Job Purpose

To support the Leisure & Sport Services department in delivering its service by providing administration duties, customer service, updating information and organisation of the office.

Job Dimensions

The postholder will be required to work the occasional evening or to support LSS events, and attend meetings to take the minutes.

Responsible to the Assistant Chief Leisure and Sport Officer for the provision of administrative duties, customer service, updating information and organization of the office.

Main Duties and Responsibilities

Provides a hospitable, polite and responsive reception/public information point, dealing with customer compliments, comments and complaints (in person, by phone, email or in writing) following corporate guidelines, staff and others. Acts as a first point of contact for enquiries to the Leisure & Sports Services office.

Receives and filters incoming telephone calls redirecting queries as appropriate.

Uses IT and keyboard skills for word processing, spreadsheets and database work. Responsible for compiling statistics for reports on service performance and prepares and maintains mailing and distribution lists as required.

Responsible for taking, preparing and distributing minutes of meetings as necessary.

Receives all timesheets, overtime sheets, checks for certification, complete timesheet spreadsheet and pass to the appropriate section.

Maintains petty cash records and float; undertakes banking and collection of cash, cheques and pdq receipts as required. Controlling cash and credit card receipts, ensuring they are safeguarded, that cash is banked and that C&D returns and other documentation is completed and checked before submission.

Undertakes general administration duties; such as general photocopying duties, post and booking meeting and training facilities and attending as required.

Ensures that all departmental administrative and financial policies and procedures are adhered to. Where appropriate update.

Responsible for undertaking the Health & Safety inspections and risk assessments for the Sport & Physical Activity Development team as necessary, also carrying out hazard control checks in own office area.

Responsible for creating, maintaining and developing a customer enquiries spreadsheet, passing enquiries to appropriate officers and distribute literature as necessary.

Maintains a procedural ‘handbook’ for administrative duties. Responsible for adherence to the Council’s Equal Opportunities policies in person and by

telephone, in a helpful and courteous manner. Responsible for the evaluation, implementation and compliance with Health & Safety

legislation, to ensure safe working practices of all staff, public and contactors in his/her working environment, in accordance with the Council and departmental safety arrangements, policies and codes.

Be the administrative support for the Enable training and development group, including taking minutes, creating surveys, updating the matrix, informing management of potential group courses, prompting training feedback etc.

Fire Marshal for the office. Responsible for the management of interns, apprentices, volunteers and work

experience students, meeting with them to discuss work plan and objectives and assisting them as required.

Assist with leading on an online booking facility for all Leisure and Sport Service programmes, planning the project, and rolling out training to officers as required.

Be aware of any sensitive information held by your section and ensure adherence to the council information security policies and the requirements of ISO 27001.

Where required complete any other duties needed to support all teams within Enable Leisure and Sport.
