1. Introduction

In this service description, you can read about the goal and the functionalities of the adaptive workspace, Workspace 365. “In the early days of 2010, we started the development of Workspace 365. At that moment there were very little to no products to compare to. Most customers and their MSPs focussed on VDI and Remote Desktop as the logical next step to provide access to all applications, including SaaS and browser-based apps.

We looked at this opportunity differently. With the increasing amount of browser-based applications, it was just a matter of time before this would be the primary way of delivering applications and we expected this to have a major impact on our ‘desktop’. Today’s typical organisation uses between 300 and 400 cloud applications, with a staggering 90% of them brought in not by IT, but rather by end-users themselves.

3. Unite: Everything in one workspace 3.1 Applications, Documents, Information and more Imagine having one login to access everything you need. Uniting all your applications, portals and intranets within your workspace. That is what Workspace 365 does. In this chapter, we’ll take a closer look at how we simplify your applications and solutions within Workspace 365.

3.2 Office 365 Simplification 3.2.1 Document management in Workspace 365

Workspace 365 simplifies Document Management by applying a structure which users are used to. By using SharePoint and/or the file server as underlying storage technology, with the user interface of Workspace 365 on top, users can easily access their documents through the browser from any device. Due to the simplicity, they can use it instantly, without any training. Because of this, managing documents gets a lot easier.

3.2.3 Email app in Workspace 365

Thanks to the intuitive interface of Workspace 365, using email gets a lot easier. Depending on the underlying email technology, you have several functionalities. You can choose to use either the Workspace 365 Email App or the Outlook Web App.

When choosing for the Workspace 365 Email App, emails can be linked to the Workspace 365 Business Apps. To make sure you can quickly retrieve emails, you can, for example, use the Project Management Business App, with which you can link emails to projects.

Another reason for companies to use the Workspace 365 Email app is to easily save or sent attachments to and from SharePoint.

3.3 Business Apps for any process Simplifying a business process can deliver major time savings. With the Business Apps, we enable you to simplify processes and other software services. You can use stand-alone Business Apps for project management, mileage- and time registration, quotations, and more. However, it is also possible to connect the Business Apps to the current software tools you use. By using our Business App API to synchronise data, you can create a new easy-to-use interface for the application while the back-end remains the same.

3.3.1 Custom Business Apps

There is also a Business App configurator available in Workspace 365. With the built-in drag & drop function, there is no programming knowledge necessary to build and edit simple Business Apps. Expensive custom solutions are therefore redundant.

3.3.2 Integrating with current software

Organisations can choose to integrate the Workspace 365 Business Apps with other software applications. Consequently, employees only see what they need and they get a simple interface, which makes training redundant. The employees who do use all functionalities of the existing software can keep using the complete version and launch it from Workspace 365.

4. Communicate: Centralised communication 4.1 Information tiles: All your information centralised 4.1.1 News feeds

Using the publishing platform, you can target your news to specific groups. You can quickly create posts using a drag & drop builder. Make your company’s blog interactive by encouraging people to comment and like posts.

Within the workspace, you’re able to show public news feeds or internal news (e.g. using SharePoint) within a news tile.

4.1.2 Videos, podcasts and playlists

Publish your YouTube, Vimeo, Microsoft Stream, podcasts or other video content within Workspace 365. More and more organisations focus their content strategy on video and audio. That is why you can easily show your playlists within Workspace 365.

4.1.3 Statistics and graphs

Next to showing interesting (and fancy) graphs from Power BI, you are also able to add statistics from Tableau or other statistic programs. This allows you to keep your managers and employees up-to-date on their key metrics. This way, you can always offer a board member insight into revenue, while another employee sees their remaining holidays.

4.1.4 Information from other applications

With Workspace 365 you can embed web content using iFrames. This allows you to integrate any content that is publicly available. You can, for example, integrate a specific website page (e.g. a sign-up form) or SaaS application (e.g. Google Maps or Calendly). Additionally, this gives you the possibility to develop your own live tiles for Workspace 365.


4.2 Social feeds and chat: Social interaction 4.2.1 Social feeds: the collective brain

Using the social feeds, you stimulate collaboration and discover all the hidden knowledge in your organisation.

4.2.2 Teams: speed up communication

Chat, call, share and collaborate. Using Teams in Workspace 365 you can quickly find the chat or documents you need.

4.3 Announcement centre: communicate to your company With the announcement centre, you can target pop-ups and notifications to specific groups or individuals. Additionally, you can provide access to the announcement centre to e.g. a manager, team leader or the internal communication department, allowing them to share important news.


4.4 Contacts: find, call, mail or get directions to any contact Quickly contact people through the sidebar. For this, we synchronise your personal contacts from your own personal Exchange and your global address list.

4.5 Chat bot and support chat: get help on the go Imagine being away from the office and you want to access an application, but it’s not working - where do you go? In many companies, people have to visit their IT-desk or create a support ticket and wait for hours before they are helped. That is why we can integrate a support chat and chat bot.

In the chat tool you can link a knowledge base. That makes it easier for people to quickly search for common problems and questions. If they can’t find their answer, they can simply open the chat and get human-to-human support. You can choose to use this for IT-related questions, however, you can also link other knowledge base articles, e.g. work descriptions.

5. Workspace Management made easy 5.1 Application management for Admins Set up a workspace in minutes. We aim to simplify work for people who manage the workspace. We enable you to create a role- and condition-based workspace that combines all your current and future technologies in one workspace.

5.1.1 Group and User Management

Easily connect Workspace 365 to (Azure) Active Directory to keep all your user-management in one central tool. You can easily create and manage groups, push applications to groups or even send notifications to groups. Furthermore, you can choose to delegate Ownership of a group or application to help admins in creating a valuable workspace.

5.1.2 App Management

To create a secure workspace, it is important to have control over your applications. That is why you can set maintenance windows or conditional access to your applications (described below).

5.2 Application management for Owners Admins can give groups or individual users, such as managers, team leaders or teachers, more control over specific applications and shared tile groups, by making them an Owner. Owners can manage these apps and shared tile groups and make other people Owners as well. This way, teachers can, for instance, manage applications and shared tile groups for their students. The Owner can manage all the apps and shared tile groups of their own teams or departments.

5.3 Application management for Users As a person using Workspace 365, you might want to adjust your workspace. Some people might use specific tools or want to add personal applications as they use the workspace as their starting point for their day. That is why you can enable people to add applications or reorder tile groups.


5.4 Single Sign-On to web- and remote apps To create an adaptive workspace, it’s important to integrate applications that employees use on a daily basis, including web apps and Windows legacy applications. Since in many cases companies already use both solutions, it’s possible to create a hybrid workspace.

5.4.1 One-click access to web applications

Using Single Sign-On, users get access to all their favourite applications with one login and one click. Workspace 365 has linked with multiple Single Sign-On solutions and is constantly reviewing (new) Single Sign-On solutions to integrate.

Currently, most companies use Microsoft Azure, which is linked to their (Azure) Active Directory. However, Workspace 365 also integrates Okta and NetIQ for Single Sign-On. This allows us to connect to more than 5,000 applications. This amount is growing each day. You can access each application in the Azure marketplace with Single Sign-On from Workspace 365. 5.4.2 Windows legacy applications

Within Workspace 365, it’s possible to launch Windows legacy applications with one click through a tile on the home screen. You can do this from the local device itself or by referring to Remote Desktop Web (RDWeb) applications, which can be addressed remotely.

5.5 Conditional Access to Applications For safety reasons, sometimes you don’t want certain applications to be accessible from other networks than your company network or from certain browsers or devices. That is why adaptive workspace administrators now possess conditional access.

With conditional access, you are able to set restrictions on reaching applications in the digital workspace. This way, you make sure that users can’t reach web (SaaS), Citrix, Clientless RDP and Azure applications from certain networks, browsers, operating systems or devices. You can even set conditional access on the use of Office local applications for file server documents.

Consequently, you can prevent people from, for example, opening a patient file outside of the company network or from opening an application that only works in Chrome using Internet Explorer and you can block sensitive information on mobile phones. Workspace 365 helps to better secure information and explains this to the people who need it.

5.6 Maintenance Windows for Applications Sometimes applications require maintenance. This can be a nuisance for the user if they don’t know why they can’t reach the application and when it will be available again. That is why the workspace admin can easily set up a period during which an application cannot be reached. This also shows everyone that the application is unavailable due to maintenance. This saves the admin a lot of questions and emails about application maintenance.


5.7 White label 5.7.1 Partner branding

It is possible for Workspace 365 partners to customise the workspace with their own colours and logo. As a result, the partner finally has the chance to not only offer separate products from other brands, but to offer their own adaptive workspace. In this workspace, they can offer all their services, so the customer knows who they have to contact for new IT services.

5.7.2 Branding for customers

The Workspace 365 partner also has the possibility to offer a workspace in the branding of their customer. Subsequently, employees get a comprehensible adaptive workspace of the company they work for. Also, they can name the workspace and further customise it in the colours and with the logo of the customer.

5.7.3 Multiple branding sets for enterprises

As an enterprise, it is also possible to set multiple branding sets. This allows you to use the branding of each underlying organisation while maintaining one centralised adaptive workspace.


6. Who uses Workspace 365? 6.1 Top Markets Workspace 365 is a solution for any company that needs an adaptive workspace that simplifies work. Companies that use document management, email, intranet, or e.g. multiple applications/portals need a modern workspace. With Workspace 365, they get one login to a workspace that adapts to the persons’ role, device, location, browser, OS and more.

6.2 People who benefit from Workspace 365 We don’t like the term ‘Users’, our aim is to help people to work more easily. Therefore, we would like to describe two types of people who use Workspace 365.

6.2.1 Steady employees

Steady employees mostly work at one location. They use typical business applications like email, calendar, Microsoft Office and besides that, they often also use vertical or function-specific tools (e.g. patient data records or photo editing tools). A few of these products are available in the cloud and a few of them are still operating locally or in a traditional or hosted desktop.

These employees don’t like that they get more and more passwords and portals to look up information. They want structure and simplicity in their application and information landscape. They want one central workspace in which they can access all their tools, and which brings them the information they need to perform.

6.2.2 Frontline workers

The IT-need dramatically increases with Frontline workers. Construction workers, students, salespeople, cleaners, care workers, etc. are on the rise. For these employees, there’s virtually no affordable workspace solution that suffices, because the licence- and hosted desktop costs are too high for this group.

Frontline workers move around and hardly ever use complicated software, or not at all. Nevertheless, they want to be able to view email and schedules, quickly register mileage, chat with colleagues or add new activities. For Frontline Workers, it’s important that information is easily accessible anywhere, at any time, on any device.

As Workspace 365 is an adaptive workspace, it looks at your role and shows you the relevant tools you need at that moment. 7.2 Office 365 licences In coordination with the Workspace 365 partner, you can decide which Office 365 licence(s) best suit your company size and needs. Workspace 365 only requires the admin to have an Office 365 licence, other users can enter the workspace with an Office account. However, to get the most out of Workspace 365, it is recommended to at least support SharePoint and Exchange Online.

This depends on where Workspace 365 is purchased. Generally, all Workspace 365 data is stored in a Dutch data centre. However, it is possible to host Workspace 365 in a country of your choosing. Data (documents and email) for which software like Office 365, Exchange or SharePoint is used, is not stored in our data centre. It depends on the Workspace 365 partner and the licence choice where the documents and email are stored.

4. Do you have an SLA available?

All of our Business Partners have access to an SLA which is made available by New Day at Work.

5. Is it possible to link to other software?

Yes. We’re are a Workspace Aggregator. It is possible to link to web apps, Business Apps and legacy applications. There is also an API available to link to other software. New Day at Work works with several Business Partners to collectively provide these custom connections.
