Overview of WBS Chart Pro

What is WBS Chart Pro?

WBS Chart Pro is a Windows-based project management software application that is used tocreate and display projects using a Work Breakdown Structure (WBS) chart.

WBS Chart Pro can be used for project planningAs a planning tool, you can use WBS Chart Pro to quickly sketch a project plan on the screenusing a “Top-Down” approach. Define Phases (Summary Tasks) and Subtasks with a c lick ofthe mouse. Double-click a task to add schedule information like Duration, Start Date, FinishDate, Cost, Work, etc… WBS Chart Pro automatically rolls up the core task data to eachsummary level of the project.

WBS charts can be displayed in many different styles and colors. An example of a WBS chart isshown below:

Plans created in WBS Chart Pro can be maintained and managed separately, or transferred toMicrosoft Project or any program that can read the “MPX” Microsoft Project file format.

WBS Chart Pro can be used with Microsoft ProjectWBS Chart Pro can be used to generate WBS charts directly from existing Microsoft Projectfiles. WBS Chart Pro uses the Outline created in Microsoft Project to generate a hierarchicalview of the data. A WBS toolbar button is installed into Microsoft Project for easy transfer ofdata. As you organize and change your project in Microsoft Project using the outliningfeatures, a WBS chart of that data is only a button away.

When you create a WBS chart of an existing Microsoft Project plan, all c hanges made in theWBS chart are immediately reflected in the Microsoft Project plan. You canadd/delete/reorganize/update your Microsoft Project plan using the WBS chart. WBS Chart Procontains a seamless integration with Microsoft Project to exchange data between the twoprograms.

Additionally, WBS charts can be created first in WBS Chart Pro and then transferred direc tly toMicrosoft Project. When a WBS chart is transferred to Microsoft Project, all of the task andresource information entered into the WBS chart is automatically transferred to MicrosoftProject where additional scheduling can be performed.

What is a WBS chart?

A Work Breakdown Structure (WBS) chart is a way of organizing a project into varying levelsof detail using a hierarchical diagram. The traditional Work Breakdown Structure chart displaysvarying levels of detail starting with the highest or broadest at the top. Then, each phase orcomponent of the project is defined at subsequent levels until the appropriate level of detail isachieved. WBS codes are used to label and identify the different levels of the hierarchy.Usually, the highest level summary is labeled 1, the second level 1.1, 1.2, 1.3, the third level1.1.1, 1.1.2, 1.1.3, and so on. The following diagram is an example of WBS codes.

In Microsoft Project, this effect is achieved by creating Sum mary Tasks or "Indenting" Tasks inthe Gantt chart to show the different levels of detail in a project. By creating a Sum mary Taskyou are specifying that the summary is a higher level than the tasks below it. Inform ation isrolled up to this summary level.

Installation and Configuration

System Requirements

WBS Chart Pro is a Windows based project planning software application. WBS Chart Pro canbe used as a standalone project planning tool or as an add-on to Microsoft Project.

WBS Chart Pro is compatible, and integrates seamlessly, with the followingversions of Microsoft Project:

Installing on a Local PC

WBS Chart Pro can be used as a standalone project planning tool or it can be used withMicrosoft Project.

To use WBS Chart Pro as a standalone software application if you do not have MicrosoftProject, run Setup and select "Do not Modify Microsoft Project" when prompted. Onceinstalled, WBS Chart Pro can be started by selecting the Start Menu-Program s-WBS Chart Proor by double-clicking on the WBS Chart Pro shortcut on your desktop if you chose to add this.

To install WBS Chart Pro and configure WBS Chart Pro to work with Microsoft Project, run Setup and select "Modify Microsoft Project" when prompted. Once installed with theMicrosoft Project option, you can start WBS Chart Pro by itself using the above-m entionedtechniques or you can start Microsoft Project and select the WBS Chart Pro toolbar buttonwithin Microsoft Project to create a WBS chart of the current Microsoft Project plan.

There is no difference between the above two installations other than the fact that a WBSChart Pro Toolbar button is installed into Microsoft Project if you choose the second option. Youdo not need Microsoft Project to run WBS Chart Pro.

If you have installed the demo version of WBS Chart Pro and have a Product ID, you can turnthe demo into the full version using this ID. To activate the full version go to the Help-AboutWBS Chart Pro menu, select Register and enter the Produc t ID.

Installing WBS Chart Pro on a Network

WBS Chart Pro Licensing for Network Use

WBS Chart Pro utilizes “named user” licensing and not “concurrent user” network licensing.This means that each user who accesses WBS Chart Pro on a network must have a license. Forexample, if you have 10 people who need to use the version of WBS Chart Pro on yournetwork you must have a 10 User Network License. User licenses can be transferred. If a userno longer accesses WBS Chart Pro on the network they can be replaced by another user.

Installing WBS Chart Pro on your Network

1. Install WBS Chart Pro into a directory on the Network. Enter the Product ID whenprompted during setup.

2. Assign each user, up to the total number of licenses purchased, access to theNetwork directory where WBS Chart Pro was installed.

3. The first time each user starts the program it will be in Demo mode until the ProductID is entered. To enter the Product ID, start WBS Chart Pro, go to the Help-AboutWBS Chart Pro menu, select Register and enter the Product ID provided.

Configuring the Network version of Microsoft Project for use with WBS Chart Pro

Configuring Microsoft Project

Configuring Project 98 thru Project 2007

The following are instructions for configuring Microsoft Project 98 through Project 2007. Instructions for configuring Project 2010 follow these instructions.

WBS Chart Pro can be accessed from within Microsoft Project through the use of a Toolbarbutton.

The WBS Chart Pro Toolbar button within Microsoft Project

With the WBS Chart Pro Toolbar button you can open a Microsoft Project plan and clic k thisbutton to create a WBS chart of the current plan in Microsoft Project. During WBS Chart ProSetup you are prompted to install this Toolbar button. If you chose to do this and you see thebutton when you start Microsoft Project then you are ready to create WBS charts of yourMicrosoft Project plans and can proceed to the Help topic, "Creating WBS charts from MicrosoftProject plans".

If you do not see the WBS Chart Pro Toolbar button in Microsoft Project, check the following:

1. Are you using Microsoft Project installed on a network? If so, there may not be suffic ientrights (Read/Write Permission) to modify Microsoft Project on the network. Therefore, theWBS Chart Pro Toolbar button will not be saved as part of Microsoft Project. See Configuring a Network Version of MS Project for WBS Chart Pro for more information.

2. During WBS Chart Pro Setup, did you select "Modify Microsoft Project" when promptedto install the WBS Chart Pro Toolbar button into Microsoft Project? If not, start WBS ChartPro and select Tools-Microsoft Project-Setup to modify Microsoft Project.

3. If you still do not see the WBS Chart Pro toolbar button within Microsoft Projec t, trymanually installing the Toolbar button into Microsoft Projec t as described below.

Manually installing the WBS Chart Pro Toolbar button into Microsoft Project:

1. Start Microsoft Project.

2. Go to Tools-Options-Security. If you see the option on the bottom of this form that says "Allow loading files with legacy or non default file formats", select it. If not, go tostep #3.

3. Click the Macro Security... button. Set it to Medium and click OK and OK again.

4. Choose the File menu and select Open.

5. Open the Folder where you installed WBS Chart Pro (the default is C:\Program Files\WBSChart Pro).

6. Open the SETUP file for the appropriate version of Microsoft Project:

SETUPWBS41.mpp if you are using Microsoft Project 4.1.SETUPWBS98.mpp if you are using Microsoft Project 98.SETUPWBS2000.mpp if you are using Project 2000.SETUPWBS2002.mpp if you are using Project 2002.SETUPWBS2003.mpp if you are using Project 2003.

SETUPWBS2007.mpp if you are using Project 2007.

These Setup files contain macros that are automatically run when opened (choose to EnableMacros if you receive a message). These macros install the appropriate items into MicrosoftProject to configure it to work with WBS Chart Pro.

After opening the SETUP file from within Microsoft Project, does the WBS Chart Pro Toolbarbutton appear? If so, click it to see if it takes you to the WBS Chart Pro program. Then, closeWBS Chart Pro to return to Microsoft Project. Upon returning to Microsoft Project, closeMicrosoft Project and reopen it to see if the WBS Chart Pro Toolbar button is still there. If theWBS Chart Pro Toolbar does not appear when you restart Microsoft Project then there is aproblem saving information to the GLOBAL.MPT file. The Global.mpt file is a Microsoft Projec tfile and you should obtain the rights (Read/Write Permission) to modify and save theGlobal.mpt file.

If you do not have rights to modify the Global.mpt file then you can temporarily configureMicrosoft Project for use with WBS Chart Pro. This means that you can copy the necessaryitems into Microsoft Project each time you use WBS Chart Pro. To do this, start MicrosoftProject and then start WBS Chart Pro. In WBS Chart Pro choose Tools-MicrosoftProject-Setup-OK. This copies the necessary Tables, Views, Macros and Toolbar button intoMicrosoft Project. These items will remain there until Microsoft Project is closed. You will needto repeat this the next time you want to use WBS Chart Pro with Microsoft Project.

Technical Explanation of how Microsoft Project is configured for WBS Chart ProWhen Microsoft Project is configured for use with WBS Chart Pro, several items are copied toMicrosoft Project and stored in the GLOBAL.MPT file. The GLOBAL.MPT file is a Microsoft Projectfile that is used to store things like Macros, Tables, Views, Toolbar Buttons, etc. MicrosoftProject installs this file into the same directory with the other Microsoft Project program files.When installing WBS Chart Pro, you need Read/Write access to the GLOBAL.MPT file for theWBS Chart Pro-specific items to be saved as part of Microsoft Project.

If you are running Microsoft Project on a local computer, you probably have suffic ientRead/Write access to the GLOBAL.MPT file on the local computer and configuring should not bea problem. If you are running Microsoft Project on a network then the GLOBAL.MPT may belocked (made Read-Only), along with the rest of the Microsoft Project program files, and youwill need to follow the instructions for configuring Microsoft Project on a network, see Configuring a Network Version of MS Project for WBS Chart Pro.

When you configure WBS Chart Pro to work with Microsoft Project the following items areinstalled into the GLOBAL.MPT file:

A WBS Chart Pro Toolbar button – this starts the Macro used to exchange data betweenMicrosoft Project and WBS Chart Pro.

GotoWBSChartPro Macro – this macro initiates the process of exchanging data betweenMicrosoft Project and WBS Chart Pro.

A View – (beginning with the words Critical Tools), ensurse a consistent view of the data.

A Filter – (beginning with Critical Tools), ensures the proper tasks are exchanged.

Several Tables (each beginning with the words Critical Tools), used to extrac t theMicrosoft Project fields in the correct order.

In order for WBS Chart Pro to seamlessly exchange data with Microsoft Projec t, all of theabove items need to be present in Microsoft Project to perform the necessary operations.

Note: Do not modify any of the above items as this may prevent WBS Chart Pro from properlyexchanging data with Microsoft Project.

Configuring Microsoft Project 2010

To configure WBS Chart Pro to work with Project 2010, during Setup, choose to ModifyMicrosoft Project to add the items needed to integrate WBS with Project 2010. Setup will copythe Tables, Views, Filters and Macro needed for WBS Chart Pro to integrate with Projec t 2010.

Configuring Project 2010 during Setup does not add a button to the Ribbon in Project2010. You need to do this manually. To add a Tab and Button to the Ribbon in Projec t 2010:

1. Start Project 2010, right click on the Ribbon and select "Customize the Ribbon..."

2. Click a Tab in the Main Tabs section in the right column and select the New Tab button.Click this New Tab, c lick Rename to name this tab to something like "Critical Tools" andclick OK.

3. In the left column, click the "Choose commands from" drop down list and selectMacros.

4. Select New Group in the right column.

5. Click the GotoWBSChartPro macro in the left column and then click the Add>> buttonto copy this to the New Group*.

6. Click New Group and Rename if you wish to rename this group.

* - If you don't see the GotoWBSChartPro macro after running Setup and choosing toModify Project 2010 then do this:

1. Open Project 2010, go to File-Options-Trust Center-Trust Center Settings and select"Enable All Macros".

2. Open the file called SetupWBS2010.mpp. This file is located in the C:\ProgramsFiles\WBS Chart Pro folder by default.

3. Repeat the steps above and if you see the Macros you can close the Setup file withoutsaving.

Configuring a Network Version of MS Project

When Microsoft Project is configured for use with WBS Chart Pro, several items are copied intoMicrosoft Project and stored in the GLOBAL.MPT file. The GLOBAL.MPT file is a Microsoft Projectfile that is used to store things like Macros, Tables, Views, Toolbar Buttons, etc. MicrosoftProject installs this file into the same directory with other Microsoft Project program files.

When you configure WBS Chart Pro to work with Microsoft Project, the following item s areinstalled into the GLOBAL.MPT file of Microsoft Project:

A WBS Chart Pro Toolbar button – this starts the Macro used to exchange databetween Microsoft Project and WBS Chart Pro.

GotoWBSChartPro Macro – this macro initiates the process of exchanging data betweenMicrosoft Project and WBS Chart Pro.

A View – (beginning with the words Critical Tools), ensures a consistent view of the data.

A Filter – (beginning with Critical Tools), ensures the proper tasks are exc hanged.

Several Tables (each beginning with the words Critical Tools), used to extract theMicrosoft Project fields in the correct order.

WBS Chart Pro requires that the above items are installed into Microsoft Project to allow aseamless integration between the two programs. If you have Microsoft Project installed on anetwork there may not be suffic ient rights (Read/Write Permission) to modify the GLOBAL.MPTfile. If this is the case and if you wish to use your Network version of Microsoft Project withWBS Chart Pro, you have three options for doing this. They are:

1. Copy the necessary items into Microsoft Project each time you use WBS Chart Pro. To dothis, start Microsoft Project and then start WBS Chart Pro. In WBS Chart Pro choose Tools-Microsoft Project-Setup-OK. This copies the necessary Tables, Views, Macrosand Toolbar button into Microsoft Project. These items will remain there until MicrosoftProject is closed.

2. Obtain temporary Read/Write access to the GLOBAL.MPT file on the network, run WBSChart Pro Setup and answer Yes to the prompt to modify Microsoft Project. This adds aWBS Chart Pro Toolbar button to the network installation of Microsoft Projec t. ThisToolbar button can access either a Network version or a locally installed version of WBSChart Pro. The disadvantage to this procedure is that everyone who uses the version ofMicrosoft Project on the network will see this WBS Chart Pro button, but they may nothave access to the WBS Chart Pro program.

3. Create a copy of the GLOBAL.MPT file and store it on your local computer. This way,Microsoft Project can be run from the network, but all custom settings (Views, Tables,Macros, Reports, Toolbars, etc…) will be stored on the local computer. You can theninstruct Microsoft Project to use the GLOBAL.MPT on your local computer instead of usingthe one on the network. To do this, copy the GLOBAL.MPT file from the network to a localdrive and directory and make this directory the Working Directory (also called the StartIn directory in some operating systems). To make a local directory the WorkingDirectory (or Start In directory), modify the icon that you use to start Microsoft Project.If this is in your Start menu then you will need to go to the Start Menu, selectSettings-Task Bar-Start Menu Programs-Advanced, locate the icon used to start MicrosoftProject, Right-Click with the mouse and display the Properties. If you use an ic on on yourdesktop, Right-Click this icon. Then, enter the Drive and Path to the direc tory where you

copied the GLOBAL.MPT file. For example:

This is the Properties dialog for Microsoft Project 2007. Microsoft Project will be run fromwherever it is installed but the Start in directory is pointing to C:\Project 2007. If thereis a GLOBAL.MPT in this directory, Microsoft Project will use this one instead of the oneon the Network.

Terminology and Basic Concepts

Creating the WBS chart

In WBS Chart Pro, you create items in your WBS chart by clicking the Insert New Taskbuttons on the Toolbar. They look like this:

Summary Tasks and Tasks

As you create the WBS chart you place certain tasks under other tasks to represent that one isa subordinate of another. In WBS Chart Pro, any task with at least one task beneath it isreferred to as a Summary Task. Any task without a subordinate is simply called a Task. WBSChart Pro automatically recognizes whether an item is a Summary Task or a Task. In fact, ifyou delete or move all of the subordinate items of a Summary Task it will become a Task.

You can perform certain actions on just the Summary Tasks in the WBS chart and otheractions on just the Tasks in the chart. For example, you can display only the Summary Tasksin the WBS chart to show all of the major phases of your project (select the Show OnlySummary Tasks button). Or, you can remove the box and shadow from all Tasks in the chart(select the Format-Borders menu).

WBS Chart Pro automatically rolls up the core task data to eac h Summary Task of the project.This means that each Summary Task will summarize the task information below it all the wayup to the top of the WBS chart. The fields that are rolled up include the cost, work, start andfinish dates, and other schedule data. Additionally, you can define custom fields and otherdata fields to be rolled up in the Tools-Rollup dialog box.

Entering Information

To enter the name of a Summary Task or Task select that box and type. To enter additionalinformation for the Summary Task or Task, double-clic k it.

Views

A View is a defined collection of formatting options for displaying a WBS chart. There areseveral predefined Views in WBS Chart Pro from which to choose, and you can toggle throughthese Views until you find one that displays the chart in the way you prefer.

The current View is displayed in the window on the toolbar. Use the Next View (right arrow)and Previous View (left arrow) buttons on the View bar to toggle to different Views.

To modify a View, simply display that View and choose the many formatting options in theFormat menu.

Arranging Tasks under Summary Tasks

Summary Tasks control how the items below them are arranged. Tasks can be arranged undera Summary Task horizontally like this:

Or, vertically list this:

Summary Tasks may also have other Summary Tasks under them along with the subtasks,like this:

This arrangement of Tasks and Summary Tasks lists all items below a Summary Taskhorizontally. An arrangement would be to list subordinate items vertically. However, if youwere to list everything vertically, it would look like this:

Listing Summary Tasks and tasks vertically makes for a very tall chart. For this reason, WBSChart Pro uses a special style called the WBS Chart Style. The WBS Style lists all Tasks undera Summary Task vertically but all other Summary Tasks are listed horizontally. The WBS ChartStyle looks like this:

The arrangement of items below Summary Tasks is set Chart-Wide using the Form at-Chartmenu. You can also individually change the way a Summary Task arranges its subordinates byselecting a Summary Task and choosing one of the Arrangement toolbar buttons. They looklike this:

Creating a New WBS chart

Here are the basic steps to creating a new* WBS chart using WBS Chart Pro:

1. Open WBS Chart Pro (a New chart is created for you to begin planning). See also New

Adding New Tasks

To add tasks in a WBS chart, use the Insert Task toolbar buttons to add a task to the left,right, above or below the selected task.

Here are some tips for adding tasks in WBS Chart Pro:

If there are no other tasks in the WBS chart or if you are only displaying the Projec t

Summary Task then you can only add a task below by using the button.

Depending on the orientation of tasks in the WBS chart, the Insert Task buttons plac e tasksin different positions relative to the currently selected task.

For example:

With tasks listed left toright, if you select Task 2and choose Insert Task

You can also Right-Click on a Task and choose one of the Insert commands.

Entering Information

There are two ways to enter information for a task in the WBS chart. One is to enter the taskinformation directly into the task box by selecting the task on the sc reen and typing theinformation directly. The other way to enter inform ation is by using the Task Informationdialog box. Double-clicking on a task brings up the Task Information dialog box. Both optionsare discussed below:

Entering Information using the Task box on the screen

You can enter information about a Task by selecting a task on the screen and typinginformation directly into the selected field for that task. The information you can enter isdependent on which fields are currently displayed on the sc reen.

For example, with the WBS chart below, only the Task Name is displayed so you can onlychange the Name of the task directly on the screen:

However, with this WBS chart, there are many fields displayed in the chart. Click the field youwish to change and type in the new information.

The Edit bar displays the contents of the current field being edited. Click the c heckmark toaccept the field (or press Enter) or click the X to reject the data entered into the field (or pressEsc).

Tips:

If the task box selected on the screen contains multiple fields you can use the Tab key tomove around the different fields.

To add/delete or modify the fields that are currently displayed in the Task boxes, selec tthe Format menu and choose Summary Boxes or Task Boxes.

Entering Information using the Task Information Dialog Box

The Task Information dialog box is found by double-clicking a task, by selecting a task andclicking on the Task Information toolbar button, or by selecting a task and the Edit-TaskInformation menu item.

Scheduling

WBS Chart Pro schedules tasks based on the information you enter. It uses the Project StartDate (or Project Finish Date when scheduling from the Project Finish), Duration, Dependenciesand Constraints to calculate when each task must Start and Finish. WBS Chart Pro alsocalculates the Critical Path. Below is an explanation of how tasks are sc heduled.

Tasks are scheduled based on the following:

By Project Start Date – If a task does not have a dependency, a Constraint Date or anActual Start then the task is scheduled to start on the Project Start Date and its finish isdetermined by the Duration of the task.

By Duration – Each task’s finish date is determined by the Start Date plus the Duration youenter, taking into account the Calendar (working and non-working days, hours per day,etc.).

By Dependencies – If a task has a dependency but does not have a Constraint Date orActual Start then the task is scheduled based on the dependency.

By Constraint Date – If a task has a Constraint Date then it schedules the task based onthe Constraint Date and Constraint Type.

By Actual Start/Finish – If a task has an Actual Start or Actual Finish it is scheduledbased on these dates.

Each of these concepts is explained below:

Project Start Date and Project Finish Date

The Project Start Date in WBS Chart Pro is more than just the date on which the project starts.The Project Start Date is used to define the Start date for all tasks that do not havedependencies, Constraint Dates or an Actual Start.

By default, the Project Start Date is set to the current date when you open a New file. Tochange the Project Start Date use the Properties form:

1. Select the Tools-Chart Settings menu.

2. Select Schedule from Project Start date.

3. Enter a date into the Project Start date in the field.

To schedule from the Finish of the project, deselect the Schedule from Project Start dateoption and enter a date into the Project Finish date.

Duration

The duration is the amount of time it takes to complete a task. Duration for a task can beentered in Minutes, Hours, Days, Weeks, or Months. Duration can be entered into the Durationfield of the Task Information dialog box using the following format:

M = Minutes

H = Hours

D = Days

W = Weeks

MO = Months

For example, for a 10 day task you can enter 10d in the duration field, a 2 week task wouldbe 2w.

When scheduling from the start of the project (check the option “Schedule from Project StartDate” under Tools-Chart Settings), the duration is used to calculate the Finish date of a task.

When scheduling from the finish of the project (deselect the option “Schedule from ProjectStart Date” under Tools-Chart Settings), the duration is used to calculate the Start date of atask.

Note: The above duration units take into account the Calendar (Working and Non-WorkingTime). By default, WBS Chart Pro provides a standard 5 day workweek, 8 hour workdaycalendar. The duration you enter will work within this calendar, and as you change this

calendar your schedule will change accordingly. For example, if a task starts on Wednesdaymorning and you enter a duration of 5 Days then the task will Finish on the following Tuesdayevening (5 working days from Wednesday).

Durations can also be entered in Elapsed Days. Elapsed days override the c alendar, and arescheduled based on a 24 hour day, 7 days a week with no non-working days. Elapsed durationunits are defined by entering an E prior to the Duration unit for exam ple, 12eh for 12 ElapsedHours or 5ed for 5 Elapsed Days. A duration of 5 Elapsed Days from Wednesday would makethe finish of a task occur on Sunday evening.

To enter the Duration:

1. If the Duration field is displayed in the Task boxes on the screen, click in this field and typethe Duration.

or

2. Double-click the task and type the Duration into the Duration field of the Task Inform ationform.

Dependencies

A dependency is a relationship between tasks specifying that one task depends on the start orfinish of another task before it can start or finish. When planning projec ts, many tasks musthappen in a certain order. Creating dependencies between tasks or linking tasks togetherdefines this order. For example, a dependency may specify that a particular task must finishbefore another can start, or that one task can only start after another has worked for 5 days,etc.

When you have a dependency between two tasks, the first task in the chain is called the Predecessor and the second is the Successor. The successor depends on the predecessor.

WBS Chart Pro establishes dependencies between tasks using the Predecessor or Suc cessorfields of the Task Information Dialog. The corresponding Task ID numbers are entered intothese fields. If you are creating your WBS chart from a Microsoft Project plan, all of the c urrentdependency information will be automatically included.

Note that WBS Chart Pro does not graphically depict dependencies in a WBS chart. For agraphical way to create and display dependencies, use PERT Chart Expert, available fromCritical Tools. Using PERT Chart EXPERT, you can click and drag to create dependenc ies anddata can be seamlessly transferred between PERT Chart EXPERT and WBS Chart Pro.

There are several different types of dependencies. The most common type of dependency isthe Finish to Start dependency. This means that one task must Finish before the next oneStarts.

To create a Finish to Start dependency in WBS Chart Pro:

1. Double-click on a task to display the Task Information form and then select the Custom tab.

2. Select the Predecessor or Successor field and enter the Task ID of the Predecessor orSuccessor to this task. If the Predecessor or Successor field is not displayed then select “AddField” to add it to the list of fields displayed. If you enter in the Task ID of the Successorthen the ID of the Predecessor is automatically filled for the Successors ’ Task Information,and vice versa.

3. Click OK.

There are several types of dependencies that you can create between tasks. Each of thedependency types is described below:

Finish to Start (FS) – One task must finish before the next one starts.

Start to Start (SS) – One task cannot start until the other task has started.

Finish to Finish (FF) – One task cannot finish until the other task is finished.

Start to Finish (SF) – One task cannot finish until another has started.

The default dependency type is a Finish to Start. When you enter the ID of a Predecessor orSuccessor task you do not need to specify the FS to denote Finish to Start. However, if youwant a SS, FF or SF dependency you must specify this along with the Predecessor or SuccessorID. For example, entering 10SS into the Predecessor field for a task would mean that there isa Start to Start dependency from Task with ID 10 to this task.

Lag

Most tasks in a project start immediately after one has finished but occ asionally you may needto enter a delay. When there is an amount of time that must transpire before the second taskmust occur you can use a “lag” for this. A lag is the amount of time that the second task mustwait after the first task starts or finishes.

A Finish to Start dependency with a 5 day lag means that the successor task cannot start until5 days after the predecessor task has finished. As an example, let’s say you want to link TaskA (ID# 1) to Task B (ID# 2) with the following dependenc ies (enter the information inparentheses into the Predecessor field of Task B):

Finish to Start with a 5 day lag (1FS+5d) – Task B cannot start until 5 days after Task Afinishes.

Start to Start with a 5 day lag (1SS+5d) – Task B cannot start until 5 days after Task A

Finish to Finish with a 5 day lag (1FF+5d) – Task B cannot finish until 5 days after Task Afinishes.

Finish to Start with a –5 day lag (1FS-5d) – Task B starts 5 days before the finish of TaskA.

Finish to Start with a –50% lag (1FS-50%) – Task B starts halfway from the finish of TaskA.

Constraint Dates

A Constraint Date is a specific date that you assign to a task. Along with this date is aConstraint Type that determines how the date is used (Must Start On, Must Finish On, Start noEarlier Than, etc.). There are several different types of constraints; all require that you enter adate except As Soon As Possible and As Late as Possible.

To display the Constraint Date and Constraint Type for a task, double-click the task to displaythe Task Information form.

Constraint Type

The Constraint Type field allows you to enter the type of constraint. Choose from one of thefollowing:

As Soon As Possible – Schedules the task to happen as soon as possible based on thedependencies that precede the task, the task’s duration and the project start date. The “AsSoon As Possible” constraint does not actually constrain a task to a particular date. Set theConstraint Type to “As Soon As Possible” if you no longer wish to have a Constraint Dateassociated with a task. It will then be scheduled based on the dependencies.

As Late as Possible – Schedules the task to happen as late as possible based on thedependencies that follow the task, the task’s duration and the project finish date. The “AsLate As Possible” constraint does not actually constrain a task to a particular date.

Finish No Earlier Than – Schedules the task to finish no earlier than the date spec ified inthe Constraint Date field.

Finish No Later Than – Schedules the task to finish no later than the date specified in theConstraint Date field.

Must Finish On – Schedules the task to finish on the date specified in the Constraint Datefield.

Must Start On – Schedules the task to start on the date specified in the Constraint Datefield.

Start No Earlier Than – Schedules the task to start no earlier than the date specified in theConstraint Date field.

Start No Later Than – Schedules the task to start no later than the date specified in theConstraint Date field.

Constraint Date

The constraint date is used along with the Constraint Type for scheduling tasks. The “As SoonAs Possible” and “As Late As Possible” constraint types do not use a Constraint Date, thusallowing the task to be scheduled based on the dependencies associated with a task.

Note: To remove a date constraint assign the “As Soon As Possible” constraint to a task. Thiswill remove the Constraint Date and allow the task to schedule based on the dependenc ies.

Actual Start and Actual Finish

Entering an Actual Start and/or Actual Finish into the Task Information form on the Customtab will schedule the task on the specified date, overriding any of the above sc heduling optionsused.

Transferring a WBS chart to PERT Chart EXPERT

PERT Chart EXPERT, another product from Critical Tools, allows you to plan and displayprojects using a Dependency Diagram (Network Diagram). This type of c hart displays thetasks in your project and the dependencies between these tasks. You can seam lessly transferprojects from WBS Chart Pro to PERT Chart EXPERT and vice versa.

To transfer the current WBS chart to PERT Chart EXPERT, select the Goto PERT Chart EXPERTtoolbar button.

When you transfer a WBS chart to PERT Chart EXPERT your WBS chart is saved to the PERTChart EXPERT format (a .PCE file) and then immediately opened in PERT Chart EXPERT. All ofyour project data and WBS formatting will be contained in the new PERT Chart EXPERT file. Tocreate a WBS chart file again press the Goto WBS Chart Pro button in PERT Chart EXPERT totransfer it back to WBS Chart Pro.

The Goto PERT Chart EXPERT button is not available (grayed out) if:

You do not have PERT Chart EXPERT.

You do not have a version of PERT Chart EXPERT that works with WBS Chart Pro. You m usthave PERT Chart EXPERT version 2.0 or greater for this to work. Select the Help-Aboutmenu to see which version you have. Contact Critical Tools to obtain a version of PERTChart EXPERT that works with WBS Chart Pro. See Contacting Critical Tools

You are working with a WBS Chart that is linked to a Microsoft Project file. To create a PERTChart from a linked file, first go to Microsoft Project using the Goto Project toolbar button,then from within Microsoft Project use the Goto Pert Chart EXPERT toolbar button. Linkedfiles require that you go to Microsoft Project first when switching between WBS Chart Proand PERT Chart EXPERT, since all of your project data is stored within Microsoft Projec t.

Transferring a WBS chart to Microsoft Project

You can use WBS Chart Pro to create your projects first with a WBS chart, and then transferthese charts to Microsoft Project for further scheduling.

If you create a new WBS chart in WBS Chart Pro, configure this chart and save this chart, it isconsidered a “standalone” WBS chart. This means that the WBS chart file is a self-containedfile with all of the data and formatting options within this file.

In WBS Chart Pro you can enter various fields of information about the tasks in your projectincluding name, duration, start, finish, plus much more. Certain task information is rolled upto each summary level of the WBS chart (go to the Tools-Rollup menu to further define whichfields get rolled up). You can also perform simple scheduling in WBS Chart Pro. For moreelaborate scheduling, resource management, etc, you can transfer the WBS chart to Mic rosoftProject.

To transfer the current WBS chart to Microsoft Project, select the G oto Project toolbar button.

Transferring a standalone WBS chart to Microsoft Project means that the data that exists inthe WBS chart will be transferred from the WBS chart and placed into a Microsoft Project plan.The WBS chart then becomes linked to this Microsoft Project plan. You are prompted to savethe Microsoft Project plan and you must enter a filename for this Microsoft Project plan tocontinue transferring the WBS chart to Microsoft Project. You will then have two files; theMicrosoft Project file containing the data (information like names, start dates, finish dates,costs, etc.), and the WBS chart file containing the formatting options that are WBSchart-specific (such as custom colors, box placement, etc.).

After transferring the data to Microsoft Project, the next time you open the WBS chart it notonly opens the WBS chart with all the formatting but also opens the corresponding MicrosoftProject file to which it is now linked.

You can also open the Microsoft Project plan first and select the Goto WBS Chart Pro button toopen the saved WBS chart corresponding to the Microsoft Project plan.

Creating WBS charts from Microsoft Project

To create a WBS chart from an existing Microsoft Project plan:

1. Start Microsoft Project and open the desired Microsoft Project plan.

2. Click the WBS Chart Pro toolbar button*.

WBS Chart Pro is started and the current project plan from Microsoft Project is displayed in aWBS chart.

When you create a WBS chart from an existing Microsoft Project plan, the WBS chart isdynamically linked to this Microsoft Project plan. If you add, modify or delete tasks in the WBSchart, this information is immediately sent to Microsoft Projec t.

Tip: When a WBS chart is dynamically linked to a Microsoft Project plan the word LINKEDappears in the lower right corner of the screen.

Saving a WBS chart linked to a Microsoft Project plan

After modifying the linked WBS chart, when it comes time to save and c lose your WBS chart ithelps to remember that the data is stored in Microsoft Project (a .MPP file) and the WBS c hartformatting is stored in the WBS chart file (a .WBS file).

When you save a WBS chart that is linked to a Microsoft Project plan, it saves both the WBSchart file (.WBS) and the corresponding Microsoft Project plan (.MPP).

The saved WBS chart contains the formatting of the chart, and a link to the Microsoft Projectplan where the data is stored.

To save the WBS chart, select the File menu and choose Save (or Save As). Specify a filenameand click OK.

Opening a WBS chart linked to a Microsoft Project plan

There are two ways to open a WBS chart that is linked to a Microsoft Project plan. They are:

1. From within Microsoft Project, click the WBS Chart Pro toolbar button. If you havepreviously created a WBS chart from this Microsoft Project plan and saved the WBS c hart,it will remember this and automatically open this chart for you to continue working. If itdoes not open the previously saved WBS chart, see the Note below.

2. From within WBS Chart Pro, if you open the WBS chart (*.WBS file) that is linked to theMicrosoft Project plan it will automatically open Microsoft Project and the correspondingMicrosoft Project plan.

Note: If you rename or move a Microsoft Project plan that is linked to a WBS chart, MicrosoftProject may not be able to locate the WBS chart the next time you try to load the WBS chartfrom the Microsoft Project plan. If you move or rename a Microsoft Project that is linked to aparticular WBS chart file, perform the following to relink the MS Project plan to the WBS chartfile:

1. Open WBS Chart Pro.

2. Select File-Open.

3. Click on the WBS chart file (the .WBS file) that was linked to the Microsoft Projectplan.

4. Select Link to another datasource and click Open.

5. Locate the Microsoft Project plan and select Open.

When you save the WBS chart it will remember the new name and location of the MicrosoftProject to which it is linked.

Tips when using WBS Chart Pro with MS Project

When you create a WBS chart from an existing Microsoft Project plan you must remember thatyou are dynamically linked to this plan and any changes made in the WBS chart areimmediately reflected in Microsoft Project. If you add or delete tasks in the WBS c hart, thesetasks are immediately added or deleted in Microsoft Project.

A WBS chart created from an existing Microsoft Project can be saved but this does not savethe data into the .wbs file. All project data is still maintained in Microsoft Project. Saving aWBS chart that is linked to a Microsoft Project plan only saves the link and any WBSchart-specific items that cannot be saved in Microsoft Project like box placement, custom boxcolors and formatting options for the WBS chart.

If you create a WBS chart from an existing Microsoft Project plan and you do not want thisWBS chart to be dynamically linked to the corresponding Microsoft Project plan then you cansave the WBS chart as a “standalone” WBS chart. This will “unlink” the WBS chart from theMicrosoft Project plan and save all of the data to the WBS chart file. Once you save as astandalone chart, this WBS chart cannot be linked back to the original Mic rosoft Project planfrom which it was created. You can only use this standalone WBS chart to create a newMicrosoft Project plan.

Copying, Moving & Repositioning Tasks

Tasks in the WBS chart can be rearranged by Copying, Moving, or Repositioning them .

You can move or copy a task or set of tasks from one part of the WBS chart and Paste toanother area in the WBS chart. This changes the structure of your WBS chart. You can achievethis by clicking and dragging a task(s) or by selecting the appropriate Cut/Copy and Pastecommands from the Edit menu. The Cut/Copy and Paste actions are disc ussed in more detailbelow.

You can also rearrange a WBS chart by repositioning a task or set of tasks on the chart. Thisdoes not change the structure of the WBS chart, it only places boxes in different areas forcustomized viewing. You can reposition tasks in the WBS chart by clicking on the appropriateedge of a box and dragging it to a new position on the chart.

The differences between the two procedures are demonstrated in the following examples:

Cut or Copy involves placing the task in a different part of the WBS chart thus c hanging thestructure.

When working with an unlinked (standalone) WBS Chart you may select a single task,summary task or multiple tasks to be Cut and Copied. WBS Charts that are linked to aMicrosoft Project Plan are restricted to Copy and Cut actions on a single task or a singlesummary task only. Performing a Cut or Copy action on a summary task also includes all ofthe subtasks under the summary task in the action as well. There are several ways to Cut andCopy tasks:

Edit menu – Select a summary task or task by clicking on it, choose the Edit menu andchoose Cut or Copy (or use Ctrl-X, or Ctrl-C). To Paste the task(s), select another task,choose the Edit menu and choose Paste Before (or Ctrl-V) to paste the left of the selectedtask, Paste After to paste to the right of the selected task, or Paste Subtask to paste as asubtask to the selected task.

Right-Click – Place your cursor on a summary task or task and c lick the Right Mousebutton. This will display a menu allowing you to choose to Cut or Copy the selected task.

Right-Click and Drag – Place your cursor on a summary task or task, click the Right Mousebutton, Drag and place it over the destination task box. This displays the following menu,prompting you to Move or Copy the selected Task relative to the destination task (before,after, or as a subtask). You also have the option of copying the Custom Box Settings fromone task box to another. The Custom Box Settings define the box style and color.

Note: In order to perform this Drag operation the mouse cursor must be in “Drag to MoveTask” mode. To change mouse cursor modes, click on the mouse toolbar button.

Left-Click and Drag – Place the cursor on a summary task or task, click the Left Mousebutton, Drag and place over another summary task or task. This will Cut the selectedsummary task or task and place it relative to the destination task based on the reddirectional arrow. Drag the cut task over the destination task until you see the desired arrowdirection (down, right or left arrow).

Note: In order to perform this Drag operation the mouse cursor must be in “Drag to MoveTask” mode. To change mouse cursor modes, click on the mouse toolbar button.

Repositioning Tasks in WBS Chart Pro

You can click and drag the edge of a task box to reposition it. This allows you to place asummary task or task onto another area of the chart without changing the structure of thechart.

To reposition a summary task or task in the WBS chart, position the mouse over the edge ofthe box in order to get the up-down arrow or left-right arrow, then:

Click and Drag on the top or bottom edge of a Summary Task or Task box to move itsposition up or down in the chart.

Displaying Fields in Task Boxes

You can display a variety of fields in the Summary Task and Task boxes such as name, cost,start, finish, etc. If you are using Microsoft Project, all Microsoft Project Task fields, except theNotes field, can be displayed in the Summary Task and Task boxes on the sc reen.

For example, you could simply have the Name field displayed in the boxes like this:

Or, you could display the Start and Finish dates for all Tasks in your c hart like this:

Or, you could display Start and Finish dates for the Summary Tasks in the Chart and ResourceNames for all the Tasks in the chart, like this:

The number of fields and arrangement of fields within a box is c ompletely configurable. Thereare no limits to the numbers of fields you can place in a box. You can even place fields outsideof a box.

Many of the Views in WBS Chart Pro contain different arrangements of fields in the boxes. Tryswitching Views using the Next View and Previous View toolbar buttons to see these.

The fields within Summary Task boxes and Task boxes are configured separately. Sinc e thesame technique is used to modify the fields within both Summary Task and Task Boxes theyare covered in one Help Topic. Saving WBS charts

To save a WBS chart:

1. Choose File-Save (or File-Save As).

2. Select a location to save the file and enter a name for this file in the filename field.

3. Make sure the “Save as type” option is set to WBS Chart and click OK to save thisfile.

WBS chart files created in WBS Chart Pro have an extension of .WBS.

A WBS chart is either saved “standalone” or “linked” to a datasource (such as a MicrosoftProject plan, an MPX file or a Text file).

Saving a WBS chart (standalone)

Saving a standalone WBS chart saves all of the project data, box colors, views and form attingoptions into a single file. This is what happens when you open WBS Chart Pro, c reate a WBSchart and save the WBS chart. If you only use WBS Chart Pro to create your WBS charts thenyour charts are always saved “standalone” and this WBS file is a completely self-contained file.

Saving a WBS chart (linked)

Saving a WBS chart that is “linked” to a datasource saves all of the WBS chart formatting intothe WBS file but the data remains in the datasource.

For example, if you are using WBS Chart Pro with Microsoft Project and you c reate a WBSchart of a Microsoft Project plan, the data is saved in Microsoft Project but the WBS chartformatting is saved in the WBS file. The WBS file is then “linked” to this Microsoft Projectplan. The data that you see in the WBS chart is not actually in WBS Chart Pro but a reflec tionof what is maintained in Microsoft Project. If you make changes to this data in WBS Chart Prosuch as adding new tasks, moving tasks or deleting tasks, this is ac tually being donedynamically in Microsoft Project.

When you save and close a linked WBS chart and then re-open this WBS chart file, it alsoopens the Microsoft Project plan to which it is linked.

Note: When you Save a WBS chart that is linked to a Microsoft Project plan this also saves theplan in Microsoft Project.

Opening WBS Charts

Opening a standalone WBS Chart

To open a standalone WBS chart, choose the File-Open menu and locate the appropriate WBSChart file. Select the WBS chart file and choose Open.

Opening a WBS chart linked to a Microsoft Project plan

There are two ways to open a WBS chart that is linked to a Microsoft Project plan:

1. From within Microsoft Project, click the WBS Chart Pro toolbar button. If you havepreviously created a WBS chart from this Microsoft Project plan and saved the WBSchart, it will remember this and automatically open this chart for you to continueworking. If it does not open the previously saved WBS chart, see the Note below.

2. From within WBS Chart Pro, if you open the WBS chart (*.WBS file) that is linked tothe Microsoft Project plan it will automatically open Microsoft Project and thecorresponding Microsoft Project plan.

Note: If you rename or move a Microsoft Project plan that is linked to a WBS c hart file it maynot be able to locate this WBS chart file the next time you to create a WBS chart from theMicrosoft Project plan. If you move or rename a Microsoft Project plan that is linked to aparticular WBS chart file, perform the following to link this new MS Project plan to the WBSchart file:

1. Open WBS Chart Pro.

2. Select File-Open.

3. Select the WBS chart file (*.WBS) that was linked to the Microsoft Project plan.

4. Check "Link to another datasource" and click Open.

5. Locate the MS Project plan and select Open.

When you save the WBS chart it will remember the name and location of the new Mic rosoftProject to which it is linked.

Printing

Here is the recommended process for printing your WBS charts:

1. Select a View – In the WBS chart, before you print or select Print Preview you shouldselect a View that contains the formatting that you want. You can change Views and selectone you like or change Views until you find one that is similar to the one you want andmodify it. To change Views, select the Next View toolbar button in the upper right c ornerof the screen.

2. Select Print Preview – Selecting Print Preview is the quickest way to see how your WBSchart will be printed before you send the WBS chart to the printer. Select the Print Previewtoolbar button or select Print Preview from the File menu.

The WBS chart and surrounding data on the printout displayed in Print Preview are basedon several configurable options. They are:

a)Summary Info – Your WBS chart may display fields of information around the chartlike Title, Manager, or Company. This information can be entered from within PrintPreview. Select the Summary Info button to enter information about your projectthat can also appear in the WBS chart printout. To see how these fields are arrangedon the page, see the section below on Page Layout. For m ore information onProperties, see Properties

b)The Current Printer and Paper Size – Select the Page Setup button (from withinPrint Preview) to see what size paper and other print options are currently set. Youcan change some basic settings for the printout in the Page Setup dialog box likeScaling, Paper Size, Margins, etc. To change or modify settings for the printer, selectthe Printer button from within Page Setup. For more information on using the PageSetup dialog box, see Page Setup

c) The Page Layout – In Print Preview you may notice a border around the WBS chart,perhaps page numbers and maybe even data fields around the WBS c hart. PageLayout determines the general layout of the WBS chart on the page. Each View in theWBS chart uses a specific Page Layout. In the Page Setup dialog box the Page Layoutfield displays the current Page Layout being used. To see how a different Page Layoutwould look with your WBS chart, select a different Page Layout from the list and c lickthe Preview button to return to Print Preview.

You can also modify an existing Page Layout by selecting the Edit button in PageSetup. If you want to modify a Page Layout, use the Page Setup dialog to select onethat is close to what you are looking for and then choose the Edit button with thatPage Layout listed in the Page Layout field. 3. Print the WBS chart – When you are satisfied with the current WBS chart displayed inPrint Preview, press the Print button to send the WBS chart to the printer.

Fields in WBS Chart Pro

There are many different data fields in WBS Chart Pro for entering inform ation into, includingfields like Name, Duration, Start, Finish, Cost, Work, etc. These fields are sim ilar to the Taskfields found in Microsoft Project.

Note: When used with Microsoft Project, WBS Chart Pro does not use all of the MicrosoftProject fields. WBS Chart Pro accesses most of the data in Microsoft Project’s Task Table butdoes not access certain Resource and Resource Assignment data from Microsoft Project.

Some fields are specific to the different versions of Microsoft Project that are supported byWBS Chart Pro. If you were to use a field in WBS Chart Pro that is not supported by theversion of Microsoft Project that you are using then this information would be stored in theWBS chart file since it cannot be transferred to Microsoft Project.

Tip: You can rename any field in WBS Chart Pro using the Field Names… option in the Toolsmenu. This will permanently rename that field in WBS Chart Pro so that the new nam eappears in all forms, dialog boxes and printouts. For example, you could rename the Flag 1field to Engineering Dept, the Flag 2 field to Sales Dept and so on.

Fields used in WBS Chart Pro

Below is a brief description of each of the task fields supported in WBS Chart Pro.

% Complete – Percentage of the task’s duration that has been completed.

% Work Complete – Percentage of the task’s work that has been completed.

Actual Cost – Cost of actual work performed to date by all resources on a task, plus any fixedcosts.

Actual Duration – The span of actual working time for a task so far, based on the scheduledduration and current remaining work or completion percentage.

Actual Finish – The date and time a task actually finished.

Actual Overtime Cost – Cost for overtime work already performed on a task by all assignedresources.

Actual Overtime Work – The actual amount of overtime work already performed by allresources assigned to a task.

Actual Start - The date and time a task actually started.

Actual Work – The amount of work that has already been done by the resources assigned tothe task.

ACWP – Cost of actual work performed to date on the project, plus any fixed costs.

Assignment – A field calculated by MS Project to indicate if an item is an assignment. TheAssignment field for tasks is always No.

Assignment Delay – The amount of time a resource is to wait before starting work on anassignment.

Assignment Units – The percentage or number that represents the assigned resources’allocation to a task.

Baseline Cost – The total planned costs for a task before any costs have been incurred.

Baseline Duration – The planned duration time for a task to c omplete.

Baseline Finish – The planned completion date for a task.

Baseline Start – The planned start date for a task.

Baseline Work – The planned amount of work to be performed by all resources for a task.

BCWP – The budgeted cost of work performed, also known as earned value. Refers to thevalue of the work completed.

BCWS – The budgeted cost of work scheduled is the planned c ompletion percentage multipliedby the planned cost.

Confirmed – Indicates whether all resources assigned to a task have accepted the taskassignment.

Constraint Date – The specific date associated with certain constraint types, such as MustStart On, Must Finish On, Start No Earlier Than, Start No Later Than, Finish No Earlier Than,and Finish No Later Than.

Constraint Type – The type of constraint applied when scheduling a task (As Soon AsPossible, As Late As Possible, Must Start On, Must Finish On, Start No Earlier Than, Start NoLater Than, Finish No Earlier Than, and Finish No Later Than).

Contact – The name of the contact person for a task.

Cost – The cost for a task based on the work performed by all resources assigned to the task,as well as fixed costs.

Cost1-10 – Cost fields 1-10 can be used to show any custom cost information for a task.

Cost Rate Table – The cost rate table to use for the resources assigned to a task.

Cost Variance - The difference between the baseline cost and total cost for a task.

Created – The date and time when a task was added to the project.

Critical – Indicates if a task is on the critical path.

CV – The earned value cost variance shows the difference between the planned costs (baselinecosts), and the current cost based on actual costs to date along with the rem aining estimatedcosts (scheduled costs). The difference between these two values produces either a positive(over budget) or negative (under budget) cost variance.

Date1-10 – Date fields 1-10 show any custom date information for a task.

Deadline – A target date specifying when you want a task to complete.

Delay – The amount of time to delay a task.

Duration – The amount of time to complete a task.

Duration1-10 – Duration Fields 1-10 can be used to show any custom duration informationfor a task.

Duration Variance – The variation between the planned (baseline) duration of a task and thecurrent estimated task duration, based on the work completed to date and the remaining workto be performed.

Early Finish – The earliest date that a task could possibly finish, based on the task ’spredecessors, successors and other constraints.

Early Start – The earliest date that a task could possibly begin, based on the task ’spredecessors, successors and other constraints.

Effort Driven – Indicates whether the scheduling for the task is effort driven.

External Task – A task that is linked from an external project into the current projec t.

Finish – The date and time a task is scheduled to complete.

Finish1-10 - Finish fields 1-10 show any custom finish information for a task.

Finish Variance – The time difference between a task’s baseline finish date and its currentfinish date.

Fixed Cost – A cost that does not increase or decrease based on the am ount of time aresource works on a task.

Fixed Cost Accrual – How and when fixed costs are to be charged, or accrued to the cost ofthe task (start, prorated, or end).

Flag1-20 - Flag fields 1-10 are Yes/No flags that show any custom information for a task.

Free Slack – The amount of time a task can slip before it delays another task.

Hide Bar – A Microsoft Project Yes/No field indicating whether the Gantt bars and Calendarbars are hidden.

Hyperlink – The title for a hyperlink associated with a task.

Hyperlink Address – The address for a hyperlink associated with a task.

Hyperlink Href – The concatenation of the Hyperlink Address and the Hyperlink Subaddressfields associated with a task.

Hyperlink SubAddress – The specific location within a Hyperlink page associated with a task.

ID – The identification number assigned to a task. This is not a static number, and maychange with the sequence of the task within the schedule.

Late Finish – The latest date that a task may finish without delaying the finish of the project.

Late Start – The latest date that a task may start without delaying the finish of the project.

Level Assignments – Indicates whether the resource leveling function can delay and splitresource assignments within a task in order to resolve overalloc ations.

Leveling can Split - Indicates whether the resource leveling function can split resourceassignments on remaining work for the task.

Linked Fields – Indicates whether there is a task linked to this task.

Marked – A Yes/No field for information.

Milestone – Indicates whether a task is a milestone. If a task has a duration of zero it is amilestone.

Name – The name of the task.

Number1-20 - Number fields 1-20 show any custom numeric information for a task.

Objects – The number of objects attached to a task.

Outline Level – The level number of the task in the outline hierarchy.

Outline Number - The outline number of the task in the hierarchy.

Overallocated – Indicates whether any of the resources assigned to the task are assignedbeyond the normal working capacity.

Overtime Cost -The total overtime cost for a task.

Overtime Work – The total overtime work for a task.

Predecessors – The ID number of the task that precedes this task. It is the task that thistask depends on before it can start or finish.

Preleveled Finish – The finish date of the task before resource leveling was done.

Preleveled Start – The start date of the task before resource leveling was done.

Priority – The level of importance assigned to a task. This priority is used when determ iningdelays and splits during resource leveling.

Project – The name of the project to which the task belongs.

Recurring – A task that is repeated during the life of a project.

Regular Work – The total amount of nonovertime work scheduled to be performed by allresources assigned to the task.

Remaining Cost – The remaining scheduled cost of a task that will be incurred at the taskscompletion.

Remaining Duration – The remaining scheduled amount of time required to complete thetask.

Remaining Overtime Cost – The remaining scheduled overtime expense for the task.

Remaining Overtime Work– The remaining scheduled amount of overtime required tocomplete the task by all assigned resources.

Remaining Work - The remaining scheduled amount work to be performed on a task by allassigned resources.

Resource Group – The list of resource groups to which the resources assigned to a taskbelong.

Resource Initials – The abbreviations for the names of the resources assigned to a task.

Resource Names – The names of all the resources assigned to a task.

Response Pending – An MS Project field indicating whether an answer has been receivedfrom the resources assigned to a task.

Resume – The date the remaining portion of a task is scheduled to resume after a new valueis entered for the % complete field.

Resume No Earlier Than - The earliest date the remaining portion of a task is scheduled toresume after a new value is entered for the % c omplete field.

Rollup – Indicates whether subtask values are rolled up and sum marized in a summary task.

Start - The date and time that a task is scheduled to begin.

Start1-10 - Start fields 1-20 show any custom start date information for a task.

Start Variance – The time variance between a task’s baseline start date and its currentlyscheduled start date.

Stop – The date of the actual end of a portion of a task. Typically used in conjunction withresume.

SubProject – The name of a project inserted into the current project.

Subproject Read Only – Indicates whether the subproject is read-only.

Successors – The task ID numbers of the dependent tasks scheduled to begin after the startor finish of this task.

Summary – Indicates whether a task is a Summary Task.

SV – The earned value schedule variance shows the difference in cost terms between thecurrent progress and the baseline plan of the task (SV = BCWP-BCWS).

TeamStatus Pending – An MS Project indicator whether an answer has been received fromassigned resources.

Text1-30 - Text fields 1-30 show any custom text information for a task.

Total Slack – The amount of time a task can be delayed without delaying the projec t finishdate.

Type – Affects the work, resource assignment units, and duration calculations (Fixed Work,Fixed Units, Fixed Duration).

Unique ID – The unique identification number of a task.

Unique ID Predecessors – The unique identification numbers of the predecessor tasks.

Unique ID Successors – The unique identification number of the successor tasks.

Update Needed – Indicates whether an update message should be sent to the assignedresources for the task.

WBS - The work breakdown structure code that represents the task position within thehierarchical structure of the project.

WBS Predecessors – The WBS identification numbers of the predecessor tasks.

WBS Successors – The WBS identification numbers of the successor tasks.

Work – The total amount of time scheduled on a task by all assigned resources.

Work Contour – Determines how work for an assignment is distributed across the duration ofthe assignment.

Work Variance – The difference between a task’s baseline work and the currently scheduledwork.

Open (File Menu)

Displays the File Open dialog box to open a previously saved file.

Look in - Displays a list of folders and drives where files are stored.

File Name - Type the file name of the file you wish to open or select the file from the list offiles in the window.

Files of type - Choose the type of file to list and open. The types of files that can be openedin WBS Chart Pro are as follows:

WBS Charts – Lists all WBS Chart Pro files (.WBS extension) and allows you to open achart that has been previously saved. A WBS file may be Standalone or Linked. If youselect a WBS file from the list and the Description field is empty then this file is aStandalone WBS chart. A Standalone WBS chart file contains all data and formatting in onefile. If the WBS chart is linked then the Description field displays a reference to an externaldatasource. A Linked WBS Chart stores only formatting information in the WBS chart filewith a reference to a datasource where the data is stored (such as a Microsoft Project plan).

If you open a WBS file that is linked to a Microsoft Project plan, it will start Mic rosoftProject, open the referenced plan and display the WBS chart of that data.

PERT Charts – Lists all PERT Chart EXPERT files (.PCE extension) and allows you to open achart created in PERT Chart EXPERT in WBS Chart Pro.

WBS Views – Lists all WBS Chart Pro Views (.WBV extension) and allows you to m ergeViews into the current WBS chart.

WBS Page Layouts – Lists all WBS Chart Pro Page Layouts (.WBP extension) and allowsyou to merge Page Layouts into the current WBS chart.

Microsoft Project Plans (mpp) – Lists all Microsoft Project files (.MPP extension). If youopen a Microsoft Project Plan in WBS Chart Pro it opens this MPP file in MS Projec t (startingMS Project if necessary) and creates a WBS chart of this MS Project plan.

MPX – Lists all MPX files (.MPX extension) and allows you to create a WBS c hart from theMPX file format. The MPX file format is a text-based version of a Microsoft Projec t plan.Many applications including other project management software programs can save to thisfile format thus allowing you to create WBS charts from these programs by opening the MPXfile.

Text – Lists all Text files (.TXT extension) and allows you to create a WBS chart from a Textfile. The text file must be a comma-delimited file, with the first line of the file defining whic hfields are in the file and the subsequent lines defining the tasks. The Outline Level field m ustbe included since this is the field WBS Chart Pro uses to create the Struc ture. An example ofa .txt file is shown below:

Description - If the selected WBS chart is linked to an external datasource (like Mic rosoftProject) then this field displays the file it is linked to and the location of this file.

Link to another datasource – If the current WBS chart is linked to a specific datasource andyou need to link this to another datasource then select this option before you open the WBSchart. When selected, you are prompted to pick a new datasource before opening the WBSchart. The WBS chart then becomes linked to this new datasource. This option is useful whenyou have renamed or moved the datasource and allows a linked WBS chart to “find” itsdatasource.

Displays the Save As dialog box and allows you to confirm saving the current WBS chart to thesame file name or allows you to save the file to a different file name. To save the file toanother file name, type this new name into the File name field. To save a chart to its existingname and folder, click Save. To save a WBS chart to the same file name and avoid this dialogbox, use the Save command.

Save in - Displays a list of folders and drives where files are stored.

File name - Type a file name for the WBS chart. You do not have to include the .WBSextension as long as the Save as type field displays WBS Chart.

Save as type - Choose the type of file to save the current WBS chart to. The types of filesthat can be saved in WBS Chart Pro are as follows:

WBS Chart – Saves the WBS chart to the file name specified with the .WBS extension. AWBS Chart Pro file may be Standalone or Linked . If you have created the WBS chart fromscratch then saving the WBS chart saves all task data and formatting information into aself-contained Standalone WBS file. If you have created the WBS chart from a datasource(such as a Microsoft Project plan), saving the WBS chart stores the formatting informationinto a WBS chart file with a reference to the datasource where the task data is stored (suchas a Microsoft Project plan). This WBS file is then Linked to the datasource. Saving a WBSchart that is linked to a Microsoft Project plan also saves the plan in Microsoft Project.

You do not need to specify whether to save the WBS chart Standalone or Linked, this isdetermined automatically based on whether you created the WBS chart from scratch orcreated the WBS chart from a datasource.

PERT Chart – Saves the current WBS chart to the PERT Chart EXPERT format. You can thenopen this file in PERT Chart EXPERT.

MPX – Saves the current WBS chart to an MPX file. The MPX file format is a text-basedversion of a Microsoft Project plan. Many applications including other project managementsoftware programs can read this file format thus allowing you to create WBS charts andtransfer the chart to other programs.

MPX(for P3) – Saves the current WBS chart to an MPX file format for Primavera P3. TheMPX file format is a text-based version of a Primavera P3 Project plan. Primavera P3 projectmanagement software can read this file format thus allowing you to create a WBS chart andtransfer the chart to Primavera P3.

Save As Picture (File Menu)

Saves the current WBS chart to a picture file.

Save in - Choose the folder to save the picture to.

File name - Type in the name of the file.

Save as type - Select to save the picture to the various types of file formats.

Note: Due to licensing issues, the GIF file format is not supported. We suggest you try thePNG format as it is very similar and supported by most programs.

Color – Select Automatic to produce a picture with all the colors as it appears on the screen.Choose Grayscale to produce a picture using shades of gray instead of c olor. Choose Black &White to produce a picture in plain black and white. The advantage to using Grayscale or Blac k& White is that they produce picture files that are substantially smaller than color files.

Scale – Specify the scaling factor for the picture. Select 100% to produce a picture that is thesame size as the current WBS chart on the sc reen (assuming 100% zoom on the screen).Enter a smaller number to shrink the WBS chart when it is saved to the file or a larger num berto increase the size of the WBS chart in the file.

Transparent – Select this option to make the WBS chart background transparent in the file. Ifyou then paste this picture into a file that has a color background the WBS c hart backgroundwill not show through. Deselect this option to always make the saved picture use thebackground color defined in the WBS chart.

Save As Web Pages (File Menu)

Saves the current WBS chart to a web page in the listed folder using the selected tem plate.

The Save As Web Pages feature allows you to save the WBS chart image and incorporate thisimage into a pre-defined Web Page. We provide a basic template for this purpose. You c anmodify this template in a text editor or HTML editor. The WBS Chart Pro program is notintended to be an HTML Editor so you should be familiar with HTML Editing to modify theTemplate.

Note: See the file, WBS HTML Commands.txt, for additional information on the WBS ChartPro Template commands. This file was copied into the WBS Chart Pro direc tory during Setup.

The basic concepts for saving WBS charts to a Web Page are:

1. Create and configure your WBS chart.

2. When you want to publish this chart, select the File menu and Save as Web Pages.

3. Select the template. If you have created your own or modified an existing template,select it in the field provided.

4. Select the Folder to save the HTML pages.

5. Choose the other options if necessary.

6. Click OK. This will generate the HTML pages. Unless the WBS chart is very small oryou have modified the template to produce one output page, there may be severalpages of HTML output. Since Browsers are not made to handle large scrollable pages,WBS Chart Pro will break up the chart into as many pages as it needs to output theentire chart.

If you have selected to open your browser upon creation of the Web Pages then the first pageof your output will be opened automatically. If you chose not to open your browser uponcreation of the Web Pages, you need to open the first page of the HTML output in yourbrowser. The standard template contains buttons for scrolling the HTML documents Left, Right,Up and Down, so that if you open the first page of the output you can scroll through each pageof your HTML output.

If you have selected to open your browser upon creation of the Web Pages then the first pageof your output will be opened automatically. If you chose not to open your browser uponcreation of the Web Pages, you need to open the first page of the HTML output in yourbrowser. The basic template, WBSTemplate.html, contains buttons for sc rolling the HTMLdocuments Left, Right, Up and Down, so that if you open the first page of the output you c anscroll through each page of your HTML output.

If you want to increase or decrease the size of each output page you can edit theWBSTemplate.html file and increase/decrease the numbers in the line that reads:

If you want the Save as Web Pages feature to produce one big WBS chart in the HTMLdocument, select the WBSTemplate2.html file in the Save as Web Pages dialog box. Thistemplate does not specify the Width and Height of a chart but produces one WBS c hart imagein the HTML document.

HTML Template File - Specify the Template to use for formatting the HTML page. The basictemplate file is WBSTemplate.html. See the WBS Chart Pro folder for other availabletemplate files.

Save to Folder - Saves the HTML output to this folder.

Base Filename - Specifies the name that all of the HTML files will start with. If more than oneHTML file is created the subsequent files will be named with the Base Filename plus thenumber of the file (Base Filename1, Base Filename2, and so on).

Create thumbnail page - Select to include an initial HTML page that c ontains smallrepresentative pictures of the different pages of the WBS chart as they would appear in thedifferent HTML documents. The thumbnail page will be the first page of the set of files andwhen opened in a browser you can see the overall layout of the WBS c hart in small tiles. Clickan image in the thumbnail to go to that HTML page. Launch browser after saving - Select to launch your default browser after you press theSave button. This starts the browser and loads the first page of the HTML output.

Task specific information - Select a field in Hyperlink to jump to the specifiedemail/website/document address if that field c ontains a valid address. For example, if youlisted an email address in the Text1 field and displayed the Text1 field in your WBS c hart, thenyou could choose the Text1 field in the Hyperlink field and jump to this when selec ted in yourWBS chart embedded in the HTML page. Select a field in Tooltip to display when you hoverover a box in the WBS chart embedded in the HTML page. Select a field to display in the Status bar at the bottom of the browser as you hover over a box in the WBS chart embeddedin the HTML page.

Page Layouts (File Menu)

A Page Layout defines how the WBS chart is arranged on the printed page and also defineshow the information is placed around the chart on the page such as Titles, Page Num bers,Legends, etc. Each View in WBS Chart Pro uses a Page Layout. Some Views may even sharethe same Page Layout.

To see which Page Layout a View is using, switch to that View and select File-Page Layouts.The Page Layout that is currently being used by that View will be highlighted (you c an alsochoose File-Page Setup to see which Page Layout is being used). The Page Layouts dialog boxallows you edit, create new, copy, rename, delete, import and export Page Layouts.

When a WBS chart is first created, all Page Layouts located in the Layouts directory (.WBPfiles) are copied into the WBS chart. You can specify where the default set of Page Layouts arestored by selecting the Tools-Options menu and setting the path to the Views and Layoutsdirectory.

If you make changes to a Page Layout (by selecting Edit), all changes made to the PageLayout are saved within this chart.

In addition, when you close a WBS chart all of the modified Page Layouts in this chart areautomatically saved over the default Page Layouts in the folder where the Page Layouts andViews are stored. This means that when you open another New chart or create another WBSchart from a Microsoft Project plan, your chart will use the Page Layout changes from your lastchart.

Note: If you do not want to automatically save the changed Page Layouts as the default PageLayouts, select Tools-Options and change the “When closing a chart” option to “Prompt to savechanged Views” or “Do not save changed Views”. Choosing the “Do not save changed Views”option will still save the Page Layouts within the chart, but will not affect the default PageLayouts.

If you want to use a Page Layout created or modified in an existing WBS chart then you woulduse the Export button to copy a Page Layout from an existing WBS chart. If you copied a PageLayout into the default directory then it would be available to all New WBS c harts. ExistingWBS charts would require you to Import new or modified Page Layouts.

Edit – Displays the Page Layout dialog box which allows you to configure all of the optionsfor setting up the page. For more information on editing Page Layouts, see Page Layout

New – Creates a New Page Layout within the current WBS chart. Press Edit to configure thisnew layout.

Copy – Copies the existing Page Layout within the current WBS chart. Press Edit toconfigure this layout.

Rename – Renames the selected Page Layout.

Delete – Deletes the selected Page Layout from the current WBS chart. This does not deletethe selected Page Layout from the default directory of Page Layouts. To delete a PageLayout from your system, use the File-Open command or Windows Explorer.

Import – Copies selected Page Layouts from the specified directory into the current WBSchart.

Export – Copies selected Page Layouts from the current WBS chart to the specifieddirectory.

Page Layouts (Page Layouts-Edit)

This form is displayed when you select File-Page Layouts and then Edit.

Page Layouts specify how the pages of the WBS printout are configured. With the Page Layoutdialog box you define where to place the WBS chart plus any surrounding fields of informationincluding Titles, Legends and Page Numbers.

When defining or modifying a Page Layout, you arrange a group of c ells on a page and one ofthese cells is the WBS chart itself, referred to as “(Chart)”. In the example below, the (Chart)cell shows the placement of the WBS chart within the Page Layout with a Title above and twoLegends below. The WBS chart is also left justified on the page. The options for c onfiguringthe page layouts are described below.

Headers and Footers

Headers and Footers are created in WBS Chart Pro using the Page Layout Dialog. To ac hievethe effect of headers and footers you place fields of information around the (Chart) cell. The(Chart) cell refers to the actual WBS chart and you can place fields such as Title, Manager,Page Numbers and Legends around this cell.

To add fields to a box, use the Rows and Columns buttons on the right side of form. Rows and

Columns are inserted relative to the selec ted cell in the sample grid in the middle of the form.

Rows

Insert Above – Adds a cell or row of cells above the selected cell.

Insert Below – Adds a cell or row of cells below the selected cell.

Delete – Removes the entire row containing the selected cell.

Minimize Height – Select this option to make the selected row as short as possible. Thisoption is useful for minimizing the height of certain c ells when the cells would otherwise bestretched across the row. Rows may need to be stretched when data in one area of the rowcauses the entire row to be larger.

Columns

Insert Left – Adds a cell or column of cells to the left of the selected cell.

Insert Right – Adds a cell or column of cells to the right of the selected cell.

Delete – Removes the entire column containing the selected cell.

Minimize Width – Select this option to make the selected column as narrow as possible.This option is useful for minimizing the width of certain c ells when the cells would otherwisebe stretched across the column. Columns may need to be stretched when data in one areaof the column causes the entire column to be larger.

Formatting the Fields

To format a field, select the field (cell) by clicking on the appropriate field in the sample grid inthe middle of the form. Then, select the formatting options in the Cell Style area.

Following is an explanation of each of the options in Cell Style:

Field – Select the drop down arrow to display a complete list of fields. Choose a field fromthis list to display in the selected cell. Some fields such as Title, Manager and Companycome from the File-Properties menu in WBS Chart Pro. These fields can also c ome fromMicrosoft Project. Some fields like Actual Cost, % Complete and Work are project totals andcome from these calculated fields in Microsoft Project. You can place these fields aroundyour WBS chart and they will display the values that you have typed into these fields or arecalculated elsewhere.

Tip: If you want to display a field with some text around your chart try displaying the (Blank)field and typing text into the Label field.

The fields with the parenthesis such as the (Blank), (Legends), (Page Number) and (Chart)fields are only used in Page Layout.

Label – Enter text to display before or after the data in the selected cell. Leave the Aftercheckbox unchecked to display text to the left of the data in the cell or check the Aftercheckbox to display the label to the right of the data in the cell.

Format – Displays options for formatting the selected cell. Some fields do not haveformatting options and this option is unavailable.

Wrap after xx characters – Specify the number of characters on which to “Word Wrap”.WBS Chart Pro attempts to wrap the line of text at the number of characters specified.However, it can only wrap on a space and may wrap at more or less than the number of

characters specified.

Font – Sets the font type for the selected cell.

Size – Sets the font size for the selected cell.

Rotate – Displays the text in the cell normal (0°), top-to-bottom (90°), or bottom-to-top(270°).

Align – Sets the alignment of the text Horizontally; Left, Center or Right within the c ell.

Vertical – Sets the alignment of the text Vertically; Top, Center or Bottom within the cell.

Bold/Italic/Underline – Sets the text to Bold, Italic or Underlined for the selected cell.

Text – Sets the color for the text in the cell. Choose the Same as Box Border option todisplay the text the same color as the border.

Fill – Sets the background color for the cell.

Margins – Allows you to set the left, right, top and bottom margins around the text in theselected cell.

Setting Additional Page Layout Options

Border – Select to configure the border that goes around each page. You can choose toturn the border off, select a different border style or change the color of the border.

Gridlines – Select to configure the gridlines between the fields. The separating linesbetween the cells that are displayed in the Page Layout are referred to as Gridlines. You c anchoose to turn them all off, turn them all on or individually select which gridlines appear.

Box Interior – Defines the box interior so cells can be displayed outside of the border. Todefine the “Box Interior” click and drag across the cells that you want to include inside theborder and select Box Interior.

Merge Cells – Makes a field span more than one cell. To merge cells, click and drag toselect multiple cells and then select the Merge Cells option.

Every Page – Select this option to place this Page Layout on every page of the printout.Deselect this option to stretch this Page Layout across the total num ber of pages in theprintout.

Tip: If you display page numbers by placing the Page Number field in a cell and you havedeselected the Every Page option, then page numbering will not work. The is becausethere is really only one big page that is divided up into sheets based on the size paper youare using. In other words, if you use the Page Number field then you have to place this fieldon every page, and you must choose the Every Page option to do this. If you do not want aPage Layout on every page, try removing the Page Number field and use the Sheet Numbersfeature described below to number the pages in the printout.

Sheet Numbers – Places a number in the upper right corner of the page corresponding tothe number of pages in the printout. This option is useful if you choose to have the PageLayout stretch across the entire printout and you want som e kind of page numberingsystem. The Sheet Number is fixed; you cannot change the font or position of this number.

Page Setup (File Menu)

Page Setup species the printing options as well as which Page Layout to use when printing.

Page Layout – Select the Page Layout to use from the list of layouts. The Page Layoutselected is saved with the current View.

Black and white – Converts the colors in a WBS chart to black and white. All text, linesand shadows are converted to black and all fills are converted to white. This option is usefulif you want to print a color WBS chart to a black and white printer and you do not want toconvert the colors to shades of gray. If you do not select the Black and white option whenprinting to a black and white printer, the colors in the WBS chart will be automaticallyconverted into shades of gray.

Edit – Select to edit the Page Layout listed in the Page Layout field. This displays the PageLayout dialog box which defines how the WBS chart is arranged on the page. It also definesthe information that is placed around the chart on the page suc h as Titles, Page Numbers,Legends, etc. See Page Layout

Scaling / Pagination

Adjust to x% normal size – Reduces or enlarges the printed WBS chart. Select 100% ifyou do not want to reduce or enlarge the printed WBS chart. When set to 100%, the WBSchart prints to as many pages as necessary depending on the font styles, spacing betweenboxes, and other chart characteristics. Decreasing this number shrinks the WBS chart and

increasing this number enlarges the WBS chart by the percentage specified.

Adjust for page breaks – Repositions boxes that fall on a page break onto the next page.Instead of splitting a box that appears on a page break, space between boxes is addedwhere necessary to force any box that falls on a page break to appear in its entirety on asubsequent page.

Tip: When using the Adjust for page break option, try selecting Page Layout from the Viewmenu to see how tasks are arranged on the page. While in Page Layout View (View-PageLayout menu) you can also manually drag boxes to avoid page breaks.

Note: Using the Adjust for page breaks option may make your WBS charts bigger since itneeds to add space to avoid page breaks.

Fit to x page(s) wide by y tall – Forces the WBS chart to the specified number of pages.The “Fit to page” option shrinks the WBS chart proportionally to fit the number of pagesselected (if Enlarge to fill page is not selected). This means that shrinking a 10 page wideWBS chart to 5 pages wide would not only reduce the width of the chart but also theheight of the chart by the same amount to stay in proportion.

To increase the size of the WBS chart to the specified number of pages, select the “Enlargeto fill page” option along with the “Fit to page” option.

Note: When using the Fit to x page wide by y tall option there is no c orresponding “Adjustfor page breaks” option. Since the “Fit to Page” option is forcing it to a certain number ofpages it would be impossible to impose the extra space necessary to “Adjust for pagebreaks”.

Enlarge to fill page – Automatically increases the size of the chart to fill the rem ainingspace in the printout until it reaches one edge of the chart (width or height). For exam ple,suppose your WBS chart is normally 1 ½ pages wide and ½ page tall. If you select Fit to 2pages wide by 1 page tall and Enlarge to fill page, WBS Chart Pro enlarges the chartuntil either the chart is a full 2 pages wide or 1 page tall, whichever is reached first. WBSChart Pro only increases the size proportionally so once it reaches the edge of the page(the width in the above example) it stops enlarging.

Remember that when using the “Enlarge to fill page” option, once it reaches one edge of thechart (width or height) it will stop enlarging. If you try to print a very wide WBS c hart to abig piece of paper with the “Enlarge to fill page” option, you may still have quite a bit ofwhite space below your chart if the width of the WBS chart is as wide as the page. Whenthis happens you need to use the features of WBS Chart Pro to make it taller and less wide.Try dragging some of the Summary Tasks in your chart down the page or try setting WordWrap to fewer characters so your boxes get taller and narrower.

Printer

Printer – Specifies which printer to use.

Paper Size – Select the paper size from the list of available sizes. The sizes listed are thosesupported by the currently selected printer. To change the currently selected printer, choosethe Printer button.

Paper Source – Select the source of the paper for the currently selected printer.

Orientation

Portrait – Select to print the WBS chart in Portrait mode.

Landscape – Select to print the WBS chart in Landscape mode.

Specify the distance between the left/right/top/bottom edge of the page and the firstprinted line.

Print (File Menu)

Print specifies certain options before you print the WBS chart. Once you select the appropriateoptions, pressing OK will initiate the print.

Printer

Name – Lists the printers that are set up on your computer.

Status – Shows information about the selected printer.

Type – Displays the type of printer currently selected.

Where – Shows which printer port the printouts will be routed to or displays File if printingto a file.

Comment - Shows information about the selected printer.

Properties – Select to set up options for the selected printer. The options available dependon the features of the printer.

Print to file – Prints the WBS chart to a file instead of routing it directly to a printer. Youwill be prompted to specify a filename and location. To print this file, choose the Start Menuand select Run. In the Run command line, type the following, replac ing the location,filename and printer port as necessary:

Print C:\OUTPUT.PRN LPT1

Print Range

All – Select to print the entire WBS chart.

Pages from x to y – Select to print a certain range of pages.

Selection – This option is not currently supported in WBS Chart Pro.

Numbers of copies – Specify the number of copies that you want to print.

Print Preview (File Menu)

Displays a sample of what the WBS chart will look like when printed. Print Preview uses thecurrently selected printer and paper size to display the WBS chart exactly how it will appearwhen printed.

The information in the lower left corner of the Print Preview window displays usefulinformation regarding the printout. For example, it might display

Scale - Page: 1 of 10 Size: 2 rows by 5 column Scale: 100%

This means that you have selected the “Adjust to” option in Page Setup, it is currentlydisplaying Page 1 of this 10 page chart. The printout is 2 rows and 5 c olumns of paper and theScale is 100% as set in the Page Setup dialog box under Sc aling.

In the Print Preview window, you can:

Scroll – On a multiple page printout, the buttons in the upper left corner of the PrintPreview window allow you to scroll through the different pages of the printout. Click theLeft, Right, Up and Down buttons to scroll (a button is only selectable if you can sc roll inthat direction).

Select a One Page or Two Page window – The One / Two Page button allows you todisplay the Print Preview window in a single page or double page view. Two pages is themost you can see at a time in Print Preview. If you want to see more than two pages atonce, close Print Preview and select View-Page Layout. This displays the entire WBS chartincluding page breaks (but without the fields around the page as is shown in Print Preview).

Zoom In and Out – The Zoom and Zoom out buttons allow you to see more or less detailin the WBS chart. You can also click anywhere on a page to Zoom In and Out.

Print – Select the Print button to send the WBS chart to the printer. You can also set printeroptions by clicking the Print button. See also Print

Page Setup – Select the Page Setup button to change paper size, print orientation,margins and to change the Page Layout used for this WBS chart. See also Page Setup

Summary Info – Select the Summary Info button to display the Project Properties dialog,where you can enter information like Title, Manager, Company, etc. See also Properties

Note: You cannot edit the WBS chart in the Print Preview window, however, if you close PrintPreview and choose View-Page Layout, you can see (and edit) the WBS chart inc luding wherethe page breaks appear.

Unlink (File Menu)

Unlink removes the link to the datasourc e specified.

What it means to be Linked to a datasource

When you are linked to a datasource (such as a Microsoft Project plan), the data that isdisplayed in the WBS chart is actually stored in the datasource and not in the WBS c hart. TheWBS chart is only a reflection of the data in the datasource. Saving the WBS chart linked to adatasource saves the formatting options into the WBS file but the data is stored in thedatasource.

Unlinking from a Microsoft Project plan

If you create a WBS chart from a Microsoft Project plan, the WBS chart is linked to the MSProject plan. Any changes you make to the WBS chart are immediately reflected in theMicrosoft Project plan. There is a dynamic link between the Microsoft Project plan and the WBSfile. As mentioned above, when linked to a Microsoft Project plan all of the data is stored inMicrosoft Project and the WBS formatting options are saved in the WBS chart file.

Unlinking a WBS chart from a Microsoft Project plan will transfer the data into the WBS c hartso that the WBS chart will become a standalone file containing all of the data and formatting.

Important Note: When you Unlink a WBS chart from a Microsoft Project plan you cannotre-link it to this same Microsoft Project plan. This is because you would then have two sets ofdata, one in Microsoft Project and one in the WBS chart file. If you unlink a WBS c hart from anexisting Microsoft Project plan you can only send the data back to Microsoft Project as a NewMicrosoft Project plan, you cannot use it to modify an existing Microsoft Project plan.

Unlinking from an MPX or Text file

If you create a WBS chart from an MPX or Text file this WBS chart is linked to these files butnot dynamically. In other words, you cannot modify the WBS chart and have this modify theMPX or Text file.

You can select to Unlink from an MPX or Text file by selec ting the Unlink command. However,Unlinking from a MPX or Text file will happen automatically if you change the data in thelinked WBS chart (if you add a task, for example). WBS Chart Pro cannot write bac k to theMPX or Text file, and since you have changed the data it must Unlink from the MPX or Text fileto manage the data properly.

Properties (File Menu)

The Properties dialog box allows you to enter fields to describe the WBS chart using the Summary tab or set default project information using the Settings tab.

Summary

Enter the desired information into the appropriate fields. These fields c an then be displayed inWBS chart printouts or in a saved web page.

The various fields under the Summary tab are similar to the Properties option in Mic rosoftProject (under File-Properties). If you enter them in Microsoft Project they also appear here inWBS Chart Pro when you create a WBS chart from Microsoft Project. If you enter the Summarydata in WBS Chart Pro first and then create a Microsoft Project plan from this WBS chart thenthis information is transferred to the Microsoft Project plan.

Hint: You can also enter Summary information while you are in Print Preview by selec ting theSummary Info button in Print Preview.

Settings

Sets the current WBS chart settings.

Scheduling

Calculate multiple critical paths – Select this to have WBS Chart Pro calculate the criticalpath to each end point in the project. Each network of tasks (a single task is considered asingle network) will calculate its own critical path rather than to a c ommon end point.

Tasks are critical if slack is less than or equal to: – Set this to the slack amount youwish to use to calculate whether a task is critical or not. By default, a task is consideredcritical if it has 0 (zero) slack. You can change this to a higher or lower am ount.

Show unknown dates as – Converts any unknown date in a date field to the spec ifiedvalue (or converts the unknown date to a blank if this field is left blank). This is useful forremoving unwanted values in date fields.

For example, if you display the Microsoft Project field “Actual Start”, it may display thevalue NA. Use this field to convert the NA to some other text or to a blank field by leavingthe “Show unknown dates as” field blank.

Calculate actual costs – Select this if you want Actual and Remaining Costs to beautomatically calculated based on the % complete of the task.

Set as default – Select to make the options in the Scheduling section the default for allnew WBS charts.

Currency

Symbol – Sets the default currency symbol for the current WBS chart.

Placement – Sets the placement of the currency symbol in relation to the currencyamount.

Project Start date – Set the start date of the current WBS chart.

Undo (Edit Menu)

Removes the last command performed in WBS Chart Pro. When using WBS Chart Pro to c reatea standalone WBS chart, most operations can be undone.

IMPORTANT NOTE: When using WBS Chart Pro to modify an existing Microsoft Project plan,certain operations cannot be undone. Adding, Deleting or Moving tasks in a WBS c hart linkedto a Microsoft Project plan cannot be undone. WBS Chart Pro communicates with MicrosoftProject through OLE automation, which does not provide a method to Undo complexoperations. However, some simple operations such as renaming a task can be Undone.

Cuts (deletes) the selected task and places it on the Clipboard so you can paste it elsewhere.If you select a Summary Task and choose Cut, it will cut that Summary Task and all tasksbelow. You can also copy and cut tasks by using the Right-Click and Left-Click mouse buttons,see Copy, Moving & Repositioning Tasks

Select another task in the WBS chart and choose Edit-Paste Before, Edit-Paste After orEdit-Paste Subtask to place the cut task relative to the selected task. You can also Right-Clicka task to Paste.

Delete (Edit Menu)

Deletes the selected Summary Task or Task. If you delete a Task you are NOT prompted toconfirm this deletion. Select Undo if you want to undo the delete, and you are using WBSStandalone. You cannot undo the delete if you are working with a chart that is linked to aMicrosoft Project Plan.

If you delete a Summary Task you are prompted to confirm and are given three options. Theoptions are listed below with an explanation of each:

Delete Summary Task xx and its subtasks – Select this option and press OK to deletethe selected Summary Task and all of its subordinates (the Summary Task and everythingbelow it).

Delete Summary Task xx but keep its subtasks – Select this option and press OK todelete the selected Summary Task but not the items below the selected Summary Task.

Cancel – This cancels the Delete operation.

Task Information (Edit Menu)

The Task Information dialog box can be found by selecting it from the Edit menu, bydouble-clicking on a task, or by selecting a task and c licking on the Task Information toolbarbutton.

The Task Information dialog box is used for both Summary Tasks and Tasks. If you display theTask Information for a Summary Task there may be some fields in the dialog box that cannotbe edited due to the fact that they are rolled up (calculated) fields.

The Task Information dialog box contains 3 Tabs of information described below.

General

Name – Enter a name or description of the task.

Duration – Enter the duration for the task. The duration can be entered in Minutes, Hours,Days, Weeks or Months. Duration can be entered using the following format:

M = Minutes

H = Hours

D = Days

W = Weeks

MO = Months

For example, for a 10 day task you can enter 10d in the duration field, a 2 week task wouldbe 2w.

For more information on Duration, see Scheduling

% Complete – Enter the Percent Complete for the task. This field is also calculated for atask when the appropriate scheduling information is provided such as Actual Start or ActualFinish.

WBS – Enter the WBS for the task. The WBS code is initially derived from that task’s positionin the structure of the WBS chart with the top being 1 and the second level 1.1, 1.2, etc…You can let WBS Chart Pro calculate this for you or you can enter this information yourself. Ifyou enter data into the WBS field yourself, WBS Chart Pro will no longer update this num berfor you even if you move the task. To make WBS Chart Pro calculate the WBS field after youhave entered information into this field, remove the data that you entered. WBS Chart Prowill then calculate this data again.

Work – Enter the Work (Hours) for the task.

Cost – Enter the Cost for the task.

Start – The date and time a task is scheduled to begin. You can enter the start date, or itwill be calculated based on the Project Start/Finish date, dependencies, Constraint Type andConstraint Date.

Finish – The date and time a task is scheduled to Finish. You can enter the finish date, or itwill be calculated based on the Project Start/Finish date, dependencies, Constraint Type andConstraint Date.

Constraint Type – Select a constraint from the list. For more information on howConstraints work, see Scheduling

Constraint Date – Enter a date for the constraint. For more information on how Constraintswork, see Scheduling

Resource Names – Lists resources that are assigned to this task. You cannot assignresources into this field directly; you must use the Resources button.

Resources>> - Displays the Assign Resource form. In the Assign Resource form, select aresource (or resources) to assign to this task and press OK. The assigned resourc es will thenappear in the Resource Names field. If the Resources button is not available it means thatyou do not have resources defined in this project. You must define the list of resourcesbefore you can assign them. To define the Resources for this project select theTools-Resources menu.

Custom

The Custom Tab allows you to list additional fields for entering data. For exam ple, if youwant to enter data into the Actual Start and Actual Finish fields then you could list thesefields in the Custom Tab, since they are not fields that appear in the General Tab.

Choose the Add Field button to add a field to the end of the list. Choose Insert Field to inserta field above the selected field. Choose Remove Field to remove the selected field.

Flags

The Flag Tab allows you to quickly set a Flag field for a task. The Flag fields are sim pleYes/No fields that are displayed as checked or non-checked fields (checked means Yes andnon-checked means No). If multiple Flags are set on a task, the lowest numbered Flag takesprecedence and the others are ignored. The Flag fields in WBS Chart Pro correspond to theMicrosoft Project Flag fields, but you can use them independent of Microsoft Project.

The Flag fields can be used to define task box colors in the WBS chart. To use the Flag fieldsto define colors, select the Format-Borders menu and select the “Borders Based on Flags”option. Then, define different colors/styles/shadows for each Flag field. Once this is done,select tasks in the WBS chart and use the Flag Tab in the Task Inform ation dialog box todefine that a specific task use a specific Flag, as shown below:

Hyperlink

The Hyperlink Tab allows you to enter a Hyperlink to go to the spec ified document or webpage from within WBS Chart Pro. When you enter a Hyperlink file or web page address youcan go to this link from within WBS Chart Pro by c licking the Hyperlink button associatedwith the task. This button is a small square that appears above and to the left of the task.Clicking this button jumps to the spec ified link.

There are four Hyperlink fields in the Task Information form. These four fields work togetherto point to one hyperlink location for a task (you cannot enter m ore than one hyperlink pertask). They are:

Hyperlink – This is the “displayed” name for the Hyperlink. By default when you enter aHyperlink Address the Hyperlink field copies this information but if you type text into theHyperlink field after the link is created it will display this text.

Hyperlink Href – This is the full address of the document or web page. It is theconcatenation of the Hyperlink Address and Hyperlink Subaddress fields. You can enter thecomplete address in this field or enter the Hyperlink Address along with the HyperlinkSubaddress and the Hyperlink Href will be the sum of the two.

Hyperlink Address – This is the main document or web page that a task is linked to.

Hyperlink Subaddress – The Hyperlink Subaddress goes to a certain place within thelink referred to in the Hyperlink Address field. The most common use for this is to jump toa Bookmark (section within a document or web page).

Find (Edit Menu)

Searches the WBS chart and selects the first occurrence of the text entered in the “Find what:”field. The Find feature only looks for text that is currently displayed in the c hart.

Select the Find Next button to find the next occurrence of the text. You can Cancel out of thedialog and press F3 to find each next occurrence of the text.

Select (Edit Menu)

Select multiple tasks in the WBS chart based on the structure of the WBS c hart. Once multipletasks are selected you can perform certain operations on these tasks. For example, if you wantto change the color of multiple tasks at once you can use one of the Select options to selectmultiple tasks and then choose Format-Custom Box Settings to change the colors of all theselected tasks.

You can also display the Select menu by Right-Clicking on a task. The options under the Selec tmenu are:

All – Selects all items (both Summary Tasks and Tasks) in the WBS c hart.

Summary Tasks – Selects all Summary Tasks in the WBS chart.

Tasks – Selects all Tasks in the WBS chart.

Branch – Selects the current item and all items below the current item. This works bestwhen you want to select a Summary Task and all items below that Summary Task.

Subtasks – Selects all items below the current item but not the item itself. This works bestwhen you want to select all items below the current Summary Task but not select theSummary Task itself.

Level – Selects all items at the same level as the currently selected item.

When items are “Selected” they appear with reverse coloring (usually a Black background inthe box). There is also an “Active” box within this selection indicated by a dashed line aroundthe box. Certain operations are performed relative to the Ac tive box such as aligning allselected boxes. If you choose to Align (by choosing Format-Align-Align Boxes) multiple boxesthey will line up with the Active box.

Tip: You can also select multiple tasks by holding down the CTRL key on your keyboard whileselecting multiple tasks. Still another way to select multiple tasks in the WBS chart is to Clickand Drag around a number of tasks.

The Normal view displays the WBS chart in a regular window without page breaks or otheroutput indicators.

Page Layout (View Menu)

The Page Layout view displays the WBS chart showing page breaks as they would appear ifprinted. Page breaks are displayed based on the currently selected printer and paper size. Goto File-Page Setup to change printers and/or paper size.

The Page Layout mode is useful for moving tasks around to avoid page breaks but you canalso have WBS Chart Pro automatically adjust for page breaks by selec ting this option inFile-Page Setup.

Hint: Try the Zoom out command (or the View-Zoom menu) when in Page Layout mode to seethe entire WBS chart and all pages of the chart.

Online Layout (View Menu)

The Online Layout view displays the WBS chart showing page breaks as they would appear ifyou selected Save As Web Pages for this WBS chart. Page breaks are displayed based on thesize of the image specified in the template used to create the Web Pages.

Views (View Menu)

A View is a collection of formatting options that make up how your chart is displayed. A Viewdefines things such as which fields are displayed in the Task and Sum mary Task boxes, thebox colors and styles, and the style and color of the connecting lines between the boxes. TheWBS Chart Pro program comes with several pre-defined Views that you c an use and modify, oryou can define your own.

How Views Work

There are several pre-defined Views stored in the folder where WBS Chart Pro is installed.These Views have a .WBV extension and are called Planning View, Critical Path View, etc .When you create a New WBS chart or create a WBS chart from Microsoft Project plan for thefirst time it copies these Views into the current chart. When you switch Views in the chart andmodify the formatting of the chart, this information is saved in two ways:

1. If you save the WBS chart, all changes made to the Views are saved within this chart. Thenext time you open this saved WBS chart all of your Views will be as you saved them withinthe chart.

2. By default, when you close a WBS chart, all of the modified Views in this chart areautomatically saved over the default Views in the folder where the Views are stored. Thismeans that when you open another New chart or create another WBS chart from a MicrosoftProject plan, your chart will be displayed based on the modified the Views from your lastchart.

Note: If you do not want to automatically save the changed Views in a chart as you close it,select Tools-Options and change the “When closing a chart” option to “Prompt to save changedViews” or “Do not save changed Views”. Choosing the “Do not save changed Views” option willstill save the Views within the chart, but will not affect the default Views. See Options

Displaying Different Views

You can use the View toolbar located in the upper right corner of the screen to switch Viewsand to create or copy a View.

Click the arrows to display different views of the WBS chart, click … to bring up the view dialogwhere you can copy and create Views

Creating and Modifying Views

To modify a View, switch to a View using the arrows on the View Toolbar or use the DropDown arrow on the View Toolbar to select a specific View. When a View is displayed, anythingyou change in the WBS chart that is not data or program specific is saved within that View.The items in the Format menu (except for Custom Box Settings) and items selected in theView menu make up most of the formatting options that are saved with a View.

To modify a View, it is best to select a View that is sim ilar to what you want and makeadditional changes from there.

The Views dialog box allows you to create New Views, Copy, Rename, Delete, Import andExport Views. Selecting a View from this list and clicking OK will apply this View to the WBSchart. The other options are described below:

New – Creates a New View with minimal formatting options. Once c reated, click OK toapply this View to the current WBS chart and then modify this View using the Format andView menus.

Copy – Makes a copy of the selected View.

Rename – Allows you to rename the selected View. You can also press F2 to rename theselected View.

Delete – Removes the selected View from the current WBS chart file. This does not deletethe View from the directory where the Views are stored it only deletes the selected Viewfrom the current WBS chart.

Import – Allows you to import a View into the current WBS chart.

Export – Allows you to export the selected View from the current WBS chart.

Show Subtasks (View Menu)

Show Subtasks reveals the immediate subtasks of the selec ted Summary Task that arehidden. You can also use the Show Subtasks Toolbar button as shown below:

Progress Marks (View Menu)

Turns the Progress Marks on and off. A checkmark next to Progress Marks in the View menuindicates that it is currently selected (on).

Progress Marks indicate the progress of tasks (and summary tasks) by placing an X or a singlediagonal line through the task box based on the Percent Complete of the task. Progress Marksuse the % Complete field to determine the progress of the tasks in the WBS c hart using thefollowing rules:

Displays an X through the box if the task is 100% complete.

Displays a diagonal line through the box if the task is 1% to 99% Complete (in progress).

Does not display Progress Marks if the task is 0% complete.

Using Progress Marks is one of a number of different ways to display progress in a WBS c hart.You can also show progress using the following features:

Color fill a field for task boxes based on progress. See Task Boxes

Project Summary Task (View Menu)

Turns the Project Summary Task on and off. A checkmark next to the Project Summary Taskoption indicates that it is currently selected (on).

The Project Summary Task is a single box at the highest level of the WBS chart. It is used toquickly display a box at the top of a WBS chart without adding a “real” task. The ProjectSummary Task has a WBS code of 0 (zero) and represents the rollup of the entire WBS c hart.The name of the Project Summary Task is the name of the project.

You cannot delete the Project Summary Task, and other Summary Tasks and Tasks can onlybe created below the Project Summary task.

If you have already created a WBS chart with a single box at the top then there may not be aneed for a Project Summary Task. However, when you place a real task at the top of a WBSchart, the WBS code is started at the number 1. Many people like to start with the number 0at the top and you can use the Project Summary Task for this.

The Project Summary Task is also useful if you create a WBS chart from an externaldatasource (such as Microsoft Project) where there may not be a single project-wide SummaryTask. You can quickly show a top-level box with all of the projec t information rolled up byselecting the Project Summary Task option.

The Project Summary Task works much like the Project Summary Task option in MicrosoftProject.

Outline Symbols (View Menu)

Turns the Outline Symbols on and off. A checkmark next to the Outline Symbols optionindicates that it is currently selected (on).

Outline Symbols allow you to quickly expand and collapse subtasks of a selected SummaryTask by clicking the small symbols displayed next to the Summary Task. If Outline Symbolsare displayed in the WBS chart, a Summary Task that has hidden tasks will display a smallbox with a plus sign (+). The plus sign indicates that there are subtasks hidden below theSummary Task. You can click this plus sign to reveal these tasks. Clic k the minus sign (-) tohide all tasks below the selected Summary Task.

Outline Symbols can be positioned in different places on the Summary Task boxes. See Chartfor information on how to change the location of the Outline Symbols on the Summary Taskboxes.

Hyperlink Symbols (View Menu)

Turns the Hyperlink Symbols on and off. A checkmark next to the Hyperlink Symbols optionindicates that it is currently selected (on).

Hyperlink Symbols allow you to quickly jump to the Hyperlink associated with a task byclicking the small symbol displayed next to the task. If Hyperlink Symbols are displayed in theWBS chart, a Summary Task or Task that has a Hyperlink will display a small box next to thattask. Click this box to go to that Hyperlink.

Zoom (View Menu)

Zoom displays the Zoom dialog box for adjusting the WBS chart to specific zoom factors.

Select from one of the preset zoom factors (200% - 25%) to enlarge or shrink the WBSchart on the screen to the size selected.

Select Fit Chart Height to shrink the WBS chart to fit vertically on the screen.

Select Fit Chart Width to shrink the WBS chart to fit horizontally on the screen.

Select Fit Chart to shrink the entire WBS chart to one screen.

Select Custom to enter a specific zoom factor.

You can also Zoom In and Zoom Out by using the Zoom In and Zoom Out buttonson the Toolbar.

The Task Boxes/Summary Boxes dialog box allows you to define the arrangement of fieldsand the formatting of these fields for Tasks and Summary Tasks in the WBS chart. You canarrange an unlimited number of fields in and around the boxes in your WBS c hart using thedialog box shown below. Each view provided with WBS Chart Pro defines the task box fields forthat view. By changing the task box definitions you are changing the view definition. It is bestto start with a view that is the most similar to the way you would like your task boxes to bedisplayed. To create a new view see Views

The fields displayed in the task boxes for Tasks and Summary Tasks are configuredseparately. However, the dialog box and method for configuring Task boxes and SummaryTask boxes is the same, and will be discussed as one topic below.

The Task Boxes/Summary Boxes dialog box allows you to define the arrangement, color, andformatting of fields within the box, however, it is not where you define the box colors, boxshapes and box shadows. To define the box colors, shapes and shadows go to the Bordersdialog in the Format menu. See Borders.

Adding/Deleting and Arranging Fields in the Task Boxes

To add fields to a box, use the Rows and Columns buttons on the right side of form. Rows andColumns are inserted relative to the selec ted cell in the sample grid in the middle of the form.

Rows

Insert Above – Adds a cell or row of cells above the selected cell.

Insert Below – Adds a cell or row of cells below the selected cell.

Delete – Removes the entire row containing the selected cell.

Minimize Height – Select this option to make the selected row as short as possible. Thisoption is useful for minimizing the height of certain c ells when the cells would otherwise bestretched across the row. Rows may need to be stretched when data in one area of the rowcauses the entire row to be taller, or when you use the feature to “Match Box Sizes” onFormat-Chart menu.

Consider the example below where the text on the side m akes the box tall. By making thebox taller some rows need to stretch. If you did not select the Minimize Height option onany of the rows then all rows are stretched evenly, like this:

If you select the second and third rows in the grid and select the Minimize Height optionthen it would look like this:

It minimizes the space in the second and third rows and stretches the first row to fill theremaining space.

Note: If you select the Minimize Height option on all of the rows and rows need to bestretched (as in this example) then it will evenly distribute the spac e in the rows much likethe first picture above.

Columns

Insert Left – Adds a cell or column of cells to the left of the selected cell.

Insert Right – Adds a cell or column of cells to the right of the selected cell.

Delete – Removes the entire column containing the selected cell.

Minimize Width – Select this option to make the selected column as narrow as possible.This option is useful for minimizing the width of certain c ells when the cells would otherwisebe stretched across the column. Columns may need to be stretched when data in one areaof the column causes the entire column to be wider, or when you use the feature to “MatchBox Sizes” on Format-Chart menu.

Consider the example below where the name of the task makes the box wide. By making

the box wide some columns need to stretch. If you did not select the Minimize Widthoption on any of the columns then all columns are stretched evenly, like this:

If you select the first column in the grid and select the Minimize Width option then itwould look like this:

It minimizes the space in the first column and evenly spaces the remaining columns.

Note: If you select the Minimize Width option on all of the columns and columns need tobe stretched (as in this example) then it will evenly distribute the space in the columnsmuch like the first picture above.

Merge Cells – Makes a field span more than one cell. To merge cells, click and drag toselect multiple cells and then select the Merge Cells option. In the example below, the WBSfield is added above the Name field and merged into one cell aligned at the left. To do this:

1. Start by inserting a row above the Namefield. Select the Name field and selectthe Insert Above button.

2. When the row is added, select the leftcell and choose the WBS field from theField drop down list. Then, click and dragfrom the WBS cell across the empty cellon the right to highlight both cells.

3. Select the Merge Cells option to makethe WBS field span the width of the box.You can also select the Align Left optionto place the field on the left margin.

Box Interior – Defines the box interior so fields can be displayed outside of the box. Todefine the “Box Interior”, click and drag across the fields (cells) that you want to includeinside the box and select Box Interior.

Using the above example, to make the WBS field appear outside of the box, c lick and dragacross the Name, Duration, %Complete, Start and Finish fields to highlight these field.Then, select the Box Interior option.

Selecting the Box Interior option removes the box border and any gridlines assoc iated withthe cell outside of the box. To replace the border and gridlines, deselec t the box interioroption and then select the Gridlines option, and choose Set All to restore all of the Gridlinesbetween the cells.

Formatting the Fields in the Task Boxes

To format a field, select the field (cell) by clicking on the appropriate field in the sample grid inthe middle of the form. Then, select the formatting options in the Cell Style area.

Following is an explanation of each of the options in Cell Style:

Field – Select the drop down arrow to display a complete list of fields. Choose a field fromthis list to display in the selected cell. The list of fields is similar to those used in MicrosoftProject. For a complete list of these fields and their meanings, see Fields in WBS Chart Pro.

Label – Enter text to display before or after the data in the selected cell. Leave the Aftercheckbox unchecked to display text to the left of the data in the cell or click the Aftercheckbox to display the label to the right of the data in the cell.

The ID, Start and Finish fieldshave labels before the date.Select the After checkbox todisplay the label following thefield as in the Duration field

above.

Format – Displays options for formatting the data for the selected cell such as differentdisplay formats for date fields. Some fields do not have formatting options and this option isunavailable.

Wrap after xx characters – Specify the number of characters on which to “Word Wrap”.WBS Chart Pro attempts to wrap the line of text at the number of characters specified.However, it can only wrap on a space and may wrap at more or less than the number ofcharacters specified.

Font – Sets the font type for the selected cell.

Size – Sets the font size for the selected cell.

Rotate – Displays the text in the cell normal (0°), top-to-bottom (90°), or bottom-to-top(270°).

Align – Sets the alignment of the text Horizontally to the Left, Center or Right within thecell.

Vertical – Sets the alignment of the text Vertically to the Top, Center or Bottom within thecell.

Bold/Italic/Underline – Sets the text to Bold, Italic or Underlined for the selected cell.

Text – Sets the color for the text in the cell. Choose the Same as Box Border option todisplay the text the same color as the box border. This is useful, for example, if you weredisplaying Critical tasks in the chart as red boxes, and Noncritical tasks in the chart as Blueboxes, and you wanted the text within the boxes to match these colors.

Fill – Sets the background color for the cell.

Progress – Displays a fill pattern within the cell based on the completion (% Complete) ofthe task.

Margins – Allows you to set the left, right, top and bottom margins around the text in theselected cell.

Setting Additional Task Box Options

Gridlines – Select to configure the gridlines between the fields. The separating linesbetween the fields that are displayed in the Summary or Task Boxes are referred to asGridlines. You can choose to turn them all off (Clear All), turn them all on (Set All), orindividually select which gridlines appear.

Copy – Select to copy the arrangement of fields for pasting into the Summary Boxes orTask Boxes form. For example, if you are currently configuring Task Boxes and you wantedto use this same arrangement of fields for your Summary Boxes you would press Copy whilein the Task Boxes form, then go to the Summary Boxes dialog box and press Paste.

Paste – Select to paste the copy of the fields into the current Sum mary or Task Boxes form.You must have previously selected Copy from either the Summary Boxes or Task Boxesdialog box for this to work.

Borders (Format Menu)

The Borders dialog box allows you to specify box border settings such as style, c olor, andshadows based on different triggers. Box settings are chart-wide and become part of the Viewdefinition. The border settings can be based on one of the following:

By the Critical and Noncritical status of the tasks.

By the Flag Fields set for the tasks.

By the Progress (% Complete) of the tasks.

Individually for each task, thus overriding the above-mentioned Chart-wide option currentlyselected.

The settings you choose in the Borders dialog only apply for the current View, therefore, youcan have one View that displays the Critical and Noncritical status of your WBS c hart andanother view that displays the WBS chart based on the Progress of tasks.

The border style definitions for the current View can be printed as a Legend when you printthe chart. See Page Layouts (Edit) for how to include the (Legend:Borders) field on yourprinted chart.

Tip: You can rename the entries in the “Item to change:” list by selecting the Tools-BorderNames option. For example, Critical Task can be renamed to Critical Path Activity. Therenamed entries are also used when the Legend is printed out. See Border Names

Borders based on Critical Path

You can set the colors, borders and shadows of the Tasks, Summary Tasks and Milestones inthe WBS chart based on the Critical or Noncritical status of the tasks.

Click the Critical Path option to configure the current View to display tasks based on theCritical and Noncritical status of those tasks. Select the type of task to change (Critical Task,Critical Milestone, etc.) and define the style of box, colors and shadow ac cordingly.

Use the Ctrl key to select multiple items in the “Item to change:” list. To do this, hold downthe Ctrl key on your keyboard while you selec t multiple items with your mouse.

Borders based on Flags

You can set the colors, borders and shadows of the Tasks, Summary Tasks and Milestones inthe WBS chart based on Flag settings. Flags in WBS Chart Pro are simple Yes/No settings thatyou can apply to a task. There are 20 Flag fields (Flag1 through Flag20). By using the Flagfields, styles for a Flag field can be defined and then the Flag setting can be applied to tasks inyour WBS chart. The box style will then display per the flag definition. Only the first set (Yes)flag is applied to a task box.

For example, if you wanted certain boxes in your WBS chart to be Green, some Purple andothers Yellow then you could define the Flag1 borders to be Green, Flag2 to Purple and Flag3to Yellow. Then for each task that you want to be Green you would double-click that task,select the Flag tab in the Task Information dialog box and click Flag1. For each task that youwant to be Purple you would select those tasks, set Flag2 and so on.

If you are using Microsoft Project, the Flag fields in WBS Chart Pro correspond directly to theFlag fields in Microsoft Project. They can be set in Microsoft Project or in WBS Chart Pro.

Borders based on Progress

You can set the colors, borders and shadows of the Tasks, Summary Tasks and Milestones inthe WBS chart based on the progress of the tasks.

You can define colors for tasks (Milestones and Summary Tasks included) that have notstarted, are in progress or have completed. The % Complete (percent complete) field is usedto determine the progress of a task using the following definition:

§ If a task has 0 (zero) in the % Complete field then the task is considered Not Started.

§ If a task has between 1 and 99 in the % Complete field then the task is considered InProgress.

§ If a task has 100 in the % Complete field then the task is c onsidered to be Completed.

Individually Changing Box Styles in the WBS chart

If you just want to change the box styles of select boxes in the WBS chart, you do not need touse the Borders dialog box to do this. Instead, just select a box on the screen and select Format-Custom Box Settings (or right click on a task and choose Custom Box Settings).The Custom Box Settings dialog box allows you to change the selected box(es) as exceptionsto the box styles defined in the Borders dialog box described above. The overriding stylesettings remain a part of that box until you delete the task or Reset it using the Custom BoxSettings dialog box. See also Custom Box Settings

Box Settings

Style – Define the shape of the box by choosing from the various styles in this list.

Width – Define the thickness of the border by choosing Thin, Medium or Thick from the list.

Color – Define the color of the box from the list of colors.

Edge Fill – Define the color of the outside edge of the box. The Edge Fill c olor only applies ifyou have defined a Style that contains an area (edge) outside of the box. For exam ple,defining a Red Edge Fill color would only work in the sec ond and third examples below.

Chart (Format Menu)

Displays various features used to configure the default options in a chart. The optionsavailable apply to the current View. This allows each View to have its own default settings fordisplaying different types of WBS and Org chart style images.

Style – Specify the general way that tasks are arranged in the chart. The style option selectedin the Format Chart dialog box is applied chart wide. To change the style of selec ted taskboxes use the style buttons on the arrange toolbar. The available options plus a sample anddescription of each is below.

Org Chart Style – Displaysall subordinate tasks left toright below their respectiveSummary Task. This is therecommended style forproject planning.

WBS Chart Style –Displays Tasks verticallyunder their respectiveSummary Task but otherSummary Tasks aredisplayed left to right undertheir respective SummaryTask.

Selecting the List All optionon the Toolbar buttonapplies the feature only tothe currently selectedSummary Task whereasusing the List All option inthe Chart menu sets itchart-wide.

WBS Chart Style (2columns) – Lists tasksWBS Chart Style but tasksare listed below theirrespective Summary Tasksin 2 columns.

Background Color – Specify the background color of the chart.

Summary Tasks Align – Choose how to display the Summary Tasks in the WBS chart whenthey are aligned over their respective Tasks. Choose Left to plac e the Summary Task alignedwith the left edge of the Tasks being summarized, Center to align the Summary Task in themiddle of the Tasks being summarized, and Right to align the Summary Task with the rightedge of the Tasks being summarized.

The Summary Tasks Align option in the Format-Chart menu is chart-wide (applies to allSummary Tasks in the WBS chart). To change the Summary Task alignment for the selectedSummary Task, use the Align toolbar buttons as shown below (see also Align):

To turn Outline Symbols On and Off, use the View menu and Select orDeselect the Outline Symbols option.

Hyperlink Symbols – Choose where to display the Hyperlink Symbols on the Summary Taskand Task Boxes. Hyperlink Symbols display as a small box next to the Summary Task or Task,select the box to go to the Hyperlink. This is not where you turn Hyperlink Sym bols On andOff. To turn Hyperlink Symbols On and Off, use the View menu and Select or Deselect theHyperlink Symbols option.

Match Box Sizes – Specify the way boxes are sized throughout the WBS chart. The Heightand Width of the boxes are controlled separately. The available options for both Height andWidth of the boxes are:

§ Match All Boxes – All boxes in the chart are made equal in size to the largest box.

§ Match Tasks and Summary Tasks Independently – All Tasks are made the samesize equal to the largest Task box and all Summary Tasks are made the same size equalto the largest Summary Task.

§ Match Tasks Only – All Tasks are made the same size equal to the largest Task boxand all Summary Tasks are sized independently.

§ Match Summary Tasks Only – All Summary Tasks are made the same size equal tothe largest Summary Task box and all Tasks are sized independently.

§ Don’t Match – All boxes in the WBS chart are sized independently based on the amountof text in the box, fonts sizes, fields, etc.

Spacing – Defines the default spacing between the different task types in the WBS chart. Theitems below define the minimum amount of space between items; many times the data in theWBS chart will cause the distances to be greater than these amounts. The options are:

§ Before Summary Tasks – Defines the minimum distance between a Summary Taskand the Summary Task before it (usually the Summary Task to the left).

§ From Summary Tasks to Sub-Tasks – Defines the distance between a Summary Taskand its subordinates.

§ Minimum Stem – Defines the Stem length. The Stem is the part of the connecting linegoing into a Task or into a Summary Task. This distance is represented by a frac tion andallows you to specify how much of the connecting line is used for this stem.

§ Before Tasks – Defines the distance between a Task and the Task before it (usually theTask to the left or the Task above).

Lines (Format Menu)

Lines defines styles, shapes and colors for the connecting lines in the WBS c hart.

Exiting Summary Tasks - Define an arrowhead style (or none at all) for lines coming out ofa summary box. Choose Shape to define the arrowhead type, Size for the thickness of thearrowhead, Edge for the outside edge color of the arrowhead and Fill for the inside color ofthe arrowhead.

Line – Define the connecting line thickness and style. Choose Style for the various line stylesand Color for a list of available colors.

Entering Sub-tasks – Define an arrowhead style (or none at all) for lines going into a taskbox. Choose Shape to define the arrowhead type, Size for the thickness of the arrowhead,Edge for the outside edge color of the arrowhead and Fill for the inside color of thearrowhead.

Custom Box Settings (Format Menu)

Custom Box Settings defines custom box styles and colors for the selected task(s) in the WBSchart. Normally in a WBS chart you define box styles based on the type of task that is beingdisplayed. For example, Critical Tasks in your chart may appear with a Red Shadow andNoncritical Tasks with Blue Shadows. You can override these styles by selecting c ertain tasksin your chart and using Custom Box Settings.

You can access Custom Box Settings from the Format menu under Custom Box Settings, oryou can right click on a Task and choose the Custom Box Settings option.

You can apply Custom Box Settings to a single task by selecting that task and displaying theCustom Box Settings dialog box. Or, you can select multiple tasks and apply the Custom BoxSettings to all selected tasks.

Box

Style – Define the shape of the box by choosing from the various styles in this list.

Width – Define the thickness of the border by choosing Thin, Medium or Thick fromthe list.

Independent Box Height – If you have chosen to Match Box Heights, you can selectthis option to not include the selected task(s).

Independent Box Width – If you have chosen the Match Box Widths, you can selectthis option to not include the selected task(s).

Color – Define the color of the box from the list of colors.

Edge Fill – Define the color of the outside edge of the box. The Edge Fill c olor onlyapplies if you have defined a Style that contains an area (edge) outside of the box. Forexample, defining a Red Edge Fill color would only work in the second and thirdexamples below.

Align (Format Menu)

Align overrides the default alignment of Summary Tasks and Tasks in the WBS chart. Theoptions in the Format-Align menu allow you to change the selected box on the sc reen to lineup differently than its default alignment set under the Format-Chart menu.

An alternate way to display the Align menu is to right click on a Summary Task or a Task andchoose Align.

Still another way to change the Align options is to use the Align toolbar buttons:

Chart Settings (Tools Menu)

Settings

Chart Settings displays the Settings tab of the Properties dialog box.

Scheduling

Calculate multiple critical paths – Select this to have WBS Chart Pro calculate the criticalpath to each end point in the project. Each network of tasks (a single task is considered asingle network) will calculate its own critical path rather than to a c ommon end point.

Tasks are critical if slack is less than or equal to: – Set this to the slack amount youwish to use to calculate whether a task is critical or not. By default, a task is consideredcritical if it has 0 (zero) slack. You can change this to a higher or lower am ount.

Show unknown dates as – Converts any unknown date in a date field to the spec ifiedvalue (or converts the unknown date to a blank if this field is left blank). This is useful forremoving unwanted values in date fields.

For example, if you display the Microsoft Project field “Actual Start”, it may display thevalue NA. Use this field to convert the NA to some other text or to a blank field by leavingthe “Show unknown dates as” field blank.

Calculate actual costs – Select this if you want Actual and Remaining Costs to be

automatically calculated based on the % complete of the task.

Set as default – Select to make the options in the Scheduling section the default for allnew WBS charts.

Currency

Symbol – Sets the default currency symbol for the current WBS chart.

Placement – Sets the placement of the currency symbol in relation to the currencyamount.

Decimal Digits – Specifies the number of decimal digits for the currency.

Project Start date – Set the start date of the current WBS chart.

Project Finish date – Set the finish date for the current WBS chart.

Schedule from Project Start date – Select this to schedule tasks forward from the ProjectStart Date. Deselect this to schedule tasks backwards from the Project Finish Date.

Calendar (Tools Menu)

The Calendar defines the workdays, hours in a workday and non- working days for yourproject. By default, when scheduling tasks, WBS Chart Pro uses a Monday through Fridayworkweek and an 8 hour work day from 8:00 AM to 5:00 PM (with an hour for lunc h from12:00 PM to 1:00 PM). You can change this for the current project or change it and set it asthe default for all new projects.

Normal Working Hours - This option sets the default working hours for the Norm al WorkingDays selected. For example, if your project uses a 4 day work week with 10 hour days (and anhour for lunch) you could set the Normal Working Hours to something like:

8:00 AM 1:00 PM

2:00 PM 7:00 PM

Normal Working Days - Select the default working days for your project. If you typic allywork a 5 day week from Monday through Friday then you would selec t Monday through Friday.If you typically work a 6 day week you could set it to Monday through Saturday.

Set as Default - Select this to make the current Calendar the default Calendar for all newprojects. If you customize a Calendar and select the Set as Default button, this custom izedCalendar is used whenever a New project is created. Using the Set as Default option does notaffect any existing Calendars in existing projects.

Reset - Select Reset to remove any custom settings to the current Calendar and set it to thedefault Calendar.

For selected days - Select a date (or dates) in the Calendar grid and use the options in theFor selected days area to set the hours for these dates by entering From and To times,Reset these dates to the default or set them to be Non-Working days.

The Calendar File

When Set as Default is selected, a Calendar file is created and saved to the folder where youinstalled WBS Chart Pro. This file is called Calendar.ctc. This calendar is then used for all newWBS charts you create. Any existing WBS charts will not be affected. If you have an existingWBS chart that you want to use with this new Calendar, open that chart, select Tools-Calendarand choose Reset.

Resources (Tools Menu)

Displays the Resources form for defining a list of resources for the project. Resources are thepeople or things that you assign to a task to perform work on that task. In WBS Chart Pro youcannot assign a resource to a task until you define the resource in this form.

Resource Name – Enter the resource name in this field. You can enter an individual, categoryof individual or any other name you want to identify and assign the resourc e.

The Resource Name field corresponds to the Resource Names field in Microsoft Projec t.

Initials – The initials are automatically created based on the Resource Name entered. You canaccept the defaults or type in a new value. You may want to display the Initials field in thetask boxes as an alternative to displaying the entire Resource Name field.

The Initials field corresponds to the Initials field in Microsoft Projec t.

Group – The Group field contains the name of the group to which each resource belongs.

The Group field corresponds to the Resource Group field in Microsoft Project.

Insert – Creates a blank row before the currently selected resource.

Delete – Deletes the currently selected resource.

Note: If the current WBS chart is linked to a Microsoft Project plan, then the resources in theResource form are the same as those listed in the Resource Sheet of Microsoft Project. Anychanges made in the Resources form in WBS Chart Pro are immediately reflected in theResource Sheet of Microsoft Project.

Rollup (Tools Menu)

The Rollup feature allows you to summarize data to each level of the WBS chart. Many fields inWBS Chart Pro (like the Cost, Duration, Start and Finish) automatically rollup so there is noneed to set these (nor is there a way to prevent their rollup). There are many other fields inWBS Chart Pro that you can use to enter your own cost, date, duration or work inform ationinto. These fields include Cost1-10, Duration1-Duration10, Finish1-Finish10 and so on... If youuse these fields you can roll this information up using the Rollup dialog box.

Use the Rollup dialog box to select which fields to rollup and how you want the information tobe calculated at each summary level.

Field – Select the field(s) to rollup.

Rollup Option – These options change depending on the type of field you have chosen in theField list. For example, selecting the Start field displays Earliest and Latest whereas a fieldsuch as Cost displays Sum, Largest and Smallest. Select how you want the information to becalculated.

Set as Default – Changes made to the Rollup dialog box are saved to the current WBS chart.Select the Set as Default option to make the current Rollup dialog box the default for all newWBS charts.

Note: When you Rollup a field, you can no longer edit that field in the Summary Tasks since

this is now calculated data. If you want to edit a particular field in the Summary Tasks, selectthat field in the Rollup dialog box and select Don’t rollup this field.

Field Names (Tools Menu)

Fields in the WBS Chart Pro database can be permanently renamed. This is useful if you arefamiliar with a certain term for a field and want to display it using that nam e instead of thedefault name. For example, if you use the word Task Name instead of the word Name thenyou could rename the Name field to Task Name. Renaming fields is also useful if you use fieldssuch as the Text fields or Flag fields. If you use the Text1 field to display the Department thenyou could rename Text1 to Department.

If, for example, you wanted to color the boxes in the WBS based on 3 departm ents in yourorganization; the Engineering Dept, the Sales Department and the Marketing Department. Youcould use the Flag fields in WBS Chart Pro to specify that Flag 1 represents the EngineeringDepartment, Flag 2 represents the Sales Department and Flag 3 represents the MarketingDepartment. To permanently rename the Flag 1, Flag 2 and Flag 3 fields to be EngineeringDept, Sales Dept and Marketing Dept you would enter this information into the Field Namesform as shown below. From there you would go to the Format-Borders menu to define thecolors for each department. Then you would select the appropriate task(s), display the TaskInformation dialog box and select Engineering, Sales or Marketing in the Flags sec tion of theform.

Field – Select the field you wish to rename.

Title – Enter the new name for this field.

Set as Default – Changes made to the Fields Name form are saved to the c urrent WBS chart.Select the Set as Default option to make the current Field Names form the default for all newWBS charts.

Border Names (Tools Menu)

Border Names allows you to define custom titles for the Critical Path, Flags, and Progresstrigger tasks use in the Format-Borders dialog box. The options in Format-Borders allow you todefine colors and borders for different types of tasks in the WBS chart. These border styles andtheir titles can be printed in the Legend portion of the printout using (Legend: Borders) inPageLayout. You can rename the styles using the Border Names form so they print withcustom titles.

Border – Select the Border field you wish to rename.

Title – Enter the new name for this field.

Set as Default – Changes made to the Border Names form are saved to the c urrent WBSchart. Select the Set as Default option to make the current Border Names form the defaultfor all new WBS charts.

Clear All – Removes all entries from the Title column.

Goto PERT Chart EXPERT (Tools Menu)

PERT Chart EXPERT, another product from Critical Tools, allows you to plan and displayprojects using a Dependency Diagram (Network Diagram). This type of c hart displays thetasks in your project and dependencies between these tasks. You can seam lessly transferprojects from WBS Chart Pro to PERT Chart EXPERT and vice versa.

To transfer the current WBS chart to PERT Chart EXPERT, select the Goto PERT Chart EXPERTtoolbar button.

When you transfer a WBS chart to PERT Chart EXPERT your WBS chart is saved to the PERTChart EXPERT format (a .PCE file) and then immediately opened in PERT Chart EXPERT. All ofyour project data and WBS formatting will be contained in the new PERT Chart EXPERT file. Tocreate a WBS chart file again press the Goto WBS Chart Pro button in PERT Chart EXPERT totransfer it back to WBS Chart Pro.

The Goto PERT Chart EXPERT button is not available (grayed out) if:

1. You do not have PERT Chart EXPERT.

or

2. You are working with a WBS chart that is linked to a Microsoft Project file. To createa PERT chart from a linked file, first go to Microsoft Project using the Goto Projecttoolbar button, then from within Microsoft Project use the Goto Pert Chart EXPERTtoolbar button. Linked files require that you go to Microsoft Project first whenswitching between WBS Chart Pro and PERT Chart EXPERT since all of your projectdata is stored within Microsoft Project.

The Microsoft Project menu item allows you to select various options if you use WBS Chart Prowith Microsoft Project.

Display WBS chart of Active Project – Generates a WBS chart of the currently activeproject in Microsoft Project. If you already have a WBS chart of the active project displayed inWBS Chart Pro then this option updates the existing WBS chart.

Goto Project – If this is a Standalone WBS chart, this option transfers the current WBS chartto Microsoft Project. If the WBS chart is linked to a Microsoft Project plan then the G oto Projectcommand returns to the existing Microsoft Project plan.

Transferring a Standalone WBS chart to Microsoft Project means that the data that exists inthe WBS chart will be transferred from the WBS chart and placed into a new Mic rosoft Projectplan. The WBS chart then becomes linked to this Microsoft Project plan. You are prompted tosave the new Microsoft Project plan and you must enter a filename to continue transferring theWBS chart to Microsoft Project. You will then have two files. The Microsoft Project file, whichcontains the data (the task information like names, start dates, finish dates, costs, etc.), andthe WBS chart file, which contains the formatting options that are WBS chart-specific (such ascustom colors, box placement, etc.).

Specify the default locations for Documents, Views and Layouts, and the Views to use whenstarting a new project or creating a project from an external data source.

File Locations

Documents – Specify the default location to store and retrieve your WBS charts. Select theBrowse button to select a different Folder. WBS Chart Pro initially sets this to your Windowsdocument folder.

Views & Layouts – Specify the default location to store the Views and Page Layouts used inWBS Chart Pro. WBS Chart Pro initially sets this to the installed direc tory. Whenever a newWBS chart is created all of the Views and Page Layouts are copied from this directory into theWBS chart.

When closing a chart – Specify how Views and Page Layouts are saved when closing a chart.This option determines whether or not to overwrite the default Views stored in the WBS ChartPro folder and is independent of whether or not you save your chart. Saving your c hart alwayssaves the Views within the chart. Choose one of the following options when closing a c hart:

Save all changed Views – Automatically saves all of the changed Views and Page Layoutsin the chart back to the Views folder as the defaults. Any new charts you create will usethese new Views and changed Page Layouts.

Do not save changed Views – Automatically discards any changes to the default Viewsand Page Layouts. This will not overwrite the Views and Page Layouts in the Views folder.Saving your chart always saves the Views and Page Layout within the chart.

Prompt to save changed Views – Prompts you to save any changed Views and PageLayouts each time you close a chart. You then have the option to Save or Discard thechanges to the default Views and Page Layouts each time you close a chart.

If you accidentally save a View over the default View and wish to restore it back to its originalstate you can copy the original View from the Backup Views folder. This folder is found withinthe folder where WBS Chart Pro is installed (for example: C:\Program Files\WBS ChartPro\Backup Views).

The right side of the Status Bar contains six small box areas that describe the current state ofa chart. They are, from left to right:

1. The total number of tasks in the current chart.

2. The current Zoom factor (scale) of the current chart.

3. The Linked status of the WBS chart. If the current WBS chart is linked to adatasource (such as a Microsoft Project plan), the word LINKED is displayed.

4. Displays CAP if Cap Lock is on.

How do I get the WBS Chart Pro toolbar button to appear in Microsoft Project?

The WBS Chart Pro toolbar button is installed into Microsoft Project during the setup if youselected the "Modify Microsoft Project" option. If the button did not appear, you can installthe toolbar button by selecting Tools-Microsoft Project-Setup from WBS Chart Pro. For moreinformation or if you are using a network version of Microsoft Project see Configuring MSProject for use with WBS Chart Pro .

I upgraded my version of Microsoft Project, what do I need to do?

If you have upgraded your Microsoft Project to one of the versions supported by WBS ChartPro, select Tools-Microsoft Project-Setup from WBS Chart Pro to configure MS Project. Thiswill modify MS Project for use with WBS Chart Pro and install the WBS toolbar button into MSProject.

How do I decrease the size of my chart and the printout?

There are several things you can do to decrease the size of your chart and the printout.

In Page-Setup you can change the size of the printout by modifying the Scale or Paginationof the printout ( “Adjust to” the desired scale, or “Fit to” the desired number of pages).

In Format-Chart use the Don’t Match Box sizes options for the Height and the Width. Thisway, each task box is sized individually. You can also reduce the spacing on theFormat-Chart dialog box to place the task boxes closer together on the chart.

Select the “Minimize Height” and “Minimize Width” options in Format-Task Boxes andFormat-Summary Boxes.

Select a smaller font size for the text in the Task and Summary Boxes in Format-TaskBoxes and Format Summary Boxes.

If you are displaying a Task Field that has a formatting option, make sure you have thesmallest option selected. For example, use short format of 1/31/10 instead of the longformat of January 31, 2010 1:45 PM.

Can I click and drag to create tasks in WBS Chart Pro?

Yes, but this is not the default mode of operation. When you click on a task in WBS Chart Proand drag this task over another, you are “Moving” this task. This is similar to moving files andfolders in Windows Explorer and is the default mode in WBS Chart Pro. To switc h the mode ofClick and Drag, select the “Switch Drag Mode” toolbar button (the button that looks like amouse). This allows you to click within a task and drag to the left, right, above or below toinsert a new task in that direction.

Note: When you click and drag to create tasks you must click within a task and then drag in

any direction to add a new task. This means that you must have at least one task on thescreen to do this. To create tasks within an empty WBS chart, use the Insert Task toolbarbutton (the down arrow) to create your first task and then click and drag from there.

This is different from previous versions of WBS Chart where the “click and drag to createtasks” mode of operation was the default.

After using WBS Chart Pro I noticed several .TMP and .TXT files listed in MicrosoftProject’s File menu. What are these and can I stop them from appearing?

When WBS Chart Pro tells Microsoft Project to transfer data to create a WBS chart it usesvarious .TMP and .TXT files for this process. As WBS Chart Pro opens and closes thesetemporary files they appear in Microsoft Project’s File menu. Unfortunately, there is no way toprevent these files from appearing.

How do I change a single Summary Task so that it arranges its subordinates differentthan the rest of the chart?

Use the arrangement buttons on the toolbar. There are 5 buttons that allow you to c hangehow a single Summary Task arranges its immediate subordinates. They look like this:

What happens if I rename a Microsoft Project plan that is linked to a WBS chart?

A saved WBS chart linked to a specific Microsoft Project plan remembers the exact name andlocation of the Microsoft Project plan. If you rename or move the Microsoft Project then theWBS chart can no longer link to this plan. To relink a saved WBS chart to its correspondingMicrosoft Project plan:

If you rename the Microsoft Project plan while the WBS is currently open you will receive amessage when the WBS chart is activated that the chart needs to be resynchronized. Selectthe third option displayed to relink to a renamed Microsoft Project plan.

If you rename the Microsoft Project plan while the WBS chart is closed, open WBS Chart Proand select File-Open. Select the WBS chart file and choose “link to another datasource ”.Choose Open and select the corresponding Microsoft Project plan.

You can also tell WBS Chart Pro toautomatically avoid page breaks by selecting the “Adjust for Page Breaks” option inFile-Page Setup.

How can I stop from displaying NA in my date fields?

Select the Tools-Chart Settings menu, select the Settings tab and enter a blank space intothe “Show unknown dates as” field. Any character displayed in a date field in WBS ChartPro that is not a valid date is an “Unknown Date” and can be converted into another word orremoved by putting a space into the “Show unknown dates as” field. For example, MicrosoftProject displays an NA for any task that does not have an Actual Start or Actual Finish. If youwish to display these fields in WBS Chart Pro and remove this NA, use this procedure.

When I use WBS Chart Pro with Microsoft Project I notice that it sometimes expandsall tasks in my Microsoft Project plan. Why is this?

When WBS Chart Pro creates a chart from a Microsoft Project plan, certain operationsrequire that all tasks in Microsoft Project be shown. For this, WBS Chart Pro must tellMicrosoft Project to Expand All tasks which means that all Summary Tasks will display all oftheir Tasks. There are two things that will cause WBS Chart Pro to Expand All tasks inMicrosoft Project. They are:

Creating a WBS chart from a Microsoft Project that contains inserted projects or subprojects.The inserted projects will be expanded.

Performing a Cut/Copy/Move/Paste in WBS chart when you are linked to a Microsoft Projectplan may cause tasks to be expanded in Microsoft Project.

PDF Files – How do I save WBS charts to a PDF file?

A .PDF file is a document (chart) that anyone can read on a c omputer using a PDF “reader”.The reader of the PDF file does not need WBS Chart Pro to read a PDF file that was createdfrom WBS Chart Pro. Think of a PDF file as a chart that was printed to a file rather than onpaper. A PDF file can be viewed by opening it in a PDF reader. Multiple page charts appearacross multiple pages in the document and you scroll from page to page in the PDF reader.

You can create a PDF file and send this file to anyone who has a PDF reader. To create a PDFfile you would need to obtain a PDF "writer". A PDF writer is not included as part of WBSChart Pro nor is it included with Microsoft Windows like other printer drivers. You c anpurchase a PDF writer from Adobe (www.adobe.com) or there are free PDF writers that canbe downloaded from the Internet. We use one called CutePDF (www.cutepdf.com) and werecommend it.

The steps to creating a PDF file are the same as printing a chart. Once a PDF writer isinstalled, you configure the chart, preview it (if you want) but instead of printing direc tly to aprinter you print to a PDF file by selecting the PDF writer as your printer. This produc es a filethat can be opened using the PDF reader.

The PDF reader is free software that anyone can install to read .PDF files. For m oreinformation about this process and to download the free Ac robat Reader from Adobe, visit

When using the Save as Web Pages option, why does it produce so many pages ofoutput?

The Save as Web Pages feature uses a Template that, by default, limits the HTML output tobe no bigger than a single Browser page based on a sc reen resolution of 1024x768. If yourWBS chart is bigger than one page then it will produce multiple, one page HTML documentsthat you can toggle through using the buttons at the bottom of each HTML page. This wayyou can view one page at a time in your Browser rather than having to scroll the Browser toview the entire chart.

If you want to increase or decrease the size of each output page you can edit theWBSTemplate.html file and increase/decrease the numbers in the line that reads:

WBSChart:chart width="975" height="490"

If you want the Save as Web Pages feature to produce one big WBS chart in the HTMLdocument, select the WBSTemplate2.html file in the Save as Web Pages dialog box. Thistemplate does not specify the Width and Height of a chart but produces one WBS c hart imagein the HTML document.

I am using the Demo version of WBS Chart Pro and I cannot print even though it saysI should be able to print using the Demo. Why can’t I print?

You can print using the Demo version of WBS Chart Pro as long as there are not m ore than50 tasks in the WBS chart. Certain features of the Dem o program like creating/modifyingtasks, printing and saving are disabled when there are more than 50 tasks. Even though youcan create a WBS chart from a Microsoft Project plan with more than 50 tasks you cannotprint it once it gets past 50 tasks.

Note that even though you can’t print more than 50 tasks you can still use Print Preview tosee how the WBS chart would be printed. For a c omplete explanation of the Demo program,see Demo Limits

Error Messages and Prompts

Invalid Data

You have entered data into a field that is not valid for that field. Below are the m ost commonof these messages and a short explanation of each.

Invalid Resource – Enter a valid resource from the list of Resources (as defined inTools-Resources). When assigning resources in the Task Information form, you must enter theexact name of an existing resource or you will receive the “Invalid Resource” message. Tryusing the Resources button to assign resource instead of typing them. To add, delete orchange the names of resources, use the Resources form in the Tools menu.

Invalid Currency – Enter a valid currency amount. You don’t have to include the currencysymbol but you must enter an amount that can be converted into a currenc y value.

Invalid Date – Enter a valid date.

Invalid Time – Enter a valid time, including AM or PM if you are using the 12 hour format.

Invalid Number – Enter a valid number. You cannot enter text into a field that only acceptsnumbers.

Invalid Measurement – Enter a valid measurement.

Invalid Duration – Enter a valid Duration. You must use a valid duration unit such as Minute,Hour, Day, Week or Month or the abbreviations M, H, D, W or MO. For example, type 5d for 5days, or 2w for 2 weeks.

Invalid Percent – Enter a valid Percent such as .50 or 50%.

Invalid Flag – Enter a valid Flag value. Flag fields can only accept Yes or No. There areseveral other Yes/No fields and you may get the Invalid Flag message even though they arenot Flag fields. If you receive this message and the field you are editing is not a Flag field itmeans that it is simply a Yes/No field and you can only enter Yes or No into that field.

Invalid File – Enter a valid filename avoiding characters like *, ? or /.

Invalid Folder – Enter a valid folder.

Invalid Dependency – Enter a valid dependency value. Using the Predecessor and Successorfields, you must enter the ID# of the task Predecessors or Successors. Multiple predecessorsor successors must be separated by a comma (or by the Windows List Separator). You canalso enter the type of dependency by using FS, SS, FF, or SF (finish to start, start to start,finish to finish and start to finish). For example, entering the predecessor for a task you couldtype:

4 – Makes task #4 the predecessor to the current task with a FS (Finish to Start)dependency. Just entering the dependency number defaults to a Finish to Startdependency.

4,6,10 – Makes tasks #4, #6 and #10 predecessors to the current task.

4SS – Makes task #4 the predecessor to the current task with a Start to Start dependency.

4FS+5d – Makes task number 4 the predecessor to the current task with a FS dependenc y

These are messages that you might see when working with WBS Chart Pro and Mic rosoftProject.

This WBS Chart is currently self-contained

This message appears when you press the Goto Project button or when you c hoose GotoProject from the Tools-Microsoft Project menu. This means you are attempting to send aWBS chart to a new Microsoft Project Plan. This involves transferring the data from WBSChart Pro to the new Microsoft Project plan. You will be prompted to name and save the newProject before the transfer will begin. For a complete explanation, see Transferring a WBSchart to Microsoft Project

Unable to Start Microsoft Project

This message appears when the WBS Chart Pro program cannot start Mic rosoft Project orcannot communicate with Microsoft Project. WBS Chart Pro uses DDE and OLE tocommunicate with Microsoft Project and if for some reason this communication is notworking, this message will appear

First, try closing all open applications and turn your computer completely off and then backon again. This may reinitialize the necessary files needed to communicate with MicrosoftProject.

If this does not work, try reinstalling Microsoft Project. Microsoft Projec t should install all ofthe necessary files for this communication to take place so reinstalling Microsoft Project mayhelp solve this problem if these files were deleted or overwritten.

If, after reinstalling Microsoft Project it still fails, try contacting Critical Tools tec hnicalsupport. See Support

Cannot save - file already open in Microsoft Project

This message appears when you attempt to save to a Microsoft Project plan that is currentlyopen in Microsoft Project. When you transfer a WBS chart to Microsoft Project the plan m ustbe saved in Microsoft Project for the WBS chart to be linked to the Microsoft Project plan.Part of the process of transferring the WBS chart to Microsoft Project is to save that file inMicrosoft Project. It cannot save to a Microsoft Project plan that is open so you m ust eithersave to a different filename or close the open file in Microsoft Project and try again.

Microsoft Project has not been configured for a seamless integration

This message appears when you attempt to transfer WBS chart information to MicrosoftProject and Microsoft Project has not been configured for use with WBS Chart Pro. In orderto interact seamlessly with Microsoft Project, it is necessary to copy some Tables, Views, aMacro and Toolbar button to Microsoft Project. These are then stored in Microsoft Project (ifyou have read/write permission to change the Global file in Microsoft Project) for futureinteraction with WBS Chart Pro. For more information on configuring Microsoft Project see Configuring MS Project for use with WBS Chart Pro

Resynchronize WBS Chart

This message appears when you access a WBS chart that was linked to a Microsoft Projectand the Microsoft Project is no longer available. If you have just closed the Microsoft Projectplan and are in the process of closing the WBS chart, then choose the Close WBS Chartoption. If you need to make additional changes to the WBS chart then it must reopen the

Microsoft Project plan and you must choose the Re-activate option to do this. If you haverenamed the Microsoft Project plan then the current WBS chart can no longer find the plan itwas linked to and you must choose the third option to relink to this newly nam ed MicrosoftProject plan.

The Active project has not been saved so the WBS chart won’t be linked

This message appears when you attempt to create a WBS chart from a Microsoft Projectplan that has not been saved. To create a WBS chart from a Microsoft Project you shouldfirst save the Microsoft Project plan and then create a WBS chart from the Microsoft Projectplan. The WBS chart and the Project plan will then be linked. If you create the WBS chartfrom a Project Plan that has not been saved, then the WBS chart will not be linked toMicrosoft Project Plan.

Wrong Version of Microsoft Project Responding

This message can appear when you have two different versions of Microsoft Project on thesame computer and you attempt to send a WBS chart to a specific version of MicrosoftProject. WBS Chart Pro is trying to communicate with a specific version of Microsoft Projectand another is incorrectly responding. For example, if you had Project 2003 and Project2007 on the same computer and you attempted to send a WBS chart to Microsoft Projec t2003, Project 2007 would probably respond and you would receive this error. To resolve thisissue, try opening the specific version of Microsoft Project that you are attem pting to use(and close other versions of Project). If the version of Microsoft Project is already open whenWBS Chart Pro attempts to communicate with it then there is less chance for amiscommunication.

Unable to Open Linked Data File

There are two variations of this message, each is explained below.

Unable to Open Linked Data File – This data file is already in use by another chart.

This message appears when you attempt to open a WBS chart that is linked to a datasourceand this datasource is already in use by another WBS chart.

For example, you cannot open a WBS chart that is linked to Microsoft Projec t plan xxx.mppif another WBS chart is currently open and is linked to Microsoft Project xxx.mpp. Close thefirst WBS chart if you wish to open the second WBS chart linked to xxx.mpp.

Unable to Open Linked Data File – The data file could not be found.

This message appears when you attempt to open a WBS chart that is linked to a datasourceand it can’t find the datasource. It could be that you deleted the datasource file, m oved it orrenamed it. If you moved or renamed the datasource, you can relink the WBS chart to theappropriate file. Choose Yes to browse for the datasource file or No to cancel the Openoperation.

No Calendar Available

This message appears when you choose Calendar from the Tools menu in WBS Chart Pro andyou are currently linked to a Microsoft Project plan. Cannot Merge

This message is displayed when you are attempting to open a View (*.WBV file) or a PageLayout (*.WBP file) when there is no WBS chart open to merge the View or Page Layout into.

If you have a WBS chart currently displayed and you open a View (*.WBV) or Page Layout(*.WBP) then this file will be merged (imported) into the open WBS chart. To merge a View orPage Layout into the open WBS chart, choose the File-Open menu and choose “Files of Type”Views or Page Layouts. This is another way to Import a View or Page Layout into a WBS chart.However, you must have an existing WBS chart open in order to import a View or PageLayout.

Unable to Save Image

This message appears when you are attempting to save the WBS chart as a pic ture and WBSChart Pro cannot save this image. This may be due to a lack of available memory. Savingimages requires a large amount of memory for a temporary bitmap image to be saved beforethe specified image file is saved. Therefore, even if the ultimate PNG, JPEG or TIFF file isrelatively small, it may require a bigger temporary file than the available memory allows.

Try reducing the size of the WBS chart, or try selecting a Grayscale or Blac k & White image inthe Save Picture dialog box.

Overwriting HTML Files

This message appears when you use the Save As Web Pages dialog box to save a set of HTMLdocuments to the same name in the same folder. Saying Yes to update the HTML files willdelete all files with the same name from the specified folder and create new HTML files of thelatest WBS chart. Select No to save the Web Pages to a new nam e or to a new folder.

Demo Limits Exceeded

You are currently using the Demonstration version of WBS Chart Pro and you have exc eededthe limits of this Demo version.

This message appears when you open a WBS chart that was saved in a version prior to the 4.1version of WBS Chart Pro.

Version 4.1 and higher of WBS Chart Pro contains a task scheduling feature. This means thatas you enter Start Dates, Finish Dates, Durations, Dependencies, etc., WBS Chart Proautomatically calculates the schedule based on information you input. WBS Chart Pro prior toversion 4.1 did not do this. You could enter dates but they were not used for any schedulecalculations.

If you entered dates, durations, etc. in an old version of WBS Chart Pro and open this file withthe current version of WBS Chart Pro, these dates will be recalculated using the newscheduling techniques.

Displays a blank WBS chart from a Microsoft Project plan

No WBS chart (all tasks "Hidden" per the message at the bottom of the screen)

If you attempt to create a WBS chart from a MS Project plan and WBS Chart Pro displays ablank screen, this is due to using Project 2003 SP2 or SP3. Microsoft decided to add a featurewith these Service Packs that must be turned off. Reinstalling WBS Chart Pro should fix this(reboot first and do not start any other Office applications before reinstalling WBS Chart Pro).

If reinstalling does not work, try the following:

For Project 2003 SP3:

1. Open Project 2003 SP3.2. Go to Tools-Options-Security. 3. Click the bottom option to "Allow loading files with Legacy or non default file

formats".

For Project 2003 SP2 (only if reinstalling does not fix it):

1. Close Project 2003.2. Choose Start and select Run...3. Type Regedit and click OK. 4. Doubleclick HKEY_CURRENT_USER and then

Software\Microsoft\Office\11.0\MS Project\Security5. Doubleclick the LegacyFiles item on the right and set the number to 2. If you do not

see a LegacyFiles option on the right (if it only has Default and Level) then you needto add this entry. To do this select Edit-New-DWORD Value. Type LegacyFiles asthe new name for this option and doubleclick it to open the form. Enter a 2 in theValue Data field and click OK.

6. Exit the Registry.
