Submitting your customer’s second charge mortgage application couldn’t be easier using our broker hub ‘DJ’.

‘DJ’ was developed in-house and designed around the needs of our brokers. Our process is entirely online and through intelligent questioning and integration with Equifax & Land Registry, you will receive a bespoke and accurate list of requirements, needed to support the application, at the end of the process.

‘DJ’ will also allow you to:

• Refer cases outside of our standard underwriting criteria at the click of a button

• Communicate directly with our sales or underwriting teams via the messaging facility

• Download the binding mortgage o�er (BMO) and mortgage deed online as soon as it’s been issued

• Receive real-time case updates

• Set di�erent user permissions for di�erent members of sta�

Start the registration process by entering your FCA number and then click search

Create a ‘Quick Quote’ or mortgage illustration where you’re looking to gauge which products your client may be eligible for, or to produce an illustration with indicative �gures.

Visit https://securedlending.shawbrook.co.uk/brokerhub/ and enter your username (your email address) and password on the Login page.

Once logged in, your home screen is your Case Tracker – here you can view and search current and previous cases.

Click on ‘Add a New Case’

You can’t change the ‘Are you the advising broker’ box once you proceed past the �rst page. If they are incorrect you will need to start a new case.

You can’t change the Type of Loan once you go past this page, if it’s incorrect you will need to load a brand new application e.g. you can’t change a Secured Loan to a Business Purpose Loan.

In loan purpose – select all that are applicable i.e. debt consolidation and home improvements. It will allow us to give you a more accurate list of supporting requirements before you submit the application.

Complete all relevant �elds on the Quick Quote page including applicant, loan and fee details then click ‘next’

STEP 3

The £85 Administration Fee is payable up front but will only be taken once the case has been assessed by our underwriting team.

The valuation fee will be taken at the latter stages of the application after we have carried out our initial assessment of the case and satis�ed any initial queries.

Fees:

We have di�erent broker fee �elds to allow you to tailor your fees to each application so that they are accurately described on the mortgage illustration. You don’t need to have an entry in each �eld, just choose the most appropriate based on your application.

Broker Commitment Fee – must be paid upfront by the client directly to the broker and would be used where you are charging a client upfront before processing their application.

Broker Advice Fee – can be added to the loan. Used if you are charging a fee for giving advice

Broker Arrangement Fee – can be added to the loan. Used to cover all elements of processing the loan.

If Independent Legal Advice (ILA) is required on a case e.g. If an applicant is over 70 at the time of application or where it’s a joint application and only one person is bene�tting from the loan, you will need to put a �gure in this box.*

*If ILA is not required leave the �eld blank.

Select the product by clicking the corresponding button – this will provide you with a quick quote of the rate, fees, monthly repayment and total cost of credit.

Once you have completed the Quick Quote process you will have the option to proceed to an Agreement In Principal (AIP) where we will credit search your client. At this point we will be able to give them a more accurate indication of the products available as we will carry out a credit search (soft footprint) and score.

Applicants Details

It’s important to include all eligible income in this section. When you click on the income calculator tab it expands the income page.

We accept 100% of all the incomes noted here – remember that applicants need to be in receipt of all tax credits when the loan expires. The systems will advise/prompt when you click in the di�erent income �elds. Please also note that the gross and net income should usually be di�erent.

Expenditure

Expenditure declared here should be a re�ection of what you have viewed on the customer’s bank statements. In the background we use the O�ce of National Statistic’s (ONS) �gures as a benchmark and, although not required on every case, we may ask for bank statements to support the �gures in this section where the benchmark isn’t met.

Consent to Credit search

This is a quotation search at AIP stage therefore we only leave a soft footprint

Mortgages & Secured Loans

Before displaying the AIP result you will need to identify the �rst charge mortgage for the security address.

If the AML Decision shows as ‘refer’, double check that you’ve entered the applicant’s full name, address and DOB correctly as it will show this answer if either are wrong.

If there is an existing secured loan, the charge must be repaid therefore click ‘Charge to be repaid’.

Any other mortgages displayed on the search will need to be either ticked as either a BTL mortgage with an AST or a charge to be repaid.

If the applicant has mortgages that aren’t displayed on the credit search it is essential to enter the mortgage information manually to ensure a�ordability is assessed correctly. Just click on ‘add additional mortgage or secured loan’ and then complete all the required �elds.

Unsecured Credit

The unsecured credit page displays all of the applicant’s credit. It displays a start date, the loan balance, monthly payments and a status of the applicant’s credit. If the purpose of the loan is for consolidation you will need to put a tick in the settle column.

If an applicant wants to partially settle a credit card they are repaying then enter the amount in the ‘Amount to Settle’ box, the system will then calculate 3% of the remaining balance and include this in the a�ordability calculation.

The system will ignore any loan payments that are due to expire within the next 6 months.

If applicant is applying for a BTL loan and it’s a consolidation loan, we do not need to clear any credit so it won’t ask you to advise what credit is being consolidated.

All applicants’ credit must be captured so we have a good understanding of their expenditure. If the applicant has declared credit to you and it’s not showing on the credit search you must add the items of missing credit by clicking the ‘Add additional credit’ tab which you will �nd at the bottom of the applicants credit report and then enter the credit details.

AIP result & product selection

This page shows you all the plans available based on all the information gathered to date including the credit score. You will also have the option to refer the case to our Sales team for a non-quali�ed product.

STEP 3

If the product you were looking for is not displayed and appears in the ‘non-quali�ed’ section it is possible to refer the case. Make sure there is a strong justi�cation for the referral, detail the case, merits and why it’s a good customer outcome and one of our underwriter’s will review and come back to you with a decision. Please read our ‘How to: Refer a case’ guide for further information and top tips on referring cases.

On the AIP result and Product Selection screen select ‘Proceed to Full Application’ at the bottom of the page

The Broker Hub carries out the Land Registry search and then displays the results and compares them to the name and the security address on the system. If they are di�erent it will generate a referral. Further clari�cation may be required to verify the di�erence.

Once you’ve completed the application on the system you will be provided with a full list of required supporting documents. The system will generate a number of documents which will just require the applicants signature e.g. application form, however there could be additional information you will have to obtain from your client e.g. income, proof of evidence of unsecured credit being consolidated.

From your Case Tracker you can access the list of supporting requirements.

From your home page (case tracker) click on the ‘paperclip’ icon on the right hand side of the screen

STEP 1

Please note if it’s a case that requires independent legal advice (ILA), this form will only be generated with the mortgage deed at binding o�er stage.

When you click on the ‘paperclip’ icon you will then see a list of requirements. The majority of these needs will have ticks next to them and these are items you need to obtain. The ‘Needs’ list will only appear once you get to the Land Registry page or products page for Scottish cases.

Where there is a pink ‘download’ icon to the right of one of the case requirements, this means we need you to complete one of our forms or declarations and ask your client’s to sign. These can be downloaded individually or all together as a pack by clicking ‘download’ next to Application pack.

To upload all outstanding requirements scroll down to the bottom left of the screen and click ‘Upload Document’.

Select the document you wish to upload from your scanned documents and tick the corresponding requirement.

Then click ‘upload’.

Repeat this process until you have uploaded all of your documents.

Warning!

The ‘Submit to Lender’ button won’t appear until all part and 90% requirements have been uploaded, your ESIS has been downloaded and any other warnings have been cleared from the screen.

You won’t be able to submit a pack until the warning has been removed. If for some reason the triangle has been removed and you’re still unable to submit the pack the please call the internal sales team for guidance.

You will need to upload the part pack and 90% pack requirements before you’re able to submit the pack to us for underwriting. If you are unsure what documents to provide to satisfy a requirement please contact the internal sales team on 03301 234 366 for guidance.

When the minimum requirements have been satis�ed, a button will appear towards the bottom of the page which will say ’Submit to Lender’.

If this doesn’t appear then there should be a warning triangle at the top of the page. Please see the example below which advises that the employment details are incomplete.

You can then upload the remaining documents on the system as and when they’re received.

STEP 4

Once a case has been submitted you won’t be able to edit any information on the case. – you can however continue to upload new documents

When all requirements have been satis�ed you will see the following button ‘submit to lender’.

Before selecting ‘Submit to Lender’ please ensure all documentation has been uploaded correctly against each of the requirements generated by the system.

We are unable to start assessing an application or any supporting documentation until we are in receipt of ALL outstanding requirements.

Submitting an application with missing or incomplete information will cause delays and result in a poor customer journey.

BINDING OFFERS

Once you’ve provided all the outstanding requirements and we’ve completed our checks, the case should be ready for the Binding Mortgage O�er (BMO) to be issued. You’ll know when the o�er has been issued as you’ll receive a message in case tracking advising you so.

You then go into the Needs page and by clicking on the paperclip icon you’ll see the o�er is available to download.

Please download the BMO and ask your client to sign and return the relevant declarations and mortgage deed (attached to the BMO).

The customer can return the original mortgage deed to you or directly to us. Funds won’t be released until we are receipt of the original mortgage deed.

Referrals can only be submitted to the Sales Team at Shawbrook Bank for review once a credit search has been carried out and you have completed an Agreement in Principle (AIP). There is an icon on the screen which turns red as soon as a referral is triggered.

Please see an example of this below. This example shows the referral icon red along with the referral reasons which have been highlighted.

On the AIP Result & Product Selection page select ‘submit referral’.

STEP 1

The product selected is unavailable. Please submit a referral if you wish to appeal the decision or select a ‘Quali�ed Product’ to proceed to full application.

When you hover over the icon you will be able to view the reasons why the application entered does not �t Shawbrook’s criteria or no longer �ts the plan that was originally selected.

The ideal time to submit a referral would be at the AIP Result and product page which is where all the reasons a plan does not qualify are shown.

This is your opportunity to advise us why you think we should make an exception, pointing out the merits and highlighting the strengths and reasons why it’s a good customer outcome. Examples of things you should look out and highlight are:

• Clean credit pro�les – all up to date with no issues.

• If there’s just one missed payment, does the rest of the pro�le show it’s out of character – is there a good explanation.

• Large monthly savings to a customer for consolidation loans.

Tick the boxes which best describe the reason for the referral (select all that apply).

Once the case has been submitted the referral icon will turn orange which means the referral is in progress. You will not be able to edit it in any way.

When you refer a case to us, you will only have a ‘read only’ facility and you won’t be able to edit any details until the case has been returned to you by the internal sales team.

If you refer a case to us and the status when it comes back to you is ‘pending’ – it could be that we require further information e.g. bank statements. You need to send the referral by going back in to messages, typing in your message and then pressing the ‘resubmit referral ‘button.

Once you have completed all relevant boxes click on the ‘Submit Referral’ box and you will have an answer back within our SLA which is 1 hour and 10 minutes.

When the referral has been looked at and actioned by Shawbrook you will see the message icon highlighted in black. When you click the button it will show the answer to your referral.
