Program Overview The Streamline e-commerce module is a powerful and robust application that seamlessly delivers data between Visual Streamline and the Visual Streamline client’s website. It is available as a separate module that will bring many added benefits to the existing Streamline application. Streamline e-commerce offers the following benefits to Visual Streamline clients: � gives their customers the ability to place, view and track their own orders; � reduces the number of calls into the order desk regarding inventory pricing and availability; � data is extracted and uploaded automatically to e-commerce as it is fully integrated. The following is a list of the features contained in the standard package of Streamline e-commerce that is available to Visual Streamline clients: � web quote and order entry; � detailed product and order information available; � full control over viewable data and functionality per web user; � web users can request additional product information; � web users can create and maintain multiple lists of favourite products; � automatic email confirmation to web users of orders and quotes; � multiple product images can be published; � standard list pricing, customer specific pricing, quantity break pricing and multiple units of measure (UOM) can be

displayed; � prospective customer can access catalogue as an unauthenticated user or log in as authenticated users; � comprehensive search for products; � quotes and orders are automatically created in Visual Streamline; � minimum quantities and/or pack sizes can be enforced by product; � comprehensive and intuitive shopping cart. Please email a support specialist at [email protected] for assistance if you do not have access to e-commerce on your system after you have made the purchase. Sub-Modules Other e-commerce sub-modules (available for purchase) are controlled by the sub-modules within the e-commerce integration module, as shown in the screenshot on the right. The sub-modules are as follows: BUD Budgets;

Some distributors’ customers want to set monthly budgets to which their web orders will be restricted. This module allows budgets to be maintained in Visual Streamline and any orders exceeding that budget will be held in e-commerce pending authorization from a web user that has been designated as a supervisor or subsequent maintenance from the originating web user. NOTE: The budget month against which orders are compared is the month in which the goods will be shipped.

CAT Product Categorization; The Streamline e-commerce product categorization module will allow unlimited product categories and relationships to be created for the e-commerce platform, creating a more cosmetically appealing and user-friendly shopping experience for the web users. Categorization is accomplished through the creation of categories and the creation of a hierarchy of category relationships which will allow the web user to drill into successive sub-levels of categories until presented with a manageable list of products from which to order.

COI Contract Items; Some distributors’ customers may want to restrict their web orders to only items that are subject to contract pricing. This module allows web users to be restricted in this way via a flag in Visual Streamline’s Web User Account tables. Orders outside of contracts will be held in e-commerce pending authorization from a web user that has been designated as a supervisor or subsequent maintenance from the originating web user.

FAL Product Lists; This module allows distributors to create product lists and link them to their customers. The Products page in e-commerce can be filtered to display only items on lists and web users can be optionally restricted to buying items on these lists. Orders outside of these lists will be held in e-commerce pending authorization from a web user that has been designated as a supervisor or subsequent maintenance from the originating web user. Access can be given to the web users to initially copy Product Lists to be used as a starting point for their own unique Favourites list.

HOF Hold for Future; This module adds another option to the e-commerce Checkout Page. Rather than submit the shopping cart as a quote or an order, the web user can opt to ‘Hold for Future’ the items currently in the shopping cart. This will hold the items in e-commerce where they can be accessed from the Submissions page for submission as a quote or an order at a future date. This effectively gives the web user multiple shopping carts. Currently, held-for-future orders store an expiry date 30 days after the entry date that changes the status from Entered to Expired on the proper date, but has NO effect on the ability to further process or delete these orders.

This module allows distributors to link newsletters (but it may be any document) to customers, and therefore web users, for viewing in Streamline e-commerce. These documents can be linked to all customers, specific customers or even specific shipto addresses (linking can be by inclusion or exclusion). Once linked, the documents will need to be uploaded to e-commerce by an e-commerce administrator set up in Visual Streamline. Further these documents can be assigned starting and ending dates, before which or after which they will no longer be available for viewing in e-commerce.

PUB Product Publishing; The additional product information typically used in conjunction with their websites (multi-media files, documents, specifications, descriptions and/or notes) is maintained in Streamline. With this module enabled, the product publishing data is pushed to Streamline e-commerce.

REO Reorder from History; This module adds a ‘Reorder’ button to the Details section of Quotes and Orders displayed in the e-commerce Account page. This button will put the items, from the details section in which the button was pressed, into the shopping cart so that a new quote or order may be submitted.

REP Reporting; This module adds a new Reporting page to e-commerce. This page will allow the web user to view sales (dollars or quantities) by product or product line starting at any month for any number of months back (from 1 to 12). These reports can be copied and pasted into Excel spreadsheets for further manipulation by the web user.

E-commerce Master Files Overview Once e-commerce has been activated on your site, you will see a new menu option called Streamline e-commerce. This menu option allows the user to set up and modify various e-commerce related master files as follows: � Web User Accounts;

This table contains information about users who will be accessing e-commerce;

� E-commerce Default Controls; This table contains the company’s default e-commerce display and filter settings that will be applied to each web user, in the absence of settings specifically for that user;

� Customer Newsletters; This table maps newsletters (but it may be any document) to customers for viewing in e-commerce. This option is only available if the distributor has purchased the e-commerce integration sub-module NEW – Newsletters;

� E-commerce Administrator Accounts; This table contains information about the e-commerce administrators, who are responsible for uploading newsletters, setting e-commerce session parameters, …;

� E-commerce Favourites; This table maps product lists to customers. These lists may be created by the distributor or the web users themselves. They may be used to restrict purchases, promote specials, display favourites, … The usages are limitless. This option is only available if the distributor has purchased the e-commerce integration sub-module FAL – Favourites Lists.

� E-commerceCategorization; The categorization tables are only available if the distributor has purchased the e-commerce integration sub-module CAT-Product Categorization. The category tables allow you to create unlimited customized product categories. The category relationships table allows you to create a tree-structure hierarchy of these categories into which web users will drill to easily find products of interest. This is an enhanced front end to our standard e-commerce package creating a more friendly shopping experience for your customers.

� Product Publishing; Visual Streamline version 10.0.4.0000 introduced Product Publishing, a powerful tool which allows users to link multiple media files, documents and HTML web-friendly text to products for uploading to their web-sites. The e-commerce Product Publishing tool makes available programs for pushing the data from the product publishing tables to the Streamline e-commerce application.

E-commerce Master Files Web User Accounts Clicking on Web User Accounts from the menu will launch the program from which web users can be created and/or modified. This program can also be accessed from the Customers Master File, but in a more limited capacity in that it will only access web users linked to the customer on which the user was parked. Initially this program will display (as shown in the screenshot on the right), in user code sequence, a list of all users currently set up with access to Streamline e-commerce. When web users are set up with access to e-commerce, they are attached to a customer code, as you are effectively granting your customers’ employees access to your inventory pricing and availability. The web user’s name and the name of the customer to which they are linked are always visible once they have logged into e-commerce. If Business Rule CUS54 (E-commerce – Enable front page/catalogue functionality) is ON, then the web user that has been designated as the default catalogue user will be bolded and highlighted in red on this browse screen.

E-commerce Master Files Web User Accounts …continued To begin to set up a new web user, click on the NEW button from the Web User Accounts browse screen shown on the previous page. The system will then display a blank screen, as shown in the screenshot below, for entering information for your new web user. The top half of the screen deals with information about the user, while the bottom half of the screen has various tabs containing information about the web user’s access, defaults and settings for each of the Streamline e-commerce modules. The information contained in the top half of the screen (highlighted area in the screenshot to the right) is as follows: Web User ID This field contains the ID with which the

web user will log in to e-commerce. User Name This field contains the web user’s name

in full. Customer ID This is the Customer code to which the

web user is linked. Default Shipto ID This field represents the web user’s

Shipto ID that will initially be presented and upon which pricing and availability will be based. This field is not actually editable but is populated based on the shipto access/permissions for the web user defined from the ShipTo button at the bottom of the screen.

Email Address This field contains the email address for the web user. This is the email address to which confirmations, product information requests, acknowledgments, forgotten passwords, … will be sent.

User Password This field contains the password that is required for the web user to log in to e-commerce. The visibility of this field is controlled by user right RTWSVP (Right to e-commerce View Password).

Warehouse This field contains the warehouse against which availability will be determined and orders will be placed. NOTE: In the absence of this field, availability will be determined and orders will be placed using the customer’s default warehouse. In the absence of a customer default warehouse, availability will be determined and orders will be placed using the products’ default warehouses.

Default Catalogue User This field, which only appears if Business Rule CUS54 (E-commerce – Enable front page/catalogue functionality) is ON, designates the web user as the default catalogue user on an unauthenticated login (see page 19). NOTE: There can only be one default catalogue and the customer code to which it is linked must be a miscellaneous customer.

Allow Manual Shipto When this field is visible, the web user can manually change shipping information on the Streamline e-commerce page prior to submitting a quote or order. This field is NOT visible if Default Catalogue User flag is ON or if the Customer ID points to a miscellaneous customer.

Supervisor Access This checkbox grants supervisor access to the web user. Webusers designated as supervisors can authorize submissions for webusers under their supervision that have been held in e-commerce for any of the following reasons: over-budget; outside of contract; outside of product lists.

User Language This field contains the language of the web user. This language has no effect in e-commerce other than to display the product descriptions in the chosen language (if descriptions don’t exist in that language, the description field will be <blank>).

E-commerce Master Files Web User Accounts …continued As stated on the previous page, the bottom half of the screen of the screen has various tabs containing information about the web user’s access, defaults and settings for specific e-commerce functions. Each tab represents a particular e-commerce function, and they each contain similar groupings of information relating to accessibility, filters, defaults and options for the web user within that function. The screenshot on the right shows the settings for this web user’s Product Pricing page in e-commerce. This document will only be generalizing the similar groupings within each tab, rather than detailing the fields contained within each tab as they are self-explanatory. Each tab has similar prompts or groups of prompts that fall into the following categories: Allow Access This checkbox determines whether the

web user is allowed access to the applicable e-commerce function. If this checkbox is OFF, then all other fields within the tab will be disabled.

Inclusion Filters This group contains the web user’s filters settings that will be applied to the data for the particular e-commerce function. These settings are much more specific than the settings that are maintained by the Edit Settings button at the bottom of the screen (see next page).

Display Defaults This group contains the default settings that will be presented to the web user for the particular function each time that they log in to Streamline e-commerce.

Other Options This group contains any other parameters that will apply to the web user for the particular function. Most of these options are self explanatory, however, some of the Other Options within the Product Pricing tab (shown in the screenshot) warrant further discussion. Allow Order Entry This option enables the Submit Order button in e-commerce for the web user. Allow Quote Entry This option enables the Submit Quote button in e-commerce for the web user. Views with Add-to Cart This option is disabled for users that cannot submit either quotes or orders.

This option controls the e-commerce view from which the web user can add items to the Shopping Cart (List, Tiles, Both or Neither).

Enable Categorization This option is only visible to users that have purchased and enabled CAT – Categorization. This option is only enabled if categorization is set up by user rather than company-wide. This option controls whether the web user can browse and shop by category as well as by product.

Enforce Min Qty/PackSize These options are disabled for users that cannot submit either quotes or orders. These options honour the Minimum Order Qty and Pack Size fields for the Selling UOM as entered on the Product Master. Based on these settings, orders or quotes can be rejected for quantities that are less than the Minimum Order Qty and/or not evenly divisible by the Pack Size.

Restrict Orders to the following: These options are disabled for users that cannot submit either quotes or orders. Drop Ship Orders This option creates drop shop orders from all submitted quotes or orders. There will be no Payment Options presented on the Checkout Page for web-users with this option enabled; Contract Products This option holds any quotes or orders that are submitted with products that are not subject to contract pricing; Product Lists This options holds any quotes or orders that are submitted with products that are not on Product lists.

default settings program (which is described on the next page), but allows for web user specific settings to be created. This button will be bolded if web user-specific settings already exist, and will be non-bolded if the web user is subject to the company default settings.

Remove Settings This button will remove any web user-specific settings making the web user dynamically controlled by the company web default control files. This button is only enabled if web user-specific settings exist.

ShipTo This button launches a program to grant or restrict the web user access to the customer shipto addresses. A default shipto address is assigned within this screen.

Save This button saves modifications. Cancel This button cancels any changes that have been made and goes back to the initial browse screen.

E-commerce Master Files E-commerce Default Controls Streamline e-commerce has been designed in such a way that it offers a lot of flexibility and control in terms of security and access to your company’s data. As a company, you fully control the data that will be available to your customers’ web users. Clicking on E-commerce Default Controls from the menu will launch the program from which default e-commerce settings can be created and/or modified. These default controls will be applied to any web user to which specific settings have not assigned. There are three different types of default settings that can be controlled from within this program, each controlled under a different tab: Page Display; Product Filters; and Product Search. Page Display Settings Initially this program will display (as shown in the screenshot below right) the default controls for the Page Display settings for various pages within e-commerce. As shown by the E-commerce Screen dropdown there are many e-commerce screens whose content can be controlled. They include the following: � Products or Categories page:

� Tile View; � List View; � Details; � Associated Products; � Quantity Break Pricing; � Shopping Cart;

� Account page: � Orders; � Order Details; � Quotes; � Quote Details; � Held transactions: � Held transaction details;

The following is a brief discussion of the various fields, columns and buttons within the Page Display tab. E-commerce Screen This dropdown identifies

the screen grid for which display default settings can be assigned. There are many, but in this example, the default settings displayed are for the list view of the e-commerce Products grid.

Database Columns This column contains the internal database names for the fields that are available for display on the grid identified in the E-commerce Screen dropdown (these fields are hard-coded and cannot be altered by the Streamline user).

Column Headings This column contains the field labels that the web user will see on the e-commerce grid identified in the E-commerce Screen dropdown.

Display This column contains integers representing the order in which the database fields will display on the e-commerce grid identified in the E-commerce Screen dropdown (a display value of zero means that the field will not display).

Sortable This column contains a checkbox to determine whether this field will be sortable by the web user on its applicable e-commerce screen grid. This field will be disabled if the Display field is zero.

Sort This column contains integers defining the default sort hierarchy of the data display on the e-commerce grid identified in the E-commerce Screen dropdown (a display value of zero means that the field plays no part in the default sort order, a display value of blank means that the field cannot be part of the sort hierarchy).

ASC/DESC This column identifies the type of sort to be applied to any field that is defined as part of the default sort hierarchy for the e-commerce grid identified in the E-commerce Screen dropdown. This field will be disabled if the Sort field is zero.

Affected Users This button will display a table of web users that are subject to Page Display defaults. Unaffected Users This button will display a table of web users that are subject to their own Page Display settings and

will not be affected by any change to the web default controls.

The e-commerce Products/Categories pages have various product-related code dropdowns by which products can be pre-filtered. The codes by which the products can be pre-filtered are as follows: � Product line; � Sub-Category; � Product Group; � Sub-Group.: This tab enables the Distributor to globally or individually pre-filter products that will be available to their web users. The following is a brief discussion of the various fields, columns and buttons within the Product Filters tab. Filter Column This dropdown identifies the

E-commerce Master Files E-commerce Administrator Accounts There are certain required functions in e-commerce that remain the responsibility of the distributor and should not be accessible to the web users. For these functions, there is a requirement for an e-commerce administrator. These functions are mentioned in the Logging In section of this document and described in detail in the Site Administration Page section of this document. Clicking on E-commerce Administrator Accounts from the menu will launch the program from which these administrators can be created and/or modified. Initially this program will display (as shown in the screenshot on the right), in creation sequence, a list of all web administrators currently setup in the current company. NOTE: Web administrator IDs cannot be duplicated across companies, but, each web administrator can only administer e-commerce for the company in which they were created. To create or modify a Web Administrator, click on the NEW or MODIFY button from the screenshot shown above. The system will then display a screen, similar to the one shown in the screenshot below, that will enable you to enter or edit information for your Web Administrator. The information required in an E-commerce Administrator Account record is as follows: Administrator ID This field contains the ID with which the

administrator will log in to e-commerce. Administrator Name This field contains administrator’s name in full. User Password This field contains the password that is required for

the administrator to log in to e-commerce. Email Address This field contains the email address for the

administrator. This email address is not yet in use. Emails with a salutation of ‘E-commerce Administrator’ are currently determined by the following hierarchy: - the Sales Rep of the Customer linked to the Default Catalogue User; - the E-commerce Administrator Default Email in the Company Info file.

E-commerce Master Files E-commerce Product Lists There is a module FAL (Product Lists) available for purchase that allows Visual Streamline customers to create product lists and link them to their customers and/or ship to addresses. A product or product line can appear on multiple lists, and customers and/or shiptos can be linked to multiple lists. Web users can then filter the e-commerce Products page to display only items on specific product lists (the web user’s settings filters must still be satisfied). Web users can be optionally restricted to buying only items on these lists. In these instances, orders outside of that restriction will be held in e-commerce pending authorization from a web user that has been designated as a supervisor or subsequent maintenance from the originating web user. NOTE: Most of this functionality is only available if the e-commerce sub-module FAL (Product Lists) has been

purchased and is described in full in the White Paper for e-commerce Product Lists module. Prior to Streamline e-commerce version 3.0.13.0, ALL product lists (site-owner product lists and web-user favourites lists) were enabled and controlled by sub-module FAL (Product Lists). Favourites Lists could only be created and maintained through a difficult interface in the Maintain Favourites tab in e-commerce. And, Favourites Lists had to be subsets of pre-existing product lists. In Streamline e-commerce version 3.0.13.0, web-user favourites were made part of base functionality. A new e-commerce interface for creating favourites list was written (see the Favourites icon section later in this document) and the e-commerce Favourites Maintenance page for was made much slicker, more user-friendly and its functionality was limited to deleting entire favourites lists or specific items from favourites lists (see the Favourites Maintenance sections later in this document). Further, the condition whereby a favourites list had to be a subset of pre-existing product lists was removed. While the maintenance of Product Lists is gated by the sub-module FAL (Product Lists) and described in the White Paper for e-commerce Product Lists module, web-users’ Favourites Lists are still viewable in Visual Streamline by accessing the E-commerce Product Lists program as shown below. The creation and maintenance of these web users’ Favourites Lists in e-commerce is described in full later in this document.

This link can be attached to their website for easy access by their customers. The opening e-commerce page will vary depending on the modules that have been purchased. If the module for Front Page and Catalogue Functionality (BR CUS54) has been purchased, is activated and a default catalogue user has been set up, the opening e-commerce page will look something like the screenshot shown here.

In this example, the Navigation bar consists of the following options: Categories; Products; Quick Order; Downloads; Login; AboutUs and FunFacts. The Login option is always present to allow identification of authenticated users. After an authenticated user has logged in the Login option is replaced by a Logout option. The options in the Navigation bar prior to Login are dependent upon the settings for the default catalogue user. Categories option is available because the default catalogue user has access to Product Pricing and categorization has been enabled for the default catalogue user. The Products option is available because the default catalogue user has access to Product Pricing. The Quick Order option is available because the default catalogue user is allowed either quote or order entry. The Downloads option is available because module NEW (Newsletters) has been purchased. The options in the menu bar after Login (AboutUs and FunFacts) are custom pages that are created by the administrator using the site administration tools (described in the Site Administration Pages section of this document). The About Us page is displayed immediately upon access to e-commerce as it was identified as the Default Page by the administrator (described in the Site Administration Pages section of this document). If there were no default custom page, then the page for the first option would be displayed (regardless of the value of the Default Login Direct field in the Web Site options of the Site Administration page). NOTE: Unauthenticated users are required to enter name and address information when submitting quotes or orders.

Any orders submitted by unauthenticated users will generate quotes regardless of business rule settings. Order submissions will require valid credit card information.

Getting Started Logging In In order to successfully log in to e-commerce as an authenticated user, a valid account and password previously set up in Visual Streamline must be entered. This account may represent a web user or an e-commerce administrator. If the account and password entered represent those of a web user account, then e-commerce will present a page that looks something like one of the screenshots shown below. Categorization is enabled in the screenshot on the left and the Default Login Direct field in the Web Site options of the Site Administration page is set to Categories not Products. Categorization is disabled in the screenshot on the right.

If the account and password entered represent those of an e-commerce administrator account, then e-commerce will present a page that looks something like the screenshot shown on the right. The functions available from this screen are described in further detail in the Site Administration Page section of this document. Should e-commerce be accessed by an individual who does not currently have a web user account, they can make an account request by launching the Request a Login Account page via the appropriate link from within the Select Another Option group on the e-commerce Login page. The Request a Login Account text link will launch the Request a Login Account page, from which the individual will be asked to provide pertinent information to the distributor so that a web user account can be created.

All fields requested on this page are mandatory except the following: Address-2; Contact; Fax; Comments. The Reset button at the bottom of the page will clear any information already entered. The Return to Customer Login text link will take the individual back to the Login page with nothing submitted to the distributor. The OK button, after confirming that all mandatory information has been provided, will send an email, as shown below, to the sales rep of the catalogue user or the e-commerce administrator.

A similar email (not shown) will be sent to the email address provided by the individual requesting the login account. Any emails relating to e-commerce will appear in the Email/Fax Log utility in Streamline under user WEBSERVICES. After a determination has been made as to the needs of the individual requesting the login account, the web user account will be set up with the information provided, a password, appropriate filters and access. The web user will need to be advised by phone or email on completion, as there is currently no automated process for this.

It is not unusual for individuals to have multiple passwords for various reasons… debit card PINs, banking websites, shopping networks, home computers, business computers… And there is always that standing rule that passwords should never be written down. So it is understandable that passwords are occasionally forgotten. Should an individual forget their password, they can request an email containing their forgotten password, by launching the Forgot Your Password? page via the appropriate link from within the Select Another Option group on the e-commerce Login page. The Forgot Your Password text link will launch the Forgot Your Password? page, from which the individual will be asked to provide pertinent information to the distributor so that the forgotten password can be emailed.

The only field required by Visual Streamline is the User ID, as the email address can then be extracted from the Web User Account files. The Reset button at the bottom of the page will clear any information already entered. The Return to Customer Login text link will take the individual back to the Login page with nothing submitted to the distributor.

The OK button, after confirming that a valid User ID has been supplied, will send an email to the email address associated with the User ID entered as shown below. Provided that the individual has indeed provided a valid User ID with which they are associated, they will receive the email and will then be able to log in to e-commerce. Any emails relating to e-commerce will appear in the Email/Fax Log utility in Streamline under user WEBSERVICES.

At the time of the writing of this document, the e-commerce pages are as follows: � Categories; � Products; � Account; � Downloads; � Favourites; � Sales Report; � Budget Reports � Site Administration. Their individual functionality will be discussed in detail later in this document. The purpose of this section is to identify elements that are common to all e-commerce pages so that they need only be discussed once rather than revisited when discussing each e-commerce page in detail. Each e-commerce page contains elements that are common to all pages as well as elements that are unique unto themselves. This element is common to all e-commerce pages. This page element contains the distributor’s company logo, name and address information. This information needs to be set up by a programmer directly on your site upon purchase. The Site Administrator can customize this section by adding banners beside or below this logo. See the Site Administration Page section later in this document for instructions. Current Web User Information The page element being described here is shown in the screenshot below as the exploded area. This element is common to all e-commerce pages. This page element contains the current Web User’s full name (from the Web User table) and the name of their company (from the A/R Customer table) and the currently identified ship-to address. The current web user may be responsible for multiple ship-to addresses, so there is a dropdown here to allow the web user to identify the appropriate ship-to address. As long as the shopping cart is empty, the ship-to address can be changed at any time and the contents of each web page will be changed to reflect the currently identified ship-to address.

Common e-commerce Page Elements E-commerce Navigation Tabs The page element being described here is shown in the screenshot below as the exploded area. This element is common to all e-commerce pages. These tabs allow the web user to navigate to the various pages within e-commerce. The tabs that are present are dependent upon the modules purchased. The pages launched by the tabs in the illustration below are as follows: Categories/Products The Categories/Products

pages show the distributor’s products. These are the pages that will be used the most as it is from these pages that the web user shops. The information contained herein is determined by the distributor as explained in the Setup (Web Default Controls) section of this document.

Quick Order The Quick Order page offers users a means to quickly add quantities

and products to the shopping cart without having to navigate through pages of products or categories. Quantities and products can be entered either manually or imported from a comma delimited, text qualified file.

Account The Account page displays quotes and orders that have already been submitted. Depending on modules purchased, the Account page may also contain orders that are being held either intentionally for future processing, or automatically as they are over-budget, non-contracted items, or outside of favourites lists. These quotes and orders may also be used to initiate new orders (dependent upon purchase of the ROH - Reorder from History sub-module).

Downloads The Downloads page is only available if the sub-module NEW – Newsletters has been purchased. This page will display documents that have been made available to the current web user from within Visual Streamline and that have been uploaded to e-commerce by an administrator.

Favourites The Favourites page is only available if the sub-module FAL – Favourites List has been purchased and the web user has been granted access to this functionality. This page will allow web users to create and maintain their own product lists (they may contain favourite items, repeat orders, types of items, …). The lists can be subsequently used as product filters for the Products page.

Sales Reports The Sales Reports page is only available if the sub-module REP – Reporting has been purchased and the web user has been granted access to this functionality. This page will allow the web user to view sales (dollars or quantities) by product or product line starting at any month for any number of months back (from 1 to 12). These reports can be copied and pasted into Excel spreadsheets for further manipulation by the web user.

Budget Reports The Budget Reports page is only available if the sub-module BUD – Budgets has been purchased and the web user is subject to a budget. This page will allow the web user to view actual sales (dollars or quantities depending on the figure that is being budgeted), total budget and remaining budget, sorted by budget category starting at any month for any number of months back (from 1 to 12). These reports can be copied and pasted into Excel spreadsheets for further manipulation by the web user.

Categories Page Overview The Categories page is only available if the sub-module CAT – Categorization has been purchased The Categories page, as the name implies, displays categories and provides a means of searching, filtering (future development) and navigating to products through a user-specified hierarchy of categories. Once a user has navigated to a category, the Categories page will display the current category in a main panel with separate panels underneath for each of its sub-categories. These sub-category panels will in turn contain icons for each of its child categories. The screenshot below illustrates how the Categories page might look if a user were to navigate to the Televisions category. This screenshot illustrates Categories View mode. In this mode, the user will only see child categories beneath the current category to which they have navigated, unless the current category is a final category in which case they will see the child products beneath the final category. (this is Products View mode). Users can manually switch to Products View mode in the following ways: � click on the Products tab; � click on the current category’s View

Products button; � click on a sub-category’s View Products

button.

If the sub-module CAT – Categorization has been purchased and categorization has been enabled for the current user, the Products page displays ONLY items that are children or grandchildren of the current category to which the user has navigated. The items displayed are further subject to pre-defined filters and web-user specified search strings and filters If categorization is NOT enabled, the Products page displays ALL inventory, subject to pre-defined filters and web-user specified search strings and filters, but also adds other filtering capabilities (product line, category, sub-group, sub-category), which have not yet been incorporated into the Categorization module. For this reason, the screenshots and documentation for the Products Page section of this document will be done with Categorization disabled. Product filtering and data display can be assigned globally or on a web user by web user basis as explained in the Setup (E-commerce Default Controls) section of this document. The Products page is the page from which web users will shop. The Products page contains elements common to all of the e-commerce pages as well as elements unique to the Products page. This functionality is only available if the e-commerce sub-module BUD - Budgets has been purchased and if the current web user is subject to a budget. For any web user subject to a budget there is a table, as shown in the screenshot below in the exploded area, that is automatically displayed whenever the Products page is initially launched or revisited. NOTE: This functionality could not be confirmed. There is also a budgets icon [$] button to allow the web user to hide a displayed budget table or alternatively show a hidden budget table. This budget display is a table summarizing the budget for the current month (initially). It also has the following characteristics: � it shows, for each budget category, the budget

amount, actual amounts and remaining budget amounts;

� these figures pertain to the currently identified customer and ship-to address;

� any change to the currently identified ship-to address would be immediately reflected in the budget window;

� the web user can scroll backward or forward a month at a time to see past or future budgets.

Products Page Filtering The page element being described here is shown in the screenshot below as the exploded area. The filtering being shown here is unique to the Products page although there is filtering of sorts for most of the e-commerce pages. Some of this filtering(specifically ProdLine, SubCategory, ProdGroup, SubGroup) is only available if categorization has either not been purchased or is disabled for the current webuser. There are various ways in which the web user can set the filters to display only those items that are of interest to them at any particular time. It is important to note that the web user can only filter the product set that may have already been constrained by filters imposed by the distributor. It is also important that ALL filters are considered when displaying data. The filter options available at any given time are as follows: Search For The web user can enter a keyword

against which all products satisfying the current filter settings will be compared and only those items that match will be displayed. There is an Advanced Options link that allows the web user to specify the fields against which the search will be executed and to further specify the type of search to be executed. This option is explained further in the next section, but is only available if categorization has either not been purchased or is disabled for the current webuser.

Show Products For There are several options in this dropdown to allow the web user to further filter the products that are displayed. Some of these options are dependent on the modules that have been purchased. There are options to display only products for which there is contract pricing (Contract Products – presents another dropdown, but defaults to All Contract Products), only products that the web user has previously purchased (Customer History), only products that are on product lists (Our Product Lists – presents another dropdown, but defaults to the first Product List), only products that are on favourites lists (Your Favourites – presents another dropdown, but defaults to the first Favourites list) or only products that are in the shopping cart (Shopping Cart). NOTE: Selecting ANY of these filters will clear any current navigation or keyword(s) currently being searched.

ProdLine ID This dropdown allows the web user to select specific product lines to display. This dropdown list is built based on the product lines to which the web user has been granted access. There is a business rule (WEB12 – Product Line dropdown filter display) to control if and how this dropdown will be displayed.

SubCategory ID (not shown) This dropdown allows the web user to select specific product sub-categories to display. This dropdown list is built based on the sub-categories to which the web user has been granted access. There is a business rule (WEB13 – Sub Category dropdown filter display) to control if and how this dropdown will be displayed.

ProdGroup ID (not shown) This dropdown allows the web user to select specific product groups to display. This dropdown list is built based on the product lines to which the web user has been granted access. There is a business rule (WEB14 – Product Group dropdown filter display) to control if and how this dropdown will be displayed.

SubGroup ID (not shown) This dropdown allows the web user to select specific product sub-groups to display. This dropdown list is built based on the product sub-groups to which the web user has been granted access. There is a business rule (WEB15 – Product Sub Group dropdown filter display) to control if and how this dropdown will be displayed.

Products Page Advanced Search Options The page element being described here is shown in the screenshot below as the second exploded area. These options are only available if categorization has either not been purchased or is disabled for the current webuser. In addition to the filters described in the previous section, there is the Advanced search option which is perhaps the most powerful of all the filtering methods. The Advanced Search Options allow the web user to specify the fields against which the search will be executed and to further specify the type of search to be executed. It is important to remember that the search will only be performed against the product set satisfying the current filter settings. The search in e-commerce utilizes Full Text Searching, Full Text Searching is a free, optional component of MS SQL 2000. When installed, it offers a vast array of additional string querying abilities. Full Text Searching allows for string comparisons similar to internet search engines, returning both results and a matching score or weight. With regular TSQL, string matching is usually limited to an exact match, or a wildcard match with the keyword "LIKE." Full Text Searching exceeds this by searching for phrases, groups of words, words near one another, or different tenses of words, such as run, running, and ran. The web user will specify the fields to search by checking or unchecking the applicable fields in the ‘Search Fields’ section. The web user will specify the type of search by clicking on the appropriate radio button in the ‘Search Options’ section. The search is initiated by clicking on the Go button. The options are best illustrated by the examples in the table below:

Product Publishing is covered in detail in the White Paper for Product Publishing. But here is the overview from that document. Companies need to store additional product information that will be used in conjunction with their websites or e-commerce applications providing webusers with more functionality, information and improved interface. In other words, they need product publishing tables and fields that can be pushed to their e-commerce application. Currently, the additional product information that can be stored against products for publishing includes, but is not limited to, the following: � multi-media files of the following type: � image (BMP, TIF, GIF, PNG, …); � video (AVI, MPG, MOV, WMV, …);

� documents of the following type: � Excel; � Word; � Adobe Reader (PDF);

� Specifications (these would be web-friendly, optionally HTML formatted, product specifications versus a document);

� Descriptions (these are web-friendly, optionally HTML formatted, short and/or long product descriptions);

� Notes (these are web-friendly, optionally HTML formattted, notes pertaining to the product).

Also note that Associated Products, if they exist, are displayed on the Product Details page. Further note that an overall customer satisfaction rating, based on a five star system is displayed and functionality exists for authenticated users to write and submit their own product reviews (further details in the next section).

Products Page Request Product Information The Product Details section has a Send Request button that invokes a Request Product Information page from which users can send an email to their sales rep for any of the following: � more information; � better pricing for larger quantities; � or manually entered requests. Clicking on the Send Request button will present the Request Product Information dialog shown below. The Your Name, Your Email, Your Company, Product and Description fields will be auto-populated. The web user can edit the Your Name and the Your Email fields, as identified by the asterisks. There are checkboxes to specify the type of information that is being requested. There is a freeform Comments section for the web user to enter any other information to clarify the type of product information being requested. Clicking the OK button at this point will send an email with the subject Request Product Information from Streamline WebServices to either the Sales Rep associated with the catalogue customer or the Default E-commerce Admin Email identified in the Company Info. A confirmation email will also be sent to the web user (authenticated or catalogue) making the request. The content of the emails will be similar to the screenshots on the right.

Products Page Product Reviews The Product Details section has a Rating field that shows an overall customer satisfaction rating based on a five star rating system. This overall rating is based on reviews that have been submitted by authenticated users and subsequently approved by the site administrator. In addition, there is a Reviews tab within which all of the product’s approved reviews can be viewed. NOTE: This functionality can be enabled or disabled by the Site Administrator from the Site Administration Page (see Site Administration Page – Accepting/Deleting Product Reviews, later in this document).

The Rating field on the left shows the following information: � current overall customer satisfaction rating,

of 2 stars out of 5; � a count of the number of approved ratings

on which that overall customer satisfaction rating is based;

� a context sensitive blurb of Go to Reviews tab to write a review, as the current user has not reviewed the product. If the current user has written a review, then context sensitive blurb would have been, You rated a X out of 5. If the current user is the catalogue / unauthenticated user, then the context sensitive blurb would have been, Log in to rate this product.

The Reviews panel for this product shows the 2 approved reviews making up the 2 star rating (the rating is actually 1.5 as it is made up of 1 1 star rating and a 2 star rating, but the functionality does not support half-star ratings).

The Reviews panel is broken into two sections: Your review for this product: � this section is only present for authenticated users; � if no review has been written, then this option will be titled Share you opinion of this product with others; and there will

be an option to Write a Review (as shown here); � if the user has written a review, then that review will be displayed;

if that review has not yet been approved, then there will be a notation, This review has not yet been approved; What others had to say about this product: � if there are no approved review for this product, then there will be a notation, There are no reviews for this product; � if there are approved reviews, the 3 most recent reviews will be displayed; � if there are more than 3 reviews, there will be a View More button; � pressing the View More button will bring in the next most recent review; � once the oldest approved review has been displayed the View More button will be disabled. The next page shows the contents of the Reviews panel, after clicking the Write a Review button.

In order for a customer to place an order, they need to be able to enter a quantity and a unit of measure for the product being purchased. Therefore, if the optional business rule CUS48 (E-commerce – Enable shopping functionality) is turned ON, AND the user has either the Allow Order Entry or Allow Quote Entry flag enabled, then UOM and Quantity fields are automatically placed as the final two fields in the product display. The screenshot on the right shows the shopping fields as they are presented in List View. These fields are only presented if the Views with Add-to Cart dropdown is set to either List or Both. Web users can navigate through or filter the Products page as they wish, entering the desired quantity for each item required. If the product is sold in multiple UOMs, then the UOM field will be presented as an editable dropdown. Wherever users are able to view items and add them to shopping carts, there is a star icon that will launch a simple interface allowing them to add that item to a new, a pre-existing or multiple Favourites Lists. The Maintain Favourites page (described later in this document) handles the deletion of either specific Favourites or entire Favourite Lists. This functionality is NOT tied to any module, but is only accessible to users with shopping privileges (ie. either the Allow Order Entry or Allow Quote Entry flag enabled).

In each of these examples, the web user has clicked the Favourites icon while parked on item 29122-03, but each example shows different actions that can be taken from the Add to Favourites List(s) dialog that is launched from that Favourites icon.

Initially, the user is presented with a list of existing Favourites Lists (as shown in the first screenshot on the left) that may or may not already contain the item (29122-03) in question. It has been determined that item 29122-03 should be added to the lists representing odd numbered items, prime numbers and Fibonacci numbers. So these 3 lists have been tagged (as shown in the screenshot below)

Tagging a list will enable the Add button. Clicking the Add button will add the item to the tagged lists (even if it already existed on the list). Clicking the Cancel button will not add the item to any of the tagged lists.

Initially, the user is presented with a list of existing Favourites Lists, but this time the Create a New List panel has been opened.

The web user must enter an unique List ID (10 characters max, no lower case), a Description (45 characters max), and select a Shipto ID for the list (this dropdown is not presented if webuser only has a single shipto ID). Clicking the Create button will create the list, collapse the Create a New List panel, add it to the list in the Tag Existing List(s) panel and tag that list (as shown in the screenshot below).

The Favourites List has been created at this point, but no items have been added to the list. The user must click Add to complete the process. Clicking Cancel will only cancel the addition of the item, not the creation of the new list. Prior to clicking the Add button, the user could have tagged other existing lists. NOTE If there are no pre-existing lists for the web user, the Add to Favourites List screen will be launched with the Create a New List auto-expanded.

Products Page Shopping Cart The page element being described here is shown in the screenshot below in the exploded areas. This element is currently unique to the Products page. This shopping cart is currently the only gateway to the Checkout page for submitting or holding, if sub-module HOF – Hold for Future has been purchases, quotes or orders. The Shopping Cart icon will appear in the header section of the Products (or Categories, if categorization is enabled) display regardless of filter settings. Filter settings on the web page will not affect the contents or display within the Shopping Cart (ie. if the web user has entered quantities for various type of ‘bolts’ and then filters the products page by searching for ‘nuts’, the bolts will still be in the Shopping Cart). An empty Shopping Cart will be blue, while a Shopping Cart containing items will be green. Clicking on the Shopping Cart icon once will open the Shopping Cart as shown in the screenshot on the right. Clicking on the Shopping Cart icon again will close it. As with other web pages, the fields that are displayed in the Shopping Cart can be assigned company wide or per web user. The products in the Shopping Cart are currently displayed in the order in which they were entered. In future releases, the columns in the Shopping Cart will be sortable. Products can be easily removed from the Shopping Cart by clicking the Remove hypertext within the shopping cart, or by changing the quantity to zero on the Products page. Any quantities entered or modified on the Products page while the Shopping Cart is open will be dynamically created or modified in the Shopping Cart. The Shopping Cart can be cleared using the Clear button which will issue a further confirmation window. NOTE: If products were filtered by Shopping Cart at the time that the Clear button was clicked, filters will be re-set to the web user’s default setting. The Checkout button is used to submit quotes or orders. The entire order submission will be covered in length in the Submission Process section of this document. Each web user can have their own unique Page Display Settings or they can be governed by the company default settings. The Shopping Cart shown in the exploded area above was based on the Page Display Settings shown in the screenshot on the right. NOTE: Totals will only display in the shopping cart if the Extended Price has been designated as a displayable field.

Replication/User Cached Data Quick Overview In Streamline e-commerce, there are many cached data tables (sometimes called materialized views or snapshots) associated with each webuser and these tables are rebuilt once a day based on each user’s settings. There are cached data tables specific to each web user in e-commerce as follows: � Product field headings (List View); � Product field headings (Tiles View); � Product field headings (Details View); � Product field headings (Associated); � Product record IDs in default sort order (based on list/tile view sort order, product inclusion filters, and product filter

settings); � Product inclusion filters (for display in dropdowns or side panels); � Product lines (for display in dropdowns based on BR WEB12); � Product sub-categories (for display in dropdowns based on BR WEB13); � Product groups (for display in dropdowns based on BR WEB14); � Product sub-groups (for display in dropdowns based on BR WEB15); � Product search fields; � Product search options; � Shipto IDs (for display in dropdowns); � Product lists (for display in dropdowns or side panels); � ShipVia codes; � Contracts (for display in dropdowns or side panels). If data or settings or business rules are created or modified in Streamline that change the content or order of any of these cached data tables, then one of two things can happen: either, these changes will not be reflected in e-commerce until the next day when these cached data tables are rebuilt; or an Application Error could be generated. However, if the cached data tables are cleared using the Clear User Cache functionality, and a webuser logs in before the daily automatic rebuild, a rebuild for that user will be immediately triggered. There is logic in e-commerce to detect any positional changes (not sort related) to any of the 4 product views (List, Tile, Details and Associated) and to automatically rebuild the appropriate cached data table. There is also logic to detect any changes to the filtering of products (BR settings for product status and/or type, Product Filters for line, sub-category, group and/or sub-group, webuser’s Product Inclusion Filters), in which case, the webuser-specific product cache will NOT be used and the correct products will be displayed (may be slower and can be addressed by clearing user cache from Streamline). It has proven difficult to provide a definitive list of the settings changes that may or may not be effective immediately in Streamline e-commerce, so it is equally difficult to advise when to use the Clear User Cache buttons. The suggested rule of thumb is to Clear User Cache under any of the following conditions: � If ANY settings have been changed that MUST be effective immediately; � If ANY settings have been changed that do NOT need to be effective immediately, but webusers are reporting a lag in

the login process; � If webuser are reporting a lag in the login process, which may be due to some other unknown settings change.

Submission Process Quick Overview Web users can submit the contents of the Shopping Cart either as a quote or as an order. Quotes submitted by authenticated web users will create a quote in Streamline, while quotes submitted by a catalogue user will only generate confirmation emails back to the submitter and a designated sales rep for the appropriate action. Orders submitted by any user will initially create a quote in Visual Streamline. This allows management to review all submissions from e-commerce without committing any inventory. This is a safeguard that has been put in place to prevent e-commerce orders from depleting the inventory. It is important to note that at no time is the intermediately staged quote of a submitted order visible to or trackable by the web user. There are also flags and business rules to allow distributors to control this behaviour to suit their individual needs. Web users can be allowed to submit quotes and orders, or be restricted to submitting only one or the other. There is also a Business Rule WEB08 (Create Orders directly from Web Quotes) that, if enabled, will automatically turn these intermediately staged quotes into orders. Various emails will be sent to the following addressees at various stages of the process as follows: � to web users confirming receipt of the submitted quote or order; � to appropriate sales reps and CSRs advising of web requests; � to web users when the order has been created in Visual Streamline.

Submission Process Entering Quantities in e-commerce The order submission process is going to be shown in detail from the point at which the web user has entered the quantities (as shown in the screenshot below). It is important to note that for this example, BR WEB08 (Create Orders directly from Web Quotes) is enabled. Web users must ensure that they have correctly identified the ShipTo ID (shown in the top left of all e-commerce pages). Pricing shown in the Products display or in the Shopping Cart may vary with the ShipTo ID. AND, the ShipTo ID cannot be changed if there are items in the Shopping Cart. Web users can search, apply filters or simply navigate to find desired products. Any way that they do it quantities are entered on the Products page. Quantities can be entered either in List View (as shown here) or in Tiles View (not shown) depending on the Views with Add-to-Cart setting for the web user or in Details View (not shown) which is launched by double-clicking on a product from either List View or Tiles View. If the product is sold in multiple UOMs and that product is not restricted to the first selling UOM for the web user’s default warehouse, then the UOM field will be presented as an editable dropdown. NOTE: Any pricing related fields in the display (List Price, Discount or Sell Price) will change dynamically if the user changes either the UOM or quantity AND will be retained if the user switches views. Clicking the Shopping Cart icon on the upper right of the screenshot above will open the Shopping Cart as shown in the screenshot on the right. In order to submit the items in the Shopping Cart, the web user must click on the Checkout button, in the Shopping Cart or beside the Shopping Cart icon. Either of these buttons will trigger the Checkout page as shown in the screenshot on the following page.

Shipping Information: The fields in this section (Name, Address, …) will be editable for webusers as above or: � set up with Allow Manual Shipto ON. The Email field, if not pre-populated, will be editable for any web user.

Ship Via: The Ship Via code displayed is based on the following hierarchy: � the default Ship Via from the current

ShipTo ID (if exists and web-enabled); � the default Ship Via from the Customer (if

exists and web-enabled).

Additional Order Information: Customer P/O: The attributes of this field

vary. It may be disabled or mandatory, may allow freeform text and/or may contain a dropdown list of acceptable blanket PO numbers depending on the customer’s Purchase Order Required flag, linked customer blanket POs and BR WEB07 (Display Customer P/O dropdown list).

Customer P/O Release: This field is only editable if the Customer P/O field contains a value. Rush Order: This checkbox will populate the Rush Order checkbox in Visual Streamline. Special Instructions: This is freeform text that will appear on emails generated during the submission process and will

populate the Comments fields of the resultant quotes and/or orders. Payment Method:

The Payment Method content, and even its presence, is based on multiple parameters, some company related, some customer related and some web-user related. These settings and their effects are summarized on the next page.

Details and Totals: The fields displayed in the Details and Totals section is based on the Shopping Cart/Checkout settings. The Total panel will only display if the Extended Price has been designated as a displayable field.

On Account: This radio button WILL NOT appear for any web-user linked to miscellaneous customers, but WILL appear for other customers under ANY of the following conditions: � the customer's Payment Method Code is an On Account type; � the BR SO146 (Allow On Account payment method non-on-account customers) is ON.

NOTE: If the On Account radio button is present, it will be pre-selected. Choosing the On Account radio button assigns the customer’s default payment method, regardless of its type.

Credit Card: This radio button WILL always appear. Selecting this button will prompt further for the following: Card Number: Users must enter a valid credit card number that passes authorization; CVV: This is an acronym for Card Verification Value, which is a 3 or 4 digit code printed on all debit or credit

cards, also referred to as CSV - Card Security Value and CSC - Card Security Code). This field is not mandatory, so values only need to match if BR AR15 (Match CVD code) is ON;

Expiry Date: Users must enter a valid expiry date. NOTE: Submitting a credit card number that fails the card tokenization process will be tagged with red text as follows:

Invalid card number. If a card token has been successfully received and the subsequent call to PreAuth/Purchase the funds fails (such as insufficient funds, stolen card, …), a message will be displayed as follows: Credit card authorization failed. Please verify your information and try again (###) where ### is the 3 digit Moneris response code. Successfully submitting a credit card number will assign the first ‘credit card’ type payment method, regardless of the customer’s default, however, no credit card number or expiry date will be assigned to the order.

Moneris Supplemental Data: This field WILL appear under ALL of the following conditions: � the BR WEB08 (Create Orders directly from Web Quotes) is ON; � the BR WEB17 (Auto Authorization of Orders created via the web) is ON; � sub-module MON – Moneris Integration is ON; The Moneris Supplemental Data field will be mandatory if the Moneris Supplementary Data Required flag is ON for the customer Shipto ID being processed.

There are also several buttons on the top and bottom of the page that function as follows: Continue Shopping: Clicking here will return the web user to the Products page. Any previous filters, search parameters

will remain intact. Previously entered quantities will also remain intact so that the web user can resume shopping. Clear Shopping Cart: Clicking here, after a secondary prompt, will return the web user to the Products page. Any

previous filters, search parameters will remain intact. Previously entered quantities will be cleared so that the web user can re-start their shopping experience. NOTE: If products were filtered by Shopping Cart when the Clear Shopping Cart button was clicked, filters will be re-set to the web user’s default settings and search strings cleared.

Hold for Future: This button only appears if the sub-module HOF – Hold for Future has been purchased. Clicking this

button will store the order in e-commerce for future processing. At one point, clicking this button used to launch the Account page with the Held Submissions filter preselected, but this is no longer the case.

Submit Quote: This button only appears if the web user has been granted access to Quote Entry.

For an authenticated user: Clicking this button will submit the selected items and quantities as a quote in Visual Streamline. An order can be created manually from Streamline, but the user will be warned that the submission was intended for quoting purposes only. For the catalogue user: Clicking this button will ONLY generate a confirmation email to the email address provided by the catalogue user and to the appropriate sales rep and CSR, but NO quote will be created in Streamline (even if the catalogue has provided credit card information).

Submit Order: This button only appears if the web user has been granted access to Order Entry.

Clicking this button will submit the selected items and quantities to a quote in Visual Streamline. If BR WEB08 (Create Orders directly from Web Quotes) is ON, the quote will be automatically converted to an order otherwise it will need to be done manually from Streamline. NOTE: This button will be disabled if the customer is on manual hold.

Catalogue users must provide valid credit card information. NOTE: After a Hold for Future, Submit Quote or Submit Order, the user will be returned to the Products page with any

previous navigation cleared (if categorization is enabled), filters reset to their defaults, and search strings cleared.

There are buttons on the bottom of the web confirmation page that function as follows: Print: Clicking the Print button will launch the

web user’s local Print dialog so that the confirmation can be printed.

Submission Process Submission Confirmation Email – Authenticated Web User The screenshot below shows the confirmation email that is sent to an authenticated web user after submitting a quote or order. The screenshot is based on the information contained in all the illustrations to this point. The email address and salutation are pulled from the Email Address and User Name fields of the Web User Accounts table (see page 7 of this document) in Visual Streamline. The Subject line contains the Web generated confirmation number and a bracketed blurb describing the nature of the email. In that way, all possible emails relating to a single web submission (quote confirmations, order confirmations, order acknowledgments, over-budget holds, …) will have similar subject lines all referencing the same Web Confirmation Number. This is the body text when the user has submitted an order with BR WEB08 (Create web submitted orders automatically) ON. The text will change based on the nature of the submission and the value of BR WEB08, as outlined below. The fields that are displayed in the Details section CANNOT be controlled in the same way as most e-commerce pages. However, there is some control based on the Shopping Cart/Checkout settings. The Sell Price, Discount and Extended Price fields will honour its display setting (but not its position) and the Summary section will only appear if the Extended Price is displayed. The screenshot is based on the information contained in all the illustrations to this point. The email address and salutation for the Sales Rep email are pulled from the Email Address and Name fields of the Sales Rep table for the Sales Rep linked to the ShipTo Address in Visual Streamline. The email address and salutation for the CSR email are pulled from the Email Address and User Name fields of the User table for the User linked to the CSR linked to the Web User’s customer in Visual Streamline. The Subject line of the confirmation emails is the same regardless of the addressee (web user, sales rep or CSR). This is the body text when the user has submitted an order with BR WEB08 (Create web submitted orders automatically) ON. The text will change based on the nature of the submission and the value of BR WEB08, as outlined below. The fields that are displayed in the Details section CANNOT be controlled in the same way as most e-commerce pages. However, there is some control based on the Shopping Cart/Checkout settings. The Sell Price, Discount and Extended Price fields will honour its display setting (but not its position). Unlike the copy to the web user, the Summary section will appear even if the Extended Price is not displayed. The text within the confirmation email changes based on the type of submission and BR WEB08. The following text would be sent if an ORDER is submitted with BR WEB08 ON (as above).

Submission Process Viewing Submission in Visual Streamline (before Order Creation) Information exchange between Visual Streamline and e-commerce is almost instantaneous (based on the frequency of the replication process). For example, if a new item is entered in Visual Streamline, it instantly appears in e-commerce (subject to the web user’s product filters). Conversely, shopping cart submissions from e-commerce instantly show up in Visual Streamline. Since ALL submissions from e-commerce are initially stored as quotes, all web submissions are initially accessible from Sales Order Processing > Processing > Quote Entry (as shown in the screenshot below left). Quotes originating from e-commerce are easily distinguished from regular quotes within Visual Streamline by the presence of a confirmation number in the Web Confirm column. If the quote originating from e-commerce actually represents an intermediately staging area for an order, it will be displayed in blue. The screenshots that follow show the intermediately staged quote prior to the automatic creation of the order. These screenshots shown are again based on the information contained in all of the previous illustrations to this point. For purposes of these screenshots, the DXServer was shutdown to temporarily prevent the automatic creation of the order. The order was created as soon as the DXServer was started up again. This screenshot shows the browse screen for quotes. The highlighted row represents the intermediately staged quote for the order that has been submitted in all previous illustrations to this point. The highlighted quote is clearly a web submission as it has a confirmation number in the Web Confirm column. It is just as clear that it was submitted as an order since it is shown in blue (when not parked on). There is a Web Quotes button in the lower right of the screen that will toggle between viewing Web Quotes or All Quotes. The Select button was clicked to bring up the highlighted quote as shown on the next page.

Operator: For web submissions, this field will always contain the Web User ID;

Quote Type: Web submissions are identified as quote type WEBO or WEBQ depending on whether they were submitted as orders or quotes.

It is important to note that, in this example, normal processing for the staged quote has been disallowed. Once the order has been created within Visual Streamline (either automatically via DXServer or manually under operator control, based on web user’s request to turn a submitted quote into an order), the order will be processed in Visual Streamline as any other order. As the order moves through the various stages, e-commerce will be updated to reflect any changes.

This program can be found under Sales Order Processing > Processing > E-commerce Submissions Inq. The program has 2 tabs: Quotes (for looking up web submitted quotes); and Orders (for looking up web submitted orders). The screenshot below shows the Quotes tab selected. These screenshots shown are again based on the information contained in all of the previous illustrations to this point. This screen displays web quotes in a table in the upper portion of the screen showing pertinent fields, with other pertinent data for the highlighted row in a middle section of the screen and all product particulars in a scrollable table in the bottom section of the window. There are some noteworthy buttons: Details: This button will launch the Quote Entry screen for

the quote on which the user is currently parked. (This can also be accomplished by parking on the Quote Num and hitting F5. In addition, if an order has been created from the quote, parking on the Order Num and hitting F5 will launch the Order Entry screen for that order).

Open: This button will toggle back and forth between displaying Open web quotes and All web quotes.

NOTE: This screen ONLY shows web quotes (type WEBQ). The web submitted order that has been used in all illustrations to this point will, therefore, not appear under the Quotes tab. Account Page Overview The Account page, as the name implies, displays account transactions (orders or quotes that have been successfully submitted from e-commerce or placed through Streamline) for the customer and currently selected ShipTo ID associated with the current web user. E-commerce has optional functionality to hold orders for future consideration (sub-module HOF), constrain web users to budgets (sub-module BUD), to restrict web users to contract items (sub-module COI) or to restrict web-users to item lists (sub-module FAL). The Account page is the area from which orders or quotes, that are held for future, are over-budget or are outside of imposed restrictions, can be reviewed, repaired and re-submitted by the originating web user or force-submitted by a supervisor. The Account page is also the area from which orders or quotes can be reordered, provided the Streamline customer has purchased the REO (Reorder from History) sub-module. Account filtering and information displayed can be assigned globally or on a web user by web user basis as explained in various Setup in Visual Streamline sections of this document. The Account page contains elements that are common to all of the e-commerce pages as well as elements that are unique to the Account page. Since the common elements have been discussed earlier in this document, only the elements unique to the Account page will be described in the following pages. The elements that will be explained in detail on the pages that follow are: � Filtering; � Display Settings.

By clicking anywhere in an order row, the web user can display the Order Details page for that order as shown in the screenshot.

If the customer has purchased the REO (Reorder from History) sub-module, there is a Reorder button that appears on quotes and orders (not on held submissions). This button will take the items and quantities from the quote or order, put them into the shopping cart then launch the Products page (from the Master Index category, if Categorization has been enabled) filtered by Shopping Cart with any Search keyword(s) cleared. The same quote or order can be reordered multiple times…multiple quotes or orders can be reordered… all within the same shopping session.

Account Page Filtering The page element being described here is shown in the screenshot below as the exploded area. The filtering being shown here is unique to the Account page although there is filtering of sorts for most of the e-commerce pages. There are various ways in which the web user can set the filters to display only those items that are of interest to them at any particular time. It is important to note that the web user can only additionally filter those submissions to which they have already been granted access from within Visual Streamline. It is also important that ALL filters are considered when displaying data. The filter options available at any given time are as follows: Search For The web user can enter a keyword against which all account transactions satisfying the current filter

settings will be compared and only those submissions that match will be displayed. The search will be executed ONLY against those fields that are currently displayed. Date fields cannot be properly searched as the search is performed against the data as it is stored rather than as it is displayed.

Show Type There are several options in this dropdown to allow the web user to further filter the type of account transactions (ALL Quotes, User Web Orders, ALL Web Orders, …) that are displayed. Some of these options are dependent on the modules that have been purchased. For instance, there are options to display orders that have been held for future consideration, orders that will generate an over-budget condition, orders that are outside of restrictions that have been imposed on the web user (eg. web user cannot buy items outside of contracts or outside of product lists). Other options are dependent on the web user’s quote and order inclusion filters that are pre-assigned in Visual Streamline. As mentioned earlier in this document, the intermediately staged quote of a submitted order is NOT considered a quote and will therefore not be displayed when the Show Type filter is set to display quotes.

Status This dropdown allows the web user to select the status of the types of account transactions currently displayed. This dropdown list varies depending on the type of submission currently selected in the Show Type dropdown. For web quotes, the status dropdown list contains the following: Entered: the web quote exists in Visual Streamline but an order has not yet been created; Confirmed: the web quote still exists in Visual Streamline after an order was created in Visual

Streamline; Expired: the web quote has gone past its expiry date. At no time are web quotes, which were deleted, closed or closed after order creation, visible to the web user. For web orders, the status dropdown list contains the following: On Hold: the order has been placed on hold in Visual Streamline; Open: the order has an Open status in Visual Streamline; Shipped: the order has been invoiced. For held submissions, the status dropdown list contains the following: Entered: the quote/order has not yet been submitted; Expired: the quote/order has gone past its expiry date.

Favourites Maintenance Page Overview Prior to Streamline e-commerce version 3.0.13.0, ALL product lists (site-owner product lists and web-user favourites lists) were enabled and controlled by sub-module FAL (Favourites Lists). Favourites Lists could only be created and maintained through a difficult interface in the Maintain Favourites tab in e-commerce. And, Favourites Lists had to be subsets of pre-existing product lists. In Streamline e-commerce version 3.0.13.0, web-user favourites were made part of base functionality and the sub-module FAL (Favourites Lists) was relabeled as FAL (Product Lists). A new e-commerce interface for creating favourites list was written (see the Favourites icon section earlier in this document) and the e-commerce Favourites Maintenance page for was made much slicker, more user-friendly and its functionality was limited to deleting entire favourites lists or specific items from favourites lists (as described in the following pages). Further, the condition whereby a favourites list had to be a subset of pre-existing product lists was removed. The functionality of the Favourites Maintenance is best illustrated by a few examples. In this screenshot, the Available Lists dropdown, on the Favourites Maintenance page, has been activated.

Here are some noteworthy points: � the Favourites option in the Navigation bar is available because the current web user has shopping cart privileges; � the Available Lists dropdown includes Product Lists because sub-module FAL (Product Lists) is ON and web-user’s

Include Product Lists setting, in Other Options of the Maintain Favourites tab of Web User Maintenance, is ON; � selecting a Product List will present its products and/or product line, in addition to a Copy button, allowing the user to

copy to a New Favourites List; � selecting a Favourites List will present an editable list of products, in addition to a Delete button, allowing the user to

delete the list, and a Description button to allow the user the change the list’s description.

After selecting an existing favourites list MYSONY there are now Delete and Description options. Further, all of the items in the list have a Remove button so that items can be selectively removed from the list. Items can only be added to the list via the Favourites icon (described earlier in this document).

Clicking the Description button invokes a Change Description of Favourites List dialog, in which the user can change the description from My SONY List to SONY TVs 55+. (as shown).

All items that are not TVs 55” or larger can now be removed using the Remove button (as shown).

After selecting an existing favourites list MYSONY there are now Delete and Description options.

Clicking the Delete button invokes a Message from webpage dialog, in which the user needs to confirm that they want to delete the selected Favourites List. (as shown).

After deleting the Favourites List, opening the Available Lists dropdown confirms that the MYSONY list is no longer available (as shown)

Site Administration Page Overview There are certain required functions in e-commerce that remain the responsibility of the distributor and should not be accessible to the web users. For these functions, there is a requirement for an e-commerce administrator. E-commerce Administrator Accounts are set up in Streamline as described in the E-commerce Administrator Accounts section of this document (page 17). Logging into e-commerce as an administrator account will present the Site Administration page that looks something like the screenshot shown on the right. There are multiple options and/or settings that are available from the View Options For dropdown as follows: Web Site: This section allows the

administrator to assign the Session Timeout, Help Line Phone Number, Help Line Email Address and to enable Captcha.

Images: This section allows the administrator to assign the image cache duration.

Google Analytics: This section allows the administrator to enable Google Analytics.

Maintenance: This option contains 2 distinct sections: There is a Maintenance Setup section that allows the administrator to set the e-commerce state to one of the following: Online; Maintenance Scheduled; or Maintenance in Progress. Logging in will not be allowed during the Maintenance in Progress state. Warnings will be issued each time that users navigate to a new page during the Maintenance Scheduled state. And there is a Potentially Active Users section that is for information purposes only. It allows the administrator to determine how many potentially active users are currently on line by showing a list of users that have logged in within the last 30 minutes, 1, 2, 3 or 6 hours.

Categories: This section allows the administrator to set some of the category display settings. Downloads: This section allows the administrator to launch a special Site Administation (Files Upload) page for

uploading the newsletters or other documents that web users can access from their Downloads page. The Downloads option from the navigation bar launches the Downloads page as a webuser would see it, but any customer or date filters are ignored. NOTE: This functionality is only available if the e-commerce sub-module NEW (Newsletters) has been purchased.

Custom Pages: This section allows the administrator to design custom pages that will be available in e-commerce for both catalogue/unauthenticated users and authenticated users.

Banners: This section allows the administrator to design a banner or banners that will appear in e-commerce for both catalogue/unauthenticated users and authenticated users. There are header banners that appear in the same area as the logo and there are page banners that appear in each page to which the user has been granted access.

Once associated, these documents will be available for download to any webuser with the required customer association (see White Paper for Streamline Newsletters). NOTE: This functionality is only available if e-commerce sub-module NEW (Newsletters) has been purchased. The Downloads option from the navigation bar launches the Downloads page as a webuser would see it, but any customer or date filters are ignored. (This is not shown here) The Manage Downloads link will launch the Site Administration (Upload Files) page shown below. The Site Administration (Upload Files) page contains ALL the Newsletter records that have been set up in Streamline (see White Paper for e-commerce Newsletters) regardless of the Customers to which they are accessible for download. Each line contains information about the documents that can be downloaded by the webusers. Any line for which a file has never been uploaded will have nothing in its Type and Uploaded File columns. The File to Upload column contains a Browse button to allow the Site Administrator to find and select the actual file to be uploaded and associated with that record. After successfully browsing for the actual file, the full filename and path will be displayed in the File to Upload column. There is an Upload button that will scan all lines and upload the required documents for any of the lines in which the File to Upload field has been populated in the current session. These uploaded files will be stored in a folder (defined at setup by TECSYS) within e-commerce.

Site Administration Page Settings for Custom Pages This section allows the administrator to design custom pages that will be available in e-commerce for both catalogue and authenticated users The Custom Content Pages section contains all of the titles for the custom pages that are currently set up. Once the user is parked on the desired title, the appropriate action: Add; Edit; Delete; Up; or Down can be selected. The Files Available section above contains all the image files available to the Custom Content Pages. Any file can be made available by clicking on the Browse button and locating the desired file. This will upload the file to the pre-determined location within e-commerce. These files can then be displayed on the Custom Content page by properly inserting it into the HTML editor (this needs to be done by someone with HTML knowledge). In this example, the About TECSYS page is highlighted and Edit will be selected (see screenshot below) In the top section of this screen, the user can maintain the clickable Menu Text that will launch the custom page and the Page Title that will appear at the top of the launched custom page. There are also checkboxes to control whether this custom content page appears by Default, is Active or shows page banners (Allow Banner) The Content section is an HTML editor used to design the appearance of the custom content page. This screenshot shows the WYSIWYG representation of the About TECSYS custom page as generated by the HTML code. This is the default edit mode. The actual HTML code can be viewed and edited (see bottom

Site Administration Page Settings for Banners This section allows the administrator to design a banner or banners that will appear in e-commerce for both users and authenticated users. There are header banners that appear in the same area as the logo and there are page banners that appear in each page to which the user has been granted access. There are 2 different types of banners in e-commerce. There are banners that appear in the header section and banners that appear in each e-commerce page. The Banner Type dropdown in the top left of the screenshot below allows the user to select the type being maintained: Site Header or Page Header. In this example, we are maintaining Banners for the Site Header. The Selected Banner Files section contains the file(s) that will appear in the e-commerce area indicated by the Banner Type. Files are selected from the Available Banner Files section and moved to the Selected Banner Files. Files can be moved back and forth between these sections using the directional arrows. Once a file has been selected it can be promoted or demoted in the Selected Banner Files list using Up or Down. In this example, we have selected the JPG file Bosphorus_(Istanbul)_banner_Dolmabahce_Palace. Other banner files that are currently available are displayed in the Available Banner Files section. Any file can be made available for selection as an e-commerce banner by clicking on the Browse button (shown in the screenshot to the right) and locating the desired file. This will upload the file to a pre-determined location which is accessible to e-commerce. Files can also be deleted from the Available Banner Files section using the Delete button.

Site Administration Page Settings for Banners… continued The Settings section (right hand side of the top screenshot) contains the various settings for Banner Type being maintained. The Minimum Width and Fixed Height are used to calculate the minimum dimensional requirements for each banner type. NOTE: If the Fixed Height parameter for a Site Header Banner Beside Logo is less than the height of the Company Logo, the height of the Company Logo will be used. The Autosize checkbox is used to scale banner images to the current window size. Checking the Autosize checkbox ignores the Minimum Width requirements (and disables the field), so that banner images are only constrained by the Fixed Height parameter. NOTE: If Autosize is OFF, any window-size that does not meet the minimum dimensional requirements will contain horizontal scroll bars to accommodate the banner area. Banner images are centered and proportionately scaled to optimally fit in their locations based on these parameters and the current window size. The Randomize checkbox determines whether banners will appear in random sequence or in the sequence shown in Selected Banner Files section. The Interval field determines the length of time that each image remains displayed. The radio buttons for Banner Beside Logo and Banner Below Logo only appear for Site Header banners and obviously determine the location of the banner. The Save Settings and Reset buttons are self-explanatory. The next page will demonstrate the effects of the Fixed Height, Minimum Width and Autosize parameters under different screen width conditions.

Site Administration Page Settings for Banners… continued For these screenshots we have set up banners as follows: � a large landscape JPG image (3184X455, roughly 6:1) has been selected as the site header banner to appear beside

the logo with a fixed height of 150, with auto-sizing as required. � another JPG image (2084X696, roughly 3:1) has selected as the page banner with a fixed height of 150, same as the

header banner, and a minimum width of 450. This first screenshot shows a typical e-commerce page where the window is wide enough to display both the header and page banner to their fixed heights of 150. So both images have been scaled to a height of 150 and centered in the available space. In the second screenshot, the window width has been reduced. So the header banner has been auto-sized to the available width. The width available for the page banner exceeds its minimum width parameter of 450, so the page banner is still scaled to a height of 150 and centered in the available space. Prior to the third screenshot, we have changed the Mimimum Width parameter for the page header banner from 450 to 750. The window width cannot accommodate the minimum page banner requirement, so the page width has been increased and a horizontal scroll bar has been added. The header banner and page banner have both been auto-sized and centered based on the page width rather than the window width.

Site Administration Page Accepting/Deleting Product Reviews This section allows the Site Administrator to turn the Product Review functionality ON or OFF via the Enable Reviews checkbox (shown in the second screenshot). When enabled, this page displays, in descending chronological sequence, any reviews that have been submitted by authenticated users, but not yet approved or deleted.

This screenshot shows how the Site Administration Reviews panel is launched.

The functionality is fairly obvious: � only reviews that have not yet been approved are displayed;

if there are any reviews pending approval, the first cycle of the SQL DxServer each day will send a Notification of Product Reviews email to an email address identified in Company Info. Any emails relating to e-commerce will appear in the Email/Fax Log utility in Streamline under user WEBSERVICES;

� reviews are displayed in ascending chronological order (oldest first); � only the 5 oldest unapproved reviews are displayed (another review will be displayed each time that one of the

displayed reviews is either approved or deleted); � the webuser ID will be displayed beside the Reviewer Name under which the review was submitted; � there is a Approve button which will publish the review for all to see; � there is a Delete button which will remove the review; � an user can write another review, if a previous review was deleted. NOTE: the product being reviewed is not displayed as it is not relevant to the approval process.
