General Conference Support Team (GCST)Job Description

Job Title: General Conference Support Team ChairReports To: SECOFLSA Status: Volunteer*Prepared By: Special Events/Conference DirectorPrepared Date: November 2014

SUMMARY

The Chair is responsible for overall organization and oversight of each committee within the GCST. She will be organized, punctual, discerning, compassionate, and have plenty of time available to dedicate to a very demanding position. Her overall demeanor will have a great effect on the GCST as a whole, and therefore must be a woman of great character and righteous influence.

RECRUITMENT:

The Chair is recruited by SECO.

DUTIES AND RESPONSIBILITIES

1. Serves as leader and member of the GCET and attends all meetings.2. Solicit help from nearby Area Leadership Team Presidents as soon as possible.3. Recruit chair and co-chair for each committee.4. Instruct each committee chair in her responsibilities.5. Plan and conduct monthly GCST Meetings.6. Attend all combined GCST and SECO Meetings.7. Report periodically by phone, mail and or/email to SECO on the GCST progress.8. Keep written details of all communication with SECO, Headquarters Staff and business personnel for records.9. After receiving approval from SECO, make contact with Aglow’s assigned staff person at the CVB or hotels as

needed.10. Assist SECO with all needs during conference.11. Submit any bills, receipts, evaluations, and required written reports.

QUALIFICATIONS

1. Must have knowledge of the Aglow ministry to include history, mission and mandates.2. Must be an experienced communicator (verbal and written).3. Excellent organizational skills.4. Ability to lead, organize and motivate a volunteer work force.5. Ability to work well with others and complement co-chair’s skills.6. Must have adequate time to donate to carrying out details.7. Experienced Microsoft Office (Word and Excel) user and email savvy with an email account.8. Must live in the same general area of the conference.

General Conference Support Team (GCST)Job Description

Job Title: General Conference Support Team Co-ChairReports To: General Conference Support Team ChairFLSA Status: Volunteer*Prepared By: Special Events/Conference DirectorPrepared Date: November 2014

SUMMARY

The Co-Chair works in direct contact with the GCST Chair. As one of the Chair’s two co-chairs, she is to help with many of the duties, relational and administrative. Her ability to provide a second opinion and work in unity with the Chair will be pivotal to a successful GCST.

RECRUITMENT:

The Co-Chair is recruited by the GCST Chair, with final approval given by SECO.

DUTIES AND RESPONSIBILITIES

1. Serves as member of the GCET and attends all meetings.2. Assist GCST Chair in recruiting volunteers for each committee of the GCST.3. Assist GCST Chair in instructing volunteers in their duties and responsibilities.4. Help Chair plan and conduct monthly GCST Meetings.5. Attend all combined GCST and SECO Meetings.6. SUMMARY

The Administrative Co-Chair facilitates communication. Her gifts and talents in the areas of organization, note taking and letter writing as well as paying attention to details are priceless to the General Conference Chair (GCC) and the General Conference Support Team as a whole.

RECRUITMENT:

The Administrative Co-Chair is recruited by the GCST Chair, with final approval given by SECO.

DUTIES AND RESPONSIBILITIES

1. Serves as a member of the GCET and attends all meetings.2. Attend all GCST Meetings.3. Attend all combined GCST and SECO Meetings.4. Work closely with the GCC and Co-Chair administratively assisting them and the GCST before, during and

after conference.5. Facilitate GCST communication.6. Record and distribute minutes of all the meetings.7. Maintain and distribute GCST rosters.8. Provide SECO with a simple snapshot of each committee chair and co-chair. 9. Submit any bills, receipts, evaluations, and required written reports.

SUMMARY:

The chair and co-chair recruit, schedule, and train volunteers. Members of this committee serve as greeters for those traveling by air. This is a very important role since some of our attendees may not be experienced travelers. Be the first to hug, bless and greet our Aglow Int’l women from all over the world!

RECRUITMENT:

Airport Committee Chair and Co-Chair are recruited by the GCST Executive Team, with final approval given by SECO.

DUTIES AND RESPONSIBILITIES

SUMMARY:

The chair and co-chair recruit and supervise volunteers in creating and assembling decorations for SECO designated food functions.

RECRUITMENT:

Banquet Committee Chair and Co-Chair are recruited by the GCST Executive Team, with final approval given by SECO.

DUTIES AND RESPONSIBILITIES:

1. Attend all GCST Meetings.2. Attend all combined GCST and SECO Meetings.3. Visit the banquet facilities with the GCST.4. Develop and submit a decoration plan to SECO, who gives final approval.5. Submit suggestions for and execute approved plans for decorating SECO assigned food function tables

The chair and co-chair recruit, schedule, and train volunteers who will publicize the conference in and around the conference city and state.

RECRUITMENT:

The GCST Executive Team will nominate individuals to serve as Chair and/or Co-Chair of the Publicity Committee. SECO will conduct interviews and make the final decision.

DUTIES AND REQUIREMENTS

The chair and co-chair of the Conference Systems Equipment and Support Committee recruit, train, and schedule volunteers to assist our non-English speaking guests by distributing radios and keeping them operational by trouble shooting when necessary.

RECRUITMENT:

The Conference Systems Equipment and Support Committee Chair and Co-Chair are recruited by the GCST Executive Team, with final approval given by SECO.

DUTIES AND REQUIREMENTS

1. Attend all GCST Meetings.2. Attend all combined GCST and SECO Meetings.3. Responsible for the sale of radios to attendees requiring interpretation.4. Train attendees to use radios.5. The chair and co-chair serve as treasurers giving financial oversight for all GCST funds. They also recruit, schedule, and train volunteers to assist representatives from Aglow during conference.

RECRUITMENT:

Finance Committee Chair and Co-Chair are recruited by the GCST Executive Team, with final approval given by SECO.

DUTIES AND RESPONSIBILITIES:

1. Attend all GCST Meetings.2. Attend all combined GCST and SECO Meetings.3. Serve as GCST Treasurer.4. Assist Aglow staff with counting, sorting, and securing conference funds. 5. Recruit volunteers to staff Aglow’s Product Table in the Marketplace.6. Submit any bills with receipts, evaluations, and required written reports.7. After conference close checking account, and forward any remaining funds to SECO.

QUALIFICATIONS

Devise a plan to decorate the Gift to the City booth.5. Work with the selected charity to develop a plan for gift pick up during conference.6. Prepare a three ring binder for each conference hotel containing information about the specific hotel.5. Coordinate the decor of hospitality tables with SECO. The chair and co-chair recruit, schedule, and train volunteers to man Aglow’s conference information center. In addition they also oversee lost and found operations.

RECRUITMENT:

Information/Lost and Found Committee Chair and Co-Chair are recruited by the GCST Executive Team, with final approval given by SECO.

DUTIES AND REQUIREMENTS

1. Attend all GCST Meetings.2. Attend all combined GCST and SECO Meetings.3. Visit the convention center, hotels and any other meeting facilities with the GCST.4. Gather pertinent information pertaining to the conference, the city, hotels, etc.5. Organize information gathered so that it is easy for volunteers to access.6. Develop a system of storage and retrieval for lost and found items.7. Serves as a communication hub utilizing radios and telephones.8. Submit any bills with receipts, evaluations, and required written reports to the GCC.
