1.2.1 Manager mode layout

To enter manager mode:

Press the menu bar key to display the menu bar.

1. Select Setup Mode from the Menu bar.

2. Select Manager Mode on the Setup Mode screen.

3. Select the operator and enter the PIN.

The default operator number is 1 and the default operator PIN is 4296. For added security, give each operator a PIN that is different from the one set up. Only operators with a manager role assigned to them will be displayed.

2.1 System dataNote: Modifications to System Data can only be made on a server or stand-alone scale.

The functions and information that you may need to edit are found in System Data. If you have a scale network set up, System Data applies to all the scales in that network. You can create and edit system data at a scale, or use one of the appropriate software applications.

Adding or changing data

The steps for setting up an operator are described in section 2.3, Operators. To add or change data in any of the other tables follow the same procedure. The individual records may be different but the principle is the same and the scale software will take you through it.

2.2 ProductsImportant: Remember, you must be in Manager Mode in order to perform a programming operation.

2.2.1 Editing a PLU1. From the Manager Mode screen, select System Data.

2. Select Products from the System Data screen.

3. Select Create/Edit Product from the Products screen.

The default department set up for the scale is displayed.

4. Select the product you want to edit from the list displayed in the table.

Note: You can search for the PLU you want using the scroll buttons or by entering text or numerical characters.

5. Touch to confirm the selection.

6. Use the scroll buttons to highlight the field you require (for

example, Price), and touch .

7. Use the numeric keypad to enter the new price.

2.2.2 Creating a PLU

1. From the Manager Mode screen, select .

4. If you want to create a PLU in a department other than the one displayed, use the left and right arrows at the top of the product selection screen (see figure 2.1, page 13).

5. Enter the number for the new PLU and touch .

Note: The PLU editor automatically highlights the next field in the PLU editor when you confirm your changes.

6. Touch to enter the description. When you have

finished, touch to confirm the entry.

Note: Text 1 and 2 are typically used for displaying additional information on the label.

7. Use the numeric keys to enter the unit price.

2.2.3 PLU Editor fieldsSome fields in the PLU Editor require that you select values or categories (e.g. Trace Scheme) from lists defined in your scale setup. As described in other sections of this guide, you can set up and edit most of these lists yourself.

If you cannot find the value or category in these lists, you may need to contact your Avery Berkel service provider for assistance.

Field description

Price

The unit price for weighed goods or the item price for non-weighed items.

Product Type

Determines the way the price of the product is calculated (by weight, by count, fixed price etc.).

Promotion

Allows you to enable and disable promotions.

Promotion Type

Allows you to set the type of promotion: None, Items Free, Weight Free, Price Break or Discount.

Print Format ID

Sets the label format or other stationery format to be used.

Barcode Format

Type of barcode assigned to this product for printing on a label.

EAN Code

Character string representing the digits in the barcode. Enter the prefix for the barcode format to be used and the article number.Tare Value

Container weight value that will be subtracted from the gross weight of goods sold in containers.

Date 1 Offset and Date 2 Offset

Number of days/hours calculated from the date when the item was packed. Normally used for ‘sell by’ and ‘use by’ dates.

Trace Scheme

Select None if no traceability is required or select the appropriate scheme for the product.

Tax Rate 1 and Tax Rate 2

Select the tax rate for the product. See section 2.6, Tax rates.

NetWeight Value

Weight value of a non-weighed product sold on an average weight basis. For example, 400g for all loaves of a certain size.

Message ID 1 and Message ID 2

Note: When editing PLUs in Manager Mode, the message category for message ID 1 and 2 is fixed as sales message and you will only see the list of sales messages available.

Select this field and touch to display the list of sales messages available for use with this PLU.

Message ID 10

Note: Message ID 10 cannot be changed when in Manager Mode, but requires MxSBT.You can display a QR barcode on the customer display which is related to the selected PLU.The QR barcode is displayed when the PLU sales message 10 is defined and contains some data.The associated sales message can be setup to contain a fixed URL or it can be setup to fetch one of the PLU texts which may contain more PLU specific information.

QR Type Barcodes

You can add QR and MicroQR type barcodes to a label and also show on the customer display.

QR barcodes can encode data more efficiently in some cases if only uppercase letters are used. You should encode a URL as follows; "HTTP://MYSITE.COM/FOO..." rather than "http://mysite.com/foo..." However, this depends upon the web server responding to requests correctly when the URI is uppercased. It's not necessarily true that URIs and paths are treated as case-insensitive by a web server, since URIs are technically case sensitive.

Print QR Type Barcodes

To Print a QR or MicroQR barcode:

1. Using MXTool, design a label format with a barcode type field. This field has a reference to a QR barcode format.

2. The most common application of QR barcodes is to encode the text of a URL such as http://google.com/m . Encode exactly the text of the URL in the barcode for example "http://google.com/m" and make sure you include the protocol ("http://", here) so that it is recognized as a URL.

Display QR Type Barcodes

You can display a QR barcode on the customer display which is related to the selected PLU.

The QR barcode is displayed when the PLU sales message 10 is defined and contains some data.

The associated sales message can be setup to contain a fixed URL or it can be setup to fetch one of the PLU texts which may contain more PLU specific information.

Group

Assigns the PLU to a product category. See section 2.11, Groups.

Information Label

Selects whether an information label is printed or not.

2.2.3.1 PromotionsYou can program PLUs with a promotional price or offer.

Five types of promotion are available:

Price break promotion

Discount promotion

Items free promotion

Weight free promotion

Mark down promotion

Sales receipts and labels can be printed with messages giving details of the savings or benefit to the customer. A suitable label format must be selected when programming the PLU for promotional information to be printed on the label.

Note: Applying a manual discount to a PLU disables the promotional discount.

Price break promotion

You can program a PLU with a second and third unit or item price and two different weighed quantities or number of items that enable the second and third prices.

The promotional price is enabled when the pre-programmed weight or quantity is purchased.

If you do not program a third price and a second trip value, then only the second promotion price and its trip value will apply.

You can change the unit or item price and the promotional prices using Change Price.

Note: If you program the weighed quantity as 0.00, or the number of items as 0, the promotion will always be enabled.

Sales receipts and labels can be printed with details of the savings to the customer.

To print promotional information on the label, you must select an appropriate label format when programming the PLU.

Discount promotion

A discount promotion applies a percentage reduction on the normal selling price. It is applied automatically when the quantity of weighed goods or the number of items equals or exceeds the trip value set in the PLU.

You must enter the percentage as a whole number. For example, a price reduction of 5% must be entered as 5.00.

Item/weight free promotion

The system automatically scales up the free quantity according to the amount purchased.

For example:

Buy three and get one free (item free).

Buy 500g and get 100g extra free (weight free).

Item free promotions can be applied to weighed goods and non-weighed items.

They can be used for products such as hamburgers that are priced by weight but generally sold by number.

Example: Buy 4 hamburgers and get 1 free.

When programming the promotion, enter 1 for the number of free items and 4 for the item break.

The weight and total price of 4 hamburgers is calculated from the weight of 5 hamburgers on the weighplate and the unit price.

When serving a customer, the operator weighs all 5 hamburgers and enters 5 for the number of items. The value of the transaction is calculated automatically with the appropriate quantity (1) given free.

Mark down promo

A mark down promotion allows you to temporarily mark down the price of an item by entering a reduced value.

Mark down can also be set up as a function to appear on the keyboard as products are traded, thereby allowing a quick price change function (e.g. reducing prices of items nearing their sell-by date). If the function is activated, the promotion is automatically set.

Products that have a mark down promotion assigned to then appear

with a symbol against the unit price:

Setup timed promotions

A timed promotion can be setup for a PLU. This function is accessible from 'Manager Mode' as follows:

1. Touch 'Setup Mode'

2. Touch 'Manager Mode'

3. Touch 'Operator 1'

4. Enter PIN

5. Touch 'System Data'

6. Touch 'Products'. The 'Products' screen is displayed.

7. Touch 'Timed Promotions'. The 'Time Period' screen is displayed. You can now create and edit the time periods used for promotions.

Assigning promotion time periods

In 'PLU Editor' once you have enabled the promotion, the PLU can be assigned two separate time periods; 'Promo Time Period 1' and 'Promo Time Period 2'.

1. Touch 'Setup Mode'

2. Touch 'Manager Mode'

3. Touch 'Operator 1'

4. Enter PIN

5. Touch 'System Data'

6. Touch ‘Products’.

7. Touch 'Create/Edit Product'

8. Enter the number for the PLU and select .

9. When the promotion is 'Enabled', the PLU can be assigned two separate time periods; 'Promo Time Period 1' and 'Promo Time Period 2'.

10.To enter the time period do the following:

a. Promo Time Period 1: You must first select the type of promotion required using the 'Timed Promotions' function. Refer to Setup timed promotions on page 21.

b. From the ‘PLU Editor’ screen, select ‘Promo Time Period 1’

and touch . The ‘Promo Time Period 1’ window is

displayed.

Note: When you save the selection in the 'Promo Time Period 2' window above, further PLU editor windows and keypads will open automatically. Refer to 2.2.3, PLU Editor fields, for a description of the remaining editor fields.

c. Using the arrows, select the promo time period.

2.3 OperatorsThe information you need to set up an operator is listed here, followed by the steps for setting up an operator.

Operator ID

The operator ID can have up to 12 numeric characters

Operator Name

The operator name is displayed on the operator button and printed on the receipt.

You can enter up to 33 characters for the operator name. If the name is too long for the space available it will be truncated.

Operator PIN

This is the number which the user must enter to gain access to restricted scale functions. The PIN can have up to 12 numeric characters

Operator Role ID

The role can have up to 12 numeric characters and controls the functions which the operator can use. Access to functions not assigned to the role is not allowed.

You can create or modify operator roles in the MX-SBT application.

Operator Status

This can be set to either Enabled or Disabled. The default is Enabled.

6. Use the numeric keypad to enter a PIN for the operator.

8. The operator status defaults to enabled. To change the status,

touch and select disabled. Touch to confirm the change.

9. Touch to save your changes.

When you have finished creating or editing operators, touch to return to the Manager Mode screen.

2.4 DiscountsYou can apply a pre-programmed fixed discount or a variable discount to a receipt or to an individual transaction.

If the scale is operating in label mode, discounts are applied to the transaction.

2.4.1 Discount ratesDiscount rates can be fixed or variable. If the value or percentage for the discount is set to 0, the discount is variable and the operator enters the value or percentage in Sales Mode.

There are two types of discount rate:

percentage

value

You can set the security level for each discount rate. An operator will only be able to apply discount rates with a security level equal to or lower than his/her operator role level.

Note: You must enter the percentage rate as a whole number.

Percentage discounts

A percentage of the transaction value or the receipt total is deducted from the price to pay. For percentage discounts you can enter a rate from 0% to 100%.

Value discounts

For value discounts you can enter a value from 0 to a maximum equal to the total transaction or receipt value and this value is deducted from the amount to pay.

2.4.2 Setting up a discount1. Select Discounts from the System Data screen.

Any discounts already set up on the scale will be listed.

2. Touch .

3. Highlight the Discount ID field and touch . Use the numeric keys to enter the ID number for the tax rate.

4. Touch to confirm your changes.

5. Enter the description and when you have finished touch

to confirm the entry.

6. Select either the Discount Percentage or Discount Amount field

7. Use the numeric keys to enter the percentage or the value of the

discount and when you have finished touch to confirm the entry.

Important:A percentage must be entered as a whole number.

For example, 10% must be entered as 10.00 not 0.1

8. Select percentage or value for the Discount Type field. When you

have finished, touch to confirm the entry.

9. Use the numeric keys to enter the value for the Operator Role ID.

Touch to confirm the entry.

10.Touch to save the Discount Rate you have created.

Editing a discount

1. Select the discount rate you want to edit from the list displayed.

2. Highlight the field you want to edit in the list and touch .

3. Change the data for the field. When you have finished, touch

to confirm the change.

If you do not want to change the data, touch .

4. When you have finished editing the discount rate, touch

to save your changes.

Discount keys

2.5 TaresNote: Programmed (stored) tares are only available for use when the machine is set to label mode or pre-pack mode.

When goods are to be weighed in containers, you can set up tare values (container weights) that are stored against a reference number.

Each tare is assigned to a dedicated touch button. Depending on how your machine has been configured, the tare buttons can be accessed from:

a dedicated touch button on the function menu bar

a dedicated key on the programmable key area below the touchscreen.

2.5.1 Creating/editing container weightsEditing a tare

1. Select Tares from the System Data screen.

2.6 Tax ratesIf PLUs are configured with a tax rate, you can print the tax value and individual tax rates on the receipt. You can program each PLU with one or two tax references. There are 10 tax references available, and each one can be assigned a different tax rate.

Use tax reference 0 for products that are non-taxable.

Inclusive tax

The value of the transaction is displayed including the tax.

Exclusive tax

The value of the transaction is displayed excluding the tax. The tax is added to the receipt subtotal as a separate item when the receipt is printed.

Important: Tax rates are entered as a percentage. Remember to enter the digits after the decimal point, for example, enter 10% as 10.00.

Net value tax

In some countries it is a requirement that the sales value net of tax is printed on the receipts. For these countries, if an inclusive tax system is used and tax printing has been enabled, the receipt will include:

2.7 LedgersThis function enables you to set up and manage accounts for the business. These accounts could be:

Customer accounts

Trade accounts (suppliers or customers)

Stock functions.

Stock functions might include specific areas of the business against which to charge goods. For example, if you are writing off stock, you might wish to charge it against a specific department such as electrical goods, toiletries or delicatessen.

2.7.1 Setting up an accountWhen you create an account you must enter:

An account reference ID

The account name

The credit status of the account holder

The credit status can be either the value of the credit allowed or a code representing the credit value allowed.

The account ID and name are printed on the received-on-account slips and the account summary slip. The account ID is printed on the receipt when goods are charged to the account.

Creating an account

1. Select Ledgers from the System Data screen.

2. Enter the account ID. Use the touch keyboard for alpha characters and the numeric keypad for numbers.

3. Touch .

4. Touch to be able to enter the account name and touch

to confirm the entry.

5. Enter the details for the Account Credit Status and touch

to confirm the entry.

6. Touch to save the account you have created.

Editing an account

You can edit the account name and credit status, but you cannot edit the account ID.

You can copy the account name and credit status and give the account a new ID.

If you no longer require an account, you can delete it.

2.8 MessagesMessages enable you to select the appropriate information to be printed on labels, receipts, vouchers and other printed output such as banking operations slips.

You can also set up text for adverts displayed whenever the scale is idle.

Edit/create a message category

You can edit a message category description or you can create new descriptions.

1. Select Messages from the System Data screen. The list of message categories is displayed.

2. Highlight the message category description you want to edit from the list displayed in the table and touch the select button.

3. Edit the description using the touch keyboard for alpha characters and the numeric keypad for numbers. When you have

finished touch to confirm the change. If you do not wish

to change the data touch .

Refer to the following example to edit a Help message:

1. From the ‘Message Category’ screen select ‘General’ and touch

. A different list of ‘Description’ IDs is then displayed.

2.9 PaymentsThis function allows you to:

define different payment methods.

assign a dedicated touch key to each payment method if required (see 5.1, Data reports on page 114)

select one of 13 types of payment for each payment method.

select from a a range of programmable values associated with each payment type.

The table (Payment Type ID) shows which options are available for each payment type table and the default values for that option.

The currency symbol reference numbers are the same as those used to configure currency in service mode. Use the numeric keys to enter the reference number you require

The payment name, the value in foreign currency and the conversion rate used is printed on the receipt.

Description

You can create a description (payment name) or edit an existing name. The payment name is displayed when a payment is entered and is printed on receipts and cash reports.

Forced Amount Entry

If Forced Amount Entry is enabled, you must enter the payment value.

If Forced Amount Entry is not enabled and the payment key is pressed without a value entered, then the machine will assume that an exact payment has been made.

Payment entries below the programmed minimum value are not allowed.

Maximum Amount (HALO)

Payment entries above the programmed maximum value are not allowed.

Open drawer

Each payment key can be programmed to open or not open the cash drawer. When more than one type of payment has been entered the cash drawer will open if any one of the payment types has been programmed to open the drawer.

Operator Role ID

Assigns the operator role to the payment method. Payment entry is allowed only if the operator role is equal to or higher than the operator role set for the payment method.

Preset Amount

Payment methods programmed with a pre-set value will only allow a payment entry that matches the pre-set value. For example, you could have a dedicated touch key for £50 notes.

Payment type

Select the payment type from the list displayed or use the numeric keys to enter the appropriate number.

2.10DepartmentsA department is a group of machines within the store which reflects the way the store operates, for example Produce, Bakery, Fresh Meat, Fish. Each department has its own set of PLUs.

You can create as many departments as you require, assigning a Department ID to each department and giving it a name of your own choosing. One department is assigned to the scale and is the default department for that scale.

Allocating products (PLUs) to the appropriate department:

Reduces the complexity of maintaining the PLU file.

Helps to reduce errors when selecting a PLU.

You can select other departments using the up and down arrows to the right of the Department search screen.

Department keys

Note: It is not possible to assign keys to menus if the scale is configured for Bestseller keyboards.

You can assign keys to departments and link the department key to the appropriate menu/keyboard. The key can be assigned to any of the keyboard areas.

The menus and keys must be created and set up in the MX-SBT application. Contact your Avery Berkel service provider for more details.

2.11GroupsA product group is a category such as red meat, white meat or offal to which an individual PLU may be assigned. The products assigned to a group may be from one department or several.

You can link product groups to touch keys and menus in the same way as Departments.

To create a product group:

2.12Miscellaneous feesThis function enables you to add either a percentage of the total value or a fixed amount to the transaction. Examples of miscellaneous fees are:

credit card surcharge

delivery charge

gift wrapping service

Each type of fee can be configured to add the surcharge automatically or to request confirmation. For example, a surcharge for payment by credit card would be added automatically but a gift wrap charge would require confirmation that the customer has accepted the surcharge.

To create a new fee:

1. Select on the Miscellaneous Fees screen.

2. Select the field to be edited and touch . The Description screen (shown below) will open and allow you to enter information.

3.1 Setting date and timeThe machine has an internal clock that stores the date and time. It uses the clock to calculate the sell-by dates printed on the labels and to print the date and time on printouts and reports.

When you set the date and time on the server scale, any client scales connected to it will synchronise their clocks with the server.

The default format for the date is day/month/year.

The time is displayed to the right of the date in hours/minutes (24 hour).

Important: You must enter the appropriate separators as well as the digits for the date and time.

To set the date and time:

1. Touch in the System Setup menu.

2. Touch and to move through the date and time fields. Touch the number buttons to enter the values.

3. When you have finished, touch .You will receive an Entry Accepted message and then be returned to the System Setup menu.

3.2 Configuration

3.2.1 Network parametersThese settings configure the way in which the functions listed operate for all the scales across a network and for stand alone scales.

Account Validation

Off - any account number accepted. You can enter any account reference and charge goods or make payments to that account.

On - only known accounts allowed. You can charge goods or make payments only to accounts that have been previously programmed in the machine.

Auto SubTotal Display

Determines whether the subtotal is displayed or not when transactions are assigned.

SubTotal Display Timeout

Sets the length of time (secs) the subtotal is displayed.

Best Sellers

Best seller status is decided by the quantities of the products traded.

Based on the number of transactions, these keys are automatically updated either once a day, once a week or immediately depending how your machine was configured on installation.

Products with the highest quantities are the best sellers but over time these quantities may drop and greater significance needs to be given to more recently traded products. Each time the bestseller keys are updated a percentage reduction is applied to bestseller quantities (see Best Seller Weighting, page 55).

Best Seller Period

Best seller key update period. The period at which the best seller menu/keyboard is re-generated from the best seller counts.

Best Seller Keys

Defines the number of bestseller keys on any one particular keyboard.

Best Seller Weighting

Note: 100% causes the quantities to be cleared. 0% disables the process.

In order to give recently traded products the highest significance by ageing older bestsellers, bestseller quantities are reduced every time the bestseller menu is generated. This value is the percentage by which the bestseller quantities are reduced.

Idle Timeout

Length of time (secs) the scale is inactive before idle time adverts are initiated.

Keyboard System

Defines whether the scale is using static or bestseller menus.

Keyboard Hierarchy

Allows buttons belonging to the same group to be displayed together. The grouping can be either by department or PLU group ID. If this setting is changed, you must reset the best sellers manually on each machine from Manager Mode>Machine Setup>Reset Best Sellers.

Dynamic Key Sort Order

Controls how the keys on dynamic keyboards will be sorted. If one of the best seller options is selected, the number of best seller keys shown will be limited to the configuration setting Number of Best Seller Keys.

Dynamic Key Rows/Dynamic Key Columns/Max Dynamic Keyboards

These settings control the physical layout of each keyboard and the maximum number of keyboards.

Receipt Barcode Format

This is the default for the talon barcode format. See Talon Barcode On/Talon Barcode Format, page 58.

Receipt Barcode On

Determines whether a barcode is printed on the receipt.

Receipt Footer Media ID

Determines whether media such as a logo or other graphic is printed on the bottom of a receipt.

Receipt Header Media ID

Determines whether media such as a logo or other graphic is printed at the top of a receipt.

Subtotal Display Timeout

Signifies the amount of time (secs) a subtotal display can remain idle before timing out.

Totalising

Disables or enables totalising and therefore also totals reporting.

Transaction Filter

Determines the type of transactions stored by the scale when trading.

Transaction Buffer

Selects the transaction buffer behaviour when it is full.

Circular New transactions will overwrite the oldest transactions and trading can continue.

Linear trading cannot continue when the buffer is full. A warning message is generated when the buffer is almost full.

Transaction storage

Determines whether transactions are stored or not after totalisation. Store transactions only if they are being collected by a back office system. Transactions storage can occupy valuable memory space and potentially slow down the scale.

Cashing Up Declaration

Note: This only applies to Machine Totals clearing reports for period 1.

If this is enabled, the operator must enter the cash drawer contents when cashing up before the totals are printed The totals reports will then list the amount entered for each payment type and any discrepancies between that value and the amount in the drawer.

Stock Print Prices

Determines whether prices are printed on stock receipts.

Hold Receipt Function

Note: Held receipts are stored irrespective of the transaction storage setting.

If the Hold Receipt Function is enabled, a Place on Hold button is didsplayed in the subtotal screen allowing the operator to place the receipt on holdat a scale that is also used for printing final receipts.

Customer Number Control

Determines how the customer numbers are generated.The number can be configured to be auto generated by the system or for manual entry by the operator.

SubTotal Receipt Format/Barcode

These two fields configure the print format for the receipt. The default settings is for a fully itemised receipt with no barcode. You can choose to have either a fully itemised or a summary receipt, with or without barcode printing.

SubTotal Receipt Barcode Format

Determines the barcode format to be used. You can use the default barcode set or select an alternative.

Talon Barcode On/Talon Barcode Format

These fields support talon printing. A talon is a slip containing the price to pay and an optional barcode. It is typically used when an order is placed and the customer has to return at a later time or date to collect it. The talon enables matching of the customer to the goods to be collected.

In sales mode, when talon printing is enabled, the talon will be printed after the receipt, after a two-second delay, to allow the operator time to tear off the receipt. If the receipt has not been torn off after the two-second delay, the operator will be prompted to do so.

Late Pack Hour

If an item is packed late at night, this setting allows an extra day to be added to the use-by date. For example, if a bakery item is packed at 23:00, the use-by date can be set an extra day ahead in order not to waste a day when the item is packed very late.

Button Style

Allows you to select the button type for product menus. The choices are:

1. Graphic only

2. Graphic and text (default)

3. Text only

Customer Logo

Allows you to set a customer logo. The recommended size is 166 x 90 pixels. The customer logo must be a media file, assigned to the scale by MX-SBT.

On selecting the option, you will be presented with all the media files in the scale from which you can select one.

Acceptable file formats for logos are bmp, png, jpg, tif, gif, pcx, pnm, tga and xpm. The best quality will be achieved if the dimensions of the logo match the designated size. In any case, the logo will be auto-sized to fit the available area.

Self Service Non Weighed Qty Entry

Displays a numeric keypad to allow quantity entry for non-weighed products.

Self Service PLU Button

Allows product lookup.

Self Service Find Buton

Displays a ‘Find Item’ button on the home screen allowing product lookup by text.

3.3 Touch menusNote: You must be in Manager Mode in order to perform programming operation, see section 1.2, Using Manager mode, page 9.

There are two basic types of keyboard on Xtra scales:

1. Bestseller

2. Static

We recommend that you use the MX-SBT Keyboard Designer application to design and edit static keyboards, keys and menu structures for static keyboard systems. Keyboards can be designed on the scale in a limited way. Bestseller keyboards are configured at the scale.

The home keyboard, which appears upon start-up, is a machine setting and, in a scale network, may differ from one machine to the other. For this reason, the home keyboard is not sent or updated from the server scale when changes are made either in the scale or from MX-SBT. Selecting the keyboard system is described in 3.2.1, Network parameters on page 55.

3.3.1 Bestseller keyboardsBestseller keyboards consist of one single keyboard of bestselling items. This constitutes the only product keyboard on the scale.

Products are automatically added to and deleted from the bestseller keyboard according to the number of transactions involving that product. Factors such as the time period for recalculating bestseller keys and a weighting for achieving bestseller status control which products are placed on the bestseller keyboard and how long the product remains there. When a bestseller keyboard is recalculated, products remaining on the keyboard retain their key position.

3.3.2 Static keyboardsStatic keyboards are keyboards and keyboard systems that are wholly or partially defined manually.

Static keyboards can cover the main product keyboard, the lower fixed (or pop-up keyboard on XT), the pop-out side keyboard plus any further keyboards linked to it containing functions. The lower fixed keyboard and pop-out side keyboards can only be set up and programmed using MX-SBT.

Static product keyboards can consist purely of products and links designed and placed by the user manually or a combination of these with bestseller keys and dynamic links.

Bestseller keyboard design

Designing a bestseller keyboard relies simply on deciding how many products you wish to display, the day and time to update the keyboard and how often to update it.

To configure these settings, go to Manager Mode > System Setup > Configuration and:

Select the day and hour for the Best Seller update.

Select the Best Seller update period. This is the period after which the Best Seller keyboard is regenerated using the best seller counts.

Select the number of keys on the keyboard.

Setup parameters for Bestseller keyboards are described fully in 3.2.1, Network parameters on page 55.

Static keyboard designA purely static keyboard design requires full planning by the user. This may consist of a single home page of products, or, more typically, a number of keys representing groups that link to products within that group. Each key and link must be placed on the keyboard by the user and will remain there until changed manually.

Alternatively, you can add Bestseller keys to the home screen and Dynamic Menus to link to products representing in a particular group or department. The advantage with this approach is that all your keyboards are automatically populated with the bestselling products. You are more likely to find the right product in a shorter amount of time, and no manual maintenance of the keyboard is required.

Although in theory you can design as many menus and sub-menus into your keyboard system as you wish, this is not recommended. The most efficient keyboard systems consist of a home keyboard containing various groups that link to a single lower keyboard containing the most popular products. Products that do not appear on these lower keyboards can be easily found by using the search function (press the green PLU key in the lower left part of the screen)

Additionally, it is possible to place up to 36 keys on a single keyboard. In reality, however, the fewer keys placed on the keyboard, the quicker it will be for operators to find what they are looking for. For efficient store operation, this should be limited to a maximum of 25 keys, ideally 16 or 20.

Setting up a manually-structured keyboard system

To add/edit a keyboard:

1. In Manager Mode, touch .

an existing keyboard.

4. Enter a keyboard description.

5. Enter the number of rows and columns.

3.3.3 Dynamic keyboard optionsA dynamic keyboard generates buttons automatically depending on the products that are stored in the scale. These buttons can be grouped together by the product group or the department. Several settings control the setup and behaviour of dynamic keyboards. These are found in Configuration on page 55.

Keyboard Hierarchy

The keyboard hierarchy allows buttons belonging to the same group to be displayed together. This grouping can either be by Department (default) or by PLU Group ID.

To select a group:

4.1 Networks overviewThe machine network system in a store can consist of a mixture of label and receipt machines. The system will support any combination of machines in the XM and XT ranges provided they have the same software version.

Scale networks can be connected in a wired or wireless ethernet setup. Scales can be set up as:

Stand alone

Server client networks

Multi server networks

Peer group networks

Stand-alone

Each scale is independent. Communication is only possible to a back office system.

Server/Client

One or more client scales receives its data from a server scale. The number of clients that can be supported on a network will depend on server performance.

A back office host can communicate with the server which will then communicate with the clients.

Scales set up in such a way can share resources and information (operators, PLUs etc.). Local price and product updates can be made at any of the scales. Floating vendor is possible, whereby an operator moves from one scale to another, picking up live transactions from a particular customer at the scale they have moved to.

Multi-server

Each scale is configured as a server. If there is a back office software application this communicates with all the scales.

Each scale holds its own product file and floating vendor is not possible.

Peer group

Each scale is configured as a server in the same way as a multi server network but local price and product updates can be made at any scale and communicated across the scales configured within the same peer group.

4.2.1 Wired setupScales are connected together using one or several hubs as required. The number and position of the hubs required is determined by the store layout and the type of hub used.

Two scales can be connected together without the use of a hub. A simple cross-over cable is used to connect the two machines together.

Each machine in a network must have a unique IP address. The IP address is used by the TCP/IP protocol to identify the source and destination of data packets.

The IP address of the scale consists of two parts, the network address and the machine address.

Network address

The network address must be the same as all the other machines on the same network.

Machine address

The machine address must be different from the other machines on the same network.

The network address depends on which sub-net mask is used, for example for an IP address of 88.1.1.7:

Sub-net mask

The sub-net mask allows you to split a large physical network into smaller logical networks.

Gateway

A gateway enables networks using different protocols to communicate.

‘Managed’ is for a communications system via an access point.

Security mode settings

Communications across wireless networks can be encrypted to keep transmissions secure, and to keep networks separate.

Encryption makes use of user defined ‘keys’ which set how the scale encodes and decodes the transmissions. Only scales using the same encryption key will be able to communicate with each other.

Advanced

The options you will see in Advanced Wireless Setup will depend on the setting selected for Security Mode in Basic.

ESSID (Extended Service Set Identifier)

This is an alphanumeric string of up to 32 characters which separates wireless LANs. All machines on the same WLAN must have matching ESSID. Select edit to enter a different network name.

Encryption mode WPA PSK and WPA2 PSK

Scales must all use the same key.

PSK

Key type

An ASCII character key of 8 to 63 characters or a hex key of 64 digits.

Encryption mode Loaded config file

The information is loaded from the root of a memory stick and is stored on the scale. The data cannot be edited by the user on the scale. This protects the security settings from hacking.

Load Conf File

Touching the “Load Conf File” button causes a file named wpa_supplicant.conf to be loaded from the root of a memory stick and stored on the machine. The basic setup security mode is set to “Loaded Config File” so there is no need for the user to do this separately.

The wpa_supplicant.conf file contains the wireless settings in the format recognised by the standard wpa_supplicant program. This allows connection to wireless networks using a RADIUS authentication server.

4.3 Network setupComputer name

This only applies to scales on networks with DHCP enabled. The host name enables the machine to be identified even if the IP address has changed.

Port

This port number is used by the scales in the network to communicate across the network.

Host Port

This is the TCP/IP port number used to communicate with a PC running MX software applications.

Search Domain Name

Displays the human readable domain name for the scale that is needed in order to access the web browser.

DNS Server

This translates the human readable domain name into the IP address. It is automatically set up when DHCP is enabled.

Proxy Server

This is a network server used for web security purposes.

4.3.1 Scale NetworkingNetwork ID

The ID of the network to which the scale belongs.

ISC (Inter Scale Communications) Machine Type

There are four classes of scale. Select edit to change the class of scale.

Standalone Scale = No ISC. Host communications direct to individual scales.

Server Scale = server scale of a client-server network. Host communication to server scale only - data replicated to clients.

Client Scale = client scale of a client-server network.

Peer Group Scale = Member of a multi-server with global edit group. ISC communications only for limited changes (price change etc). Host communications direct to individual scales.

Peer Group ID

The ID of the peer group to which the scale belongs.

Short Machine ID

The ID of a machine on a server/client network. This is displayed in the status bar of the scale and enables easy identification of scales.

4.3.2 PingUse the PING command to check whether a scale is online or offline. Enter the IP address or host ID of the scale to be checked.

4.3.3 Remap NetworkThis function purges any inactive scales on the network when communication to the scales has been lost.

4.4 Level scaleThis menu provides on-screen instructions for levelling the scale.

The scale automatically compensates when it is not level. If the scale is out of level by more than 5° the ValuMax indicator will show a red cross in the display screen status bar. The on-screen display will tell you the amount of adjustment needed in the X and Y directions to level it exactly. The scale has four levelling feet to enable manual levelling up to 10mm in any direction.

Turn the appropriate foot or feet to level the scale.

The scales are level to within 5° and a scale that is more than 5° out of level will automatically display the Level Scale screen and you will not be able to trade until it is cleared.

4.5 Reset Best SellersManually updates the best seller menu/keyboard at any time irrespective of the day and time settings for automatic update.

Use this to reset all the bestseller transaction counts when a scale is re-instated after being off line.

Drawer Alarm

When the alarm is enabled, the cash drawer stays opened, the receipt is printed and the sub-total remains on the screen until the drawer is closed. If the drawer remains open for 30 seconds, a message box is displayed to close the drawer. New transactions cannot be started until the cash drawer is closed.

When disabled, the cash drawer is opened, the receipt is printed, the sub-total screen is cancelled and the scale is available for further transactions.

Note: The wrapper and cash drawer use the same hardware interface. It is not possible to drive both at the same time.

This setting allows you to temporarily disable and enable the triggering of the wrapper. The wrapper will be triggered on every label print, both in counter and pre-pack operating modes, to provide synchronisation between the wrapper and the scale by sending a wrapper start signal to the wrapper when a label is printed. This will help ensure that the correct label is applied to the wrapped pack.

The individually wrapped items are placed inside a larger outer bag together with the itemised receipt. The outer bag is then sealed using the bag label. At the checkout, only one label has to be scanned instead of several.

On a dual printer, the receipt will be printed on the receipt printer and the bag label on the label printer.

On a single printer machine, the receipt will be printed first, and then the operator will be prompted to take the receipt and then the bag label will be printed. Since the bag label is used to seal the bag, it will be printed after all the information has been printed. For example, duplicate receipts, account slips, talons etc. will be printed before the bag label is printed.

4.7.2 Label Taken SensorNote: This feature will only work with software v.3.3.0.0 or later.

This setting allows the Label Taken Sensor to be disabled. The default setting is Enabled. If disabled, the following will occur:

When streaming labels on continuous paper or separate labels, an automatic delay of two seconds is inserted between each label to allow the previous label to be taken.

In receipt mode, when printing talons or duplicate receipts or any kind of slip, a two-second delay will occur between each print to allow the user to remove the previous print.

The backwind occurs at the beginning of the next print rather than when the paper/label is removed.

Period 1 Reports and Period 2 Reports can be be cleared, but Traceability Reports and Security Reports do not have periods and cannot be cleared.

Period 1 and Period 2 Reports have two clearing options. You can Print And Clear or Clear All, which clears all totals for that period.

The example below shows a list of available reports within the Period 1 and Period 2 Reports.

6.2.6 Machine reportThe information in this report will depend upon the payment methods setup for the machine. It will always include:

Total monies for the cash drawer

and, for example, could include

6.2.7 System cash reportThe System cash report allows a network of machines to be cashed up with a single report.

1. Each machine on the network, including the server, must be cashed up using a machine clearing report. (Refer to 6.1.1, Report printing.)

2. At this point each machine will totalise to a local system cash report (refer to figure below).

3. When the system cash report (refer to figure below) is printed on the server, it sums each of the local cash reports and prints the accumulated report. This allows for the cashing up of machines at different times and close to the end of the trading day.

6.2.12 Trace totalsThe data is printed by lot number and depends on how the scheme has been configured. Only fields for which there have been transactions will be printed. Trace totals reports are non-clearing.

Traded quantity is the total used weight of the batch/carcass. The quantity sold is comprised of sales weight, counter service, pre-pack and returns and is incremented each time a transaction is completed.

The limit quantity is the weight of the lot or carcass minus any percentage for losses due to unsaleable parts of the carcass such as fat and bone. Depending on how the scale has been configured, the following fields may be printed:

7.2 TransactionsThere are three options in the Transactions function:

Print Held Transactions

Use this option to print and clear held transactions in the transaction store.

Clear Transactions

This option clears the transaction store without printing the contents of the store.

Export Transactions

This task can only be actioned on the server.

When the schedule start date has been reached the transactions on the scale will be exported to the memory stick, usually with a daily repeat. When successful no message window will be displayed. If the transactions cannot be exported then a message is displayed indicating an error e.g. "Memory stick cannot be found" or "Client is offline".

Export to USB Memory StickThe transactions in the store are exported to the USB memory stick and deleted from the store after export.

Transferring Transaction Collections from Client Machines using USB Memory Stick

1. Pull out the printer cassette and insert the USB memory stick to the port.

2. From the home screen select 'Setup Mode'. The 'Setup Mode' screen is displayed.

3. From 'Setup Mode' screen select 'Manager Mode'.

4. Enter PIN number. The 'Manager Mode' screen is displayed.

8.1 Backing upAll data transfer actions are available in Manager Mode > Data Transfer.

Two backup options are available with Xtra scales:

1. Backup of the entire system, which saves the entire database and the media to a memory stick.

2. Scheduled Backup

3. Backup of a product file only.

Backup files are stored in the root folder of the USB memory stick: backupxtra.tar - System backup.

8.1.1 Backup Entire System1. Select Manager Mode > Data Transfer.

2. Insert the USB memory stick into the scale’s USB port located behind the paper cartridge.

3. From the Data Transfer screen select ‘Backup Entire System’. The scales will now backup the system data. A message window is displayed.

4. When the backup has completed, touch .

8.1.2 Scheduled BackupScheduled backup default is weekly. The frequency of this task should only be amended by MxSBT or by a Service Engineer.

Amend / Create new scheduleThe database contains a schedule which performs a nightly database backup at 02:00hrs

You can access the schedule screen and make amendments to an existing schedule or create a new schedule as follows:

1. Touch ‘Setup Mode’

2. Touch ‘Service Mode’

3. Enter PIN. The ‘Service Mode’ screen is displayed.

4. Touch ‘Data Maintenance’. The ‘Database Group Selection’ screen is displayed.

Reboot - This task will restart the scale at the time you have specified time in the ‘‘Date And Time (Start)’. Reboot is special in that if a scheduled reboot is missed due to the scale being switched OFF then the task will not be actioned

Maintenance Warning

Reset Logging Level - This task can only be actioned on the server. This task can be used to reset logging back to the minimal default. It is expected this task will be set to a repeat interval of none.

Save Log File - This task can be actioned on all machines and copies the log file to the USB memory stick. When the operator has not inserted the USB memory stick a warning will be shown

Reboot - This task restarts the scale at the time specified in the start date / time. Reboot is special in that if a scheduled reboot is missed due to the scale being switched off then the task is not actioned

15.To select any of the above options from the ‘Task Type’ window

touch the button. For each option, new windows and screens will be displayed in the following order:

a. A ‘Start Date / Time’ window is displayed. This will restart the scale at the date and time entered. Using the keypad enter:

The task will be first run on the same day and time specified by the ‘Start Date / Time’ e.g. if the start date and time is 08.03.2013 00:00 then the task will be first run on Friday at 00:00 and then repeated as defined by the ‘Repeat Interval’:

h. From the ‘Maintenance Message’ screen you can use the keypad to enter a MAINTENANCE WARNING string. When the scheduled date and start time is reached then the MAINTENANCE WARNING string will be displayed. You can select to show a daily or weekly MAINTENANCE WARNING reminder until the service engineer disables this MAINTENANCE WARNING and chooses the appropriate repeat interval.

To save press . The ‘Maintenance Message’ screen closes and the ‘Schedule [X]’ screen is displayed.

Scheduled backup without USB memory stick

This task performs an automatic backup of the database at the scheduled start date / time. Refer to Amend / Create new schedule on page 133.

If the data restore function in Manager Mode is run without a USB memory stick inserted an option is given to restore the database from one of the scheduled backup files.

You can schedule a backup for daily, weekly, monthly and yearly repeat intervals. Refer to Amend / Create new schedule on page 133

If one or mode scheduled backup files are present you will be prompted to restore them in the following order:

9.1 Media Distribution using USB Memory StickMedia files can be loaded to the scale from a USB memory stick. The scale will automatically generate the media records, adverts and playlists as follows:

1. Create a 'media_update' directory on a USB memory stick

2. Save the media and optionally, a media configuration xml document inside the directory.

3. Remove the paper cartridge from the side of the scales to access the scale's USB port.

4. Insert the USB memory stick into the scale's USB port

5. Transfer the media from the memory stick as follows:

a. Selecting 'Manager Mode'.

b. Enter PIN. The 'Manager Mode' screen is displayed.

c. From 'Manager Mode' select 'Data Transfer'. The 'Data Transfer' screen is displayed.

d. From the 'Data Transfer' screen select 'Load Media'. A window is displayed "This will replace all current adverts Are

Note: This option is only available on the server and not on client scales.Clients will check and synchronise adverts with the server after a time specified by idle timeout in the scale network configuration (default is 30 seconds).The loading of media using this method restricts the file size of any imported files to 5MB for XM and 10MB for XT. If any file was excluded from the import a message "x files exceeded the maximum file size (xxMB) and were not imported" is displayed.

6. When you touch , all existing adverts and their

associated media is deleted. A new idle time playlist is generated based on the media and an optional media configuration file (mediaconfig. xml) on USB memory stick. If any files was excluded from the import the following message will be displayed:

9.1.1 Media Configuration File This is an optional medial configuration file that can be supplied

on the memory stick with the media.

The media configuration file is mandatory for text adverts as the advert text is specified inside the media configuration file. Refer to Example 1: below.

Example 1: An idle time playlist and a product playlist with picture and text adverts

The media configuration file is optional for image and video adverts when loaded via USB memory stick. If the media configuration file is not present then a single idle time playlist will be generated with all the advert settings at default values. The type of advert will be determined from the physical media file extension and the order will be sorted alphabetically from the name of the file, uppercase characters first (A-Z then a-z). Refer to Example 2: below
