Overview:

Engineers India Limited (EIL), a Public Sector Undertaking was set up on March 15th, 1965 to provide engineering and related technical services for petroleum refineries and other industrial projects. EIL is working under the administrative control of Ministry of Petroleum and Natural Gas, Government of India. About the Department (ITS)

Information and Technology Services has shaped into a channel of authentic and reliable information flow throughout the company. In other words, it has become the backbone of information management in the organization.

ITS is at the forefront in applying advanced IT tools to define, design and deliver technology-enabled business solutions to our Internal business departments as well as External Clients . It has built up the networking infrastructure and hardware set up for creating, storing, processing and communication of information throughout the company. Connectivity of HO to ROs & Site Offices (through VPN) has bridged the gap of distance and time of information flow. It provides 24X7 availability of IT Infrastructure in terms of Hardware & Software. Information Security is also ensured at EIL through various means like Perimeter Security, Network Security, LAN Server Security and Anti-virus measures.

In house development of various functions of almost all departments of Company has led to automation of the workflows. Starting from planning of the project with project management and execution to commissioning of the project has been computerized. Integrated systems are in place for HR as well as F&A departments. In-house Knowledge Management System as well as world class Documented customized for EIL as EDMS are being supported successfully.

Progress of ITS can be gauged through the facilities provided to reduce the time spent by the employees in querying personal information regarding P&A claims/ payments/ status, Salary, PF, Earning using a single window interface, EILPORTAL, lodging of their Hardware & Software complaints through ITS Helpdesk. Facility has been provided for giving suggestions and feedback related to company's technical/ financial/ projects/ diversification issues through C&MD Portal. Concise and summarized management information is available through a single window interface, Management Dashboard. Online system for departmental information, Intranet and ready information on mobile, Mobile Application Portal (MAP) also add value to IT services.

These systems have been developed and implemented on platforms such as UNIX, NetWare & NT using Microsoft .Net Framework, Spring Framework, J2EE, RDBMS like ORACLE & Access. D2K, VB, C, C++, Java are being used for development of front end modules. Furthermore the portals being web based are accessible even at home. The customer centric approach of the dedicated team of Information Technology and Services aims at maximizing customer-satisfaction.

ITS has executed a number of assignments involving OR techniques for the Ministry of Petroleum, Govt. of India. Major investment decisions have been taken by the clients based on these optimization studies.

1. INTRODUCTION

Engineers India Limited (EIL), being a consultancy company depends heavily on the services of its suppliers, contractors, licensors etc. for various materials and equipments. The interaction between EIL and its vendors is critical to the successful completion of its projects. The traditional way of interaction where we make requests, exchange and approve documents offline as hard copies tends to consume a lot of unwarranted time and contributes a little to the standardization of the process. A step towards improvement, thus, was taken when the Vendor Document requirements (VDR) module was released which lets EIL personnel prepare a standardized VDR document online. To further enhance and streamline the essential interaction process the Document Control Index (DCI) module has been developed, which in tandem with VDR module, will completely put this process online.

Document Control Index Module (DCIM) is a web application that lets avendor manage its orders online through a clean interface and via an intuitive workflow.

2. FEATUREDuring a project, potentially thousands of documents from hundreds of vendors need to be

managed efficiently. For the contractor, processing, tracking and reporting on these items has traditionally been a manual, resource-intensive process – involving various spreadsheets, email and internal systems. A system that reduces complexity, improves data capture and increases control can help address these challenges. And getting it right can help meet deadlines, drive down cost and control risk.

Complete VDRWe can create new VDR by Selecting Job No: Unit No: MR/Tender document No:. After

selection an standard VDR number is generated which can be seen on screen after generation

of VDR No a user can allocate an Revision No: to it. After Allocating the revision number , an

appropriate VDR title will be generated. In this window we can copy existing VDR too by

providing the details of it.

Conclusion

Web sites are unfortunately prone to security risks. And so are any

networks to which web servers are connected, thus in today‟s world

there is a dire need for a secured network on which the data can travel.

In this project a secured connection has been established between the

client and server through SSL, and tested. Now sensitive information

such as credit card numbers, social security numbers, and login

credentials can be transmitted securely over this network.

A vender can update their status and check there current status of the

document which it was provided .

Scope of Improvement

This project is not the end of our path for our career. This is the first project

designed by us as we think this is the learning experience for us. We have put our

best effort to design a website with the implementation of “Vendor Document

Management System” in six weeks. Time is the major problem as we have to

deliver the project in a particular time period. In the project we have used Spring

Framework

Technique to develop web application for a web organization

In future the following features can be added to enhance the project.

•Bootstrap technology for enhanced Appearance.

•Tools other then Wireshark may be used to test the level of security offered by

Secure Socket Layer.
