Run the Update

If you haven’t already run the update, follow the steps below.

PostalMate network users: Every station must be updated one at a time, starting with the Master.

You don’t have to do anything to get the update file—it will automatically download to your computer when it’s available, and a notification will appear.

1. Close PostalMate on all workstations. When prompted, do a PostalMate backup.

2. Click on the notification message. An update screen will display.

3. Click on the “Update now” button.

4. Follow the steps in the install wizard until complete.

Set retail rates for new Add-Ons

Two additional UPS Returns Add-Ons are now available in PostalMate (more information is on page 4), and you’ll need to set your retail rates for them:

1. From PostalMate’s main menu, choose Tools > PostalMate Settings, and select Add-On Rates on the left side of the screen.

2. Under “Carrier” select “UPS,” then scroll down in the list and enter retail rates for:

Returns: Email Label (the wholesale rate is $1.00)

Returns: Print Label (the wholesale rate is $0.50)

3. Click Save.

Note: These new Add-Ons are only available for shipping only when using UPS web services.

If you want to set up to use UPS web services now, stay in PostalMate Settings.

Switch to UPS web services

Before you do this, make sure you understand how it will affect your system—changes are explained on the next two pages.

Once you understand the changes, here’s how to switch over to UPS web services:

1. In PostalMate Settings, select UPS Setup on the left.

2. Under “Online shipping interface,” choose “UPS web services” from the drop-down list. Click Save, then Yes when prompted.

3. The Service Display setup screen will display. You’ll see that new “UPS” tabs will be there (one each for generic and carrier packaging), with only UPS services on them. Optionally from this screen you can:

Re-name any tabs as desired, or change their order (just drag and drop).

Enable or disable the display of services on tabs—just remember that UPS services cannot be on a tab with other carriers.

4. Click OK to save any changes, then click OK again when prompted to register for UPS services.

5. Follow the instructions in the UPS Registration wizard.

6. Back in PostalMate Settings, select Label Settings on the left.

7. Scroll to the bottom of the list and assign a 4 x 6” label printer for these labels: Dry Ice (Optional); UPS Shipper; and UPS Pickup (optional). Enter how many of each label you’ll want to generate (normally 1). Do this for each workstation on your PostalMate network.

This section contains a summary of the major changes and enhancements included in Version 8.8.

UPS Web Services replaces WorldShip

Version 8.8 introduces UPS web services for online shipping. This is a far superior technology to the old UPS WorldShip interface, with faster, smoother, easier operations.

By UPS regulation, support for PostalMate’s UPS WorldShip interface will end shortly. Therefore you should switch to UPS web services as soon as possible. Setup instructions are on page 2.

Following are the details of what will be different after you switch.

The one downside: a Rate Comparison screen restriction

Take a deep breath, because the switch to UPS web services brings with it a significant change to Rate Comparison: UPS services will be displayed on a new (sixth) tab, and can no longer appear on tabs with other carriers. Implementation of this requirement was mandated by UPS. As per instructions on page 2, you have flexibility with the naming and order of tabs, however the above restriction always applies.

The rest of the changes are all beneficial to you.

UPS WorldShip no longer required

All shipping operations are now integrated into PostalMate, which means that all of the WorldShip hassles are a thing of the past. You no longer need to run WorldShip, open the XML Auto Import window each morning on every workstation, perform the End of Day procedure in WorldShip, or keep WorldShip updated.

International shipments

You can now process UPS International shipments online in PostalMate—no more airbills. The process is consistent with how international shipments work for other carriers in which web services are used: you’ll be prompted for customs information, and a ramp-ready label will be printed, along with a Commercial Invoice if desired.

High value shipments

If a shipment includes more than $1000 of UPS declared value, a High Value Report will print at the time of the shipment, and two Control Log labels will print to your 4x6 printer; one copy is to be signed by your UPS driver and returned to you for your records. This is your proof that UPS has accepted the package, and it’s required for submitting a claim.

Keep this in mind: Beta testing UPS web services for

PostalMate began in January, 2013, and was conducted at

175 locations. Although there was some initial resistance to the Rate Comparison change, according to feedback we’ve received most stores quickly

acclimated, and general consensus is that the benefits of using UPS web services far

outweigh the restriction.

Voiding shipments

Shipments are voided directly in PostalMate, as before, but you no longer need to verify the void in WorldShip.

Re-printing labels or commercial invoice

UPS labels can be reprinted directly from PostalMate from Everyday Tools > Find Package. International commercial invoices are also available for reprinting.

PostalMate Network

UPS shipments may be processed, retrieved and voided on any station in a PostalMate network. Also, only one carrier pickup needs to be performed, on your master station.

End of Day

The entire process is now done within PostalMate when you do a Carrier Pickup. A UPS Pickup label can optionally be printed that itemizes outgoing packages. This label, although not required by UPS, can be signed by your driver and kept for your records; it does not include a bar code, which is no longer used when shipping via UPS web services (for more information on this, go to: http://www.ups.com/content/us/en/resources/sri/pickup3.html.)

A UPS Manifest Report can also be printed in PostalMate from Reports > Shipping > UPS Manifest Report.

UPS Return Services: Print or email labels

In addition to the existing “Returns Plus: 3 Attempts” add-on, two new Return services are now available. In both cases, these are for packages that will be picked up elsewhere and sent to your store, but the transaction is created in PostalMate. The labels that are generated will have your store’s address as the “Ship To.”

UPS Returns: Email Label. When this is selected, the shipping label will be emailed to a specified email address. If you’ve linked a customer to the shipment and their email address is in the system, it will be used by default, but you can override it with a different address if you like.

UPS Returns: Print Label. This will print a label on your 4x6 thermal printer. Use this if your customer wishes to take a physical label with them.

To use these new Return add-ons, begin a shipment normally. Whatever “Ship To” address you enter or select (it must be domestic) will become the “From” address on the label. Of course, the displayed delivery commitments won’t be meaningful, since the package will actually be shipped at some future date. On the Package Details screen, click the “Return Services” add-on button, then select the desired service.

Note: Unlike most add-ons, a fuel surcharge is added to the rates for these—so the retail rates at shipment time will be higher than the retail rates you’ve set.

Drop-Off enhancements: Phase 2

A few months ago, many new features were added for processing Drop-Offs, and these were very well-received. Based on feedback from PostalMate users, in Version 8.8 two additional improvements have been made.

Batch processing of multiple drop-offs

You can now enter multiple drop-off packages into the system—even for different carriers—then record them all at once without having to click the “Record” button after each package. This is useful when one customer has many drop-offs to be scanned, especially when using a wireless scanner away from the computer.

The process is the same for one drop-off or many. When you get to the Drop-Off screen, scan or enter the tracking number for the first package. It will appear as the first item on a list. Select whatever options you like for that package. As additional packages are entered, they’ll appear on the list. When all packages are entered, click the “Record.”

Carrier Pickup

In previous versions, drop-off packages were lumped in with regular shipments on the Carrier Pickup screen. Now they’re listed separately, to make counting and reconciling easier at pickup time. If your physical counts don’t match what’s shown on the screen, you’ll see a list of regular packages, listed by the last 4 digits of the Package ID, and another list containing drop-offs, listed by the last 4 digits of the tracking number.
