Our auto enrolment solutionIf using our solution, you’ll have access to a comprehensive auto enrolment system which can:

• Help you manage your auto enrolment tasks and the rules for your scheme.

• Assess your workforce and automatically enrol your workers.

• Automatically produce and deliver all the statutory communications for your scheme.

• Provide online and telephone opt out for your workers.

• Provide online opt in for your workers.

• Keep the required records for your auto enrolment scheme.

• Provide you with a pre-filled certificate to sign if you’re using certification.

• Provide you with information that helps you to complete your declaration of compliance with the Pensions Regulator.

Our communicationsYou can access our range of workplace communication material. Engaging with your workers will raise awareness about the pension plan and the importance of saving for retirement. You can use:

More importantly, to comply with your employer duties, you need to communicate with your workers at certain times. If you use our auto enrolment system, not only will we produce your statutory communications, but we’ll give you a range of options on how they should be delivered. This includes communications relating to:

• Postponement

• The right to join or opt in

• Auto enrolment

• The terms and conditions of your pension scheme

These services are all included as part of our 5 star service so they come at no extra charge.

OUR FIVE STAGE IMPLEMENTATION PROCESSHere at Royal London, we recognise that you need to prepare for auto enrolment and be ready for your automatic enrolment start date, but with minimal impact on your business. That’s why we’ve developed a streamlined, five stage implementation process and will work with you to get your scheme up and running on time.

What can you expect from us? First of all, we’ll appoint a dedicated implementation manager to you who will provide personal support and guidance throughout each stage of the implementation process; emailing relevant material and speaking to you over the phone and through online conference technology. So you can be confident that you always know what needs to be done and when – with someone there to answer any questions you might have.

1. Start implementationTo start your journey, we’ll provide your implementation plan for putting your scheme in place. This will outline the key milestones you need to reach and when you need to reach them. It will also define the key roles and responsibilities for completing each stage.

We’ll help you to do all of this by recording the right information about your business and scheme, and issuing you with a pre-filled scheme application form, including the legal agreements.

By the end of Stage 1, you will have:

• Defined your project team• Understood the implementation process

and implementation plan• Approved your scheme implementation

form including the legal agreements

2. Understand the processesWhen your scheme is up and running, you’ll need to adopt some new processes to keep things moving in the right direction. Before you can do that, you’ll need to understand:

• Your new processes• Your data requirements• The impact on your businessWe’ll help you to understand all of this by providing material on what your new processes might look like and how these will fit alongside your day to day activities. We’ll agree and issue your process guide at the end of your stage 2 meeting, which outlines the steps you need to complete and when you need to do them by.

We’ll then provide you with our data guide so that you can see what data is needed and the format it should be in.

You also need to consider your worker communications and we’ll provide you with examples of these.

By the end of Stage 2, you will:

• Understand your auto enrolment processes and how to get your processes ready

• Be clear on the data we need and when you need to provide it.

3. Get your data readyOnce you understand the data you need to provide, you need to ensure it’s accurate and in the right format. We’ll help you to do this by carrying out tests to make sure everything works as it should.

We’ll provide you with sample data templates which can be used to send us the data for testing and we’ll let you know if

everything is in the right format or if you need to make any changes.

By the end of Stage 3, you will have:

• Given us your data in the right format

• Agreed a process for keeping your data up to date

4. Run your schemeWe’ll provide full training on our auto enrolment system, each time you run a process for the first time. You should review the training material available online beforehand to help you prepare and raise any questions you may have. Your training will include how to:

• Produce your worker communications• Assess your workforce• Deal with workers joining and leaving

your scheme• Process pension contributions

If you’re using certification we’ll give you a pre-filled certificate and we can also give you certain information to help register your scheme with the Pensions Regulator.

By the end of Stage 4, you will:

• Understand how to complete your auto enrolment processes

• Be able to use our online services

5. Complete implementationAfter your scheme is up and running, we’ll arrange a review meeting to make sure you’re happy with what you need to do and everything is working as it should.

We’ll ask for feedback on your experience and review your auto enrolment processes. We’ll then pass all the information about your scheme to your ongoing servicing team and provide you with their contact details.

By the end of Stage 5, you will:

• Be comfortable running your auto enrolment scheme

• Understand who to contact if you have any queries in future
