    We have huge amounts of information and data owingaround the business every day,so its really important that wework with a trusted and reliablesupplier, and we have not found

    Vetsolutions wanting in anyrespect. We were one of the rstpractices to upgrade to RoboVet5 and the benets the softwarehas brought us are clear to see.

    One practical example of thisexibility is the Diary functionin RoboVet. Having mergedpatient and client data with thatof 2 other practices, she hasneeded to be really innovativein her allocation of time and

    surgery space, and has used thediary function to its full potential.With access to over 30 differentdiaries, Gillian is able to structureand view information heldwithin the system in the mostappropriate way.

    When we merged practices,we considered building anadditional surgery, however,

    using RoboVets exibility I havebeen able to tweak the diariesto ensure we are always usingavailable surgery space to itsoptimum capacity, schedulingappointments into the mostappropriate space. This hasresulted in us being able toremain in our existing locationwithout the need to invest inbuilding for more than 2 years.

    This has been a real eye-openerfor me and just shows whatcan be achieved with a goodexible system and a little bit of foresight.

    The Group is using Lablink formanaging their in-house labanalysis and as Gillian explains,the ability to centralise theprocess management of testshas increased efciency acrossthe whole Group. Blood testscan be taken in any of our vepractices, and the informationtransmitted to either of our twomain branches. It takes around10 minutes to actually run thetests, the results are attachedto the individual patient le andreturned to the appropriatepractice, all within a timeframeof less than half an hour. Theability to provide this level of service is something that Gillian

    regards as being vital for theGroups reputation and bringsimmediate results and peace-of-mind to clients.

    To be able to provide clientswith test results quickly andefciently leaves them with thebest possible impression of thepractice. And a good impressionmeans they are much more likely

    to recommend us to their friendsand family enabling us to attractmore new patients.

    Gillian has also recentlyintroduced text messaging(autoSMS) in another effortto bring greater efciency tothe practice and meet clientdemands for fast and effectivecommunication.

    Our reception staff arevery busy and have a lot of information they need to requestfrom clients. An up-to-datemobile phone number is yet

    another question to ask, but weare explaining to clients that itwill make their lives easier if wecan communicate with themin this way. Our challenge is tokeep this information up-to-date as mobile numbers canchange frequently, so asking thisquestion needs to become oneof our embedded processes.

    One service area in whichautoSMS has shown real valuefor the Group is for theirgrooming parlour. In responseto the problem of largenumbers of clients simplyforgetting to attend theirappointment, Gillian introduceda process by which everyappointment is now sent a textreminder 24 hours prior to theappointment. Gillian recognis-es that although this does notnecessarily make clients attend,it does act as a reminder andencourages them to phone andre-schedule an appointment if it is inconvenient, and thereforereduces no-shows.

    The veterinary market is, likemost others at the moment,feeling the strain of the currenteconomic climate, but Gillianis a great believer in the Britishwillingness to protect and carefor their pets and in return shebelieves that her Group of practices is duty-bound to deliverefcient and effective servicefor the benet of clients andpatients. The technology nowbeing introduced into the practicevia their management system is aproactive tool enabling Gillian andthe team achieve this goal.

    Millcroft Veterinary GroupMillcroft Veterinary Group is a mixed practice treating small and large animals and equine cases acrossthe West Cumbria region. With 15 vets, 6 of whom are Partners, and more than 50 staff across their 5practices, Millcroft needs to have a high standard of operational efciency. Having merged recently with2 other practices, Group Practice Manager Gillian, Sharp has needed to not only manage a large groupof people, but has also needed to integrate different processes into a single system. She tells us howvaluable RoboVet has been in helping her achieve this goal.
