Applications are invited for the following: Customer Service Clerk Full-Time One (1) Year Term Under the direction of the Clerk, this position is the first point of contact for all in-person enquiries to the Municipal building as well as all incoming telephone calls. This position provides information to the public concerning goods, services, schedules, rates, regulations and policies in response to telephone, e-mail and in-person enquiries. This position is required to operate a multi-line switchboard to direct calls to their destination as well as operate complaint/inquiry management software. MAJOR DUTIES AND RESPONSIBILITIES: Answer a high volume of calls and maintain a rapid response rate according to standards established by the Clerk and CAO. Provide the first point of contact for all in-person traffic, answer inquiries and direct the public to appropriate areas of the Municipality. Maintain detailed and accurate records of all requests and follow up through the Service Request System and Customer Satisfaction Survey System; provide associated reports, and follow-up as required. Coordinate ads to be submitted to the newspaper for “Municipal Messages.”. Operate a variety of standard office machines including a personal computer and a variety of computer software, phone, fax, calculator, shredding machine, and photocopier. Communicate and liaise verbally and in writing between visitors/inquirers and relevant staff, and interpret and respond clearly and effectively to spoken requests over the phone or in person, and to verbal or written instructions. General office duties including typing, copying, fax, and e-mail, providing public information, telephone reception, mail distribution, filing, file coding, sorting of filing, and coding invoices, etc. Assist, as directed, with maintenance of the Municipal website and various documents posted on the website. Maintain and update information on services provided by the Municipality. Assist with administering and maintaining the Municipal telephone system as required (which also includes all Municipal Departments and Facilities) Maintain and inspect monthly the First Aid Kit in the Staff Room of the Municipal Office; restock as required. Administer sign-out/sign-in system for Master Office Key for contractors working in the building.

WORKING CONDITIONS: Working with frequent interruptions.

Work will be performed in an office setting. Need for consistent attention to detail. Required to be able to respond under high volume, intense situations. Commitment to professional development of skills and knowledge necessary for the effective performance

of the role.

SKILLS REQUIRED: Excellent customer service skills and telephone etiquette, ability to remain calm and courteous. Ability to effectively project a strong, positive image of the Municipality. Ability to effectively present information in one-on-one and small group situations to the public.

Ability to work independently and to undertake a variety of tasks and perform them with a minimum of supervision.

Ability to take notes and draft minutes. Familiarity with computer usage, common office software including Word, Excel, PowerPoint, Internet and

e-mail. Familiarity with website administration.

FORMAL EDUCATION REQUIRED: Grade 12 Diploma or equivalent. Some post-secondary training in office, computer applications or reception administration preferred.

EXPERIENCE REQUIRED: Minimum six (6) months to one (1) year related Municipal experience in a customer service environment

with use of communications, computer and business equipment.

RATE OF PAY: $27.84 per hour
