The booking process……
Step One Book your show around at the hotel with one of our wedding coordinators
Step Two Prov isionally hold your chosen wedding date for up to two weeks
Step Three To confirm your booking we require 25 % deposit
Step Four Once you have paid the deposit you will receive a contract through the post
A signed copy of the contract is to be sent back to the hotel
Step Five Once the hotel has received a copy of your signed contract you will
Receive a signed copy back from the General Manager
YOUR BOOKING WILL NOW BE CONFIRMED
Step Six 6 Weeks prior to your event your will be due to attend a final planning meeting
with the hotel where all final details will be required
Final Step Final Balance is due 21 days prior to your event
1. Decide on a date for the wedding. Please remember that the service can only be booked within 1 year of the actual date required. 2. Check the availability of both the hotel and the Registrar. 3. The charge levied for the room hire for the civil service is £395.00. This figure is inclusive of two fresh flower pedestal displays in the colour of your choice, 2 x Ivy Twinkle Pillar Lights Chair covers can be arranged at an additional cost 4. Please be aware that the hotel does not provide music for the Civil Ceremony 5. For any civil ceremony booked in the hotel, the hotel must make the registrar booking on your behalf, at the earliest 1 year prior to the wedding date. 6. All registrars’ fees are to be paid directly to the registrar office
Points of Note for Civil Ceremony
1. No food or drink is permitted to be consumed in the room where the marriage ceremony takes place for one hour prior to that ceremony, during that ceremony or one hour after the ceremony. 2. The arrangements for and the content of each marriage ceremony must meet with the prior approval of the Superintendent Registrar of the Coventry Registration District. 3. Any reading music, words or performance which forms part of a ceremony of marriage must be secular in nature, for this purpose any such material used by way of introduction shall be treated as forming part of the ceremony. 4. Public access to any ceremony of marriage solemnised in approved. Premises must be permitted without charge. 5. Please notify the Registrar of your religion

Beverage Service

Catering Rules
Caterers are to provide waiters for all food and drink service
Wait ing staff are to lay all tables with cut lery, crockery, glassware and linen napkins along with clearing all tables at the end of the event – hotel provided a kitchen porter
to clean
Once you have chosen your caterers we welcome them to come and
do a site visit to few the kitchen facilit ies
Caterers must sign a disclaimer form prior to the event and return the form to the hotel
Caterers requirements on the day of the event
Upon arrival to the hotel the caterers must report to the reception to pay a £500.00 kitchen bond which will be refunded at the end of the event upon inspection of the
kitchen
Reception will introduce the caterers to the duty manager to show the staff to the
kitchen and where all the cutlery, crockery and glassware is located ready for set up
All rubbish at the end of the event is to be clear to the designated refuse area which
will be shown by the duty manager
There must be staff on unt il the end of the event to ensure all area’s are clean, t idy and in order
Waiting staff
Wait ing staff must be hired through your caterers, no third party is to be hired
Waiters to be onsite within enough t ime to set tables and run drinks reception
The hotel expect all staff to be respectful, well-mannered and professional onsite
The catering and wait ing staff represent the hotel whilst on site therefore smart and
matching uniforms are essential

1. Observe and comply with the Legal requirements relating to food and its
preparation, hygiene and safety, together with any other requirements affecting
catering premises and/or premises for the preparation of foods - as defined by
Section 1 (3) of the Food Safety Act (1990) (whether statutory or otherwise) and in
Particular, without limitation, the requirements of the Food Safety (General Food
hygiene) Regulations 1995, The Food Safety (Temperature Control)Regulations 1995
and the Food Safety Act 1990.
2. Ensure that I have valid Insurance cover with reputable insurers to meet all and
any legal liabilities that I may incur to you.
3. Indemnify you from and against all claims, losses, liabilities, damages, costs,
charges, f ines, penalties and expenses suffered by or incurred by you, as a result of
or consequent upon my failure to comply or procure compliance with any of the
above matters.
Premises Age Verification Policy
1. This policy applies in relation to the sale or supply of alcohol on these premises
2. Staff serving alcohol on the premises must require any individuals who appear, to
the responsible person, to be under 18 years of age to produce on request, before
being served alcohol, identification bearing their photograph, date of birth and a
holographic mark.
3. Examples of appropriate identification include:

c. A proof of age card bearing the PASS hologram

Once you have selected your DJ for your special event, please inform them
that they must give you a copy of the public liability and PAT tests to give to the
hotel in your final meeting six weeks prior to the event. If these documents are
not received prior to the event the hotel will not allow them to access the hotel
on the day of the event
A site v isit is recommended to v iew the space and electrical points
Full company details required including arrival time on the day to be confirmed
in final planning meeting
Access to set up from 6am and removed of equipment to be completed by
1am
We request that set up staff to be in smart uniform when on site as they are
representing the hotel
Any staging, chairs & Tables to be requested prior to the event – cannot be
arranged on the day
Restrictions
No Fireworks or pyrotechnics
No confetti cannons
No attaching any equipment to walls, ceilings or fixtures
Dry Ice and Haze Machines are allowed however hotel is to be
informed prior to the event to disable the fire alarm
Room Décor
Only the hotels recommended supplier allowed on site to prov ide wedding
décor – speak to your event manager
Décor supplier have access from 6am on the day of the event to set up and all
items must be removed by 1am
Full supplier details along with public liability and PAT certifications to be given
to the hotel in final planning meeting six weeks prior to the event – they will not
be allowed to enter the hotel if the documents have not been received prior to
the event
Any tables, staging or chairs that are required are to be requested in final
meeting, they cannot be arranged on the day of the event
Arrival time of the décor supplier to be informed to the hotel along with a list of
items that will be brought into the hotel
Décor supplier along with all suppliers to report to the hotel upon arrival
Restrictions
No staples to be used on tables, staging or any fixtures around the room
No confetti inside the suite
No fireworks or pyrotechnics
No attaching décor to walls, ceilings or fixtures
