About this guideThis guide describes how to configure Android’s native mail app to access your archive using Enterprise Vault IMAP access.

PrerequisitesBefore you can complete the configuration described in this guide, you need:

■ An Android device.

■ The notification email, which tells you that your Enterprise Vault archive has been enabled for IMAP access. This email contains the settings you need to configure the mail app on your Android device.If you have access to more than one archive, the email contains the settings you need to access each archive.

Adding an IMAP mail account in the Android mail app

This section describes how to add an IMAP mail account in the Android mail app, so you can access the contents of your Enterprise Vault archive.

Before you begin, note the following:

■ The settings that you need to configure the mail app to access your archive are in your notification email, and on the IMAP settings page. The settings shown in the images in the following procedure are just examples.

■ The IMAP settings page shows the settings for accessing all the available archives. To access the IMAP settings page, click the IMAP Settings link at the bottom of the IMAP notification email.

■ Depending on the manufacturer of your device, the version of the operating system, and its configuration, the images in this guide might differ from what you see on your own screen.

■ Depending on the configuration of Enterprise Vault IMAP access in your company, you might not have to configure all the options shown in this procedure.

As you complete this procedure, refer to the notification email to find your own settings.

If you want to access more than one archive on your device, you must repeat this procedure for each archive.

To add an IMAP mail account in the Android mail app

1 Launch Settings.

2 Under Accounts, tap Add account, and then tap Email.

3 Enter your email address and usual password, and then tap Manual setup.

4 Tap IMAP account.

5 Enter the incoming IMAP server settings, as they are shown in your notification email, and then tap Next.

If you have access to more than one archive, and you want to access an archive that is not the default, the Username must include a backslash and an identifier. The user name format is shown in the notification message. For more information on the default archive, contact your administrator.

6 Enter the outgoing SMTP server settings, as they are shown in your notification email.

Note: Not all environments require you to sign in on the outgoing SMTP server. In this case, uncheck Require sign-in. Otherwise, enter your usual user name and password.

When you have finished, tap Next.

7 Configure the synchronization settings to suit your own requirements, and then tap Next.

8 Enter a name for your IMAP account, and enter your display name which is shown on outgoing messages sent using this account, and then tap Done.

Configuring advanced IMAP settingsThis section describes additional, advanced configuration options, most of which you can set to suit your own requirements.

To configure advanced IMAP settings

1 Launch Settings.

2 Tap Email, and then tap Settings.

General settings shows all the mail accounts configured on the device, and the general settings that apply to all these accounts.

3 Under Account settings, tap your new IMAP account to configure the settings that apply specifically to the account.

Note in particular the Size to retrieve emails option, which you can use to set the size threshold below which your device retrieves full items. For larger items, the device downloads only the mail headers.

4 Tap More settings to show additional advanced configuration

options. Note the following settings:

■ Recent messages. Set this option to limit the number of items your client downloads in each folder. Note that the Enterprise Vault IMAP server is also configured to limit the number of messages you can download in each folder. This setting does not allow you to exceed the maximum configured on the server.

■ Auto-download attachments. This setting lets you choose to download mail attachments automatically when you are connected to Wi-Fi.

Configure these settings to suit your own requirements.

Working with your archive

Working with your archiveWhen you have configured the IMAP account on your device, you can start to access the contents of your archive.

Note the following behavior:

■ The Android mail app automatically subscribes to all folders in your archive.

■ The Android mail app does not download any items from a folder until you select that folder. It then downloads items up to the threshold you set, or to the maximum configured on the server.

■ You can reply to and forward the messages in your archive. The mail app does this using the SMTP server you configured when you added the IMAP mail account.

■ You can use the mail app to manage the messages in your archive. For example, depending on what your administrator has allowed, you can move, copy and delete the items in your archive.

Working with your archive

■ You can place new items in your archive by moving or copying them from another mail account on your device.

■ When you search the messages in your archive, the mail app initially searches the items already downloaded to your device, but you can extend the search to include the items stored on the IMAP server.
