Wow! For many reasons, I was wowed at thisyear's IELA General Assembly in London. In thisday and age of our economic slow down, to bewowed by our traditions, the achievements, thepossibilities, the focus, and the new changes

When I joined the IELA Management, Iwas wowed by the time and energy of ourleaders. Paying homage to our traditions,I would first like to recognize and thank allthe legal board members that have justrecently finished their terms. Since 2004,we were required to arrange thetransition of the Secretariat which at thetime Ruth Meister and Hans Brauchli ran.This was due to their pendingretirements. It has been a long road,nearly five years of planning andovercoming obstacles. With the help ofour Legal Board, their leadership andadvice, we are in our final stages of oursecretariat transition from Switzerland. Iwould like to thank Thierry Demeure,Markus Sprecher and especially HansBrauchli for all their hard work andsacrifice. I especially would like to thankPhil Powell for his chairmanship of IELAthese past two years. He leaves me achallenge to follow in his leadership. Hehas created a very positive environmentfor all of us on the Board, and has focusedus on delivering member benefits.

I am wowed by the achievements wehave today. If you noticed at ourmeeting, we had great things tocelebrate such as the quality ofattendees, the high quality speakers, thenetworking sessions, business to discuss,future opportunities to explore, IELAexcitement, solid association financialresults, a new board of managementand a new legal board, and a sprit of“can do”. Much of this is attributable tomember that have contributed greatlyand especially to our UK secretariat andto our fantastic sponsors. I was sowowed by the level and quality ofsponsors, that I even purchased asponsorship level myself! Greatmomentum we have.

I was wowed because I have seenyour input and your feelings and your

gusto or "joie de vivre" as an IELAmember. Let’s face it, our first day atthe assembly was a heated one andvery difficult. Due to the passion andthe emotions of the legal part of ourassembly, many of you, the members,were very disturbed. Many of youtaught me a new definition to the word"good luck" on our first day, when youwould give me a pat on my shoulderand say good luck ??? Good luck feltlike Good Bye. But, as they say, 85% ofcommunication is from our own bodylanguage and tone. In the daysfollowing, you all have communicatedto me an intense feeling of support,belief and commitment to IELA. Whenat the end of our legal part, I asked allof you to confirm if you supported ourassembly, agreed to the results andwere in agreement with my agendagoing forward. I really appreciate youroverwhelming support andconfirmation. Due to the difficulties ofthe legal part, it could have been an

A MESSAGE FROM THE EXECUTIVEP.S. Next Year’s Congress will be even better!We have been overwhelmed by thefeedback received since the LondonCongress closed. Words such as‘excellent’, ‘fantastic’, ‘brilliant’ and‘best ever’ have been used freely by delegates.

So, what were the ingredients of the success?

Using the analogy of a cake, thebase was provided by the financialgenerosity and the expert guidance ofthe UK hosts. The next vital ingredientwas the support of the many sponsorswho are listed again page 7.

In the middle of the cake was thesweet bit – the variety of locations,attractions and entertainments madepossible by the financial support.

The mixture that made the top layerwas the dynamic and the spiritprovided by 200+ attendees from 46 countries!

The icing was provided by theattention to detail shown by yourExecutive Director Declan Gane, thecreativity of Event Manager SallyJones and the superb support of Anna Guichard.

In truth the cake was nearly ruinedby the contents of the GeneralAssembly. For my part and that ofyour outgoing Chairman Phil Powell, Iwish to state that we hated having tomake the presentations that we made.

The rest, as they say, is history. Thebest description I have heard of thesituation is that IELA was in need of are-birth and, unfortunately, it was apainful one!

So, here’s the conclusion. The Boardof Management and the Executive(ESN) were distracted by the

transition and the election issues forlong periods of time during theCongress. Next year, with fullattention being on the 25th Congress,there is every reason to believe thatParis 2010 can be even better!

Finally, it is not just about theCongress. A new Board dynamic and,thanks to all members who voted atthe GA, IELA is now on the finalstraight for the transition. This meansthat your Board and Executive cannow spend much more time helping,there is so much more that IELA canachieve to help you and your businessin the coming months as we move outof the economic downturn.

Next stop Las Vegas – we hope tosee you there!

option that another “second andexceptional” legal assembly would have beenrequired, but as all of you have given youroverwhelming support for our results, thispotential wasteful exercise is avoided and wecan focus on member benefits instead ofpolitical agendas. I have heard from so manyof you that you accept and embrace thechanges that were and were not discussed.For this I am humbled and thank you.Together, the possibilities and focus are nowon the right road – the members all benefit.

I am wowed because of the new changes,our future IELA Goal is very clear. It isappropriate to quote the English proverbwhich says "If you dam a river it stagnates.Running water is beautiful water." With this,our goal will be to drive and push memberbenefits. We will build upon the fantasticbenefits that our past leaders have deliveredto IELA. We will focus on the membershipqualities and categories that you havediscussed. We will focus on increasedstandards and increased trade between IELAPartners by increase our networking and timeto meet. We will have a better website tocreate efficiencies for all IELA members, wewill expand our contacts with organizers tobring more business to IELA members, we willfocus on white spot countries where we needmembers, we will focus on updating ourcustoms information, a valuable tool for usand our clients. We will focus on training ouroperational staff and giving them anopportunity to build relationships and to bringmore business.

It has been stated by that "our true worthwill be measured by the objects we pursue".We will pursue member benefits for IELA. Wewill focus on the future. In the meantime,embrace the challenges ahead and focus onwhat you are best at!

For many it has already proved to bethe best yet - the record number ofattendees and record temperaturestoo ensured that delegates and theircompanions enjoyed the traditionalmix of business with pleasure. Forthose that missed it, the new-look,four day event opened with aCocktail Reception on Thursday 25thJune at the Radisson SAS PortmanSquare when delegates wereintroduced, many global businesspartners meeting face to face forthe first time.

BUSINESSThe conference opened on Fridaymorning with keynote addressesfrom Simon Burton, managingdirector of Exposure whose ownshow had closed just the nightbefore. Simon spoke on 10 topicsabout development and futurestrategies and tactics in aninteractive presentation that hasalready led to the launch of the IELAFacebook group. He was followedby Brand Events’ Chris Hughes,whose gripping personal story ofhow logistic strategy has now

become an integral part of his eventcreation process went down verywell – after years of ignoring oursector, we are now his ‘best friends.’

Focus moved to internal matters inthe afternoon when after livelydebate, IELA members voted infavour of a Board of ManagementResolution to move from the currentco-operative structure to a new legalstructure. The vote to dissolve thecurrent entity was not carried out.Based on this, a new team has beenformed to clarify and to present to allmembers the new legal structure,which is a UK Limited ByGuarantee Company, new articlesand by laws and the focus is togive all members plenty of time toreview these details for voting atthe 2010 congress in Paris. In theevening the UK Member Hosts,Agility Fairs & Events, CEVAShowfreight, Exhibition Freighting,EF-GSM, GBH ExhibitionForwarding and Schenker UK tookeveryone for a spin on the LondonEye before dinner and dancing whileenjoying a cruise along the Thames.

With members coming from all 46 countries where IELA hasa presence and all but a handful of our 119 membersrepresented at the 24th IELA Congress, the scene was setfor a record breaking event in London in June. Back in thenorthern hemisphere for the first time in three years this2009 turned out to be the biggest ever gathering ofexhibition and event logistics specialists.

PLEASUREThe IELA Congress is renownedfor its successful blend of businesswith pleasure and the second dayalways consists of a ‘Day Out’. Thisyear was no different and on oneof the hottest days ever recordedin London, delegates made theirway on old Routemaster double-deckers to the Old Royal NavalCollege in Greenwich to samplethe delights of a typical ‘EnglishCountry Garden’. With MorrisDancers, England Cricketers and aTug of War competition, there wasplenty of activity for those whowanted to join in, and for thoselooking to lay back and enjoy theentertainment the Falconry Displaywent down a hoot as did theMarching Band. With coconutshies, candyfloss and ice creamthis international audiencereceived a ‘full on’ English Fayreexperience.

Sunday saw delegates back inconference debating topical issuesin breakout sessions including‘IELA - The Mission isRecognition”, “Sustainability - NotWorth the Paper its Written On?”and “Business Plans to Meet theChallenges of an Economic Crisis”.As a truly democratic organisation,members were next presentedwith bids from three cities vying to

host the 2011 IELA Congress andafter a secret vote Seoul, Koreacame out top and will be awonderful new city-host to add toimpressive past list. A final addressby IELA’s new Chairman Greg Kehof TWI Group Inc closed theformal part of congress with a callto all parties to demonstrateresolve, unity and to move forwardtogether for a successful future.

EXCELLENCEThe congress was brought to aclose at the Gala Dinner fittinglyheld in this year celebrating the250th anniversary of the birth ofCharles Darwin, at London’sNatural History Museum. Dining inthe spectacular surroundingsbeneath the famous dinosaur,IELA bestowed HonoraryMembership on Ravinder Sethi, ofRE Rogers India, past chairmanand global face of theorganisation who now joins anexclusive band of industry leaders.

Before the partying began inearnest however, the excellenceawards were presented withtrophies going to SchenkerDeutschland, Hannover, Germanyas best Export Agent 2008 and toR.E. Rogers (Malaysia) as 2008Site Agent winner. Manycongratulations.

Dear IELA members,As you all have heard at ourcongress in London, we havehad a record year in terms ofmembership. We have greatquality new members, we havehad the largest assembly, andwe have a new focus. Duringcongress, we spent timefocused on identifying whatmembers want and it is clearthat we as an association willbe focused on:

• White Spot Areas - A focus onrecruiting members from areaswhere IELA currently does nothave a member.

• Trial, Developmental, orProvisional Membership - Afocus on members who shouldqualify for IELA and how IELAcan enhance their ability andquality and experience.

• Affiliate Membershipcategory - Currently we focusaffiliate membership on samecountry offices. What aboutinternational offices.

During our congress, theMembership Working Group

met separately and alsodiscussed our own focus which isvery clear - it is only quality. Inaddition, we focused on makingsure that we push all membersto our session so that we couldhear from all members, and notjust the loudest members. Wehad a lot of input for sure.During my period as MembershipChairperson, I would like to thankthe hard work of all my groupmembers, the intense andpositive truths / conflict whichthey openly gave, and the strongresults that came from these. Iwould like to thank theSecretariat and Anna Guichardfor their steadfast hard work. I would like to welcome ManuelMazzini and Feras Bensaoud asour new members to our group.Just prior to the congress,Manuel had sent me some veryinteresting questions on histhoughts about the goals andcommitment of this workinggroup. They were verychallenging to me, because thequestions were similar to whatsome of the existing members ofmy group were telling to me.Coming from Manuel, itreinforced that now was the timeto re-evaluate our goal and toget in alignment. I am happythat Manuel will be on the teambecause with conflict based ontruth, we get great results!Thank you Manuel. GettingFeras on our team is a greatachievement also. Feras is a newmember that speaks at least 10more languages than I do. He hasa great perspective on whatmembers want from othermembers. He also isknowledgeable in many of thewhite spot areas and has somegreat ideas already. Perhaps, it istime for a board meeting to be

held in the middle east to exploresome of the white spot areas!Welcomed to our team is VickiBedi. Vicki is passionate about allthings IELA and is also a newmember. His unique drive,passion, and experience in lawand accounting brings a uniqueperspective to our committee.When we talk about qualitymembers, selling to newmembers, recruiting newmembers, these are the thingsthat he is great at and will helpimmensely. I would like to also nowintroduce and congratulate AlanHunter of GBH Forwarding asour new chairperson of theMembership Working Group. Heis perfectly suited to lead ourgroup to its new focus. As acompany owner who has createda transition from hisentrepreneurial ownership to thenew and future management ofhis company, he is well suited tobridge IELA from our tradition,foundation and strength to thechange and new paradigmschallenge our future. The Training Working Groupmet in London during therecent IELA Congress to pushon in its mission to researchand develop educationalavenues for the association andits members. If you would liketo join this group, pleasecontact me or the IELASecretariat. All ideas orsuggestions that would benefitour training activities arealways welcome.

Our discussions in Londoncentred on plans andprogrammes for the 2009 IELAWinter Seminar re-scheduled forNovember 30-December 4, inLas Vegas, USA. It was decidedthat this Winter Seminar willagain follow the same successfulformat of past events. Morethan 25 hours of educational andnetworking content – both inlecture and hands-on workshopsessions – will be provided.Attendance will be limited to just30 students to ensure qualityinteraction among the studentsas well as personal attention

from the presenters during thecourse. These instructors will beselected from the IELAmembership and guest speakerswill be recognized industryprofessionals. Full details will bereleased by the IELA Secretariatin the immediate future, butbelow is a brief preview of theschedule and presentations.

IELA is also holding itsAmericas Regional Chaptermeeting in Las Vegas at the endof the Winter Seminar on

Thursday, December 3. Thisadded event will afford thestudents an excellentopportunity to be a part of theassociation’s typical activities andnetwork with members andindustry professionals alike.

Other Training Group businessinvolved a review of itssponsorship and support of theUniversity of Cologne’sInternational Summer Universityprogram. Working Groupmember, Achim Lotzwick,presents “The Importance ofLogistics to International ShowOrganizers and Exhibitors” to theevent’s attendees. The Universitypostponed this year’s event until2010 and IELA will continue itssupport for this excitingprogramme again next year.

Our Working Group alsocontinues its discussions withUFI about potential programsand/or cooperation in eachother’s educational plans. Asthese develop further, detailswill be announced in future IELA Reports.

Coincidentally, in London, forthe first time in IELA’s 24 yearhistory, it can be said that themajor international Trade FairAssociations and Organisers ofNorth America are linked toIELA; either by activemembership or certainly byreciprocal web links.

We must thank Sandi Trotterof TWI Canada for her work withthe Canadian Association ofExposition Management. Thanksto Rene Carvajal Garcia, NewAge of International Business inMexico, for his contact and IELAlink with AMPROFEC, the MajorTrade Fair Association forOrganizers and Service Providersin Mexico--- this completing thesouthern tier of this connection.

And praise, to the many USAIELA members who established,promoted and maintainrelationships with the likes of theInternational Association ofEvents & Exhibitions, the MajorAmerican Trade ShowOrganizers, the Society ofIndependent Show Organizers,the Exhibition & ConventionExecutives’s Forum, to name a few.

Our new members bringexpertise, ideas and addedenergy to IELA; they compliment our formidablecurrent Working Group.

Ravinder Sethi’s executiveposition with UFI is singular; hisIELA representation thereprominent. The complexion andissues of UFI significantly bear onall of us. UFI’s memberOrganisers, Associations andService providers are legion;they represent a life- line to ourbusiness. Their industry concernsand issues will continue to bereported to us.

Telling the IELA story may saymore about us than our owncompanies. Many of us areregional or, at best, in onecountry. IELA affords many of usa global perspective andrecognition that we might,otherwise, not present.

And, once again, our Missionis Recognition... Our Groupbelieves, fundamental to IELA,there is an abiding belief thatIELA Recognition will createincreasing business for ourAssociation; and then to ourcompanies from the over 1900recorded Global Trade FairOrganisers & Event Producers;and of course, in connection withthese efforts, business from ourfellow IELA members. Directbenefit is not always easily andimmediately documented. But,we do believe our efforts WILLproduce business for ourcompanies because of our IELAassociation and membership. If we don’t believe this, why arewe here?

The IELA Congresses aregreat; the information valuable,the friendships formed andreinforced are worthwhile. Weserve our company’s interest.That’s fine, that’s good and that’sthe way of it. Maybe better, weshould expand and ‘enlighten’our interest to include IELA aspart of our normal salesapproach and message.

In this day of web activity, our competition is no longer a secret.

Phil Powell our recent pastChairman said: “the Challenge isChange”. He’s right. And, thisGroup believes that. With noabiding belief in what thisassociation stands for, thecontinual promotion of businessand upgrading of our Brand andProduct, to change for thebetter, the purpose of our IELAmembership is devalued; itmakes it null. Our Group believeswe have nothing to lose bypromoting our ‘grandassociation’ to one and all. That’sreally the purpose of what wedo. Thanks to all for your efforts!

Moving fast towards theultimate IELA quality……!A great and interestingcongress has come to an end inLondon – with more and morevaluable input from memberswhen it comes to standards,improving performance andtrue quality ambitions.

As mentioned throughout thecongress, the Standards WorkingGroup is about a lot of things –we are about surveys, analysis &action, performanceimprovement, highest quality,reputation in the market, andmuch more. Yet most of all wewant to provide members withuseful tools to make sure thatbeing an IELA agent meansbeing a highly qualified eventslogistics provider, a trustedsource around the world.

On the subject of surveys, wecan clearly say that the numbersof surveys completed hasincreased significantly from 2008to 2009 (more than 20% increasein participation). Unfortunately,not all of the surveys could beused for the final analysis, forreasons explained during thecongress. Let’s be very clear onthis - the surveys are notsupposed to be a marketing tooland to get a sister company onstage at the awards nights…. Thesurveys are tools to be used byyou, the single member, to beable to view your own ratingsand think about those results.

The average ratings for 2009were 5.265 for site agents and5.423 for export agents – checkout your rating on the web andsee how you are placed. Are youclose to the average, above orbelow? This will give you a goodfeeling of what the others thinkof your services. And in turns thiscan help you to see where youare pretty good at already andwhere there may beopportunities for improvement.

It’s only meant to help you –try to check it out and see if it

can be of use for you!Yet…….measuring

performance is one thing – andimproving performance another.

To help members to improveperformance, we want to set upa library of tools which everyonecan use (not a must, justsomething to help you if youwant). In the last few months, wehave already established the IELAquality protocol for site agents aswell as the IELA quality protocolfor export agents, which are kindof “checklists” on quality servicesperformed. We are currentlyworking on a few more formssuch as the commercialinvoice/packing list, returninstructions and pre-advices.

The commercialinvoice/packing list will be up andrunning on the web in the nextfew weeks, and you will receive anotification via IELA news. Thisform in particular could be veryuseful to you, as you candownload it in both excel and pdfversions. The excel version is setup in the way, that figuresautomatically add up (and youcan change formulas if you want).

As many agents – for years – stillhave been using word formatsfor this form in particular, this willmake their lives a lot easier. Sostay tuned and watch out whenthe announcement comes outthrough the IELA news.

Last but not least, theenthusiasm and support for theStandards Working Group hasbeen overwhelming at theLondon congress. I am verypleased to announce that wenow have 10 new members inour group, which is a fantasticresult - he more input frompeople all around the world, the better!

Well, another IELA Congressis over with a lot of crucialmoments and nice memories. Ibelieve it has been a veryefficient congress due to itshigh number of participants andthe delicately plannedorganization. Thanks to theIELA Secretariat and all UKhosts for their great efforts tomake the congress aremarkable one for us.

We also had a very nicemeeting during the congresswhere our Working Groupmembers have found theopportunity to discuss theefficiency of the Customs Formson the IELA web site and otherupcoming projects.

We all agreed on that CustomsForms are very importantmarketing tools for IELA anduseful guidelines for ourmembers. However, the formsshould be more compact,consisting of general informationabout the countries, rather thanhaving specific information whichmay be different for eachmember company. Therefore, theforms will be reviewed and up-dated in shape by 1st October2009 and I must thank SamehGuirguis for volunteering to leadthis important task.

You all know that we havebeen discussing implementing anon-line system to fill-in & up-datethe Customs Forms for a while.We are now one step further andlooking for the most efficient wayto avoid any conflicts anddiscrepancies among the multiplemembers of the same country.We hope to finalise this system

before the end of the year sothat it will be easier foreverybody.

Thanks to all members whosupported us with theirsuggestions and who filled in ourquestionnaire during thecongress and gave back to us.We had some very interestingcomments and suggestions onwhat and how we are expectedto do for the membership. Thosewho could not find theopportunity to give us the filled-in questionnaires, can send them

by e-mail to [email protected] single comment is veryvaluable for us.

We will also look into thepossibility of having a customsworkshop during the WinterSeminar in December throughjoint efforts with the TrainingWorking Group, where we canfind the chance to shareexperiences with the operationspeople and junior staff in ourcompanies.

Another very important taskwe are keen on finalising withinthis year is that, we would like tohave a complete customsclassification of goods for the useof IELA members. Consideringthat finding out the rightclassification for the items weexport and import, consumes alot of time and energy, we arelooking for possibilities ofpurchasing the information andputting on the IELA website.Those who have suggestions onhow we can reach thisinformation, are kindly requestedto contact myself.

And finally I would like tothank members who joinedCustoms Working Group duringcongress. Now we are a largegroup from different regions ofthe world which gives us theconfidence that we can serveyou in a wide range:
