Unified messaging (UMS) is the handling of voice, fax, and regular text messages as objects in a single mailbox that a user can access either with a regular e-mail client or by telephone. The PC user can open and play back voice messages, assuming their PC has multimedia capabilities. Fax images can be saved or printed. A user can access the same mailbox by telephone. In this case, ordinary e-mail notes in text are converted into audio files and played back.

Unified messaging is particularly convenient for mobile business users because it allows them to reach colleagues and customers through a PC or telephone, whichever happens to be available. Some services offer worldwide telephone access. The market for Unified Messaging System is fast evolving, helping corporations reach high employee productivity and decrease overheads. However, when it comes to SMBs, the proposed solutions are whether to expensive or too complex to be deployed in an environment where budgeting and investments are carried with exhaustive attention.This whitepaper shows how SMBs can create their own Unified Messaging system by whether using a fax server and a local email server or by using hybrid systems (in the clouds + local deployment).

Different types of UM configurations

1. Server-based Unified Messaging

All messages — voice, fax and e-mail — are placed into a single store on the e-mail server. This allows users to access their voice messages from whichever e-mail client they choose — including desktop e-mail program, telephone, web-based e-mail access program and their PDA e-mail program.

2. Client-based Unified Messaging

Voice and fax messages remain on the fax server, while e-mail remains on the e-mail server. This dual message store version of Unified Messaging integrates voice and fax messages access from their desktop e-mail client and telephone while minimizing the impact on the LAN and e-mail message store.

3. Secure Unified Messaging

With Secure Unified Messaging, the voice and fax messages remain on the voice mail server, e-mail remains on the e-mail server. Using can access their voice and fax messages through a web browser such as Internet Explorer or Firefox. Users can access their messages through the web client, play the messages through their telephone speakers or play their messages over the telephone. For secure access, administrators can enable specific security features for specific users including using secure audio streaming to deliver the messages to the web client and restricting the ability to save a copy of the voice message on their local systems.

4. Simplified Unified Messaging

Copies of voice and fax messages are sent to the user at a specified e-mail address as e-mail messages with attachments, while the original messages remain on the voice and fax servers. The two copies of the messages — the one on the voice server and the one in the user's e-mail inbox —are not synchronized in any way. Therefore, each message must be deleted separately.

Other elements

Other software configurations and systems can be attached to the described UMS, depending on the capabilities and needs of your business. The mail server your are using should be compatible with your fax server and email protection server.

The basic elements for building a Unified Messaging System

o The Unified Messaging System ( for instance Microsoft Office Communicator)

o Your email server (SMTP server if you are using SMTP protocol) (ex: Microsoft Exchange, Lotus Domino) or any SMTP server that your ISP provider is offering if you choose to have your emails “in the clouds”.
