Abstract Our customer is a leading provider in Environmental, energy and industrial
services throughout North America. The company serves a diverse customer
base across a broad range of vertical markets, which includes a majority of the
fortune 500 companies numerous federal, state, provincial and local govern-
mental agencies, and over 200,000 small and medium sized businesses
Our Customer, recruits seasonal employees every year on contract basis for a
specific period of time. These employees possess specific skill set and training,
which is necessary for performing the assigned work. Finding replacements for
such employees with the specific skill set requirement is not easy, as it entails
effort, time and money.
Employee information management and employee engagement are key
aspects to ensure repeatable seasonal employment of these resources. HR
managers entrust relationship agents with the task of calling these employees
on a periodic basis for updated profile information and tracking their availability

for next 16 months. This allows them to schedule and
track the work assignments and trainings.
Vertex developed an exhaustive and automated
Employee Relationship Management system to ensure
maximum efficiency in the temporary employee relation-
ship management process.
Vertex consultants studied the existing manual
process and designed a solution for automating
the tracking and engagement of temporary
employees.
Some of the key solution features identified for
implementation are being able to scale to multiple
locations, automation of processes, centralized
location of seasonal employee data and user
based access permissions to the data.
Vertex developed a .NET based Employee Rela-
tionship Management System that automated
tracking of seasonal employee data and work
assignments; facilitated maintenance of data, as
and when needed, through a simple web interface.
Our customer was using a cumbersome manual
process for maintaining seasonal employees’ data
and for scheduling and tracking tasks and train-
ings. It was often difficult to effectively track
employees’ availability and competencies, and
make the information readily available whenever
needed.
This meant more employee attrition and hence
increased HR and training costs.
In order to overcome the tedious process of main-
taining the up to date information manually there
was a need for automation.

The key solution aspects are as follows:
Dashboard – The employee dashboard
helps HR Managers to assign seasonal
employees pool to the HR executives. The
dashboard view, enables the HR manager
to monitor the work assigned to HR execu-
tives and track pending calls, certification
status, passport status, and other pertinent
details of employees.
Employee Data Management – The solu-
tion provides the capability for HR execu-
tives to continuously update the details
gathered from the seasonal employees
(basic profile information, competencies,
availability for next 16 months, employee
feedback and status on assigned tasks and
trainings). Other features like planning work
shifts and scheduling follow up calls are
also inbuilt.
Employee Search – Allows users to locate
employees based on their profile attributes.
Roster View – Roster view for every
employee that provides visibility into an
employee’s availability, scheduled shifts /
work hours, and actual work hours on a
daily basis. Most of this data comes from
other systems through web services.
Integration with PeopleSoft – The solution
is integrated with the enterprise wide HR
system for employees’ data. The HR system
provides the basic profile details, including
primary competency for all employees.
Employee Calendar – The calendar
displays all the trainings that have been
assigned to an employee.
Driver Quali!cation Management System:
the solution provides the capability to track
driver certifications and licenses as per the
policies of the federal government.
