Membership Department

The purpose of the department is to retain, develop and grow the membership of WAGGGS in line with strategic goals. The department will manage productive relationships and targeted services for MOs based on a deep understanding of their needs, and to actively support volunteer engagement across the entire organisation. The department will work closely with Global Programmes who lead on the design of programmes and specialist support.

The department is made up of four distinct teams:

The role of the Volunteer Engagement team is to manage and coordinate the recruitment, development and deployment of volunteers involved in WAGGGS committees, working groups and programme development and delivery to maximise their engagement and impact. This team will be the point of contact for all volunteers and it will coordinate the recruitment and engagement of volunteers, place then in appropriate roles and deal with any management issues etc. This team will also work closely with the Corporate Services department and events team to support the effective operation of the regional committees, including the organisation of the triennial Regional Conferences and regional representation at the triennial World Conference.

What we are looking forThe purpose of the Volunteer Engagement Manager role is to support WAGGGS relationships with volunteer committees, working groups and especially the Regional Committees in order to maximise their engagement and impact across the organisation.  You will manage the relationships with selected working groups and committees, ensuring groups and individuals are supported and act as a conduit for sharing knowledge between these groups and the wider organisation.

One of the key responsibilities of this role is to coordinate WAGGGS support to the regional committees including the organisation of Regional Committee meetings and triennial Regional Conferences. You will have a proven track record of your ability and resilience to operate with a demanding and politically challenging workload and to effectively balance competing demands.

French and Arabic language skills are essential to this role.

Job PurposeSupport WAGGGS relationships with volunteer committees, working groups and programme development / delivery to maximise their engagement and impact. To work with the wider Membership Department and Programme managers to understand the neeeds of volunteer’s Member Organizations in order to assist in the targeting of programmes and services.

This role operates within the context of a volunteer led global charitable organisation with 146 Member Organisations.

Key AccountabilitiesSupport the effective operation of the regional committees, including with the organisation of the triennial Regional Conferences and regional representation at the triennial World Conference (linking closely to events and governance teams as required).

Identify opportuntities for other teams to contribute where this can benefit Member Organisation and support WAGGGS strategies

Collate information for regional committees meetings, carrying out research into items, producing reports and briefing papers and seeking appropriate information and context from other departments.

Manage the relationships with selected working groups and operational volunteer groups, ensuring groups are supported and act as a conduit for sharing knowledge between these groups and wider organisation.

Be the main point of contact for volunteers and resolve day-to-day queries and management issues.

Support recruitment and engagement of volunteers, with specific responsibility for certain task groups.

Develop workplans with volunteers to set out key deliverables and timescales for relevant groups. Monitor and report on progress identifying risks and opportunities around engagement.

Work with teams across the organisation to ensure delivery and that volunteers receive tailored support appropriate to their Memebership Organisation needs. Volunteers should positive experiences that reflect well on WAGGGS and provide value for their member organisations.

Essential Desirable

Qualifications/ experience

Educated to degree level or equivalent.

Experience of working with volunteer groups or similar stakeholders.

Experience of working in NGOs or international cause-based membership organisations,

Skills/ knowledge

Proven ability and resilience to operate with a demanding and politically challenging workload, and to effectively balance competing demands.

Ability to communicate effectively in writing with all stakeholders – reports, support materials, correspondence, and committee proposals.

Excellent verbal communication skills including presentation skills.

Ability to solve problems quickly and sensitively and find new solutions.

Excellent administration and planning skills, including meeting preparation & minute taking.

Effective problem solving skills.

Ability to multi-task and prioritise workload.

Excellent computer literacy, including MS Office, PowerPoint, Excel, Word, Outlook and Internet applications.

Able to maintain confidentiality and understand sensitivities.

What we offer you

Salary £31,431 per annum

Location World Bureau, 12c Lyndhurst Road, London, NW3 5PQ

Contract Term Permanent contract

Working Hours 35 hours per week.

Probationary Period 6 months.

Annual Leave 26 days per annum, plus statutory bank holidays.

Group Life Scheme Immediate membership of scheme which provides insurance cover of four times annual salary in the event of death in service.

Pension Group Stakeholder Pension Plan: Employer’s contribution of 8%, employee’s contribution of 5%. Employees will be eligible for employer’s contribution on successful completion of probation period
