Time and attendance

At the heart of any workforce management system is the ability to track employee hours. An early approach was to use punch-card clocks, which employees would use to clock in and out at the beginning and end of each shift. Today, the technology has moved on, and time and attendance systems are now available as card or fob-activated terminals, biometric fingerprint readers, facial recognition systems, mobile apps and more!

When a WFM solution replaces a manual clocking system, we find that the clear majority of our customers experience a reduction in admin time. Holidays, sickness & absence

3What to consider when implementing a workforce management system?

3. Create internal user groupsBy creating internal user groups, ideally comprising colleagues from various teams and departments, you will get a greater understanding not only of what is required of your WFM system, but also how the different teams will embed it into their working practices. By engaging closely with all the potential users, you can more easily identify any bespoke configuration or development that may be required to meet the needs of your business.

1. Create a planIt’s surprising how many organisations dive into a large-scale WFM project without carrying out the appropriate planning first. Creating a project team and a solid implementation plan will help to ensure a smooth and seamless transition to using a new system.

The plan should include not only how the solution will be rolled out to your business, but should also show how your teams and departments will start using it. Establish the key stakeholders required and engage with them from the start to make the implementation a success.

2. Communicate Communication is key when rolling out a new system to your organisation. 1. Provide ongoing training & supportNever underestimate the importance of training and support for employees when implementing new software. It’s often the most common mistake a business makes and can have lasting repercussions on the organisation.

Employees need to know how to use a powerful new system. If you provide no training, they’ll need to learn on the fly, often leading to frustration and abandonment of the system you’ve spent months carefully designing. It’s imperative not only to provide initial training, but also to make resources and support available to enable employees to continue their learning throughout the implementation phase and become seasoned professionals at using the system.

2. Explain the benefits At the heart of any successful implementation is communication. When it comes to a workforce management system, it’s vital to share how the system will work and the benefits that it will bring for employees. This can include ensuring they are paid accurately and on time for the hours they’ve worked; enabling them to book holiday more easily; providing instant visibility of leave calendars and rotas; and allowing them to swap shifts with their colleagues seamlessly.

As humans, it’s natural to resist change. But by showing your employees how moving to a new WFM solution is connected to an issue they already care about—for example, ensuring that they are being paid accurately—you can increase the perceived need for change among your employees. 3. Get the timing rightStaying with the theme of resistance to change, it’s important to not introduce too many changes at once. Timing is everything. If you try to implement major changes too frequently, your employees may be more likely to resist.

A better approach is to introduce changes gradually, perhaps with a phased roll-out to certain departments, or a gradual transition with the old and new system running in parallel for a set time period. This gives employees and managers time to get fully to grips with the new system and truly learn to take advantage of its new features. As a result, they are likely to experience less frustration, and will be more willing to learn and embrace the new tools.

4. Select the right softwareAbove all, you’ll want to ensure that you’ve picked the right software solution for your business. WFM solutions are widely available, but they are not all created equal. Be sure to select the solution that has the features you want and need, and do your due diligence to ensure that it can carry out the key tasks your business requires.

Many WFM solutions on the market are add-on modules to larger enterprise resource planning (ERP) systems. Whilst these can have their benefits of a shorter selection time and an existing relationship with the vendor, they aren’t always the best option. Best-of-breed WFM solutions are typically designed by companies with deep industry experience, whose knowhow is baked into the product development process to create a more feature-rich, flexible application. As a result, if you have any degree of complexity within your payroll environment—for example, different pay grades, or unionised or multi-location workforces—then a best-of-breed approach is more likely to meet your needs.

The benefits of biometrics Five years ago fingerprint scanners, iris recognition and facial detection sounded like technologies you’d find a Hollywood sci-fi blockbuster—yet today they have become commonplace in many everyday products. For instance, how many of us now unlock our phones or pay for things using our fingerprints?

Now that these technologies have now been tested, proven, and adopted by consumers on a massive scale, it’s the perfect time for organisations to start harnessing them to create business value. In particular, we believe that biometrics have a key role to play in the next generation of WFM systems.

6 The benefits of biometrics

First thing first, what is biometrics? Biometrics is the science of identifying an individual based on human characteristics and unique attributes, such as fingerprints, iris patterns and facial features. Whilst biometric systems in the movies appear to be easily duped with contact lenses or fake fingerprints, the technologies we use today are incredibly sophisticated and difficult to fool—making them a great choice for security-critical applications.

So how do biometrics work?Fingerprint scanners typically work by capturing a collection of interesting data-points about a fingerprint—for example, the distances between the ridge intersections—and using an algorithm to convert them into a unique, encrypted mathematical hash. The fingerprint itself never needs to be recorded; instead, we simply keep a copy of the hash that can be used to identify and match against other fingerprints that are passed though the same algorithm.

If you were to reverse the hash to try and gain an image of a fingerprint, it wouldn’t work. Decrypting the hash would only give you the list of vertices representing the mathematical relationships between the points of interest. This is far too little data to allow you to reconstruct the original fingerprint image.

Facial recognition works in a very similar way, plotting the features around the eyes, nose and mouth to help establish a unique hash for every face that is registered. It is common in higher-end face scanners to record a very short video clip as well, and to shine or pulse infrared light from more than one source onto a face to look for shadows and movement. This helps to build up a much more sophisticated record of facial characteristics, and means that the recognition system can’t be fooled by simply showing it a picture of a user’s face.

What are the benefits of using biometrics within your business? As outlined above, biometric records are incredibly hard to crack, fake or fool. Even identical twins would have different fingerprint and facial hashes. From a WFM perspective, the ability to identify people with near-zero risk of error can be very valuable. For example, it eliminates the risk of “buddy clocking”, because unless an employee is physically present on site, it’s almost impossible for them to clock in.

Biometric clocking and access control systems can also be much more convenient for employees, who no longer need to remember to bring a physical ID with them to work. This can also reduce the cost of the whole process around purchasing, printing, issuing, checking and revoking ID cards or tokens, as well as significantly improving safety and security for employees and other users of your site.
