General Wedding Policies

Availability

Daytime events may be scheduled between 10:00am – 4:00pm. Evening events may be scheduled between

6:00pm – 12:00 midnight. Hours are subject to hotel’s space availability and may be flexible. In the event that

the room is required for more than six hour time frame, there will be an additional room charge of $300.00 per

hour. Access to your function room prior to the schedule event time for the purpose of decorating must be

arranged prior to event date. Access is subject to availability and may incur an additional charge.

Non-Refundable Deposits

A Non-Refundable Deposit is required to confirm reservations on a definite basis this deposit will be 20% of

your estimated total, Final payment is required 14 business days prior to your event. Payment can be made on

any schedule as long as final payment is paid 14 day prior; if final payment is by method of check it must be paid

an additional 10 day’s early (24 days prior to event). A credit card will be required to book your event and will

be used as a backup method of payment.

Menu Planning

Current prices are indicated on the enclosed menus and are subject to change due to market fluctuations.

Confirmed prices will be quoted thirty (30) days prior to the function. For the best service, we suggest that you

select one entrée for your entire group. However, if more than one selection is required, the final price per

person will be based on the higher priced item. Final meal selection and event planning is required thirty (30)

days prior to you scheduled event. No food or beverage, alcoholic or otherwise, shall be brought into the hotel

premises by the patron or attendees from the outside sources without special permission of the hotel. The hotel

reserves the right to impose charges for such services. Complimentary food tasting will be scheduled 2 months

prior to the event date and will include two salad options & choice of three entrees. Hors d’Oeuvres will not be

available for tasting.

Guarantees

Your Catering Manager will determine your group minimum revenue guarantee at the time of the event

booking. This will be considered your minimum financial guarantee, not subject to reduction, for which you will

be charged, should less attend. Your actual attendance must be confirmed three (3) business days in advance by

12:00 noon. With the exceptions of buffets, the hotel will be prepared to serve 3% over this figure.

Labor Charges

A $95.00 Bartender Fee will applicable per host/no-host bar. The bar will also incur a $150.00 bar set up fee;

should you have more than 1 bar the minimum will be waived but set up and bartender fees will be charged. ,

Last minute changes may be subject to incur a labor fee of $75.00

Decorations

All decorations incorporating candles must meet with the approval of both the Catering Department and the

Santa Ana Fire Department Safety Codes. Use of fog machines or open flames is not permitted. The use of

confetti, birdseed, rice, or anything of this nature is not permitted on hotel property. Any questionable

decorations must be approved by the Catering Department.

Service Charge & State Sales Tax

All food, hosted beverage and additional labor and audio-visual prices are subject to a 22% service charge and

applicable state sales tax. The 22% service charge is subject to state sales tax (California State Board of

Equalization Regulation No. 1603).-

Removal of Food or Drinks-

Removal of food or beverages from the hotel ballroom premises is not permitted; nor can food be packaged

“to-go” or be reheated/ served at another time then during meal service. There may be certain exceptions to this

and they will be based on a case-by-case basis pending approval of the Food and beverage director and a

waivee must be filled out.
