How to: Send a Mass Message Through Patient Portal
Patient Portal Mass/Blast Secure Message Process
Practices can send mass/blast portal messages from EPM or EHR to contact many patients at once. Mass
messages can be based off existing EHR reports, or by creating a new report using EHR report filters. A few
things to keep in mind when sending a mass message:
o Mass messages can be sent to patients that are pending and completely enrolled in patient portal
o It is recommended to send mass messages from the appropriate NextGen application
a. Administrative/appt/billing related message should be sent from PM, anything clinical in
nature should be sent from EHR
o If you are sending a mass message to a large volume of patients, ensure you send the message
during nonpeak office hours so that you do not impact system performance
o Before sending mass messages always get the necessary approval from your administration or
providers
Practice Workflow
1a. From the EPM inbox click New Message icon
1b. From the EHR inbox click Compose

2. Click the caret by the To: field
3. Select one of the following options:
a. Add Report (if you are using an existing EHR report) or b. Select the Report Filter option (if you need to create new report filters) or c. Select the Report Filter option (if you would like to send a message to all pending or
completed patients)
a. If you are using Add Report, navigate to the where the EHR report is saved and then select the desired report
b. If you are using the Report Filter option you can filter based on the item you are using (ex.
Diagnosis) .

c. If you are using the Report Filter options and want to send the mass message to ALL
pending or completed patients and do not need to add additional filters, simply click Report
Filter and do NOT modify any of the report filter options. Just click “ok” **Please note: the total number of recipients will pull into the “to” field 4. Type your subject and message to your patients

5. Please note: if you do not want patients to reply to the message, navigate to the properties tab and
select the “I do not want patients to reply to this message” option
Note: If you do not select this option, all replies back to the message will only go to the
sender of the message inbox
6. Click the “Send & Chart” button
