Trial Balance Excel AddIn

This module is used to get Trial Balance data out of Jobscope into a spreadsheet. You define where you

want to get the data for each row of the spreadsheet and the system will update the spreadsheet for

you.

Configuring the Import

Start by opening the Excel file to which you want to download. The one shown has already been set up

for downloading. Click on the Jobscope tab.

Now you will see this. Notice how the upper left has changed. Click on Configure Import.

This screen will display. Enter the database information and your Jobscope user and password. You can

get the database information from your system supervisor.

The next step is to select the sheet to work with. This is BS-US. In the Configure Import screen, scroll

down until you see the row for BS-US. The value we want is in the E column. That value is also the year

to date value.

In the Configure Import screen, enter an E in the YTD column for BS-US to indicate that the YTD value

goes in the E column.

The Jobscope user must have the Trial Balance report permission in order to import that data.

These first six columns are actual data that will be coming from Jobscope. You might need the Budget

YTD, or the Current Period balance, or one of the others, depending upon what values you need in the

spreadsheet.

The next value we need to do is the Company Codes Field. Back on the spreadsheet, the Company

Codes field is in cell J7. We also need the Period field, which is in K1.

So J7 goes in the Company Codes Field, and K1 goes in the Current Period field.

Next, you need to define the accounts. The accounts are in a comma-delimited format in the J column.

We also need to know the Process Row Cell. This is a code that tells the system to process the row. The

code that will tell the system to process the row is 00, and that is in the I column.

Back in the Configure Import screen, those values go in their place.

Performing the Import

Now you have the configuration ready. You can use the options below and beside Configure Import to

either Import a selected row, or this whole worksheet, or all worksheets.

Copying Configurations

You can copy a configuration row by highlighting the row and clicking on <Ctrl> C, then highlighting the

row to which you want to copy and clicking on <Ctrl> V.
