My company has 100 PCs with their Windows Client OS covered with SA, with 300 workers accessing our VDI environment in shifts. At any time, 150 VMs are being accessed using VDI. All usage is within the corporate IT network with no external roaming by users.

Scenario 4 – Occasional Home Users

My company has 100 employees who are the primary users of 100 thin clients covered under Windows VDA at work. These employees occasionally work from home and access the corporate VMs via VDI from their home PCs (employee-owned) not typically used for work purposes.

Scenario

Windows VDA licenses include roaming use rights for the primary user of a device covered under VDA.

Windows License

• All company owned thin clients accessing Office require an Office license.

• For thin clients covered with Office SA, no additional license required for external roaming use – covered under Roaming Use Rights

Office License VDI Suites License

VDI Suite licenses include roaming use rights for the primary user of a device covered under VDA.

• Employee is a primary user of VDA device, each device needs a VDI Suite license (Standard or Premium)

Scenario 5 – Regular/Planned Home Users

Scenario 6 – Roaming Users

My company has 300 users that access our VDI environment via 300 thin clients. These 300 users also need to access their VDI desktops and Office applications from public machines, such as internet kiosks or offsite third party devices.

Scenario

• For 300 thin client devices accessing VDI, 300 Windows VDA licenses are required.

• For VDI devices, Windows VDA has roaming rights for the single primary user. So all devices, such as PCs, outside the network are covered for the 300 users.

Windows License

• No licensing change -All devices accessing Office virtual images must have an equivalent or higher Office edition (through Volume Licensing).

• Office SA includes Roaming Use Rights for the single primary user. All PCs outside the network are covered for the 300 users.

Office License VDI Suites License

VDI Suites are device based, so 300 licenses of VDI Suites (Standard or Premium). VDI Suites also support roaming rights, so no additional licensing for the public machines.

Scenario 7 – Contractor-Owned PCs

My company has 100 contractors who are working for 6 months, and then 100 different contractors are employed for the other 6 months. Each contractor will have one PC (owned by the contractor) to access our corporate VMs via VDI.

Scenario

Each contractor-owned PC will require a Windows VDA license (recommended) or Windows Client OS with SA license, which comes with 90-day reassignment rights.

• For 100 contractor PCs accessing VDI, 100 Windows VDA licenses are required.

Windows License

• All devices accessing Office virtual images must have an equivalent or higher Office edition (through Volume Licensing).

• 100 Office licenses are required. These licenses may be reassigned after 90 days of the last assignment to another set of PCs.

Office License VDI Suites License

Each contractor-owned PC will require a VDI Suite license, which comes with 90-day permanent reassignment rights.

Licensing Contract - Operational DetailsIn order to support the changes made to the licensing of Windows for virtualization and roaming rights, the available Enterprise products changed as follows beginning July 5, 2010:

• Removal of VECD for SA as an optional Enterprise Product (incorporation as an SA Benefit)

• Rebranding of VECD to Windows Virtual Desktop Access (Windows VDA) • Clarification in Product List/PUR to reflect roaming rights vs. Qualified Desktop

Timing of changes: •July 5, 2010:

• Paper Enrollments/Amendments/Std. CPS • E3 – replace VECD with Windows VDA and retire

Licensing Terms and Concepts

Definition of “roaming”Company employees who access their corporate network from outside the network with devices which are not owned or controlled directly or indirectly by the company are roaming. Roaming access can be from any device (PC, thin client, mobile phone, etc.).

Definition of an “affiliate”Any legal entity that a customer owns. Ownership means control of more than 50% interest in that entity. Customers who sign an Volume Licensing agreement enrollment are referred to as an “enrolled affiliate.” An enrollment is an option giving companies flexibility in defining their enterprise. Each enterprise must consist of entire legal entities, not partial entities such as departments, divisions, or business units. Each affiliate must be entirely “in” or entirely “out.”

90 day reassignment ruleBefore you use Office application software under a license, you must assign that license to one device (physical hardware system). That device is the ”licensed device.” You may reassign that license, but not on a short-term basis (i.e., not within 90 days of the last assignment). If you reassign a license, the device to which you reassign the license becomes the new licensed device for that license.

SA coverage for WindowsSoftware Assurance coverage can be purchased for any device which has a Windows qualified operating system base license. Thin clients do not have operating systems installed on them. As a result they can not be covered by Windows Software Assurance.

SA coverage for OfficeSoftware Assurance coverage can be purchased for any device which has a Volume Licensing qualified Office license assigned to them. This can include thin clients as there is no ‘base license’ requirement.
