1) Opening brief by the Principal & Secretary.

Principal welcomed all the members present for the 28th

Governing Body Meeting and

presented the Agenda of the meeting.

2) To read and confirm minutes of 27th

Governing Body Meeting held on Saturday,

14th

September 2013.

Minutes of the last meeting were read and confirmed.

3) Report of Polytechnic activities between September 2013 to March 2014.

Report of major activities held since the last meeting was presented. This included the

Annual Social activities, Career Fair, participation of Students and Staff in Inter-

Polytechnic activities, Industrial visits, Guest lectures, etc.

4) Approval of Budget for Purchase of Equipments and Books / Furniture by

Departments / Office / Library for the Academic year 2014-2015.

The departments were provided the Budgets earmarked for Recurring / Non-Recurring /

Maintenance for the year 2014-15. In view of G-Scheme implementation stage for Final

year, it is decided to include new equipments to be purchased for V/VI semester

practicals. List of equipments to be purchased in two phases i.e. June / November for

enabling the usage of equipments in ODD and EVEN semesters.

5) Proposed Budget 2014-2015.

Tentative Annual Budget for the year 2014-15 was presented which indicated deficit of

Rs.9.82 lacs. Surplus couldn’t be achieved due to anticipated less number of students.

Governing Body members raised concern over non-receipt of fees-reimbursement by

the Social Welfare Department to the tune of Rs.204 lacs. Principal expressed hope that

we shall be in a position to get the reimbursement at the earliest upon regular follow up.

6) Report on 15th

One day National Conference on “Process Safety Management”

held on 4th

January 2014.

The National Conference saw good participation with over 150 registered delegates.

The speakers were mostly from Industries sharing their experiences. The proceedings of

the conference were published through Excellent Publishing House with ISBN:978-93-

83083-44-2.

7) All India Council of Technical Education – Extension of Approval (AICTE–EOA)

Proposal submission status.

Polytechnic completed the EOA submission on 14/02/2014. The only deficiency till last

year was about Library books. It is overcome this year as we received over 3300 Books

as donations from IIT Bombay Library.

8) Maharashtra State Board of Technical Education – External Academic

Monitoring (MSBTE-EAMC) status.

The online MSBTE-External Academic Monitoring details were updated on 10th Feb

2014. As the Institute received ‘Excellent’ remark for all the Programmes during last

Two years, this year Institute was exempted from the visit of EAM Committee.

9) Publication of Conference and Journal Papers by Staff for the year 2013-14.

List of Journal and Conference Papers published by Polytechnic Staff was included.

Governing Body Members appreciated the quality publications and expected more

contribution from other Staff members.

10) List of Prizes won by Students at Inter-Polytechnic Competitions.

The Prizes, Certificates and Trophies won by students in Paper Presentation, Quiz and

Project Competitions were kept on display. Governing Body members appreciated and

placed on record special achievement of Dr. Usha Raghavan for the ISTE National

Award.

11) Proposed Developmental activities.

The developmental activities proposed were approved for implementation in a phased

manner subject to availability of funds at the Polytechnic. The list of developmental

activities are:

Extension of Library Reading Room on the First floor by adding about 200 sq meter

area including Computer Dept. Office (20 sq meter) and Tutorial Room for MU

Dept. (33 sq. meter).

Renovation of IT-6 Lab between Building 3-4.

Workshop – Replacement of Roof Sheets.

Conversion of Workshop Area into Class Rooms and Labs to meet requirements of

AICTE Norms.

Painting of the entire Building.

12) Recruitment of Teaching Staff 2014-15.

The details of Staff recruitment for the year 2014-15 were placed before the Governing

Body. The Polytechnic to ensure that proper selection process to be followed to choose

deserving candidates only for the posts. Shri. S. V. Karandikar to help in scrutiny of

Applications. The candidates will be selected on the basis of their performance in the

written test and personal interview on 16th

and 17th

April 2014 respectively.

13) Shikshan Shulka Samiti Fees Approval Details for the year 2013-14.

Principal provided the details of Appeal made to Shikshan Shulka Samiti for

considering the disallowed expenses. The appeal is yet to come up for hearing. In case

of acceptance of the appeal the difference to be collected along with the next year

admission fees.

14) Any other Business.

Chairman explained the members about the student’s admission status at VPM’s

Maharshi Parshuram College of Engineering (MPCOE), Velneshwar. He requested for

the support through deposits and student enrollment to the Institute to progress towards

viability.

May 2014.

Interviews for the Post of Lecturers in Various Departments of Polytechnic for the

Academic Year 2014-2015 were arranged on 30th

Our Polytechnic was identified as Regional Assessment Center (RAC-0007) for MSBTE

Summer-2014 Examinations. Total 14550 Answer papers were assessed.

Proposal for Shikshan Shulka Samiti (SSS) for the year 2014-2015 was submitted to SSS

on 27th

June 2014.

Our Polytechnic is identified as Application Receiving Center (ARC) for admission to

Post SSC Diploma Programmes. Our ARC processed admission applications for First and

Second year diploma programmes as under :-

Report on Faculty Recruitment Process as per AICTE norms and MSBTE approval

Polytechnic initiated the process of staff recruitment by obtaining approval for Advertisement

from MSBTE on date 20th

Feb 2014 vide Letter no

MSBTE/K/50(33)Advertisement/2014/1250. The Advertisement appeared in Loksatta,

Lokmat and Indian Express on date 12/03/2014 newspapers date. We received

communication from Thane Regional office of Directorate Employment and Self

Employment on 10/06/2014 to consider candidates from their database. The matter was

brought to the notice of Management for considering candidates from this department is not

mandatory for Class-I category posts as per GR. As Institute was receiving repeated

reminders for compliance from the department, it was decided to put on hold interview

process till the matter is clarified. It was also decided to appoint essential faculty on adhoc-

basis for the year 2014-15. The advice of the Governing Body is sought on this connection

for next academic year’s recruitment process which we need to initiate in the month of

January-2015.

The AICTE again issued a notification for updating the data related to staff, student and

Infrastructure during August – September 2014. The data uploading work completed on 10th

September 2014.

Academic Monitoring Report for the year 2013-2014

Maharashtra State Board of Technical Education continued the “Excellent” status of

academic Monitoring received during the year 2012-2013.

The permission to admit students to CP programme which was withdrawn due to zero

admission for two years for the academic year 2013-2014.

Based on our application the affiliation is restored for the year 2014-2015.

Strategies

Suggestions were invited from Admission Incharges and HOD’s in view of less enrolment

and to address the situation. A time bound programme is decided to create awareness in

schools for students of Xth

std. October 2014 onwards each department HOD’s will visit and

make presentation in schools in and around Thane. Every department will complete atleast

15 schools as per the strategy.

Detailed presentation to be prepared by Mrs. V. A. Joshi / Mr. T. V. MohitePatil with inputs

from other departments.

Active counseling cell will be established in the Polytechnic to guide aspiring

Parents/Students seeking admission to their works at our institute.

An exhibition of achievements and projects to be done during the counseling along with

the posters describing various courses and prospects of respective courses.

MSBTE sponsored career fair to be organized during December 2014/ January 2015

(Venue :- Bedekar School Premises)

5. Activities for Conference Funding

Proposals for conference funding are submitted to DIT, MSBTE, , DST, and BRNS

DIT has rejected as we are not fulfilling the eligibility criteria (Govt. Organization).

We are doing follow up.

BRNS has suggested few modifications.

There is a possibility of getting MSBTE funding ( Expected Rs. 30,000/-)

Item 15 Transfer of GC Unit from VPM’s Advanced Study Centre to Polytechnic

Transfer of Gas Chromatograph unit “Thermo- Scientific Cemito GC-8610” from VPM’s

Advanced Study Centre.

The unit for Gas Chromatography needed for our Instrumentation Department as per revised

curriculum which is implemented for Final year during academic year 2014-2015. The unit

was transferred in June in the Polytechnic, the installation is completed by Thermo-Scientific

Company team with training to the teachers and support staff of the Instrumentation

/Chemical Engineering Department.

Polytechnic acknowledges the cooperation extended by Dr.(Mrs.) M.K. Pejaver Head of

Advanced study centre and Vidya Prasarak Mandal, Thane for enabling this resource addition

to Polytechnic.
