In our July newsletter we had a “Take Your CEO to Work” survey where we asked members to give us their feedback on what products and services they value, what issues they are facing in the market, and how NNMRLS can improve communication and service. I know it was a little long, but the input of our members is incredibly valuable to us. So valuable, in fact, that when we presented the survey results to the Trustees at the July Board meeting, they voted to give all those who answered the survey (as of the time we printed the survey for the Board meeting packets) the “one month’s MLS fee” prize instead of drawing only one winner. These members have received a $43 credit on their accounts and were notified via email.

Input from our members helps us shape policy and determine our strategy as we move forward with improved products and service. It is vital that the voices of the few not shape the direction of the many, so we ask that you take a few minutes each month to give us your insight. Also, we found that members rely on their Broker/Office Meetings for 71% of their real estate industry information. We hope brokers will share this newsletter at those meetings to help us reach all our members with important MLS related information.
Going forward, each month we plan to ask 5 questions of our members. Those who respond to the survey will be entered into the drawing for one month’s MLS fee(a $43 value). However, from now on, only one winner will be chosen each month. The winner will be drawn approximately 2 weeks after the newsletter is emailed to all members and they will be announced in the following month’s Members Monthly newsletter.

To Show, Contact…Showing options have become more abundant in recent months. NNRMLS, of course, offers the ShowingAssist product as a free service to all our members. Brokerages and agents may have also chosen another showing/scheduling service that suits their own business model. To help make showings easy, NNRMLS will be adding a new field on all property classes. “To Show, Contact…” is a spot to specify the name and exact phone number or e-mail address of the person, office, or service to contact for showings. This is a required field, so please keep these changes in mind when sending status change forms. NNRMLS will not be able to process a status change form without the answer to this new field.
Additional Photos in ParagonPhotos are just as import to tell the story of a property as the data fields. So we are also excited to inform you that the photo count will be increased from 9 to 13 photos. You will soon be able to better illustrate your property with photos. The new photos will be available immediately via the redesigned MLS All Fields report (detailed below) and the picture slideshow. NNRMLS will be modifying additional reports to accommodate the increase in photos. As always, at least one photo is required for all listings.
New All Fields ReportYou will also see a new MLS All Fields report debut on the same day the new fields are added to Paragon. The new MLS All Fields report still holds all of the available fields regarding a listing, but in an easier to read format.

Don’t worry, we have not lost any of the great features; like the quick action links to other features and programs, have been retained. And please remember the MLS All Fields report is for use by NNRMLS members only; please do not distribute the MLS All Fields report to clients, banks/servicers, or flyer boxes.

MLS Versus Franchise Feeds
Two of the largest sources of listing distribution are the MLSs and the real estate franchises. In many cases, listings are sent from franchise back-end systems in parallel with the MLSs syndication via ListHub - with franchise feeds generally trumping MLS feeds. Occasionally, this results in confusion for the brokers/agents and fragmented opportunities for the brokers and agents to get a handle on the resulting numbers and metrics from their listing syndication.
NNRMLS is working with ListHub to minimize this duplication. ListHub sees this as an opportunity to take a big step forward toward cleaning up the duplication mess.
ListHub will soon be announcing “Go-Live” dates with several major real estate franchises/brands. Immediately after launch with each brand, we will be notifying registered ListHub brokers across the nation within those brands how they can consolidate their syndication. Each broker will be able to make the decision to turn off one source of syndication or the other, or even maintain two different accounts that accomplish different goals.
The target date for the first set of messaging is the week of July 19, 2010.

Area-Wide Open House is Sunday, August 8th!
It’s this weekend, August 8th! Over 190 Open House listings were sent to the local newspapers on Tuesday for the Saturday printing of their Open House sections. Historically, we can expect many more homes to be added to the Open House website between now and Saturday.
NNRMLS has placed online and print advertising in RGJ and Sierra Media Group Newspapers (The Real Estate Source, Tahoe Daily Tribune, and The Record-Courier) and we have included our TV commercial on Channels 2 and 4 and it was translated into Spanish to be shown on Univision- Channel 27. NNRMLS President, Sherrie Cartinella, appeared on the July 31st edition of The House Detective to promote the event.
We invite offices to join in with as much gusto as possible. We can provide the We Open Doors icon to be added to your website with a link to the interactive open house map and we can provide whatever information you deem helpful in promoting your listings in this Event. We have purple, blue and green balloons you can pick-up at our office in Reno or the SNAR office in Carson. The public will look for these balloons when looking for open houses.
With improved functionality of the Open House section of our public website, as well as ease for our members to add/remove properties via direct access through Listing Maintenance in Paragon, we know this will be the most successful Area Wide Open House Event so far. Open House Theft AlertAs reported in the Reno/Sparks Association Newsletter, RSAR has received an alert from a member of a drug theft at a Pleasant Valley open house. The person in question is described as a white male, 5’8”, medium brown collar length hair combed back, medium build, mid 30’s, and “lots of teeth”. He was driving a 1996–1997 Dodge either blue or green full-size truck with a matching camper shell. Any suspicious activity should be reported to the local police. Remember to tell your sellers to place all valuables and prescription drugs in a safe and secure location. As we go into our Area Wide Open House weekend, stay vigilant! Let’s make this event a total success.

...important NNRMLS accounting dates
The Dates to Remember
No, not your first high school date or college proms, or even your anniversary dates – though they are nice to remember - but NNRMLS accounting dates.
28th of the month – billing date for the next month’s MLS services
15th of the month - monthly MLS fees are due.
15th of the next month – the date delinquent accounts are suspended (and the $50 reactivate fee is added.) Members are given 45 days to avoid a suspension. Example: So, if we bill you on June 28th, your invoice is due on the 15th of July but is not delinquent until the 15th of August. (Well, Monday the 16th of August this year, because we will never suspend before the 15th or on a Friday and leave our member without services over the weekend.)
5th of the month – warning statements sent to those members who are in danger of becoming delinquent on the 15th. A few days later (if we have not had any response from the member) we send a copy of the reminder to the broker. On the 15th we also send a quick reminder to pay by 5pm.
1st through the 5th of the month – charge the credit cards of members signed up for the Auto-Pay Program. All members receive an invoice sent on the 28th of the month, even those on the auto-pay program. It is a great idea to check your account each month to be sure that your account has been charged correctly and paid through your credit card. Also, please let us know if you have a new expiration date or card number to avoid any difficulty with your account balance.
28th of the next month – billing date for MLS fees. Please remember that if you remain delinquent on this date your monthly MLS fees will be billed to your broker and you
will become a suspended Non-Member. (A Non-Member cannot have listings, therefore, the listings of a suspended Non-Member are transferred into the Broker’s name.)
NNRMLS billing is sent via email unless the member has requested a
paper statement ($2 per month fee). Bills are sent from [email protected]. If you are
not receiving these notices, check your junk or spam folder, they are most likely in these folders and can be fixed quickly to go to your inbox in the future.

In May, NNRMLS began working with Fannie Mae to launch the Short Sale Assistance Desk. As you know, the Assistance Desk offers an escalation process which may help facilitate and streamline the short sale process and assist in closing short sales. The desk focuses on assisting in cases of non-responsiveness from servicers, or where the mortgage insurer or second lien holder has imposed a closing condition that is not possible for the borrower to meet.
The Short Sale Assistance Desk has helped many members get their transactions back on track. We are proud of the commitment we have made and of the positive result of the program. We are pleased to announce that, after some evaluation, Fannie Mae has adapted their submission guidelines to better serve members and sellers. The timeframes before escalation can commence have been decreased.
Submission Guidelines (as of Wednesday, August 4, 2010)
• Real estate professional must first make a reasonable effort to resolve the issue by working through the servicer.
• Real estate professional may submit the case in the event the servicer has not provided:
• an initial response within 20 days, • a final property valuation within 30 days, • a final decision or specific direction to facilitate a decision within 60 days from the original offer submission date, • or, if the real estate professional has received an approval from the servicer for the transaction, but either the mortgage insurer or second lien holder has imposed a closing condition that is not possible for the borrower to meet.

Did you know that NNRMLS allows an Assistant to Have a Lockbox Key?
It’s true! If you have an assistant they can be assigned an assistants key. NNRMLS now allows a member to lease a Supra lockbox key specially programmed to access the shackle to allow the assistant to add and remove boxes from the employing member’s listings.
To obtain an AssistantKey the member must provide proof of a $10,000 Fidelity Bond in the employees name and renew yearly. For your convenience we have an application from The Hartford and have negotiated a annual premium of $100. However, members are welcome to obtain the $10,000 Crime Shield Policy from the company of your choice.
Also required is a newly executed Key Agreement signed by the member and the member’s broker of record, an executed
AssistantKey Addendum must accompany the new key agreement and must
also be signed by the employing
member, broker and employee. The full AssistantKey Packet is available from your local association or on our website http://members.nnrmls.com under resources. The
AssistantKeys can be leased at your local association and current lease fees will apply. Monthly fee is $17 and will be billed to the employing member.
As always, members and their assistants are subject to the Rules and Regulations and Policies of NNRMLS. An AssistantKey will only open the shackle; the key will not
allow access to properties. If the member’s Key Agreement or AssistantKey Addendum is violated, the employing member will be subject to a Level 4 Automatic Citation of $2500 and a hearing for Unauthorized Access.

Since getting rid of the tokens and the implementation of Scout and Sentry for SafeMLS we are able to track unauthorized access to the MLS. Therefore it is more important than ever that NNRMLS has accurate information regarding who is logging into the system.
Registration for a personal assistant, office assistant, or Appraiser Intern is required but simple. Simply complete the Limited Subscriber Staff ID Form. The form can be found in Paragon in MLS documents in the file folder entitled NNRMLS Policy (top file folder in right hand column).
• If your personal assistant only works for you and needs to be able to maintain your listings the level of access would be multi-login. The Scout system will authorize a second profile for your specific login account.
• If your assistant only does searches and no data entry then a level 3 access is recommended.
• If you have an office assistant that enters listings for everyone in the office then a Level 5 or 6 is recommended, Level 6 is for offices that have branches.
• If you are an appraiser and you wish to register your assistant or if you have an intern please complete the section specifically for interns.
The fees for a new personal assistant, office assistant or intern are as follows:
• $50 security assessment (one time fee)• $25 set up fee (one time fee)• $5 per month (per assistant, billed to employing member)
• If the assistant is licensed and already paying MLS fees, the Assistant fee is $20 per year.• Record Update – No charge
There is no charge to update a staff change for your assistant; simply complete the Limited Subscriber form with the new employee’s name and mark “update.” Also, if you let your employee go, please notify NNRMLS as soon as possible. Not only will we inactivate that assistant’s access to MLS, we will discontinue billing. Until we are notified, we will continue to bill the $5 per month fee.
If a member has a personal assistant that is not registered with NNRMLS or replaces a staff member without notifying NNRMLS of the change, the Scout system will alert NNRMLS of Unauthorized Access and the employing member will be in violation of Section 6.9 of the NNRMLS Policy Manual for Unauthorized Access to the MLS system which carries a $2500 fine.

NNRMLS is pleased to announce the GeoJet Version 4 update is in place.
GeoJet is a free service from NNRMLS to all of our members. GeoJet is an e-mapping product that combines MLS information with County Tax information for a specific property. GeoJet gives you the ability to pull tax information, aerial photos, flood maps, and much more about a specific property either from the MLS listing itself or by querying an address search right in the GeoJet program. GeoJet also gives you the ability to pull comps, print mailing labels, and access demographic reports.
GeoJet representatives are hosting webinars to introduce members to the new user interface of Version 4. We will also have Hands On and Online training classes through NNRMLS University.

Learn all aspects of entering a listing into the Paragon system. Increase your awareness of the requirements to avoid citations. Learn how to add photos and how to maintain a listing once it’s entered. Prerequisite: None
Build a CMA package through Paragon that includes cover letters, resumes, multiple formats for comparables, the ability to add a subject property and more. Prerequisite: MLS 201 or 3 months use
Learn how to maximize and use all of the mapping features of Paragon, including map searching, Geojet, Re-geocoding and more.
Study Hall classes are 1-hour sessions where you control the content of what is taught. Stop by to get help with a quick question or stay for the whole hour - the choice is yours!
Our MLS classes are taught in the state-of-the-art computer training lab at the Northern Nevada Regional MLS offices at 5650 Riggins Court, Reno. A $25 “No-Show” fee will be billed to your account if a cancellation is not received 24 hours in advance.

In our recent survey when asked “What specific challenges are you facing in the real estate market today?” almost 40% answered the biggest challenge was dealing with a lack of professionalism among fellow agents. This was a write in answer, and not one we would have even thought to list had we set that question up as a multiple choice.
But, we receive many letters each month like the one below. So, now seems like a good time to remind members of the golden rule: “Whatsoever ye would that others should do to you, do ye even so to them” (taken from the NAR Code of Ethics preamble).
Also included in the NAR Code of Ethics preamble, “The term REALTOR® has come to connote competency, fairness, and high integrity resulting from adherence to a lofty ideal of moral conduct in business relations. No inducement of profit and no instructions from clients ever can justify departure from this ideal.” The Code of Ethics is a part of your membership as a REALTOR® through your local Association, but it translates into the MLS as well. We hope this small message will remind all our members of the importance of professionalism, not only toward the consumer, but toward your fellow agents, as well.

The technology has brought us a long way, now it’s our turn to get the most out of it.
In our recent survey, we found that 74% of those members who answered carry a Smartphone. This seems to correlate with the national average for real estate professionals. Smartphones play a significant role in real estate transactions. They can be used to send emails to clients, take pictures of the property or even sign the contracts. Agents spend a lot of time driving their clients to see properties. On many occasions they come across a listing that isn’t included in the list of properties to see, so the agent might not know any specifics about the property.
To assist the agents in this matter, NNRMLS has a product called Paragon Wi-Fi. It can be accessed from any mobile device with an Internet connection (not only Smartphones) and it enables an agent to look up any active listings that are on Paragon. This is a completely free service to our members and it’s a great service to use when you are on the go with clients and don’t have access to an office computer or your laptop.
Using Paragon Wi-Fi you can do an address search, MLS listing number search or a custom search to quickly pull-up pertinent information about a particular listing. It doesn’t have an elegant user interface, but it will give the info you need.
