WELCOMEThe Events team at Orange Ex-Services’ Club want to create the wedding you’ve been dreaming of. From all-inclusive accommodation, ceremony & reception options to a casual cocktail hour, we have a

variety of menus and venues to bring your vision to life.

One of Orange’s most versatile venues, the Orange Ex-Services’ Club features four spaces suitable for your celebrations. Our Wedding Coordinators will work with you and your ideas to find the most appropriate space. We are happy to work with your selected florists, stylists & suppliers to ensure a smooth setup and pack down process.

The dedicated Chef team have created a diverse and delicious menu to indulge in, from canapes and cocktail bites to an elegant four course

meal.

Our 4 ½ star Motel, Mercure Orange, is located on site at the Orange Ex-Services’ Club and features 77 rooms and complimentary parking. As part of the Orange Ex Services Club complex, guests can enjoy the convenience of staying onsite, conveniently located in the heart of our

‘Colour City’.

floorplan, table cutlery, crockery, white linen napkins, use of the fireplace, mic & lectern and cleaning fees. You are

welcome to access your ceremony and/or reception space from 10am the morning of your wedding. Access the evening

prior may be accommodated, pending availability.

Wedding Receptions are a maximum 6hrs in duration, with the latest finish time of midnight.

THE GREENHOUSE FUNCTION ROOM

A buffet menu selection may reduce the capacity of the space. Please note that the round wooden tables cannot be removed from the room and seat a maximum

of 10 guests per table.

Boasting purpose-made solid wood banquet tables, brass fixtures, a feature granite fireplace and private courtyard, The Greenhouse Function Room is a stylish, modern option for both your ceremony and reception celebrations. This space can be accessed directly from both the Orange Ex-Services’ Club and The Greenhouse of Orange

precincts and is located on the first floor.

We have several wedding party table options, including our luxe marble table set, sweetheart table options and large table options,

as well as various floorplan suggestions to include a dancefloor.

DJ’s or bands are welcome, or you can bring your own device to plug into our in-built speaker system. Please note this AV system requires an AUX input and is located behind the bar. A microphone & lectern will be provided for your MC and speeches, as well as a housekeeping sheet with important notes for your MC to mention at

the start of your formalities.

The flexible foyer area can be customised to serve as an arrival room, with gift tables and seating charts for your guests use, a feature dining area for our impressive Grazing Harvest Table or an intimate

dancefloor space.

The Greenhouse Function Room has a private bar available for your guests, with beverage package and dry till options, both showcasing the best of local wines. Bathrooms and a smoking area are also

available.

Pending availability, Coral Sea Auditorium can be extended back further to include the Tobruk Borneo room. Please ask your Wedding Coordinator for more information on increased capacities. A buffet menu selection may

reduce the capacity of the space to accommodate our chef team setup.

The Coral Sea Auditorium is a large ballroom, ready for you to add your personal touches and exciting ideas. Featuring a large stage and parquetry dancefloor, the Auditorium is perfect for a live band or DJ, as well as large projector screens to display any special memories. This space can be directly accessed from the Orange Ex-Services’ Club front or back reception and is

located on the first floor.

The Auditorium can cater for a large number of guests on various floorplans, including round or long banquet tables, with the potential to include the adjoining Tobruk Borneo room. The options are endless when it comes to your wedding party table,

including straight, u-shaped or sweetheart tables.

TOBRUK BORNEO One of our more intimate rooms, the Tobruk Borneo room is ideal for an

intimate function.

Featuring a private bar and parquetry dancefloor, The Tobruk Borneo is an ideal space for intimate weddings.

Our wedding party table can accommodate a group of up to 10 guests and the room is perfect for an acoustic entertainer.

A microphone & lectern will be provided for your MC and speeches, as well as a housekeeping sheet with important notes for your MC to mention at the start of your formalities.

The Tobruk Borneo has a private bar available for your guests, with beverage package and dry till options, both showcasing the best of local wines. There are private bathrooms available,

the Orange Ex-Services’ Country Club Marquee.

The Country Club Marquee is a true blank canvas for you to make your own.

Our wedding party table can accommodate a group of up to 10 guests and includes power to accommodate a small band or DJ.

A microphone & lectern will be provided for your MC and speeches, as well as a housekeeping sheet with important notes for your MC to mention at the start of your formalities.

STYLINGOrange Ex-Services Club Functions team has a range of styling options available, however you are

welcome to style your function yourself, or hire an external decorator. All bump in bump out times are at the discretion of your Wedding Coordinator. All external contractors must present a public liability certificate of currency. All decorations must be taken off the tables at the end of the night but can be

stored for collection by 12pm the following day.

MUSIC & ENTERTAINMENTWe are able to accommodate a band, acoustic artist or DJ. All artists will be required to bring their

own sound and lighting equipment, subject to approval by your event coordinator. We require a public liability certificate of currency for all contractors.

DISABLED ACCESS From our car park through to the function room, all of our facilities have disabled access, including an elevator and disabled bathrooms. Please note our accessible bathrooms may not be located in the

bathrooms closest to your event space.

PARKINGThe Orange Ex-Services Club features a complimentary multi-level on-site car park for all of our guests.

ACCESS TIMES You are welcome to access your ceremony and/or reception space from 10am the morning of your

wedding. Access the evening prior may be accommodated, pending availability.

WEATHER In the event of wet weather, The Orange Ex-Services’ Club reserves the right to move all outdoor

bookings indoors, or to cancel /reschedule the event. Please see your Wedding Coordinator for more information.

CHILDREN & MINORSThe Orange Ex-Services’ Club is a family friendly venue and we can accommodate

children in any of our function venues. Children are not permitted in the bar area of the function rooms. Functions determined high risk via a security personnel checklist may

incur additional restrictions to minors.

CANCELLATIONSBookings are confirmed when a signed event run sheet and deposit payment have

been acknowledged by our functions department. All deposits are non-refundable. Any functions cancelled within 10 days of the event date will be charged the full event fee,

including but not limited to food and beverage.

FINAL NUMBERS All menu selections and catering times are to be provided to your Wedding Coordinator

1 month prior to your wedding date to allow for accurate rostering. Final numbers for catering must be advised 10 days prior to the date of your function, including any dietary

requirements or allergies. Failure to advise any changes in numbers after this time will result in the last numbers advised to be catered and charged for.

FINAL APPOINTMENT Your Wedding Coordinator will organise a final appointment the week of your wedding to check final details and to introduce you to our Functions Team Leader who will be taking care of you & your guests on the big day. Please ensure your floorplan is finalised for this

appointment, including where any of your dietary guests and children are sitting.

BEVERAGE BYONo alcohol is permitted to be brought to your pre-wedding room, ceremony or reception

space. This includes, but is not limited to, gifts, prizes or left-over beverages from your photo sessions. Our front door reception staff are able to store any of these items for

collection at the end of the evening.

SECURITY PERSONNEL CHECKLISTAll events held at Orange Ex-Services Club are subject to a Security Personnel Checklist

which your Wedding Coordinator will complete on your behalf. The results of the checklist will determine the potential RSA controls to be applied to your event.

BOOKINGS

1.0 Tentative bookings will be held for no longer than ten (10) days. We reserve the right to remove, cancel or release the booking without further notice if confirmation has been made. Do not hesitate to contact your Event Coordinator if you require more time.

1.1 A booking is confirmed when you have signed & returned the Event Booking Agreement to your Event Coordinator, and the non-refundable room hire deposit has been received. By signing the Event Booking Agreement, you are confirming you have read and acknowledged the Terms & Conditions.

1.2 Your Event Coordinator may conduct a Security Personnel Determination Checklist prior to confirmation of your event. Based on the outcomes of this checklist, additional RSA controls may be enforced, including additional security fees and bar limitations.

1.3 If you have or will be applying for a ClubGRANT, your deposit is still required to confirm your booking. If a ClubGRANT is approved, it will be donated back to your organization or charity via cheque once the final balance of your account has been paid.

1.4 The Orange Ex-Services’ Club will accept cancellations in writing only, room hire deposits are non-refundable.

1.5 All events cancelled within ten (10) calendar days of the event date will be required to make full payment for the booking, including, but not limited to, catering and equipment costs as per the Event Booking Agreement.

1.6 All social/wedding event organizers must be a member of the Orange Ex-Services’ Club.

CATERING

2.0 Final catering numbers are due, in writing, no later than ten (10) days prior to the event date. If no updates have been received by the Event Coordinator, events will be catered and set up as per the details on the Event Booking Agreement ten (10) days prior.

2.1 Dietary requirements and children’s meals can be accommodated and are due, in writing, no later than ten (10) days prior.

2.2 Final catering times and menu item selections are due, in writing, no later than twenty-one (21) days prior to your event date. Any bookings made within this time frame are requested to advise of all catering options and timings at time of making the tentative booking.

2.3 All catering times are subject to Event Coordinator and Chef discretion. The Orange Ex-Services’ Club reserves the right to amend, change or alter requested catering times either in advance or during the event, with notice to the Event Booking or Site Contact.

2.4 Any unconsumed goods remain the property of the Orange Ex-Services Club and are not permitted to be removed from the premises. This excludes a celebration cake provided by the customer.

2.5 The Orange Ex-Services Club does not permit outside catering to be provided for any event. This includes but is not limited to lolly buffets, nibbles and dietary meals. Celebratory cakes may be brought into a function; however, these must be provided by a certified professional.

2.6 A 20% surcharge will apply to any function requesting a menu with lower than the minimum guest numbers listed.

TERMS & CONDITIONS

BEVERAGE

3.0 No BYO beverage is permitted on Orange Ex-Services’ Club premises. Any guests found with BYO products will be asked to leave the venue.

3.1 Orange Ex-Services’ Club prides itself on its relationship with our suppliers and cannot accommodate custom beer or wine supplier requests. Please see your Event Coordinator for a full list of our current beverage offers.

3.2 Menu items are subject to change without notice

3.3 Should you wish to add a Dry Till (Bar Tab) to your event, you must provide our bar staff with a drivers license and credit card, and full payment is to be made on the evening.

3.4 Beverage facilities must cease thirty (30) minutes prior to your event closing time.

3.5 The Orange Ex-Services’ Club upholds RSA practices and is a member of the Orange Liquor Accord

3.6 The Orange Ex-Services’ Club reserves the right to cease and close beverage operations without liability

PRICING

4.0 Prices are quoted in Australian Dollars ($ AU) and include GST

4.1 Pricing is subject to change at the discretion of Club Management, without notice.

4.2 Events held on Sundays will incur an additional 25% surcharge on catering & beverage

4.3 Events held on a Public Holiday will incur an additional 50% surcharge on catering & beverage

4.4 The Orange Ex-Services’ reserves the right to charge an additional cleaning or damage fee for items not permitted in function rooms. These items include but are not limited to glitters, table scatters, open flames, sparklers, party poppers. This fee will also be charged if any items are taped, blu tacked or pinned to walls within the function space.

PAYMENT TERMS & METHODS

5.0 All events are to be paid in full no later than ten (10) days prior to your event.

5.1 Any post event payment adjustments will be settled within ten (10) days of your event.

5.2 The Orange Ex-Services’ Club reserves the right to cancel an event if these payment terms are not met, however special circumstances can be requested and must be approved in writing by Club Management.

5.3 If you default in making payment and recovery/legal action is undertaken, you will be responsible for all expenses in relation to the collection of the outstanding amount including but not limited to all charges and fees, legal costs on an indemnity bases and disbursements.

5.4 Payment can be made by Cash, EFTPOS, Credit Card or Direct Deposit. Please include your Event Number as a reference for all payments.

INSURANCE & LIABILITY

6.1 Orange Ex-Services’ Club accepts no responsibility for damage, loss of merchandise, personal affects or articles left on premises before, during or after an event. This includes any item delivered and handled by our stores team.

6.2 Prior consent must be obtained for any and all external contractors engaged for your event. These contractors must present a current Certificate of Currency for Public Liability Insurance. Contractors include but are not limited to bands, DJ’s, stylists and AV professionals.

6.3 All contractors are required to sign in as a contractor each time they attend the venue in regard to your event, including prior setup

6.4 Guests are asked to leave the venue in a quiet and orderly manner

6.5 The customer is responsible for the removal of all personal effects and equipment from the venue within 48 hours. We cannot guarantee the storage of items.

6.6 Customers are financially liable for any damage or loss sustained to Club property. Nothing is to be nailed, screwed, stapled, taped or adhered to any wall, door or surface on Club property, without prior written consent from Club Management.

6.7 All electrical equipment and leads must be tested and tagged in accordance with Australian standards.

6.8 All decisions regarding inclement weather will be made at Club Managements discretion. Any events booked in outdoor areas do so at their own risk. Every effort will be made to accommodate an outside event booking in an indoor space; however, this is not guaranteed.

6.9 All function spaces are non-smoking. The Greenhouse Private Function room has a designated smoking area for guests who are in an event in that space. All other event guests are to utilize the Ground Floor smoking area or Greenhouse public smoking area.

CLUB SIGN IN

7.0 Event guests who live outside a 5km radius of the Club will be asked to show valid ID at reception and sign in as a temporary member.

7.1 Event guests who live within a 5km radius of the Club are required to sign in as a member, a guest of a member or may be signed in under a Function Authority.

7.2 Event guests signed in under a Function Authority are only permitted within the designated function area for the duration of their attendance at our venue. Please note that a function authority cannot be extended to guests attending events in our Pergola, Gazebo, Wine Bar, Greenhouse Restaurant or Lounge areas.

ADVERTISING

8.0 Orange Ex-Services’ Club reserves the right to request a copy of any advertisement prior to print or promotion and reserves the right to refuse, remove or take necessary action should the advertisement for your event not be reasonable or within the Clubs guidelines.

8.1 Any advertising for events which include catering must not have the tickets or registration closing date listed as within 7 days of the event date.
