VII. Disposition of Minutes: Accepted VIII. Officer’s Report

a. Basileus - Soror McDay: Soror McDay asked that we continue to pray for one another. Sorors have experienced loss and illness and we need to keep each other lifted in prayer. We will continue to utilize the uniform reporting forms but starting next month, you will be asked to load your own reports in the Dropbox. We will provide you with the information to do so and then you will put your own reports there, where they will then be put on the secured website. We’re just trying to make it easier and more efficient so that we won’t have to be here all night. You see on my report what I’ve attended. Soror McDay thanked the chapter for what we did during the Holiday season (Breakfast with Santa, Feeding the Families, Toys, Salvation Army, and Christmas Community Service Project), we did what we do all the time and that’s Service, which is what we should be about. My recommendations would be that we need to communicate with one another, Commit to the things that we say we’re going to do, to follow through on those things, and to be accountable for those things we say we’re going to do. We need to do additional service projects. Soror McDay thanked the chapter for letting her serve us, even though sometimes we may not understand the method to her madness. b. First Anti-Basileus - Soror Lewis-Rogers: Soror Lewis-Rogers stated that her recent accomplishments were a conference call with the ladies of LITZEN and the recently reclaim Sorors and they all expressed wanting a mentor. Soror Lewis-Rogers asked who was interested in becoming a mentor to the Sorors. She took down names and matched them with either a new member or a reclaimed Soror (total of 7). Tosha, Clowana, Adrienne, Dionne, Kim, 1L, Dr. Shelly, Roz all volunteered. Each Soror wanted a mentor

so that if they had questions, wanted to present proposals, or make a motion, they could just reach out to their mentor for guidance if they were unsure. We are also working on a “things to know in Zeta Zeta” for if you’re a new member or transferring to us because we may do things differently here. Report filed for information

c. Second Anti-Basileus – Soror Thornton: Excused. Action items listed in a calendar. Report placed on file for information.

d. Third Anti- Basileus – Soror Porter-Norman: Soror Porter-Norman stated that she has received the grades for most of LE. Gaylen has a 4.0! Soror Porter-Norman stated that when we get the financial report, she would like for $100 to be allocated for Gaylen out of the 3rd anti line item. Question: Soror McDay asked if Kennedy turned in her grades. Answer: Soror Porter-Norman stated that she has a cumulative 3.4. Soror Porter-Norman stated that she does have money in her budget and she moved that she takes $100 to award Gaylen for her 4.0 GPA. Seconded by Soror Lane- Ragland. Motion Carries. e. Tamias-Grammateus - Soror Lane-Ragland: Money Receipted given. Report on file for future audit

f. Tamias - Soror Zonnie Bunch-Smith: Exact account information will not be reflected in the minutes. Refer to the reports placed on file for future audit. Question: Soror Bugg Carr asked where is it notated about the Centennial Fund. Answer: Soror Lane-Ragland stated that she doesn’t know and that she would have to speak with Soror Bunch-Smith because she doesn’t see it on the report.

g. Grammateus/Military Appreciation-Soror Dionne Colbert-Mitchell: no action items. No report filed

h. Phylacter Soror C. Hurley: Excused. No report filed i. Editor - Soror Willis: Soror Willis stated that she did get the feedbackReport placed on

file for information. IX. Chaplin – Soror C. Walker: Soror C. Walker stated that she hopes everyone got a chance to

read her report. She went on to say that we always start our meetings out in prayer and she hopes that we aren’t just saying words but really mean them. So much is going on in our lives and we need to remain prayerful and we can’t allow negativity divide us. We talk about being finer and Finer Womanhood, but are we displaying that. Soror C. Walker spoke about our last meeting where Sorors made other Soror feel cut down when a suggestion was being made. We have to continue to show sisterly love even when we don’t agree. We need to remember that we aren’t going to agree all the time and we have to encourage one another, be a mentor/example. Soror C. Walker reminded us that we need to do better. Our prayer says “Help us at all times to be kind and honest” “to do those things which are pleasing in thine sight.” Soror Walker stated that we cannot allow the enemy to break up what we have. Soror Walker read a scripture from Galatians 4:16. “if I tell you the truth, am I your enemy”. Soror C. Walker stated that she is glad we now have the mentoring of the new Sorors as well as the reclaim Sorors. Report placed on file for information.

X. National/ Regional Reports - Soror Porter-Norman: Soror Porter-Norman stated that registration for Boule and Regional has started. The Monies for the Ads were collected. 2019 Regional Conference will be in Milwaukee, WI. The National Exec. Board Meeting was in New Orleans last weekend. GLR won a number of awards, practically all of them. Soror Porter-Norman stated that she was glad she got hers there. Soror Porter-Norman stated that the weather delayed some of the reports that were to be given to the board until the next day. Soror Porter-Norman stated that when the Grand did her report, she went back to

2005. All the problems with the house, the repair, and where we are now. The Grand gave the financial climate of the Sorority. Soror Porter-Norman stated that the Sorority had a clean audit. Report placed on file for information

XI. State Phylacter – Soror A. Anderson: absent XII. Centennial/Life Membership- Soror Bugg Carr: Soror Bugg Carr stated that 2020 is fast

approaching and we need to be ready. Soror Bugg Carr asked if everyone has a number and if you didn’t but signed up at that very moment, she had a gift. Go to the website and see what’s in the plans for Centennial. Soror Lane-Ragland gave the dollar amount of what’s currently in the Centennial fund and Soror Bugg Carr stated that we needed much more so we won’t go into debt and Centennial can be totally paid for. Soror Bugg Carr said, be a part of history. Report placed on file for information

XIII. Auxiliaries and Committees a. Amicae Committee – Soror J. Veazey: Soror Veazey stated that the Amicae had a meet

and greet and have 3 potential candidates. She went on to say that there are 2 others that weren’t able to participate at this event however they will be hosting another one on Jan. 28th if you know of anyone who may be interested. The issue is that they want to know when we are available to attend and be a part of their initiation ceremony. Discussion: discussion about where they had their last ceremony. Answer: It was at the school prior to chapter meeting. Soror Veazey asked what is good for us, a Friday? Soror Lane-Ragland asked if Friday was good for them. Soror Veazey replied that if it’s good for us, it’ll have to be good for them. Soror McDay stated that we are taking the chapter photo at the Feb. Chapter meeting if Soror Veazey wanted to do it then. Soror Lane-Ragland stated that it would be nice to do it then because we will be able to get a photo of them as well. Soror Veazey stated that they have a meeting next week and she will talk to them to see if this works. Question: Soror Pondexter asked if we’re still entertaining going to another location for the photo. Answer: Soror McDay stated that we voted on that last month. Soror Dr. Shelly proposed that we meet at the Dorchester at 6pm to take the photo, then return to the school by 7:30pm so we can possibly start the meeting on time. Soror S. Walker stated that the time proposed isn’t good for those that work and may not get off until 5pm. Soror Dr. Shelly asked if everything could be moved to a weekend that way we can do everything. Soror Willis stated that she would need to speak with the photographer. Soror Bunch stated that we can start earlier. Soror Lewis-Rogers stated that she’s aware that we’ve already voted to go to the Dorchester but why can’t we just change it so that we keep it simple and together. Soror Lane-Ragland stated that in the absence of our Phylacter, we can’t change a motion that has already been voted on. Someone asked “who made the motion” and Soror Lane-Ragland stated that she did. Someone asked for her to resend her motion and Soror Lane-Ragland stated that she will not resend it. More discussion continued. Soror Porter-Norman stated that the background can be anything. Soror Dr. Shelly asked if we can just make a decision on a time. Soror Pondexter asked if we can just start later and have the ceremony at 7:30pm. Soror McDay asked for Soror Veazey to make a motion. Soror Veazey made a motion that the Amicae induction ceremony be held Feb. 9th at 7:30pm. Seconded by Soror Pondexter. Motion Carries. Report filed for information

b. Fundraiser Committee – Soror T. Bunch. Soror Bunch stated that she received info on an idea to donate items to Savers however we don’t have a location to store all of the items and the amount of money they are offering for the donated items isn’t worth the

hassle. Soror Bunch asked for any other ideas. Soror Bunch reminded us about the “Zetaware” and stated that we sold over 1000. And she even shipped them overseas. Soror Pondexter stated that since we do a lot of walks, why not sell a “slicker,” which is like a portable raincoat. She stated that she hasn’t done the research but think’s it’s a good idea to have them with Zeta on the back. Soror Bunch went on to explain the breakdown of “zetaware” and it’s cost. Soror McDay asked if she is going to research the information. Soror Bunch stated that the company already has our info and she’ll look into if the prices have changed. She would like to put the dove on the next set. Soror McDay asked if this information will be available by the next meeting. Soror Bunch replied yes. Soror Bunch stated that the turnaround was quick.

c. Chapter Report: Soror S. Walker & Soror Kyra Wilson: Soror S. Walker stated that she has asked Soror Anderson to send her everyone’s report in word format and she has yet to receive them. She went on to say that they are going to be sending reports back that need revisions and will now accept them after the assigned due dates. Soror Walker stated that if she doesn’t receive the reports as requested, we will not be submitting a report at Regionals. Soror Walker asked Soror Veazey if we could use her format from last year and she agreed. Soror Walker asked the committee chairs when would be a good time for the reports to be sent in to her and how much time will be needed. Question: Soror Lewis-Rogers asked how far back she would like for us to go. Answer: We’re only reporting this fiscal year. Soror S. Walker stated that she would like the reports by the end of the month. Soror Walker said summarize it if you can otherwise she will send you the information to update.

d. Web Administrator – Soror A. Anderson: absent. Soror Anderson stated that if you want flyers created, they have to be in line with Nationals in order for them to be utilized. Anything other than that will not be

e. ZHOPE – Soror Christal Walker: absent. Report read by Soror Dawson. f. Stork’s Nest/March of Dimes – Soror K. Dawson: Soror Dawson stated that we

currently have 4 participants and there is a Nest on this coming Tuesday at South Suburban Hospital. Soror Dawson asked for Sorors to come and help out during that time. Report on file for information

g. Strategic planning\501c-Soror S. Walker: Soror S. Walker stated that she has good news. She stated that Soror Williams did in fact create a lot of the paperwork for the 501c. She went on to say that she, Soror Bunch-Smith, and Soror McDay have been working on in and now they only have to separate it into sections that go to each entity. They are currently going through the bylaws etc. They’re hoping to have the EIN soon. They’ve established a temporary board that only consist of the 3 of them but once they have everything up and running, a perm. Board will be established. Soror Walker stated that she was informed that once you get the EIN and certification from the state, everything falls into place. Soror Walker gave kudos to Sorors Anderson and Williams for the work they put in.

h. Elder Care – Soror J. James: Soror James stated that since the new management has taken over, they stopped allowing us to take pictures of/with the Seniors so she has created a release form so photos can be taken. The next date to meet is Jan. 27th. Soror James stated that she’s aware many in the chapter will be out of town. But if you’re available, show up. Soror James stated that she has also passed out a calendar and we are now on their calendar. She stated that she wanted the calendar so that she can see what other events we could help. i. Sigma/Zeta Committee- Soror J. James: Soror James stated that there is an event called Blue Royale and she is still selling tickets. She stated that she has yet to receive full payment for the ones the Chapter purchased. Report on file for information

j. Community Service – Soror M. Pondexter: Soror Pondexter thanked everyone that donated coats. . Soror Pondexter asked who is available for drop off tomorrow at the Kroc Center at 9:30am on 118th st. We have a count of 7 mens, 30 women, 22 childrens coats plus 10 additional at home. Soror Pondexter stated that the presentation will only take about half hour. Report on file for information

XIV. Unfinished Business: Photo information. Soror Willis stated that she would like to get to the Dorchester by 6:30pm to start taking pictures until 7:30pm. Soror Willis stated that we need to decide what we’re going to do as far as attire. She stated that she has gotten some negative feedback about the Cardigan and wants to know what we’re wearing since the money is due by the 19th to get them in on time. Many Sorors stated that they aren’t able to pay at this time. Soror Lane-Ragland stated we can’t have a picture with some in the cardigan and some not. Soror Lane-Ragland suggested taking the picture in a blue top and black bottom or take the picture at a later date. Soror McDay stated that she’ll entertain a motion. Soror Lane-Ragland asked if everyone was able to pay for the cardigan tonight. Many Sorors answered no and they will not have it by the 19th either. Soror Lane-Ragland moved that we post phone the purchase of the sweater and that we wear black pants with a royal blue top for the picture. And Seconded by many. Discussion: Soror Dawson stated that if we voted on having the sweater for the picture, why aren’t we getting it. Other Sorors stated that they don’t have the money at the time. Soror McDay stated that we voted on the royal blue sweater with the white strip, Sorority Name, and Shield on the front. Soror Watson stated that she wanted the sweater, but she couldn’t get it right now. Soror Dawson stated that she thought the entire idea was to be uniform and asked if we could purchase something that was cheaper such as a button up shirt. Discussion continues regarding the Cardigan. Soror Colbert-Mitchell stated that Soror Hurley is not present to resend the motion of us purchasing the sweater so we still must do so and maybe not wear it for the photo. Soror Colbert-Mitchell stated that in the motion, it says for the picture. Soror S. Walker stated that the Sorors that don’t have the sweater should possibly sit in the back for the photo or not take it at all. She went on to say that she is not a neo and only wants a shield on her sweater. She also stated that she is not purchasing an $85 sweater that has all of that stuff on it. Soror Willis stated that she wishes this would have come up before now and Soror Walker stated that she did communicate that with her in the beginning that she didn’t want all that stuff on it. Soror Willis stated that sometimes we need to fall on the sword and Soror Walker stated that she’s fallen on it enough and will not do it this time. Soror Dawson asked if the objection is about us being uniform or if it’s the sweater because she just wants us to look unified in the picture. Soror Willis stated she brought information to make us have on the same thing and look uniform. Soror Lane-Ragland stated that she doesn’t have an objection, she just doesn’t think it’ll be handled by the 19th. Soror Scruggs asked if it was something we could do so that we can be uniformed. She stated that she liked the sweater and if everyone is up in arms about it she’s sorry Soror Willis did the research but is there something we can do for the picture. Soror James asked do we have to do it on the 9th? Can it be post phoned until we have the sweater. Soror Willis stated that the purpose of the picture was so it can be added to the regional ad that’s

due shortly. Soror Watson stated that time is of the essence, she wants the sweater, we voted on getting the sweater, however she can’t afford it at this time. Since we have to come up with a decision, she stated she will opt out of the photo. Soror Dr. Shelly stated that its All or None. Soror Willis asked even if we wait a month, will everyone purchase the sweater? Soror Colbert-Mitchell stated that it doesn’t matter because it was voted on and Soror Hurley isn’t present to resend her motion, so we have to purchase it. Soror Lane-Ragland stated that her motion is still on the floor about what we are wearing for the photo. Soror Dr. Shelly stated that she’s prepared to purchase the sweater and would like to place her order this evening. Soror Dr. Shelly stated that this is a problem that we can never make a decision and that she’s on a cliff. Soror Pondexter stated that we need an alternative and that she has the sweater but it has the dove instead of the shield. Soror Pondexter stated that she didn’t want to purchase another sweater either because hers looks the same. Soror Cl. Walker stated that she too has a similar sweater that has the dove instead of the shield but she does want the one with the shield but can’t make the purchase by the 19th. Soror Watson asked if we were thinking about this too much. Those that have the sweater, whether it’s the dove or shield should wear it and those that don’t can still be in the photo. Soror Lane-Ragland restated her motion on the floor. Soror McDay asked if we take the picture in March will it be available to go in the ad. Soror Colbert-Mitchell stated that Soror Willis said the ad is due March 1st so no it won’t make the Regional Ad book but it will make Boule. Soror Dawson stated that she doesn’t remember voting on the sweater with the white trim, she remembers the all blue. Soror Colbert-Mitchell stated that she does the notes verbatim and Soror Hurley’s motion stated the one with the white trim. If we push the picture back to March 9th that’s part of the Finer Womanhood rededication Ceremony. Soror Willis stated that the photographer is available March 2nd and March 9th. Soror Pondexter asked if we could add pearls to the picture. Soror D. Carter stated that she would love for us to be uniform in our cardigan for Regional’s and that it is ridiculous that we can’t be unified for anything. Soror Carter went on to say that we have too many prominent position holders in our chapter to not be unified. Soror Lane-Ragland stated that she will collect money but the order will not go in by the 19th because we are giving everyone time to get the money so we’ll have them for Regional’s. Question: Can everyone have their money by next chapter meeting? Do we have a quick pay where we can send the money before the next chapter meeting? Answer: No

XV. New Business: Soror Wilson stated that for Project Dignity we have collected 5 packages of panty liners, 17 packages of pads, 18 boxes of tampons, 6 bras, 3 panties, 2 boxes of intimate wipes, 3 packages of sponges. March for Babies has something at Brookfield Zoo and we will be getting the info. Soror Cl. Walker stated that she took the time to enter everyone’s email in hopes of getting Sorors to walk or donate.

RECOMMENDATIONS TO THE CHAPTER:

Sisterly “Watch Your Mouth“ With our tongues we either speak; life or death, victory or defeat, insecurity or confidence, weakness or strength, trust or doubt, however we do it we should be prepared to eat the fruit of our words. It starts with watching our mouth because the words we speak have long lasting impact directly connected not only to our present, but to future circumstances. Scripture reveals several accounts regarding individuals either watching their mouths or carelessly using words. In both instances we see the effect of the tongue’s power.

“My lips shall not speak wickedness, nor my tongue utter deceit.” Proverbs 18:21 KJV “Death and life are in the power of the tongue: and they that love it shall eat the fruit thereof.” Psalms 34:13 KJV “Keep thy tongue from evil, and thy lips from speaking guile.” Words can teach, encourage and uplift. They also can discourage, reject and demean. Words can express gratitude, love, and joy. They also can express selfishness, hate and despondency. Our aim is to speak what God says about our situations and not what our inconsistent emotions want us to declare - we can’t allow our emotions to control our mouth. Proverbs 15:2 KJV “The tongue of the wise useth knowledge aright: but the mouth of fools poureth out foolishness.” Job 29:10 KJV “The nobles held their peace, and their tongue cleaved to the roof of their mouth.” Our words not only affect our circumstances, they affect those around us. It is extremely important to genuinely speak words that edify, encourage and respect others. We must keep our hearts aligned with what is acceptable in God’s sight and guard our mouths continuously. No matter what is going on in our life today, it’s time to “WATCH OUR MOUTH!” We can’t get distracted by the test, the trial, the situation or the mirage that presents itself - but Speak life!! This is a work in progress that requires discipline, trust, and faith. But once you get in the habit of using your words wisely, when the wrong words try to come out, you will be able to take action and bounce back to God’s words. Speak life and watch your mouth! Discussed New Member Initiation ceremony and the proposed date of February 9, 2018. Amicae agreed that the evening of February 9th, was not a convenient date for the ceremony. Reviewed the calendar, and decided that Sunday, March 4, 2018, 2:00 PM. was a more convenient and desirable date.

Discussed locations for initiation ceremony. Desired location: Dirksen Middle School, however if it is unavailable, will relocate to Markham, Prairie-Hills School District 144. Address forthcoming. Reception to follow, location to be determined.

Will seek approval for the use of Dirksen Middle School for the Amicae Initiation Ceremony from Soror Dr. Shelly Davis.

Discussed possible fundraisers, “Thirsty Thursday” Martini Bar, Country Club Hills, sponsor a movie night at Marcus Theatre.

Discussed Amicae advancing the monies from the Amicae account to order hanbooks, pins, certificates and pay National fees. New members will reimburse the chapter when assessments fees are collected. $65 per person. 195.00 in total costs.

MAIN OBJECTIVES OF THE COMMITTEE/OFFICE Provide a Quarterly Community Service opportunity for chapter members to participate in.

SUMMARY OF RECENT ACCOMPLISHMENTS AND CURRENT ACTIVITIES: Provided 100 winter coats to the Salvation Army Kroc Center on Saturday January 13th. Met

with Lt. AJ Zimmerman, had tour of the facilities. Working with him for future service opportunities. The center partners with Chicago Bears, Jewel, Walgreens and other corporations and organizations. It would be a great alignment for Zeta Zeta Chapter to develop a great working relationship with the Kroc Center.

We receive a thank you letter (which will be included in our annual report) and kept on file. LIST OF ACTIVITIES IN PROGRESS UPCOMING ACTIVITIES:

• Collect donations of professional women’s attire, (dresses, suits, pants, skirts, blouses, jackets and accessories All sizes. Clothing size most needed 0-2 and 18+ (shoes/boots, purses, jewelry) Due: March 9th at chapter meeting if approved.

FUTURE PLANNING GOALS:

• Connected with Dawn Matune at Dress for Success which is an international not-for-profit organization that empowers women to achieve economic independence by providing a network of support, professional attire and the development tools to help women thrive in work and in life. There are volunteer opportunities (up to 10 members) available on Saturdays 10am – 2pm. Volunteers sort tag and arrange donated items for the organizations boutique. They are also in need of donations of professional women’s attire, accessories (shoes, purses, jewelry) Target donation date Saturday, March 10th. Accommodations Below is a description of the cottages that are on reserve for the group. The Heron House Cottage has 5 bedrooms, 3 bathrooms large great room with dining area private fire pit and hot tub. Sleeps a max of 14. (There are a couple rooms with two beds and then the others have one bed that can be shared if people don’t mind. There are also let out couches. $555 per night The Martin House has 3 bedrooms, 2 baths, a large great room, hot tub and sleeps 6-8 ppl$320 per night The Cardinal has 3 bedrooms 2 baths, hot tub and sleeps 6-10 $270 per night. All cottages have full kitchens BBQ grills. Cost: $120 (Can be paid in 4 payment of $30) 1st deposit due at February Chapter Meeting In the next couple of months we need to establish committees to help with cooking and social activities.
