within thosecommunities for participation. Following recruitment, the research team visited each household to conductthreeinitialquestionnairesthat:(1)collectedinformationonthehouseholdcontextandarosterofhouseholdmembers;(2)capturedanincomehistoryforeachhouseholdmember,aregisterofphysicalassetsownedandunique income sources for eachhouseholdmember; and (3) registeredunique financial instruments usedbyeachmember.Datafromthesequestionnaireswereusedtogenerateacustom“diaries”questionnaireforeachhousehold, built to collect unique income, expenditure and financial transactions for each individual in thehouseholdduring interviewsdoneapproximatelyeverytwoweeks. Thisdiariesquestionnairewascontinuallyupdatedashouseholdsacquiredorresearchersbecamenewlyawareoffinancialinstruments,incomesources,householdmembers,andphysicalassetchanges.Thediariesquestionnairesproducedacompletesetofdailytransactions recorded retrospectively over each two-week period over the course of a year. With a fewexceptions, these transactionsarecompletelydisaggregatedso that, forexample,each individualpurchaseorincomeflowisrecorded,eveniftherearemultipletransactionsperday.1

• Thegoalwhenselectingthesampleofcommunitiestoincludeinthestudywastogetamixthatwas sufficiently diverse to reflect Kenya’s socio-economic and cultural diversity. Morespecifically,thesamplepurposefullytargeteda60-40rural-urbanmix,representationofKenya’stwo largest cities (Nairobi and Mombasa), food insecure and remote areas, agriculturallivelihoods,anareawhereCAREhadtrainedformalsavingsgroupsandruralareasinthecoastwithdeeppocketsofpoverty.
• UnlikenationallyrepresentativehouseholdsurveysliketheDHSorKIHBS,theKFDstudywasnotdesigned to produce inferences about the population of Kenya. As described above, thesamplingforthestudywaspurposiveandthereforeitisnotappropriatetomakegeneralizationsaboutKenyaasawholefromthedata.
• The KFD was designed to understand the dynamics of cash flow patterns, the decisions andbehaviors that drive them and the circumstances that influence them. In this way, the datahelps generate hypotheses and ideas that are difficult to generate from larger quantitativesurveysthatcannotfullyaccountforthecontextthatgivesrisetopatternsinthedata.

Thetoolthatmakesthis fine-graineddatacollectionpossible isaspeciallybuiltdatabaseapplicationthatwasdeveloped and used for the original 180-household 2004 South African Financial Diaries. Bankable FrontierAssociates (BFA) revamped the database, adding anonline interface andmaking itmore flexible to allow formore customization across projects and countries. For the Kenya project, BFA developed a linked Androidapplicationenablingdatacollectionon tabletcomputers.Ten full-time field researchers inputalldatadirectlyintotabletsrunningtheandroidoperatingsystem,whichwouldsyncdailyoverthe3Gnetworkwiththecentralservers,allowingsomefieldvalidationofresponsesandmorerapidmonitoringofdataquality.
2. Initialquestionnaires:registrationofincome,assetsandfinancialdevices
Asmentionedpreviously,duringthreeinitialvisitstorecruitedhouseholds,severalquestionnaireswerefilledoutpriortotrackingcashflows.ThedatageneratedduringthisprocessissummarizedinTable2.0below.

Housingconditionsandownership
Duringtheinitialvisittothehousehold(orifahouseholdmovedtoanewpropertyduringthecourseofthestudy),informationwascollectedonthehousinginfrastructure,accesstowater,sanitationandenergy,ownershipstatusandownershipofotherproperty.
Incomesourcesregister For each household member, every income source was registered. Income sourcesspanned the following categories: agricultural income, income from casualwork, rentalincome, transfers from government or non-profits, resources received from family andfriends, income from self-employment, income from regular employment and incomefrom temporary contractual work. Additional characteristics of each unique incomesourcewererecordedaswell.
Assetsregister
All physical assets owned by the household (from household furniture, to appliances,vehicles, livestock, tools and other properties) were registered detailing the numberownedandthetotalvalue.Thisregistryisupdatedthroughthecourseofthestudy,soif,forexamplelivestockdies,thevaluegetsdeductedfromtheregistry,orifnewassetarepurchasedorreceivedasgifts,thosewouldbeaddedtotheregistryaswell.
Financialdeviceregister For each household member, every formal and informal financial device that theindividualusesforsavings,borrowingandinsurancewasrecordedalongwithresponsestoseveral questions about each financial device. There are 48 separate datasetscorrespondingtoeachtypeoffinancialdevice.

3. Diariesquestionnaires
Adiariesinterviewwouldinvolvequestionsdesignedtocaptureinformationinninebroaddomainsduringthetypically2-weekperiodprecedingthedayoftheinterview(Figure3.0):(1)well-beingand“goings-on”torecordany event that may have influenced household welfare; (2) Intra-household flows; (3) household’s ownproductionandconsumptionoffood;(4)cashonhand;(5)flowsofmoneyassociatedwithincomesources;(6)outflows ofmoney to pay for goods and services (operational expenses); (7) expenditures on physical assets(consumer durables); (8) flows ofmoney associatedwith financial devices that helped respondents save andborrow;(9)majoreventsthathappenedintheprecedingperiod,suchasahospitalizationoraweddingand(10)Ajournalmaintainedbytheinterviewerstorecordnotes.ThesearesummarizedintheTable3.0below.

DuringaDiaries interview, researcherswould try tocomprehensivelycaptureall sourcesandusesof funds inthedays since the last visit (Table3.1). Onemeasureusedduring the study to track thedegreeof interviewcompletion and thoroughness was the margin of difference between sources and uses of money after theinterview. During the firstmonthofdiaries interviews (Septemberof2012) themedianmarginofdifferencebetween sources and useswas over 80 percent but fell to 6 percent byOctober and less than 2 percent byJanuaryof2013.Forthisreason,dependingontheanalysisyouplantoundertakewiththedata,itisadvisabletodropdatafromthefirsttworoundsofthediaryquestionnaireforanygivenhousehold(oratleasthouseholdswithverylargedifferencesbetweensourcesandusesofmoney).

Allofthetransactionscapturedduringthediariesquestionnairewerecategorizedwithatransaction“class”,atransaction“family”andatransaction“type”field,witheachtierofclassificationprovidingincreasingdetailtocharacterize the transaction (Figure 3.1). The transaction class corresponds to broad roles ofmoney:moneyreceivedasincome,moneyusedtoconsume(i.e.payforgoodsandservices),moneyusedtosave,borrowandinsure (mediated through financial instruments as informal as “under the mattress” or as formal as acommercialbank),moneyusedtobuildassets(suchaslivestockorahome)andmoneyheldascash(whichwasnotcategorizedandtrackedasafinancialdevice)2.Thetransactionfamilycategorydescribesadditionalfeaturesofthetransactiondependingontheclass:Forincome,itdescribesthesource(e.g.agriculturalincomeorregularemployment income); for expenditures, it describes the sector of the good or services purchased (e.g. food,energy, water, education) and for financial devices it describes the kind of financial instrument (Figure 3.2).Financialdeviceaccounts(asopposedtotransactions)arecategorizedbyhowtheyaredesignatedasassetsorliabilities on the balance sheet. Transactions influence financial device accounts by either increasing ordecreasing their balance, the direction of this effect is captured as well. All of the fields that are used tocategorizetransactionsandfinancialdevicesarepresentedinSection4(Table4.7.2)ofthisguide.
