ASSIGNING BOOTHSLocation of booth space shall be on a first come, first served basis. Every effort will be made to give each exhibitor the booth of his/her choice, but preference cannot be guaranteed. Final assignment is made by Mid-America Tire Dealers Association (MATDA). No exhibit may be moved except by mutual consent of the parties.

SET UP/DISMANTLESet up - 6:00 - 8:00 p.m. Friday, January 10, 2020. Dismantle - 5:30 p.m., Saturday, January 11, 2020. All exhibits must be installed and fully operational by 8:30 a.m. on Saturday, January 11, 2020, and shall be operational through the closing hour of the exposition schedule.

STORAGE/HANDLINGAll crates, boxes and packing materials shall be removed from the exhibit hall. If you need to ship materials prior to exhibition, call (785) 286.1110 to make arrangements for storage.

CANCELLATION AND REFUND POLICYIf the exhibitor notifies MATDA of booth cancellation prior to January 1, all fees paid by the exhibitor will be refunded. No refund of any fees will be made if such notice is received after January 1. If the exhibitor fails to occupy the space stated herein, MATDA is under no obligation to refund any fees paid hereunder and has the right to use such unoccupied space as it may determine.

CHARACTER OF EXHIBITSMATDA reserves the right to decline or prohibit any exhibit, exhibitor or proposed exhibit which, in its opinion, is not suitable to or in keeping with the character of the exposition.

VEHICLE DISPLAYContact the MATDA office for details. Minimum booth rental fee is required for indoor/outdoor vehicle display. Display vehicles must have minimum fuel, batteries disconnected, gas caps taped or locked, and ignition keys removed.

ELECTRICAL NEEDSEach exhibitor will be provided a single 110-volt, 20 amp, single outlet at no extra charge. Additional electri-cal needs must be secured in advance by contacting the MATDA Office at (785) 286.1110. If you do not require any electricity, please so denote on the application.

EXPOSITION AGREEMENT

BOOTH EQUIPMENT/FURNISHINGSEach exhibitor will be furnished a draped table and two chairs. This is a table top display in an effort to ease labor and expenses on vendors. Please refer to the draft agenda for the event. If you would like to discuss the concept please call 785.286.1110.

EXHIBITORS’ PRIZE DRAWINGSPrize drawings are scheduled for Saturday, Jan-uary 11, 2020 during the event. Any exhibitor wishing to contribute a prize should contact the office at (785) 286.1110. Exposition attendees will pick up and deposit prize drawing slips at participating exhibitors’ booths, a procedure which will provide exhibitors with the names and addresses of most convention attendees. If desired, prizes can be drawn from the MATDA prize drawing box.

LIABILITYMATDA will not be responsible for damage from fire, theft, accident or other causes. Each exhibitor shall indemnify and hold harmless MATDA and the Sporting KC for loss or damage to exhibitor’s property. Exhibitors are advised to remove all small or easily portable articles to a place of safekeeping whenever there is no one of responsibility in the booth.

Each exhibitor shall assume responsibility for damages to the property and shall indemnify and hold harmless MATDA for all liability that might ensue from any causes whatsoever including accidents or injuries to exhibitors, their agents or employees. The exhibitor assumes responsibility for any accident, injury or property damage to any person viewing the exhibit due to the negligence of the exhibitor, his agents or employees. Exhibitors wishing to insure their goods may do so at their own expense.

HOURS OF EXPOSITIONTrade show exposition hours will be 8:00 p.m. - 10:00 p.m. Friday, January 10th and 8:00 a.m. to 5:30 p.m. on Saturday, January 11, 2020.

ELECTRICITY: If you require electricity, chairs or table for your booth, please check below. Electricity is required for our booth.Table is required for our booth.Chairs are required for our booth.

MATDA includes in the fee one free 110-volt 20 amp outlet for each booth rented; however, to utilize this service, you must return the enclosed Order Form directly to MATDA along with application. Additional electrical service requests must be received seven work-ing days prior to move-in.
