GENERAL BUILDING INFORMATION

IN CASE OF FIRE, AMBULANCE OR IMMEDIATE POLICE ASSISTANCE DIAL 911 All members of your Board of Directors reside in the building and are elected at the Annual General Meeting. Your board is a voluntary group of people who make decisions that have the best interests of our building and its residents in mind. Your board works in close liaison with Ayre & Oxford, our Management Company. Resident concerns can be communicated with any board member in written form either by letter or email. These concerns will be discussed by the board at the next board meeting and you will be informed by a board member as to follow up actions taken. Alternately they can also be communicated to Carrie Laliberte of Ayre & Oxford [email protected] or at the address listed above via mail. Board meetings are held approximately every five to six weeks throughout the year and are attended by your board along with Amanda Edwards or another representative from our Management Company. Property and Liability Insurance It is mandatory that all owners and tenants if renting have proper condo insurance. A copy of the insurance documents must be presented to the management company for their records. The Condominium Corporation carries Real Property All Risk Insurance, which provides coverage to the full replacement value of all real property in the condominium complex. This policy does not cover the individual unit owner in these important areas:

• Insurance coverage on your personal property or contents coverage

• Insurance coverage for personal liability

• Sewer back up

• Contingent insurance

• Insurance on Betterments, or improvements

• Loss assessment (coverage for the corporations deductible should it be assessed back to them)

• If the unit is rented to tenants, the owner should carry a condo package that also covers tenant liability;

the tenant must carry a tenant’s policy.

To protect these important areas you should purchase a Condominium Unit Owners Policy. This a package designed specifically for this unique type of ownership. Contact your insurance agent to ensure that your needs are adequately met. Provide your insurance agent with a copy of the Corporation bylaws and the current Corporation insurance certificate for reference. Building Security Tenants are the first form of security for the building. It is your responsibility to ensure the safety of your fellow residents through these simple steps:

• All tenants must ensure that all exterior doors are completely closed as they enter and exit the building. • Tenants should not allow access to the building to anyone via their intercom if they do not know them. • Tenants should make a point of getting to know their neighbours. This ensures safety and security in a small

building like ours.

Communication There is a bulletin board in the main entrance of our building by the mailboxes to be used as a communication tool within the building. Please date any notices you might put up. This bulletin board is not to be used for commercial advertising but may include information or notices for owner and tenant use. Please check it on a regular basis. All items placed on the bulletin board should have prior approval from either one of your board members or through Ayre & Oxford. Front entrance Residents are required to discard their own junk mail. Please do not discard unwanted mail on top of the front entrance mailboxes. Residents are responsible for their own newspapers and must pick up their newspaper in the front entrance on a daily basis, or arrange for their subscription to be cancelled if they are out of town. Keys There are two numbered abloy keys assigned per unit and these open all exterior doors of the building. Additional keys can only be ordered and purchased through Ayre & Oxford as they are a high security key and authorization is required prior to making copies. If one of these keys is lost or stolen, this must be reported immediately to the Management Company as this poses a security risk. Owners are responsible for the cost of replacement keys. Be very careful not to drop your keys down the elevator shaft as this requires the elevator company to attend the site to retrieve the keys. The average cost is approximately $300.00 for this service call, which will be at the owner’s expense. Abloy keys are signed in and out as owners move or their renters move. New owners /renters must then sign out the keys in their name. This procedure is handled through our Management Company. Keys to individual units and storage cages are solely your responsibility as owners. Underground Parking Garage If your garage door remote control is lost or stolen this must be immediately reported to the Management Company so that your code can be removed from the system to prevent intruders. The purchase of a new garage door remote control is $50.00 and is at your expense. Programming of a new remote control into the system is also at your expense and must be arranged through the Management Company. Do not store your remote control in your vehicle. For safety and security reasons wait for the garage door to close when you enter and exit the parking garage. Parking garage thermostats are not to be adjusted by owners or tenants. Cleaning (power washing) of the parking garage is done once a year in the spring. A notice will be given in advance to remove your vehicle for that day. The three locked doors in the parking garage (boiler room, furnace room and elevator room) are to be locked at all times unless maintenance is in progress. In the event of an emergency the keys to these rooms can be accessed by the fire department. It is your responsibility to ensure your storage cage has a secure lock. Bicycles should be locked within the storage cages. Ideally if the storage cage is securely locked and your bicycles are also locked within the storage cage, this will be more of a deterrent for possible vandalism or theft.

Exterior parking The six parking stalls at the back of our building on the south side of the garage is for owner/tenant use. The three parking stalls on the north side of the garage door are for visitors. Garbage Make sure the lock on the dumpster is securely locked to avoid our dumpster being tampered with or vandalized. If your garbage key is lost, purchase of a replacement key is at your expense. Recycling needs to be placed completely in the recycling dumpster, not alongside it. Breaking down of large cardboard boxes will assist residents in our building of having enough room to dispose of recycling. Do not leave large furniture items by the dumpster as the City will not remove them. Cleaning of our building Interior cleaning of our building is done on a weekly basis however excessive tracked in dirt in the hallways becomes the responsibility of the person who causes it and it is expected that they will clean it. On occasion it would be appreciated if all residents would clean the hallway side of the door to your unit. Pride of ownership is the key to having a clean and pleasant environment for all of us to enjoy. Snow and Grass Exterior maintenance of our sidewalks and grounds is done on a regular basis in order to maintain an attractive and safe environment. All Residents can assist in this area by picking up loose papers etc. that may appear on our property. Pets If you own a pet and live in our building or if you have pets visiting they cannot be a major disturbance or disruption to the residents or guests of our building. If residents plan on purchasing a pet they must get board approval first to ensure that the pet meets the criteria set out in the bylaws. New residents to our building must also get board approval for their pets prior to their purchase or rental of a unit. Please ensure that you clean up after your pet on each occurrence as per the City of Edmonton bylaws. Moving If you are moving furniture within the building and require the use of the elevator, please contact Amanda with Ayre & Oxford Inc. Any and all damages to walls floors or ceilings in common areas are the responsibility of the owner of the unit and will be charged accordingly. Up to date information of owners or renters moving in and out must be communicated with the management company in a timely manner. This information will be shared with the board of directors so that they have up to date information regarding residency within the building. Security of our building must be maintained during moves and is the responsibility of owners. This ensures safety for all residents. Thinking of selling? - End of year financials - Reserve Study

All these documents have been provided to owners in the past. By law you only have to make these available for VIEWING (by appointment at Ayre & Oxford) however to speed up the sales process most sellers keep a copy of the documents handy. Please remember that if you need this documentation reproduced there is a fee which can be $300-400 depending on the needs of the buyer. So be sure to have your bylaws and keep your AGM information in a handy spot! Noise Please respect the other residents of the building by keeping noise in your unit, on your balcony and within common areas to a reasonable level. If requested by your neighbour to reduce your noise it is expected that you will comply with their wishes if reasonable. Good Practices

• Turn off the taps of your washing machine when it is not in use. Even though your washing machine may not be in operation, the water pressure within the hoses remains the same. Please ensure that plumbing issues such as dripping taps and running toilets are repaired immediately to eliminate excessive water usage. This will help us reduce our energy costs and ultimately keep condominium fees as low as possible.

• Close all your windows when you are not home and lock them if possible. This is for security and sudden

weather changes that could potentially damage your unit.

• Cloverdale Hill Condominiums is home for all its residents. It is appreciated by everyone if we each display a positive, “What can I do to help?” attitude.

• Report damage within the building to our Management Company or any board member. Please notify your

neighbours if vehicles or personal property have been damaged, broken into or tampered with.

• Keep doors locked when you are in your unit (at least the door handle). Lock both door handle and deadbolt at night or when away from your unit.

• Establishing a buddy system with a neighbour within the building is recommended. This is very important if you

are locked out or away from your unit for an extended period of time.

• If living on the second or third floor please do not dispose of anything over your balcony including sweepings. When watering balcony flowers, please ensure that excess water does not fall from your balcony to those below you.

Fire Regulations and Inspection Smoking is not permitted by law in common areas within our building (hallways, entrances, elevator, parking garage). Violation of this law can incur fines up to $500.00. Fire regulations require that all hallways and common areas be free of mats, shoes, and any personal items. Fire inspection of our building happens on an annual basis. You will be notified ahead of time if this inspection needs to include inside your unit and arrangements will be made at that time. Please ensure that you check your smoke detectors in your unit to ensure proper operation.

Elevator Please do not hold the elevator open by hand or by holding it open with your weight. Holding the door open causes damage to the system. The expenses to repair this can exceed $1,000.00 per incident. If you need to have the elevator open longer, please use the open button located inside the elevator Cloverdale Community Information Many residents in our building are community league members. Members receive regular updates in the Cloverdale News, a newsletter published by the community league. The Edmonton Folk Festival is held each August in the Cloverdale Community. Folk Festival organizers generously offer free Folk Fest weekend passes to all Cloverdale residents.
