What is a Transformation Project?

Transformation is defined as ‘a change or alteration, esp a radical’ by the Collins English Dictionary – Complete
and Unabridged – Harper Collins 2003.
However it is a misused used word in business and IT these days. In our opinion, ‘Transformation’ should be
used only in relation to a change to a business process or IT system that is radical e.g. a business or IT process
is outsourced or the system and operational processes impacted are radically changed. Upgrades or
enhancements to systems or even systems replacements that do not involve a large element of are not
Transformational Changes.
In the next 4 slides we provide a simple visual definition of change transformation. As you can see both the
system and the business/ operational processes are impacted and must be treated as separate work streams
that combine to deliver the desired outcome.

1. Document the system inputs, outputs and processes,
2. Document the Business Processes that drive the system,
3. Define the new systems inputs, outputs and processes,
4. Modify the Business processes needed to drive the system,
5. Apply the changes to the new system,
6. Imbed the new business processes in to Operations.
7. Monitor and track progress.

Typical problems that we have seen arise during a Finance Transformation:
1. Current business processes are not documented in enough detail – if you don’t understand how it
works today how can you change it?
2. The current system / business rules are not understood in enough detail – if you don’t understand how
it works today how can you change it?
3. The new system processes are not mapped to the Target Operating model – if the new system isn’t
integrated with the Target operating Problems – you will not get a successful implementation.
4. The new business processes are not imbedded in to the operations/ business teams
5. Success isn’t measured - if the operations team/ business teams keep going back to their old ways of
working you will not get a successful implementation.
