We have a range of stylish and elegant rooms to suit weddings of all sizes, tastes and budgets,
catering for intimate weddings of 30, larger weddings of 150 and for spectacular weddings of up
to 700 in our auditorium.

(a) Under the Club Licensing Act it is required that our facilities are
booked by a member of Port Panthers on behalf of a member attending
the function. If there is not a member of the Club in your organisation
please speak with our Port Panthers Meetings and Events Co-ordinator.
E V E N T S W I T H M I N O R S A S G U E S T S
(a) Guests under the age of 18 must be accompanied by an adult or
guardian at all times while on club premises.
(b) It is against the law to supply minors with alcohol.
(c) Under the Registered Club Act 1976 and Gaming Act 2001 any
person under the age of 18 is prohibited to be in a part of the club
defined in the Act as a Bar or Gaming Machine Area.
E V E N T C O N F I R M AT I O N
(a) Your booking will be confirmed on receipt of the deposit which is
required 10 full working days after making a tenative booking.
(b) If your deposit is not received within 10 full working days your booking
will be released for resale.
(c) By payment of your deposit you have agreed to these terms and
conditions.
(d) All prices are inclusive of GST
V E N U E A L LO C AT I O N
(a) Function rooms are allocated for a 5 hour period Monday to Saturday,
and a 4 hour period Sundays and public holidays. Clients must vacate
the venue within 15 minutes of the allocated finishing time. Beverage
purchases will cease 15 minutes prior to allocated finishing time.
(b) Meeting venues are allocated as follows: Day use - 8.30am to
5.00pm. Evening use - 6.00pm to 12 midnight.
(c) We reserve the right to re-allocate function rooms and spaced due to
circumstances beyond our control. If final numbers change significantly
from those advised we may substitute a more appropriate room of
choice.
(d) If an event continues after the designated finishing time labour
charges may apply. The charge is $75.00 per hour or part thereof.
(e) Port Panthers is a non-smoking venue, and function rooms are no
exception to the rule. There are balconies and terraces outside the Club
where smoking is permitted.
G U A R A N T E E D M I N I M U M C AT E R I N G N U M B E R S
(a) Guaranteed minimum numbers for catering are required three full
working days prior to the first day of the event. Minimum charges will
be based on these numbers. Additional labour fees may be charged for
smaller functions.
(b) Once catering numbers are confirmed, you must pay for this amount
as catering is organised to accommodate confirmed catering numbers.
M E N U S E L E C T I O N
(a) Written confirmation of menu and wine selection is required 20 full
working days prior to the first day of your event.
(b) Changes to menu and wine selection will only be accepted 10 full
working days prior to the event.
(c) For changes outside these guidelines the client will be required to pay
for any costs that Port Panthers have incurred in pre-ordering food.
(d) If the numbers increase within 3 full working days of the event, Port
Panthers cannot guarantee the same menu and wine selection will be
served to additional attendees.
(e) No food or beverage may be brought onto the premises of Port
Panthers; this excludes celebration cakes.
C AT E R E D F U N C T I O N S
(a) A minimum of 35 adult guests is required to book a private function
(b) Food payment - full amount of the functions catering and beverage
package is required withing three full working days of the function;
however the account may be paid in advance by installments.
(c) Beverage payment - full payment for beverages is required at the
conclusion of the event. All dry tills must also be paid at the conclusion of
the event.
(d) Entertainment booked by the client - full descriptions of all
entertainment must be made available to Port Panthers prior to that
entertainment commencing. Port Panthers reserve the right to cancel
or amend any entertainment if it deems to be dangerous or offensive
to members, guests, staff or neighbours. Set-up is required to be
completed one hour prior to the commencement of the function. Decibel
levels must not exceed 95dB inside the room.
VA R I AT I O N
(a) Port Panthers will charge an additional 15% loading on all catered
functions booked on Sundays and 35% loading to all catered functions
booked on public holidays.
(b) Prices are correct at time of printing but are subject to change based
on prevailing market conditions.
(c) To avoid price increases, Port Panthers reserves the right to substitute
a suitable alternate food item.
(d) While every effort is made to accurately describe facilities and
offerings at Port Panthers, some variation may occur.
I N S U R A N C E
(a) Port Panthers accepts no responsibility for damages or loss of
merchandise or any property left on the premises.
(b) The responsibility of arranging insurance lies with the function
organiser.
T H I R D PA R T Y P R O V I D O R S
(a) Clients must provide certificates of currency for public liability
insurance for any third party providor attending the event on the clients’
behalf. A third party providor is considered to be any other business entity
contracted directly by the client to provide the goods and services at the
event. This includes, but is not limited to, Entertainment providers such
as soloists, duo’s, trio’s, bands or any other live entertainment.
D A M A G E
(a) Clients are financially responsible for any damage sustained to Port
Panthers property, or equipment hired on behalf of the client during the
event.
(b) Display material must not be nailed, stapled or glued to any part of the
building or venues.
(c) Please consult the Functions Co-ordinator regarding any display
requirements.
S E C U R I T Y
(a) Any events where security is required will be contracted by Port
Panthers, the costs of which will be borne by the client.
(b) If Port Panthers believes that a function will adverseley affect the
operations, security or reputation of our establishment, we reserve the
right to cancel the function without liability.
