Minutes of the Florida’s Suwannee River Valley Marketing Group meeting held on Wednesday, July 27, 2016,
9:00 a.m., at the Wellborn Community Association Building, 1340 8th Ave., Wellborn, FL.
Call to Order:
Greg Scott called the meeting to order at 9:12 a.m.
Welcome, Roll Call and Introductions:
Members present were: Greg Scott (SC), Teena Peavey (SOSMP), Paula Vann (CCTDC), Cody Gray (CCTDC), and Rod
Butler (Holiday Inn LC). Jennifer Hand (HC) arrived at approximately 9:45 a.m. . There were no members absent. A
quorum was present. Partners present were Andrea Thomas (SFSP), Amy Conyers (LBSSP), Jennifer Miller (SRWT),
Don Cadmus (Camping World), and Jimmy Johnson (Bienville).
Approval of Minutes:
A motion was made, by Paula Vann, second by Cody Gray, to approve the meeting minutes as presented. The
motion was approved.
Calendar of Events:
Paula Vann asked everyone to check to make sure they are receiving the calendar of events. She said it is sent out
every month and if anyone is not receiving it please let us know so the email can be added.
DEO Grants 2017:
Paula Vann reported that Columbia County approved the $35,000 for FSRV’s DEO Grant 2017 and she said the
request letters will be sent out to Hamilton and Suwannee Counties in the next few weeks. Paula asked everyone to
think about what they want to do for 2017 so we can get a list together by the next meeting and a final list by
October.
Current DEO Grant:
Strategic Plan
Paula Vann talked about the strategic plan having $10,700 to use and there are two options to choose from. She
said VisitFL has a co‐op program partner who writes strategic plans for $2,800 where they do a workshop with us
and write the strategic plan for us while letting us make it our own. Paula said the other consultant option is quite a
bit more money where the company comes in and spends a day in each county to create a mini plan for each
county and then one large cohesive plan for the tri‐county group. A discussion was had by the group about the
different options for a strategic plan consultant. Paula told the group that the other side of choosing a consultant is
the bid side of it. She said there are two processes to choose from, a summary of qualifications or a request for
proposal. Paula went over the differences between the two bid choices and the group decided to go with the
summary of qualifications bid process to choose a consultant.
Project Process
Paula Vann went over what the process is for doing the DEO projects. She described what is involved with doing the
purchasing process through the Columbia County TDC to pay for each project. Paula told the group that after
everything has been completed all of the documentation can then be submitted to DEO for reimbursement.
Updates
Greg Scott went through each DEO project and the group discussed all the updates for each one.
The group approved and made motions for the projects that required approval at this meeting.
Springs Brochure ‐ A motion was made, by Paula Vann, second by Cody Gray, to approve the springs brochure
pending minor changes. The motion was approved.
Phone App ‐ A motion was made, by Cody Gray, second by Rod Butler, to move forward with the presentation from
Guidebook on the phone app for FSRV. The motion was approved.
Boat Ramps, Fishing, Q&A Brochure – 10,000 copies ‐ A motion was made, by Paula Vann, second by Cody Gray, to
approve the Boat Ramps, Fishing, Q&A Brochure pending the quantity and the vendor. The motion was approved.
Billboards on I‐75 and I‐10 ‐ A motion was made, by Teena Peavey, second by Cody Gray, to approve the picture
known as option two and send it to DEO for approval. The motion was approved. After the motion was approved
a discussion was had between several members and partners of the group about the graphics on the pictures not
showing up on the digital billboard. This resulted in a new motion being approved after the discussion.
A motion was made, by Paula Vann, second by Cody Gray, to approve the new layout to be emailed out this week
for approved via email by the group and the remainder of the pictures for the year will be approved at the next
meeting. The motion was approved.

Adjournment:
There being no additional business to be brought before the board at this time, the meeting was adjourned at
11:02am. The next meeting will be held at 9:00am August 24th in Hamilton County.

Scope of Work
Vendor is requested to submit printing prices (including a minimum of 2 proofing rounds of full‐production proofs) for the 2017 Florida Suwannee River Vacation Guide. Details for each publication include:
50,000 pieces of a catalog (48 pages total, including cover)
Advertising:
There are no exclusions on the types of businesses that can advertise in the publication, but are subject to review and approval by the Columbia County TDC director. Rates should remain at the 2016
payment of the Visitors Guide.
Visitor Guide rate. Full‐page ads at $1,500 each, back cover $2,000, half‐page ads at $900 each, quarter‐page ads at $600 each and a smaller sized/priced ad can be offered. Also, provide information on any advertising income rebate you propose to pay to the Columbia County TDC. A complete list of advertisers and their rates is required to accompany the invoice when submitted for

All efforts will be made to adhere to agreed upon submission/deadline dates. Additional fees may not be charged to the Columbia County TDC if the project is under or over deadline.
