PSYD CLINICAL DISSERTATION GUIDELINES

Academic Year 2016-2017

University of San Francisco PsyD Program

The following rules and procedures constitute the guidelines and requirements for the PsyD Clinical Dissertation process at the University of San Francisco PsyD Program. They will remain in effect until a revision replaces this edition. Interim changes may be made as the need arises.

I. GOAL AND OBJECTIVE OF THE CLINICAL DISSERTATION

The goal of the Clinical Dissertation is to ensure that the Candidate possesses advanced scholarly abilities consistent with the aims and competencies of the PsyD program (see Appendix A). In addition to other requirements, successful completion of the Clinical Dissertation signifies the culmination of the program and leads to the PsyD degree. The specific objective set forth by the PsyD Faculty to accomplish this goal is for the Candidate to demonstrate this competence and scholarship in a written document and at the final oral defense of that document, as well as during the mentorship process in preparation for these final products. The Clinical Dissertation must comply with all the relevant policies and procedures of the University of San Francisco PsyD Program.

II. THE CLINICAL DISSERTATION Successful completion of the Clinical Dissertation ensures that the Candidate possesses the necessary scholarly abilities to understand, evaluate, organize, synthesize and present psychological literature. On a broader level, it stimulates the Candidate to apply scholarly information to clinical work and, conversely, to learn about such issues through clinical work. Accordingly, this component addresses the following competencies:

1. Students will demonstrate substantial understanding of and competence in reviewing and critically evaluating empirical research and its applications to service provision.

2. Students will demonstrate substantial understanding of and competence in research methodology, data collection, and analysis, while incorporating cultural, contextual, and developmental aspects of research.

3. Students will demonstrate substantial understanding of and competence in the design and completion of Clinical Dissertations that have practical implications and/or advance in the field of clinical psychology for underserved populations.

The Clinical Dissertation must address a clinically relevant and clearly defined issue, question, or problem that warrants doctoral level study. A clinically relevant and clearly defined issue, question, or problem is one that relates to the theory and/or practice of clinical psychology. In order to establish its significance, the issue, question, or problem must be placed in the context of established theory and/or previous research. All Clinical Dissertations must discuss the clinical, conceptual/theoretical, and cultural/social implications of the findings. The following are acceptable types of Clinical Dissertations:

a) Intervention Project (should include needs assessment and evaluation components):

a. Development and piloting of new intervention (e.g., development of a manual or tool-kit for a particular setting); or,

b. Adaptation of existing intervention for a new setting/population (e.g., adapting an individual intervention for a group; cultural adaptation of existing intervention)

b) Program Evaluation:

Using community-based participatory research, evaluate an existing program using a mixed methods design (e.g., evaluate effectiveness of existing or new approaches to patient care)

c) Survey/Measurement Project:

Develop or adapt measures (includes testing validity and reliability) that would result in critical recommendations for translational research, inform evidence-based practice, and/or apply to a new population

d) Meta-Analysis:

Meta-analysis is a quantitative method of reviewing a research literature by combining statistical results across studies, ideally all studies available on a particular topic. Meta analysis is often used to describe the strength of effect of one variable on another or one treatment on relevant outcomes. The candidate must collect a population of studies that have investigated the relationship of the variables of interest, code the studies, and compute the effect sizes. The distribution of effect sizes and the impact of moderating variables are examined and discussed.

e) Secondary Data Analysis:

Use an existing data set (e.g., one that belongs to a faculty member or is publicly available) to test research questions that the original data were not intended to examine.

III. CLINICAL DISSERTATION TIMELINE

Recommended Timeline: The Clinical Dissertation Timeline is used to plan and monitor expected progress. The guidelines for progressing through the Clinical Dissertation process are presented below. Candidates must complete the Proposal and obtain Proposal approval from their Committee no later than October 15th of Year 4 in order to be eligible to apply for internship during the Fall of Year 4. The remainder of Year 4 should be spent collecting data and writing the results and discussion chapters before leaving for internship. The Clinical Dissertation is intended to be completed within a two-year period (Years 3 and 4 in the program). Candidates must remain enrolled in either PSYD 707 Clinical Dissertation Proposal Seminar or the PSYD 788 Clinical Dissertation Seminar every semester until the Clinical Dissertation is completed, approved by the Committee, and filed in the library.

The process is structured to assist the candidate and committee in their planning and to minimize scheduling problems and/or obstacles to timely completion of the program. These guidelines assume that the Candidate is progressing well in the program (broadly defined as not being on academic probation or academic warning status); completing expected course work commensurate with year level in program; completing the Doctoral Comprehensive Qualifying Exam; demonstrating advanced conceptualization, thinking, and writing skills in all endeavors and in the mentoring process with the Clinical Dissertation Committee; and demonstrating professional and clinical skills in practicum and other professional settings in which the candidate participates as part of the program). IV. PSYD CLINICAL DISSERTATION COMMITTEE A. Committee Composition and Formation: By the completion of Year 2 in the PsyD program and after consultation with his/her advisor as well as his/her potential Chair of the Clinical Dissertation, the Candidate has the responsibility to form an official Clinical Dissertation Committee consisting of a Chair and two additional committee members. Committee composition requirements are as follows:

a) Three members, one of whom must be PsyD core faculty. A student may petition the committee chair and director for an exception to add a fourth committee member.

b) The Chair of Clinical Dissertation must be SONHP faculty c) External scholars with an earned doctorate in psychology or closely related specialty may

serve as co-chairs or committee members The Chair is the primary mentor for the Candidate’s Clinical Dissertation and will be the Candidate’s instructor for PSYD 707 Clinical Dissertation Proposal Seminar and the PSYD 788 Clinical Dissertation Seminar in Years 3 and 4 of the program. Although the Chair serves as the primary mentor for the Candidate’s Clinical Dissertation, other committee members must uphold the standards of the program, including attending required meetings as well as reading and providing feedback on the proposal and dissertation. Additional committee members should supplement the Chair’s expertise, so that the committee as a whole possesses balanced resources in the topic area and its clinical application. Candidates are advised to discuss their preliminary Clinical Dissertation ideas with their advisors in Years 1 and 2 and to review SONHP and other USF faculty members’ online profiles in order to start the process of selecting a Chair and committee members. The decision to chair a student’s dissertation will be discussed by the student and proposed chair and will ultimately be decided based on the fit and capacity of the faculty member to chair the dissertation Content experts outside of the SONHP faculty who have not previously been approved as members of a USF PsyD program Clinical Dissertation committee must first be approved by the PsyD Program Director (Appendix B, Form 2: Clinical Dissertation Committee Member Approval Form). The Candidate must seek approval from the individual who agrees serve as the Clinical Dissertation Committee Chair by late spring of Year 2 and submit Form 1: Chair and Topic Approval Form (see Appendix B) to the PsyD Program Assistant. Approval by the PsyD Program Director formalizes the agreement between the Chair and Candidate and thereby officially grants the Candidate permission to enroll in PsyD 707: Clinical Dissertation Proposal Seminar for fall semester of Year 3. Your Chair is not officially on your Committee until Form 1 has been processed by the Program Assistant. To formalize agreements between additional committee members and the candidate, Form 2: Committee Member Approval Form must be completed and signed by the candidate, committee member and Dissertation Chair.

External content experts must (a) hold an earned doctorate in psychology or a field pertinent to the PsyD Clinical Dissertation topic and (b) have demonstrated competence/expertise in the topic area. Appeals of non-approved applications can be made in writing to the PsyD Program Faculty. B. Candidate and Committee Responsibilities: The Clinical Dissertation Committee is responsible for ensuring that the Candidate possesses advanced scholarly abilities and meets all the requirements that are outlined in this document. The Chair and Candidate share responsibility to ensure that the candidate is sufficiently mentored throughout the PsyD Clinical Dissertation process. The candidate bears full and ultimate responsibility for all aspects of the PsyD Clinical Dissertation. The Chair, as the primary academic mentor in all phases of the PsyD Clinical Dissertation process, has greater responsibilities than the other committee members. These include: (a) being the Clinical Dissertation proposal and project seminar instructor in Years 3 and 4, (b) assisting the candidate in selecting committee members, and (c) guiding the Clinical Dissertation process from beginning to completion and (d) assisting the candidate in setting goals, developing a timeline, and finalizing a feasible proposal that can be implemented and completed by the time the candidate leaves for internship. Additional committee members may focus their involvement on the following activities: (a) consulting with the candidate during the proposal/project period as needed, (b) reading and providing detailed, constructive feedback on the proposal, and (c) attending the project defense. C. Non-Eligibility: The following examples involve relationships that would make an individual ineligible for Committee membership because of possible conflict of interest: (a) a candidate’s personal therapist (b) business associates, employees, employers of the candidate or of other Committee Members (including psychologist to whom the Candidate might report as a paid psychological assistant) (c) co-psychological assistants of the candidate reporting to the same employer; and/or (d) relatives of the candidate. D. Changes in Committee:

Chair. A Chair may be replaced on rare occasions. The PsyD Program Director must approve all such changes and a compelling rationale is required. In the event of changes in the association between the Chair and USF, the Chair may continue this function upon approval by the PsyD Program Director. Committee member(s). If a change in committee membership is necessary, the chair will work with the PsyD student to identify potential members. To provide continuity of guidance, such changes should be made only when unavoidable.

V. PSYD CLINICAL DISSERTATION PROPOSAL A. Goal: The goal of the Proposal is to present a clear, written description of how the requirements of the Clinical Dissertation will be satisfied. B. Proposal Outline:

1. Specific aims (1 page) This section provides a brief summary of the proposed project and includes:

a.) Identification of problem/issue b.) Brief rationale and project’s alignment with the Jesuit mission of social justice; c.) Overview of proposed approach d.) Expected outcomes

2. Introduction (1 page) a.) Introduce topic area and provide a clear and detailed description of the problem/issue

that the student is planning to address in the project b.) Define project-specific terms that will be used throughout the proposal

3. Literature Review Students may use articles from peer-reviewed journals, case studies, empirical research findings, and/or books as possible sources for their literature reviews, which should include:

a. A comprehensive summary of the scholarship on the topic area and identification of gaps in scientific field (e.g., research or clinical work); b. A clear and explicit rationale that establishes the importance of the issue/questions identified and justifies the current project

4. Significance/Proposed Impact a. Address the anticipated/proposed impact on the participants/constituency/community of interest in this section (i.e., what is the clinical relevance of your project and how will it address the problem and/or the constituency identified? What are possible outcomes of implementing this project?) b. Clearly state how this project’s goals and expected outcomes are connected to the Jesuit mission and values (e.g., social justice, service, commitment to diversity and underserved communities)

5. Method This section will outline the proposed plan for carrying out the project and should include a description of:

a.) Setting (e.g., community clinic, hospital, schools, neighborhood). Attach letters of support or memorandum of understanding documentation. b.) Targeted project population, including inclusion/exclusion criteria (e.g., age, gender,

ethnicity, diagnosis) c.) Procedures of recruitment: Methodology (e.g, convenience, purposive), proposed sample size, incentives d.) Outcome metrics: Measurement tools used to assess and evaluate the specific aims of project, data collection plan (e.g., face-to-face interview, computerized) e.) Human subjects (if applicable): A statement regarding the status of Institutional Review Board (IRB) approval for the project (attach formal approval letter or documentation under review as an Note that not Note that not that not all candidates w Appendix). Students should indicate whether the setting where the participants will be engaged/recruited requires separate IRB approval and whether student has undertaken this process if necessary. f.) Feasibility considerations

6. Evaluation/Analytic Plan Describe the proposed plan to analyze and report the expected outcomes, including the following:

a.) Anticipated analysis ● Conceptual Model/Plan ● Statistical (e.g., qualitative or quantitative, descriptive, inferential, etc.) plan

and software programs necessary to complete analysis; b.) Dissemination plan to report findings to the constituency/community of interest

7. References Please follow publication guidelines of the latest edition of the APA Publication Manual and include all sources cited in the proposal. 8. Appendices ● Proposed timeline: Detail the steps involved in implementing the project from start to

finish, along with an anticipated timeline. This timeline may be adjusted later as necessary.

● Proposed budget: Itemize anticipated expenses/resources required for the project, and a description of how student plans to procure funds.

● IRB Approval Forms/documentation ● Measures: Provide all measures (quantitative, e.g., demographic questionnaire, and

qualitative, e.g., interview guides) that will be implemented to collect data from participants.

C. Procedures: 1. Institutional Review Board (IRB) Approval (if required) Students whose work will involve collecting data from human research participants are required to gain IRB approval before they can initiate data collection. IRB compliance is obtained only when the appropriate form(s) have been completed, signed, submitted, and approved.

Once written IRB approval has been obtained, data collection must be completed within the time frame specific in the approval notice or a renewal application must be submitted to the IRB to continue with the study beyond the approved time period. For information about obtaining IRB approval for dissertations, students should visit the website of the USF Institutional Review Board for the Protection of Human Subjects (IRBPHS) at https://www.axiommentor.com/pages/ home.cfm or contact the IRB office at [email protected] or at extension x6091. The office is located in the Education Building, Room 007, in the Department of Counseling Psychology. 2. Proposal Meeting and Approval Process a. The Chair reviews preliminary drafts of the Proposal. The Chair can consult with committee members as necessary before approving a draft to be sent to committee. Once the Proposal is deemed ready by the Chair, the candidate provides a copy of the final Proposal to committee members and submits the following to the Program Assistant at least three weeks (four weeks in the summer) before the Proposal Meeting:

1. Once the proposal is deemed ready by the Chair, the Candidate contacts the PsyD Program Assistant to schedule a room at least 3 weeks before the proposal meeting. 2. IRB approval letter or brief explanation of when IRB approval is anticipated if not yet secured (or indication that IRB approval is not required); 3. Documentation of passing the Doctoral Comprehensive Qualifying Examination.

Once the Program Assistant has received the above documentation, Candidates will be notified by email that they have permission to proceed with the proposal meeting. After the Initial Proposal Meeting, the Candidate should file Form 3: Proposal Evaluation with the PsyD Program Assistant. a. If proposal modifications are required, the Candidate should then modify the proposal, addressing in writing each recommendation and mandatory change point-by-point, and should submit the revised proposal to his or her committee for review. Once the committee approves the modified proposal, the Candidate should submit Form 4: Revised Proposal Evaluation to the PsyD Program Assistant, who will forward these documents to the PsyD Program Director for signature. b. The official acceptance of the Proposal occurs after the Candidate submits the Proposal, including any potential modifications from the Proposal Meeting(s), and when the PsyD Program Director signs Form 3: Clinical Dissertation Proposal Evaluation or Form 4: Clinical Dissertation Revised Proposal Evaluation. Candidates may not begin collecting data until IRB approval, if required, is obtained.

D. Future of Candidate's Commitments: Upon filing the completed Proposal and accompanying documentation with the PsyD Program Assistant, the Proposal is officially accepted. Accordingly, the Candidate agrees to carry out the PsyD Clinical Dissertation as described in the Proposal. Approval of the Proposal does not guarantee the acceptability of the finished Clinical Dissertation. That decision is based on the judgment that the finished product, the presentation, and the oral defense (conducted at a required meeting) are of quality commensurate with doctoral level work. E. Changes: After the Proposal has been approved and filed with the PsyD Program Director, any subsequent changes in the plan or document must be approved by all Committee Members. Minor changes (e.g., expanding the age range of the participants) should be summarized in an Addendum to the Proposal signed by the candidate and all Committee members, and a copy given to the PsyD Program Director. Substantial changes, for example a change in the topic, require that new Proposal forms (Form 3) be signed and submitted to the PsyD Program Director for approval.

VI. PSYD CLINICAL DISSERTATION MANUSCRIPT A. A Note to the Candidate: A Clinical Dissertation is the outcome of a substantial effort. Its content and style will reflect on you, faculty and committee members who have guided your work, and on the University of San Francisco. By adhering to the standards set forth in the following pages, you will be presenting your work in a professional manner, to the credit of all who have contributed to it. B. Overview of Format: The Candidate must write a PsyD Clinical Dissertation that meets the approval of the Committee and is consistent in format with University guidelines. The organization of the document should be based on a format that maximizes its coherence, logic, meaningfulness, and readability. The following is a template of how to organize the required sections of the Clinical Dissertation manuscript:

o List of Tables and Figures with titles and page numbers ● Dedication and Acknowledgments (Optional) ● Manuscript

o Abstract o Introduction o Methods o Results o Discussion o References

● Appendices

Note: A running head is required on all pages except for Title and Signature Pages. The entire document must adhere to current APA style guidelines. C. Dedication and Acknowledgments (Optional): Many people choose to include a dedication and acknowledgement page. A dedication is a message from the author prefixed to a work in tribute to a person, group, or cause. Acknowledgements are the author's statement of gratitude to and recognition of the people and institutions that helped the author's research and writing. These can include acknowledging people who assisted in your career development, research and preparation, and/or funding. This section does not include a page number nor is it listed in the Table of Contents. D. Manuscript Sections (must follow most recent version of APA Manual): Abstract (350 Word Maximum) An abstract is a concise, comprehensive summary of the contents of your manuscript. Introduction (Maximum 70 pages) The Candidate should organize the introduction in a way that most logically presents the material. However, many Candidates sequence topics in the PsyD Clinical Dissertation manuscript introduction in the following general order:

1. Statement of the Problem 2. Literature Review 3. Purpose and Rationale of the Study/Project 4. Research Questions and/or Conceptual Hypotheses 5. Clinical and Theoretical Relevance 6. Definition of Terms

Method (Maximum 20 pages) This section describes how the project was conducted. The order of this section should be as follows:

1. Research Design/Type of Study 2. Participants, including IRB- Statement of Approval (if applicable) 3. Procedures 4. Measures and/or instrumentation and/or apparatus. Psychological instruments must

include data on reliability and validity. 5. Data Analysis Plan

Results (Maximum 25 pages) This section includes presentation and analysis of the data. Include all data sufficient to answer your hypothesis (include data that is for and against your hypothesis) and to justify your conclusions. Report all tests with appropriate statistical presentation per the APA style guide,

using tables to present data as necessary.

Discussion (Maximum 25 pages) This section includes evaluating, interpreting and offering implications of your results. The Candidate should discuss the findings relative to the research questions and/or hypothesis, rather than theme by theme or hypothesis by hypothesis. This chapter must also integrate the findings of the study with previous research and theory. A limitations subsection should discuss all relevant issues that may have adversely impacted the results of the project. A section on suggestions for future research should also be included; the results and findings should assist in development of future research ideas. Appendices Tables & Figures References E. Additional Notes for Preparation of the Final Manuscript:

● The IRB approval letter should not be included in the document. ● Copyrighted instruments should not be included in the final document, without written

copyright permission. ● The type font should be simple, reproduce clearly and be easy to read (e.g., Times New

Roman, Ariel, Courier). ● The font size should be 12 point. ● All margins should be set at 1.00 inch. ● The entire manuscript should be double-spaced. ● Figures and tables should be integrated into the text on the page immediately following

their first mention. Please follow the most current edition of the APA Publication Manual for standardized headings.

VII. Doctoral Clinical Dissertation Defense

A. Purpose and Rationale: The Doctoral Clinical Dissertation Defense ensures that candidates meet the objectives, goals, and requirements set forth in the PsyD Clinical Dissertation Guidelines. The Committee evaluates the Candidate's scholarship as evidenced by the written and oral presentation of the Clinical Dissertation as well as by the Candidate’s ability to address questions posed by the Committee.

B. Procedures:

● The Chair reviews preliminary drafts of the manuscript.

● Once the manuscript is deemed ready by the Chair, the Candidate contacts the PsyD Program Assistant to schedule a room at least 3 weeks before the proposed date of the defense.

● The Candidate will electronically distribute the Clinical Dissertation to all Committee members and will email the PsyD Program Assistant to schedule a room (a minimum of 3 weeks in advance of defense date). If a committee member requires a hard copy of the manuscript, they will inform the candidate and the Candidate will print and deliver the hardcopy to the committee member.

● The student is responsible for setting the date with committee. The Defense should be

scheduled for a period of two hours and on a date all Committee members can attend. ● Candidates submit Form 5: Notice of PsyD Doctoral Defense to the Program Assistant,

who will then post a notice on the PsyD Canvas Portal in advance of the defense date. All members of the academic community and invited guests may attend the oral defense.

C. Doctoral Defense. The defense will begin with a meeting among just the Committee Members, followed by the Candidate’s oral presentation and discussion, which will include all visitors. The committee members will then meet without others, to make a decision on the outcome of the defense.

Outcomes: Separate grades are given for the Oral Defense and for the Manuscript. Three grades are possible for each and are indicated on Form 6: Clinical Dissertation Defense Evaluation. Pass—Those situations in which the PsyD Clinical Dissertation document and oral defense are satisfactory and require no substantive modifications or additions. Only the Chair need supervise and sign off on any required editorial changes on the document.

Conditional Pass—Those situations in which the PsyD Clinical Dissertation document/oral defense are remediable but substantive changes are required, such as a failure to demonstrate sufficient clinical scholarship, understanding, or expertise either orally or in the document; a poorly written but substantively acceptable PsyD Clinical Dissertation manuscript; a failure to meet a minor Proposal Requirement; and/or a need to demonstrate suitable presentation or defense skills. Depending on the type of deficiency, an additional full or partial Doctoral Defense may be required. If the Candidate fails to meet the conditions of the Pass evaluation at the second Doctoral Defense, a Failure may be warranted. All Committee Members are expected to supervise these modifications and indicate their final approval by initialing Form 7 Clinical Dissertation Conditional Pass Form. Committee members may choose to initial Form 7 after the Doctoral Defense and designate the Chair to supervise the modifications. The Chair will initial Form 7, once the candidate has successfully made the modifications.

Failure-- Those situations in which the Clinical Dissertation manuscript has significant and non-remediable deficiencies, or in which the student failed to provide convincing evidence of clinical scholarship and competence during the PsyD Clinical Dissertation process and at the Doctoral Clinical Dissertation Defense. The Committee should document all problem areas (See Appendix B, Form 8 Clinical Dissertation Failure Documentation). All committee members must be in agreement about the outcome of the Doctoral Defense. If a consensus cannot be reached, the Program Director may assign an additional reviewer of the document and an additional meeting may be held.

D. Dissemination Requirement. All students are required to submit their dissertations to ProQuest for publication or listing in Dissertation Abstracts International (DAI).
