Audio: To learn how to create a work breakdown structure, let’s look at a really simple example.

Visual: Zoom into title slide.

Audio: We’re going to create a WBS for your client.... Sound: Maria saying “Pleased to meet you!” in background.

Visual: Cut to female client (Maria) and Larry greeting each other.

Audio: ...who is feeling a little hungry....

Sounds: Stomach rumbling, both gasp.

Visual: Maria’s stomach growls, both are surprised.

Audio: ... who wants a peanut butter and jelly sandwich for lunch with a glass of milk.

Visual: Figures move apart and share thought balloon show-ing peanut butter and jelly sandwich and glass of milk.

Audio: Step 1 – Determine the project deliverables. Remem-ber that your entire scope should be encompassed by your list of deliverables.

Visual: Cut to Larry who considers copy as it fades in.

Audio: So, for this project, there are two: a peanut butter and jelly sandwich…

Sound: Zooming sound.

Visual: Glass of milk zooms in from stage left.

Audio: Next, divide your deliverables into tasks.

Visual: New copy fades in.

Audio: Use an action verb to describe the activity.

Sound: Different sound for each word that appears (like notes on a scale...)

Visual: Different words fade in at different times.

Audio: For our first deliverable, the peanut butter and jelly sandwich...

Visual: Cut to WBS chart.

Audio: ...the sub tasks might be to gather resources and make the sandwich.

Visual: “Gather resources” and “Make sandwich” fade in under “Peanut bitter and jelly sandwich”.

04a 04b 04c-f

Audio: For the second deliverable, you may break it down into “get a glass”, “get the milk” and “pour the milk.”

Visual: Sections of chart fade in as per audio.

Audio: Now your ready for step three, dividing the work into sub tasks. Let’s look at the first deliverable,

Visual: Cut to Larry considering new heading.

Audio: “Peanut butter and jelly sandwich.”

Visual: Cut to chart highlighting the above.

Audio: The first tasks is to gather resources.

Visual: Zoom in and highlight “Gather resources”.

Audio: Can you break that down farther? If you think about what resources are needed to make a peanut butter and jelly sandwich...

Sound: Sound effect for question mark.

Visual: Question mark fades in over “Gather resources”.

Audio: you could group the resources in two areas: grocer-ies and utensils. So, the sub tasks are, “Get groceries” and “Gather utensils.”

Visual: Zoom out and “Get groceries” and “gather utensils.” fade in.

06c 06d 07a

Audio: Next, let’s ask the subdividing questions: Can you divide this into two or more sub tasks?

Visual: Cut to WBS Checklist: Get Groceries. Box and first question fade in.

Audio: Though there are multiple groceries you will need, they aren’t really sub tasks so, we’ll answer “no.”

Sound: Scratchy pencil sound.

Visual: “N” appears in box.

Audio: an you accurately estimate the resources you’ll need to perform the task?

Visual: Second box and question fades in and image changes.

Audio: Yes! Bread, peanut butter, and jelly

Sound: Scratchy pencil sound.

Visual: “Y” appears in second box.

Audio: Can you accurately estimate how long it will take you to complete the task?

Visual: Third box and question fades in and image changes.

Audio: Hmmm…probably, all of the resources are in the refrigerator so, it might take 2 minutes to complete. So, let’s say yes.

Sound: Scratchy pencil sound.

Visual: “Y” appears in third box.

Audio: Hmmm. Maybe, they’ll need the list so, let’s answer no…

Sound: Scratchy pencil sound.

Visual: “N” appears in box.

Audio: … and subdivide into “get bread,” “get peanut butter,” and “get jelly.”

Audio: This is where conversation, asking great questions, and active listening comes into play.

Visual: Cut to Larry and Maria both thinking about the pea-nut butter and jelly sandwich.

Audio: Frequent dialogue with your client will help you understand your client’s needs. Let’s say that through asking great questions...

Sound: Charlie Brown’s teacher talking (male version.)

Visual: Word balloon for Larry fades in.

Audio: ...you learn that your client likes the jelly and peanut butter mixed together. Great!

Sound: Charlie Brown’s teacher talking (female version.)

Visual: Word balloon for Maria fades in.

Audio: But the resources for option 2 look a bit different than those in option 1. For Option 2, you’ll need a small bowl and a tablespoon added to the “gather resources” task.

Visual: Cut to WBS chart and section mentioned above fades in.

Audio: Now, let’s look at the second deliverable and tasks.

Visual: Zoom in on”Glass of Milk”.

Audio: All right. Now, let’s step back and see if our WBS cov-ers everything.

Visual: Cut to entire WBS chart so far.

Audio: It looks like we will have a big mess in the kitchen if we leave it just like this...

Visual: Cut to messy kitchen.

Audio: let’s add another deliverable: Clean up. Can you di-vide this into two or more sub tasks? Yes, we could include:#1. Wash dishes.#2. Dry dishes.#3. Put dishes away.#4. Return jelly, peanut butter, and milk to the refrigerator.

Visual: “Clean Up” appears and each sub task appears as it is mentioned above. (This should have been broken down into 5 individual storyboard slides.)

Audio: Let’s revisit the questions: Can you divide this into two or more sub tasks?

Visual: Cut to WBS Checklist: Clean Up. Box and first ques-tion fade in.

Audio: Now, looking at our WBS again, let see if we can coordinate anything. I think we can.

Visual: Cut to complete WBS chart.

Audio: We could combine refrigerator trips for tasks 1 and 2 into one trip. You might show that on your WBS like this.

Visual: Red circles appear as shown.

Audio: This was a really simple example of developing tasks and the work breakdown structure...

Sound: Kitchen sounds of dishes clinking.

Visual: Cut to Larry making sandwich.

Audio: ... but, hopefully you can see how the process works...
