+Purpose

The purpose to this report is to provide recommendations for how Tallahassee Web Development should deal with their current issues. The work detailed in this report will also be counted as course credit for the course: Technical Communication for Information Professions (LIS3021) under the instruction and supervision of both our professor, Dr. Howard Rodriguez-Mori, and his assistant, Theodore Milas.

One of the main issues that Tallahassee Web Development faces is communication and it’s effectiveness in the company especially as it grows. TWD also lacks contemporary and effective technology, which could hinder the project team’s efficiency and quality of work. These are very important issues that need to be remedied because of the long-term effect it could have on the company.

Ways to make communication in the organization more effective:

• Assigning a "go to" persono This "go to" person will be the one that will

communicate any information to the  other groups "go to" person and receive information from the other group as well.

o Information can  be sent quickly through text, phone call, or email on the business phones we recommended for each employee.

• Also, when teams are geographically dispersed groups can do effective brainstorming with each other by doing live web conferences on the MacBook Pro.

Another way that communication can be more effective is by assigning a "note taker"o During group meetings, this individual will be in charge of keeping

up to date on their projects by taking good notes that clearly defined different roles, issues that might need to be solved, progress of the project, etc.

o These notes can be passed up to the owners. The owners will know in great detail and be able to keep track of the different groups.

One good way to cut down on expenses and provide better customer support is through a VoIP phone system.

A business VoIP system does take time and patience to adapt to.

Employees need to be trained very well on the numbers of options, features and benefits the phone system provides.

Different vendors will offer free trial periods where businesses can test the product and determine whether or not it is appropriate for them to use permanently.

This is a method for knowing how employees are making the transition over to the new system.

Time and attendance software is an absolute must for keeping track of employees.

A good time and attendance system can modify errors and also prevent manipulation of the employee time log system.

The technology and complexity of these systems has become much more advanced over time and requires employers to properly train staff to use them properly.

When implementing the new system speak with vendors about their customer service.

Having a vendor acknowledge your particular industry and any required specifications can show more legitimacy for employees to use.

The transition to new office systems can be very smooth if the vendor is willing to explain the various options and features the system has with you.

The vendor you choose should be willing to answer all questions in the early stage and provide a customer service hotline to do so.
