Using Indistar to Document Meeting Agendas and Minutes
Click on the button at the top of your main menu screen.
From the icons of the modules, select
MEETING AGENDA
Go to the tab, 1. Enter or Edit Meeting Agenda.
Click “Set up a new Meeting Agenda.”
Complete the Meeting Information portion of the form and click the Save button at the bottom of the
screen.
Agenda Items I – V will be entered later within the minutes function.
VI. Indicators to Assess-Plan-Monitor -If the meeting is related to an indicator in the Indistar plan, click
“Add Indicators to Agenda”
For example, if the team is meeting to identify students or select interventions, you will designate TA01
or TA02, as appropriate.
Within Indicators to Assess, Plan and Monitor, select Display all Indicators.
Scroll to the desired indicator and select the checkbox on the left if you are assessing the indicator and
the box on the right if you are planning or monitoring the indicator. Then click “Add Selected Indicators”
The Indicator will appear in your agenda:
VII. Other Business
Enter other topics that will be discussed.
VIII. and IX. will be completed when the minutes are entered.
Click “Save Agenda” or “Save and Print Documents” when finished.
The meeting will now be listed in the Team Agendas and Minutes module. The Agenda link will connect
directly to the agenda as entered.
FORMS AND WORKSHEETS FOR MEETINGS
Go to tab, 2. Print Documents for Meeting.
Here you will find blank forms for agendas, minutes, and worksheets to guide discussions during
meetings.
In each form, click on the disk icon to export the document in the desired format, Excel, PDF, or Word.
Use the worksheets for Assess-Plan-Monitor to record meeting minutes or utilize your own format for
documenting the discussion and activities that occurred during the meeting.
For convenience, this page also provide links to the Comprehensive Report and the Task Report, which
list the details of your school improvement plan.
MEETING MINUTES
After the meeting, navigate to the Team Agendas & Minutes module.
Click on the button at the top of your main menu screen.
From the icons of the modules, select
Click on the date for the meeting to enter the minutes.
Go to the tab, 3. Enter Meeting Minutes.
Complete each section, checking the relevant boxes for attendance and topics discussed.
In VII. Other Business, summarize actions taken during the meeting. If you have detailed notes, you can
upload them to the File Cabinet and refer to the filename here. However, this section should contain
highlights. DO NOT IDENTIFY STAFF OR STUDENTS BY NAME IN THE MEETING NOTES.
Note the next meeting information and adjournment time in sections VIII and IX.
Click Save Meeting Minutes to save the form.
A link for the meeting minutes will now appear in the list of meetings within the Team Agendas &
Minutes Module.
UPLOAD MEETING DOCUMENTS TO INDISTAR
Detailed meeting minutes and supporting documents can be uploaded to the Indistar File Cabinet.
Remember not to identify staff or students by name in these documents, as the files can be viewed by
non-school or district staff.
On the Dashboard page, click “Document Upload.” The dashboard page is opened in a different window
than the Main Menu page.
Select Upload a New File…
Complete each field to upload your file. You can create a new folder to group similar documents. Click
Upload to finalize the process.
