    Implementing the GSFAPPS Load to Banner

    Introduction to GSFAPPS

    Purpose of the GSFAPPS Load to Banner

    The Georgia Student Finance Commission (GSFC) has implemented the GSFAPPS application for all GSFC administered funds beginning with summer 2006. The application will be loaded into Banner in order for campuses to view all pertinent application data for a student.

    GSFAPPS Process Flow

    Description The Georgia Student Finance Commission (GSFC) has implemented a new application for scholarships, grants, or service-cancelable loan programs administered by the GSFC. This application, the Georgia Student Financial Aid Application System (GSFAPPS) is a web-based application process that captures and edits all required application data to meet each GSFC program’s unique requirements.

    Institutions will request application materials from the GSFC and load the data into Banner for processing, verification, and awarding of student financial aid.

    Overview of GSFAPPS Flow

    Complete the following steps to request and load GSFAPPS information into Banner.

    I. Requesting student application data from the GSFC

    Note: Below are two separate options for requesting data from the GSFC

    Option 1): Request file (GAUnnn.txt) directly from the GSFC

    SURFER

    Option 2): Create request file (GAUnnn.txt) in Banner

    ZHRAPPS

    1. Create GAU file $DATA_HOME/finaid directory

    2. Save file to a secure location

    3. Upload the file to the GSFC through your institution’s SURFER Inbox

    Using GSFAPPS Ia. Request File Procedures via SURFER

    1. Login to SURFER

    2. Request file Open your institution’s SURFER Inbox and request GADnnn.txt file from the GSFC.

    Note: Campuses are advised to use the SURFER Inbox request mechanism for the initial file request. After the initial request, campuses should utilize the ZHRAPPS Process to request subsequent files. This procedure reduces the number of duplicate records that may occur from requesting data solely through SURFER.

    Ib. Request File Procedures through Banner ZHRAPPS Process

    1. Set up to create file

    Create request file (GAUnnn.txt) in Banner using one of the following methods:

    • Population selection of students

    • By Aid Year and term

    • By a single student

    A population selection of students may be created and saved to extract the necessary students. If the process is used without a population selection of students, the ZHRAPPS process will pull students based on the parameters below and based on a ROASTAT record in Banner. The process is designed to provide campuses with the flexibility of capturing a large population selection of students or creating a single student record to the GSFC for processing. Once you have either completed your pop sel or determined which students to extract, go to Job Submission (GJAPCTL) to complete the parameter settings.

    Warning

    The initial request should be made through the campuses SURFER Inbox. After the initial request is made through SURFER, it is highly recommended that campuses request student data from the GSFC by using the ZHRAPPS process. Once the initial GADnnn.txt file is retrieved from your campuses SURFER Inbox, campuses should use the ‘Date Generated’ date associated with their GAD file from their SURFER Inbox in Parameter 07 of the ZHRAPPS process. This step is necessary to reduce the duplication of applications with no change in data from the GSFC. This keeps the number of sequence numbers in the ZHAAPPS form to a minimum because the GSFC will only return updated files to the campus from this date forward.

    2. File creation Once set up is complete and all necessary parameters have input values, run the GSFAPPS Request File Process (ZHRAPPS) in Job Submission (GJAPCTL). This will produce the zhrapps.log, zhrapps.lis, and GAUnnn.txt files. See below for sample files.

    3. Loading file to SURFER

    After the GAUnnn.txt file has been created, it will be stored in your campuses $DATA_HOME/finaid directory. Save the file to a secure location as GAUnnn.txt. Please note that the ‘nnn’ portion of the GAUnnn.txt file name represents the GSFC assigned number for your campus. After saving the file, open your campuses SURFER Inbox and load the file. The GSFC will process your request and place a GADnnn.txt file back in your Inbox for your campus.

    II. Return File Load Process (ZOPAPPL)

    1. Loading File into Banner

    After the GSFC has placed the GADnnn.txt file in your campuses SURFER Inbox, retrieve the file and save the file to a secure location. Then place the GADnnn.txt file in your campuses $DATA_HOME/finaid directory. Open Job Submission (GJAPCTL) and complete the parameters to load the GAD file into Banner through the ZOPAPPL process.

    2. Execute the ZOPAPPL Process

    In order to verify that the return file matches student data in Banner, run the ZOPAPPL process in Audit Mode first. Verify non-matches in your campuses Banner database. When run in Audit Mode, the zopappl.lis file provides a report of all students in the return file. The report lists the following information:

    • Banner ID for those students with matching records

    • The SSN under the ID if the student does not match the Banner database

    • First name

    • Last name

    • Date of birth

    • The status of the application

    • Banner match status

    • Associated error code for the matching process

    Note: When a campus requests a file directly through SURFER, there may be no Banner PIDM or Student ID associated with each student. As a result, the process will match based on the Social Security Number (SSN) in the return file from the GSFC. The process matches based on a

    NOTE After running the ZOPAPPL process in Audit mode and verifying student matches, run the process in Update mode to store the matches in the Banner table ZORAPPS. The Update mode lists the same values as the Audit mode with one addition, the Complete Funds list. The Complete Funds list provides a list of all the funds that are returned with a status code of ‘C’ in the return file. The Complete Funds list only provides a list of complete funds for those students that match the Banner database. A key is attached at the bottom of the zopappl.lis file to explain the codes for each fund.

    After running the ZOPAPPL Process in Update Mode, you can now view individual student records in the GSFAPPS Application Information Form (ZHAAPPS). See Section III below.

    III. GSFAPPS Application Information Form (ZHAAPPS)

    1. Viewing Individual Student Status Data

    Once you have loaded the GADnnn.txt file into Banner, you can view individual student application data in the ZHAAPPS Form. The data that exists on the form is the same data based on the record returned from the GSFC. The matching process is the only check performed on the record data. Therefore, data such as date of birth (DOB), state of residence, date of residency, etc. may differ from other Banner data. The intent of the process and form is to provide campuses with the same information returned by the GSFC. You should use the return file layout above to reference the fields on the form. The SEQ NO. and CURRENT REC. fields are the only fields not associated directly with the return file layout. The fields are used to track history in Banner.

    To query a record in ZHAAPPS, fill in the ID and SEQ NO. fields. You can query for the SEQ NO. field or input a single digit value to retrieve the record. The sequence number value is linked to the reported aid year value on the return file. This field allows the user to query history for a record. The Current Rec. Indicator Field displays a ‘Y’ when the most current record is displayed. The field remains blank if the record is not the most current record in Banner.

    Note: Each time the ZOPAPPL process is executed for a given GAD file, any student record that already exists on the ZHAAPPS form will be assigned an additional sequence number if the student’s data is included in the GAD file.

    If updates have been made regarding biographical information or HOPE Hours to a student record from the GSFC, the updated fields will be highlighted. This allows the user to quickly recognize any changes made from record to record. For example, the fields highlighted in blue below have been updated from the Banner sequence number 2 to record number 3.

    When applicable, the fields contain a ‘hint text’ at the bottom left corner of the screen which explains the codes used for any given field. Again, the hint text information is pulled directly from the return file layout provided by the GSFC.

    2. Viewing Fund Status Information

    The Fund Type Status Block is used to query funds that are Complete (C), In Process (IP), Not Eligible (NE), and contain No Value (NV). The first three codes in this set are taken directly from the file layout provided by the GSFC. The status codes are linked to a list of error codes, provided below, for a given fund. The error code list is provided by the GSFC to determine the student’s eligibility status. You should use the dropdown box to choose a status code. A list of funds will appear for their associated status codes. To view a list of error codes for a fund, perform a next block function to the error code fields. To view a description of the error codes, click in the description field beside each error code. Due to the list of status codes related to each fund code, the highlight mechanism is not available for the Fund Type Status Block. Note: When a GAD file is returned to the campus, if no funds contain information the fund will appear under the NV status code. This code is not used by the GSFC. The purpose of this code is to list all funds that contain no data in the record and those funds that contain no status code value, but have an error code value in the record. There are four funds that may have error codes without status codes attached in the return record. These funds are HOPE Teacher, HOPE Promise, GA Military, and North GA Military. These funds may also contain status codes attached to error codes from the GSFC.

    3. Viewing HOPE Hours Information

    The HOPE Hours Block lists all HOPE Hours information returned in the GAD file. Again, the highlighted information under Scholar Qtr Hours and Total Sem Hours represents an update from one record to another.

    Warning

    The HOPE Hours Block of ZHAAPPS lists the HOPE Paid Hours as of the time of the application. The GSFC will not update a student’s record based on hours alone. While this block reports hours as of the application completion date, it does not replace the HOPE Paid Hours Load Process (ZHRPDHR).
