> Creative Planning
Great events don’t just happen. It can take weeks, months, or sometimes even years of planning to realise your creative vision. That’s why we believe that time spent with you - to understand then deliver your expectations - is time well spent.
Saville creative and technical teams relish the opportunity to work in partnership with our clients and together produce a first class event. As part of our effort to help you through an often bewildering array of ‘techno speak’ and creative concepts, we believe that seeing really is believing!
Fly-Round VideoUsing industry leading CAD software, we use rendered pictures and fly-round videos to visualise your event before it happens. If you’re spending thousands of pounds on creative graphics, projection, video or lighting, it’s reassuring to see how it’s all going to look well beforehand!
3D visuals enable you to have a more active input into the end production, being able to approve concepts or request different options or updates. This gives confidence that before you’re on site, you know what you’re paying for.
Accurate Computer ModellingCAD planning doesn’t just allow everyone involved to visualise the final show from the pictures and video fly-rounds. After carrying out detailed site surveys, our designers can then use actual measurements and photographs to build an accurate, computer-generated 3D model of a venue, complete with all its features and textures.
This allows us to ensure that everything will fit and work as planned; highlighting and suggesting fixes for any potential issues that might otherwise arise, from checking sight lines and screen sizes to knowing how many tables can fit into a given space.
From the inception of an event’s creative concept and subsequent revisions, through the technical planning and all the way to the actual production, the team at Saville are there to make sure you get the event you always wanted!
Planning a first class event!

Travel Counsellors Annual ConferenceA two-day conference with a ‘Fun Fair’ themed welcome evening and a ‘Secret Garden’ Awards Dinner the following night. With only five hours to change the room, we used projection mapping onto a 15m x 9m Cyclorama Cloth to create the backdrops, with LED wash lights for instant colour changes. A line array sound system met with the rider requirements for ‘Blue’ and Michael McIntyre, with relays to ensure entire room coverage.
We won the tender from a long established provider who had supplied the event for five consecutive years. The proposal came within the budget and offered creative ideas to enhance the event, including the provision of detailed visuals.
A plan was agreed to arrange dates to visit the venue, choose key Saville team members, identify areas for possible cost savings if required closer to
the time and also suggest opportunities to increase spend marginally for maximum impact.
Our design team liaised closely with the client’s in-house technical team to improve the visuals without adversely affecting the available timescale.
We also worked hard to maintain the professional look of the event, keeping within the clients corporate branding guidelines but also adding something new. Members of the Saville team undertook training in the software used by the client on the event to avoid having to work over multiple platforms thus ensuring maximum efficiency.
What the client said
We were impressed from the start… and the feedback from attendees has been excellent. We were amazed at how our vision of the “Secret Garden” theme came to life on the Gala Night and how the lighting and visuals created by Saville for the Fairground theme resulted in a real fun atmosphere in the room. We all felt at ease with the Saville team knowing that they had their side covered - allowing us to concentrate on everything else!Travel Counsellors

Yorkshire International Business Convention
What the client said
We have worked with Saville for a number of years… they have always provided an excellent service. They listen and understand the brief. They work to a budget, they are creative and produce wonderful stages and backdrops – most importantly they deliver on the day. Our event brings world-class speakers and Saville’s relaxed professionalism always puts them at ease – essential for a good show.Founder & Chairman, YIBC
Saville provided the staging and facilities for the 17th Yorkshire International Business Convention, held in Leeds and Bridlington. Over the past seventeen years, the event has brought together some of the world’s most inspirational and influential speakers, from Bill Clinton to Mikhail Gorbachev.
The sell-out 2012 event was run in a purpose-built marquee at Wellington Place, Leeds with a parallel presentation at The Spa Bridlington and a two-way helicopter taxi service for the key speakers.
The production included dynamic sponsor and presenter graphics with themed projected backdrops to tie in with each presentation, plus broadcast standard cameras, atmospheric lighting and a high end audio rig, making an impressive and memorable event.
TV presenter and host Clare Balding introduced Michael Portillo; former world record holder Steve Cram; Will Whitehorn - architect behind Sir Richard Branson’s Virgin Galactic commercial space programme plus retail guru turned government advisor, Mary Portas.
This year’s keynote speaker was His Holiness the Dalai Lama, who addressed the subject of ethics in business. Additional speakers in Bridlington included Kevin Keegan and Rory Bremner.
Saville Technical Project Manager Richard Zamberlan had the honour and responsibility of ‘miking up’ the speakers before each presentation. “They were all experienced professional speakers and quite used to having a radio mic and belt pack fitted, however a little more care and respect was needed with some speakers than with others!” commented Richard.

Award winning conference venue Warwick Conferences staged their biggest ever event at The University of Warwick, seating 1800 delegates for a Teach First conference in the round - in a tennis hall.
What the client said
This event saw the biggest gathering of the Teach First community to date. It was extremely ambitious both in terms of the number of people we wanted to bring together and the technology we needed to create the interactive event we envisioned. We are delighted to be able to achieve it and would like to thank Warwick Conferences and Saville for making this possible.Teach First
To ensure that the audience were all seated within a reasonable reading distance from the screens, Saville supplied a central box of four 16’ x 9’ front projection screens above a 6m circular stage. Four Barco W8 HD projectors along with LED lighting and PA speakers were fixed to a 100ft wide box truss frame suspended from the ceiling - so no ‘line of sight’ problems!
Four Sony HD cameras were deployed to cover the 360° stage and were mixed via a Grass Valley Indigo and then fed to the projectors all via SDI. Two Sanyo XP200s projected a Twitter feed onto two 12’ x 9’
screens on either side of the room so that delegates could tweet comments. The lighting included a stage wash provided by 8 Robe Robins LED fixtures on the outer truss with generics inside the screen box to light the presenters from all sides. Audio was mixed via Yamaha LS9 that provided all the matrix outputs, EQ and delay needed all within a small footprint which was invaluable with the control position being located on a very small balcony!
Saville’s Greg Deakin said: “The biggest challenge was that it was in the round, which made everything four times more difficult, but everything worked very well.”

Debenhams Staff Fragrance Conference
What the client said
I just wanted to thank you SOOOOO much for absolutely everything that you did last week – please do pass my big thanks onto all of your team, they were absolutely exceptional as always!!!!!!! I love working with you guys – you make our life so easy and it’s always such great fun!! THANK YOUAvenue Events (South) Ltd, www.avenueevents.co.uk
For the 6th consecutive year the Saville team were contracted by Avenue Events to provide AV support for leading department store Debenhams Staff Fragrance Conference.
300 cosmetics staff and department managers from stores around the UK travelled to Hinckley Island Hotel in Leicester for training by key suppliers on new fragrance products ready for the Christmas trading period. This year’s theme was based around an airport so from the minute delegates arrived at the hotel they were transported into an airport ready to travel with DEBENair lines. After the check-in desk, security and bag drop, delegates entered the duty free lounge where a range of suppliers greeted them with new fragrances and beauty products before heading to the main plenary in the terminal where
the room was transformed to look like the inside of an aircraft with the custom built stage designed as the pilots cockpit.
Saville provided the AV for 10 different suppliers including Givenchy, Elizabeth Arden, Clarins and Team Beauty that have the brands Moschino, Ghost, Versace, Agent Provocateur and Burberry. Conference and Events manager Sara McKenzie explained: “ This is always a tough event for the team with long days filled with walking from one side of the “airport” to the other but the fun aspect of the event makes it all worthwhile. With the airline theme the technicians were the first to offer to dress up for the part and often fighting over who was going to be the first officer. But the main question on leaving Hinckley was - what theme can we do for next year!”

It was certainly a case of everyone helps when the Saville team headed up by Account Director Adam Pike were called on by market leading retail giant Tesco to provide all the AV and technology support for 7 events across 5 days and in 6 different venues!
This demanding week kicked off with a prestigious finance event in the city where the main projection featured one of two blended screen systems that would be utilised over the week. This was quickly followed with a commercial and marketing conference on the waterfront where our bespoke Saville IDEA platform was used to collate opinions and discussion points throughout the day. IDEA appeared again in the next event for the senior team at Canary Wharf where core ideas going forward were captured live and collated for the concluding presentation from the CEO.
Right in the middle of all this was the Group company conference held at London Excel where 3000 delegates were able to hear keynote speeches from their senior business leaders and of course
CEO Philip Clarke and other members of the Executive Committee. The main plenary room housed a massive 36M x 8M curved screen which was edge blended using 6 Christie 35K projectors. These were fed via fibre optic channels from a Barco Encore vision mixing system. Content came from media servers allowing for 1 to 1 pixel mapping providing incredible crystal clear images.
The impressive lighting rig was designed around the latest power saving LED technology and consisted of mostly Robe Robin 600 and 1200 fixtures plus a number of the all new Robe 100’s for the dramatic X-factor style sweeping beam effects. High definition audio was provided by a d&b line array system and live video relay to the screen was supplied from 4 full HD cameras around the room all sub-mixed via a TriCaster 850 vision mixer.
The highlight of the plenary was setting the official new world record for the number of people in one room standing on one leg!

What the client said
Saville first worked on a small, internal job for Tesco about 4 years ago. From the beginning they impressed me with their professionalism. Since then “Adam & the Saville’s event team” have become the go-to people for departments across the company – from large events like our company conference to small events that just require a projector and screen.Tesco

The Capital Hall was the venue for refreshments amongst an exhibition of new technologies from within the business.
The room followed an innovative environmental design featuring 6 exhibition areas displaying new technologies including touchscreens, 3D and augmented reality simulations, and to top it all off a bus!
The technical spec mirrored the main auditorium with over 70 Robe 600/1200’s providing the scenic lighting with Robe 100’s coupled with a hint of haze to produce some dazzling effects throughout the event. Sound was covered by discrete systems for the two centre stages and once again a d&b system for the main stage, which was designed to also cope with the demands from the surprise appearance of a variety of top music acts from the 80’s during the celebration dinner in the evening.
Around the room we installed 3M x 8M wide 16:9 format screens covered by 6 Christie 18K projectors mixed via another Barco Encore system connected via fibre optic. Surprise videos were shown on these throughout the day and then they were used for live camera relay from the stage whilst the bands performed.
At last the end of the week is in sight and we rounded everything off with an event for the senior directors consisting of multiple breakout sessions in which Saville IDEA again featured heavily. Each room featured a different IDEA module for capturing feedback and comments and this was complemented with Saville Evalu8 voting systems and for the technophobes good old whiteboards and pens!

Anglian Home Improvements Awards The Anglian Home Improvements National Awards Ceremony 2012 was staged in the main 1000-seater auditorium at the Kingsgate Conference Centre in Peterborough. The Saville team worked in partnership with creative digital marketing and event/communications agency Stream to interpret the client’s creative brief and deliver a fresh new event in a familiar event space.
The ceremony was Olympics-themed, incorporating a parade of regions, an opening aerial gymnastic display, torch procession and lighting of the cauldron. The set incorporated a catwalk running track approach for the winners and a winners’ podium.
The main projection comprised of a 16m x 5m screen using two blended 12k Barco HD projectors.
The graphics control was managed via a Screen Pro system with a TriCaster 850 for VT playback and vision mixing the six camera shoot. Saville also produced the animated backgrounds and support VT stings for the incentive awards destinations.

Liverpool Mutual Homes Set in the Isla Gladstone Conservatory in Liverpool’s Stanley Park, the Liverpool Mutual Homes Focus Awards were designed to recognise staff achievements and themed as ‘Going for Gold’.
We supplied a PA system for the speeches, playback of pre-cut music stings and sound reproduction for a contemporary choir, using Sennheiser’s 2000 G3 range. The staging included twin chrome truss lecterns, a bespoke gauze back-drop with two 61” screens plus five LCD screens for displaying rolling montages and live camera feeds.
The set was constructed from gold painted lightweight steel and covered with sharks tooth gauze to maximise the lighting effects, whilst allowing the intricate features of the venue to
complement the setting. Lighting included generic, moving head and LED fixtures plus ROBE AT1200 lights for gobo and awards stings.
Previous experience of the ‘Palm House’ style venue led the team to use large flat screens, knowing that projection would not cope before dark. Powerful lighting was needed to have any impact prior to dusk and the client also agreed to hold the presentations back until sunset to get the best possible setting for the Awards.

A big lift for the EFIA Print Awards Ruby Anniversary The Saville team provided a spectacular climax for the 2012 EFIA Print Awards, marking the Ruby Anniversary of EFIA, the UK trade association for the flexographic print industry. The black tie event in the Premier Suite of De Vere Whites hotel at the Reebok Stadium drew over 750 people, with former England rugby star Martin Bayfield handing out the awards.
The event preparations included two days of location filming to create the opening video sequence, plus sixty Award slides and pre-recorded voice overs. To mark their milestone event, the EFIA’s event brief requested a dramatic ‘reveal’ effect for the main award of the evening.
The Saville team duly rose to the challenge by creating a 10m x 3m backdrop screen on the main stage, which was physically raised to unveil the main
award and also reveal the live on-stage band – accompanied by powerful lighting effects and pyrotechnics.
Saville Project Manager Steve Farnsworth said: “This was a challenge and a first for us. The truss frame screen was lifted using two Loadstar motors with inertia safety locks, synchronised to a pre-edited audio sting. It took 33 seconds to raise the screen to four metres above the stage, with the projected graphics locked in place, as the live musicians took over from the music track”.
A Christie Roadster 18,000 lumen projector was used to project the backdrop on to the screen on stage and controlled into its final elevated position using the Saville projection mapping system.

The British events industry can look ahead with one of the strongest messages to come out of the London Olympics 2012 – when it comes to events we have a world-class product ready for global export. This has been reflected in our own experience of exponential growth for the Saville Audio Visual international events portfolio. So why do our clients continue to engage us to support them on their events overseas? Here is some of the feedback we receive…
Saville technicians don’t just install and operate the technology on site, but actively engage with the presenters and project team. Crew continuity leads to a superior understanding of clients’ objectives and differentiates the Saville service from locally sourced equipment and in-house suppliers.
On-site Saville crews consult directly with project teams to ensure that conference spaces are set up specifically to client instructions. As part of the on-site team they can brief presenters, answer questions, calm nerves and make any last minute presentation amends. Once the conference commences, they are the eyes and ears within the conference room, supplying updates on timings,
addressing delegates’ concerns and responding to any specific requirements from the presentation team.
In summary, partnering with a Saville international team inspires confidence in presenters, reduces stress levels for the project team and mitigates risk of technical failure. It eliminates potential cultural and language barriers and most importantly gives delegates the best possible event environment ensuring maximum information retention and significant ROI gains.
In the past year Saville crews have delivered world-class events in these cities…

Saville Audio Visual have been specialising in supporting the international pharmaceutical events industry for over 12 years. Our unique and intuitive approach from our teams whilst working on site has been making a big difference to the quality of meetings especially where the event planners and presenters traditionally have sourced the AV equipment and operators locally via the venue.
The feedback on our level of service and quality of equipment has been extremely positive right from the start and this has encouraged us to focus our development on this business sector. A decade or so on and we now have experienced teams of technicians and project managers who have worked in all corners of the globe. Our philosophy of working in close contact with our clients has allowed us to invest in and develop specific services addressing the continually changing requirements in the pharma events sector.
Supplying a complete portfolio of additional value-added solutions now complements our initial foundations of providing strong service and AV equipment support. These include webcasting using one of the most successful systems in the world and the supply and development of interactive and collaborative tablet based technologies for increased delegate engagement in most of our meetings. All this in combination with specialist on-site eDC support, paperless conferencing and digital presentation capture for on-demand playback has meant that our services are increasingly in demand year on year.

Saville have long term relationships with many Associations and Charities, the longest is with the National Association of Head Teachers.NAHT 2012 at Harrogate International Centre saw an impressive custom built stage set centred around a 6.5M wide 16:9 aspect screen flanked by two 3M high banners. The design allowed the speakers and committee to enter the stage from the rear under the screen to give the event a theatrical effect befitting the surroundings. This was further enhanced with scenic lighting from an array of low energy high spec LED lighting fixtures.
6 Sony HD cameras’ were mixed alongside DVD, numerous PC’s and a voting system by a Grass Valley Indigo vision mixer and Barco Screen Pro II then routed via fibre optic cabling to the main Christie 18K projector at the front of house. The images were front projected onto the screen using multiple animated PIPs over a dramatic full screen background.
The custom – built top table contained a slide preview monitor and a countdown display for the chairman that was powered by bespoke Saville timer app software. The speakers and the top table panel were provided with 42” LCD “comfort” monitors so they could see the action on the screen.

> We don’t just do big stuff…
But every job we undertake deserves - and gets - our total commitment and every client receives the same quality of service, no matter how small or large their event.
Tata SteelThe Tata Steel Excellence Awards comprised two separate staff events, a ‘Town Hall’ theatre style presentation and an awards dinner, staged at The Baths Hall in Scunthorpe. For both events we supplied a typical compact conference system consisting of large screen and projector, two 61”
LCD repeater screens, a video camera and tripod. The equipment was set up and operated by two Saville technicians to compliment the audio system and staging supplied by the venue.
We supply AV support to Tata for a variety of small events throughout the year ranging from simple laptop hire to small LCD projectors and screens.
We consider this support vital to providing our clients with the ultimate in reliable, professional customer care.
What the client said

Everything we do is tailored to clients’ own needs, whether it’s setting up a projector for a small meeting, a charity event or rigging and operating a full blown conference for an audience of hundreds - or more.
