RMI System Utilities include several functions you can use to modify incorrect movement data. You should have a complete understanding of how these functions work before you begin to use them.

Many utility features are available from both the System Administrator menu and the System Utilities menu. This gives you the option of authorizing managers or other personnel to the System Utilities menu without authorizing them to all the functions available on the System Administrator menu.

TMS TROUBLESHOOTING: Because some of these features can cause harm if incorrectly used, RMI encourages railroads to set up their TMS security so that only well-trained users can access these utilities.

TMS Corrections

Correcting an Equipment ID

Errors in equipment initials and numbers can occur in TMS, most often when cars are interchanged online manually with the incorrect initial and number. When you correct a mistake, you can specify whether to reset a car’s ID back to the point at which the car was interchanged or whether to change only the current waybill. It will not impact prior history for that car.

To correct an equipment ID:

2. Enter the initial and number as it currently exists in TMS inventory in the From Current Equipment fields. Enter the correct equipment marks in the To Corrected Equipment fields.

3. Select one of the following options:

• Enter W in the remaining field to instruct TMS to correct the initial and number only in the current waybill for the car.

• Enter I to instruct TMS to correct the initial and number for the equipment’s entire history back to the inbound interchange.

4. Select OK to change the initial and number for the car in inventory, then Exit.

TMS TROUBLESHOOTING: You can use this option to change the marks of cars that were re-stencilled online. You will, however, lose the original inbound interchange of the car mark under which it was moved online. Cars that have been re-stencilled should be handled using a SHOP Interchange Outbound move, then an Inbound move.

Correcting an Equipment Location

The Correct Equipment Location option will undo a bad movement entered in TMS. When you use this option, TMS moves the car to its correct online location and records a CORR movement type in car movement history.

To correct an equipment location:

2. Enter the Track and Station of the car’s current location or the Car initial and number, then select OK.

3. On the Correction Move Equipment window (Figure 3), type 1 next to all cars you want to correct.

4. Enter the Track and Station you want the car moved to and a move Date and Time in the header fields.

You should also indicate where on the track you want the car(s) placed using the East/West and Seq field.

5. Select OK to move the car(s), then Exit.

TMS moves the car back to the correct location and writes a record to Car Movement History showing that the move was made. This move will not be reported for TRAIN II, E-Trace, or car hire purposes.

Changing the Load/Empty Status

If you have loaded or unloaded a car in error and want to undo that movement, you can use the Undo L/E Status Change option to return the car to its original status.

To correct a car’s loaded/empty status:

2. Enter the Station ID at which the cars are located and select OK, then confirm.

The cars must still be located at the station at which they were placed.

3. On the Enter List for Undo Load or Empty window (Figure 5), enter the equipment initials and numbers of the cars you want to change and select OK.

TMS TROUBLESHOOTING: You should use this option only to change a car’s L/E status where it was loaded or unloaded on your railroad. You cannot use this option to change a car’s status where it was interchanged online with the wrong L/E status.

Removing a Car From Database

If you interchanged a car online in error, you can use the Remove Car from Database option to delete that car from online inventory. Movement history records are erased from the most recent move back to the date the car was received. The current waybill for the car is also removed. If the car was previously handled as a completed trip, those records are not removed.

To remove a car from online inventory:

1. Go to the Remove Equipment from Database window. (Figure 6)TMS Main Menu 33 System Utilities 4 Remove Car from DatabaseorTMS Main Menu 36 System Administrator 24 Remove Car from Database

2. Enter the Initial and Number of the car to remove.

You should also select the Retain Waybill field if you want to preserve the current waybill. If you choose this option, the waybill will be set back to Inbound/BOL status after the car is removed from the database. In addition, unbilled incidental charges will be set back to “pending” status, where possible. Billed charges and manually-entered unbilled charges will not be changed. If the Retain Waybill field is left blank, the waybill will be deleted and all information will be lost.

3. Select OK.

4. TMS searches the online files for that car. If the car is found, the Remove Car from Database window appears. (Figure 7) Select Remove from Database to delete all movement records for the car back to the inbound interchange.

Unramping Intermodal Equipment

Use this utility to unramp intermodal equipment that was incorrectly ramped. You should use this option when you need to remove an intermodal unit from a conveying car without changing the waybill to a completed status.

To unramp intermodal:

2. Enter the Track and Station where the intermodal units are located. You can also specify a Zone.

If you do not know the exact location, enter the intermodal equipment Mark and Number.

3. Select Unramp Individual.

4. On the Unramp Intermodal window (Figure 9), enter the unramp location in the Ground Location header field.

5. Type 1 next to each car you want to unramp, then select OK. TMS will remove the intermodal units from the flatcar and change the waybill back to pending status.

6. Exit to return to the menu.

Modifying Equipment History

You can use the Modify Equipment History option to review and change movement history records.

TMS TROUBLESHOOTING: Modifying equipment history records can be risky. TMS does not check to make sure you enter records in the correct order when you use this function. As a result, it is possible to enter moves out of order. This can have a significant impact on TMS’s Supertrip reporting module as well as on car hire and demurrage.

You should use this option only to modify or delete records that are in error. Only users who have a complete understanding of how modified or deleted records can impact car hire and demurrage should have access to this powerful option.

To modify movement history records:

2. You can enter values in the header fields to find a particular car by Car initial/number or by Waybill Control Number.

3. Type M next to the record you want to modify, then select OK.

4. Review or modify the values on the Edit Equipment History Detail window as needed. (Figure 11)

5. Select OK to update the record, then confirm. Exit to return to the menu.

Move Move type.

If TOFC If you are changing the movement history record for a trailer or container, enter a status codes.

From/To Fields

From Station Station from which the car was moved.

To Station Station to which the car was moved.

Zone Zone to which the car was moved.

Track Track to which the car was moved.

Road Interchange road.

Customer Customer involved in the move. For placements and releases, TMS shows the customer at which the car was placed or released.

Transportation Method Code

Code describing the method of transportation. R indicates Rail, X indicates intermodal (trailer or container), and C indicates conveying flatcar.

Train Fields

ID Train ID.

Control Number

Control number associated with a particular train event.

Date Move date.

Time Move time.

Move Move type for the train.

Sequence Standing order of the car on the train.

Intermodal Flatcar Fields

Trip Indicator Selecting this field indicates an intermodal trip.

Chassis Initial and number of the chassis moving the container.

Control Number

Waybill control number for the flatcar.

Car Initial and number of the flatcar that moved the trailer or container.

Spot Date/Time

Date and time of the placement (spot) at the ramp track.

Storage/Demurrage Fields

Storage Customer

Customer ordering the cars into storage.

Storage Code Code used to place a car into storage.

Currently in Storage?

Selecting this field indicates the equipment is currently in storage.

New Status If you want to change the demurrage status of the equipment, enter the new value. 00 indicates pending, 88 indicates excluded, and 89 indicates exempt.

Resetting Consist in Use Flag

When a user is working with a consist, TMS flags it as being in use so that other users cannot work with the same consist at the same time. Occasionally, you may need to go into a consist that is already in use. In addition, if a communication problem occurs and a user is dropped from the system while using a consist, TMS may incorrectly mark the consist as being in use.

The Reset Consist in Use utility lets you open consists that TMS has flagged as in use.

To reset a consist:

2. Type 1 next to the consist you want to reset.

Recalculating Conveying Cars

On occasion, the loaded or empty status of flatcars equipped to carry trailers/containers is incorrect in TMS. For example, this may happen when a car that normally carries trailers or containers has been used to carry a product such as a bulldozer or other heavy machinery. The recalculate function will instruct TMS to correctly calculate the L/E status for this equipment.

To recalculate conveying cars load/empty status:

2. Enter the Station and Track or the Train ID where the cars are located and select OK, then confirm. TMS performs the recalculation.

Assigning Customers to Waybills

The Assign Customers to Waybills option instructs TMS to match all waybills in the system against your Synonym File. You should use this option when you have modified the synonym file with new customer codes to match customer names as received on inbound waybills. (For more information on the synonym master file, see the TMS Guide: System Maintenance.)

To assign customers to waybills:

1. Go to the Assign Patron to Waybills window. (Figure 14)TMS Main Menu 33 System Utilities 9 Assign Customers to WaybillsorTMS Main Menu 36 System Administrator 29 Assign Customers to Waybills

2. Select the type(s) of waybills you want to match. You can also choose to suppress the automatic synonym table update.

3. Select OK, then confirm.

TMS reads all waybills in the system and uses the synonym master file to attempt to assign customer codes to customer names for those that are missing.

Making Master File Replacement Corrections

TMS offers utilities to make group name changes to several master file data fields in TMS. These options were specifically designed for users who are transferring data into TMS from other computer systems. However, you can also use these utilities to rename master file codes in TMS quickly and easily.

TMS TROUBLESHOOTING: Due to the possible misuse of these utilities, RMI strongly recommends you use the TMS security features to limit the number of users who can reach these functions.

To use the master file rename utilities:

Go to the Master File Rename Menu. (Figure 15)

To replace a code:

1. On the Master File Rename Menu, select the appropriate option for the type of code you want to replace. The associated replacement window appears.

For example, if you wanted to change an RWC code, you should choose option 3 Replace RWC Code, and the RWC Replacement window will appear (Figure 16):

TMS TROUBLESHOOTING: Exercise caution when using these functions. They are not easily reversible. You should check your data after running any of these utilities to make sure the results achieved were those desired.

TMS Data Purges

Deleting Old Consists by Date

You can use this utility to delete old interchange consists from the current consist list windows. This option allows you to instruct that all consists interchanged before a specific date be removed from the inbound and outbound interchange windows. The consists remain in the interchange history file, however, and are always available for inquiry and reporting purposes.

Most railroads manually delete old consists as they are used. However, larger railroads sometimes prefer to keep older consists available in the current files for a few days after the interchange is complete. The Delete Old Consists by Date option provides a quick way to clear out these interchanges.

To delete old consists:

1. Go to the Delete Old Consists from System window. (Figure 17)TMS Main Menu 36 System Administrator 41 Delete Old Consists DateFast Path = UDLCO

2. Enter the station for which and the date through which you want to delete consists.

3. Select the appropriate field(s) to specify whether you want to delete inbound consists and/or outbound consists.

4. Select OK to remove the consists specified, then confirm.

Deleting Unused Waybills by Date

The Purge Unused Waybills by Date option allows you to remove old, unused waybills from files in the system. In particular, this is a useful option for removing old inbound waybills from TMS. In many cases, railroads will incorrectly transmit waybills for cars that are not actually delivered to you. These waybills will remain in the inbound waybills file until they are either deleted or the car is brought online.

RMI recommends that you periodically take the option described below to remove these old and unused waybills.

To delete unused waybills by date:

1. Go to the Unused Waybill Into Purge window. (Figure 18)TMS Main Menu 36 System Administrator 42 Purge Unused Waybills by Date

2. Enter the date through which you want to delete waybills. You can choose to purge based upon either the Date Last Modified or the Waybill Date. RMI recommends using 30 days as a guideline for completing this field.

3. Select which waybill types to delete.

4. In the Equipment Type field, enter R for Rail and Conveying or X for Intermodal to delete only waybills pertaining to those equipment types. Leave blank to delete all.

5. Select OK to remove the selected waybills.

Water carrier containers that are out-gate maintain an empty reverse route waybill in TMS. The Water Carrier Reverse Route Purge function lets you remove these waybills from TMS.

To delete water carrier reverse routes:

The Purge Definitions option allows you to set default standards indicating how long various records should be kept in the system.

To set purge definitions:

You can choose to delete or inactivate groups of synonyms. This option will help you clean up your synonym tables quickly.

To set delete or inactivate synonyms:

2. In the Action field, you should enter D to delete the selected synonyms or I to inactivate those synonyms. You should also specify the type of synonyms you want to choose for that action in the Limit to Record Type field.

4. Select OK to delete or inactivate the specified synonyms.

The RMI Utilities menu offers several functions that you can use to correct records in TMS. Because some of these functions allow you to make mass changes to the database, you should be very careful when using these utilities. Furthermore, you should exercise great caution when you authorize users to this menu.

To make group changes to cars:

5. TMS searches movement history and display all matching records on the Group Change Movement History (Confirm) window. (Figure 27)

The selected cars are highlighted. Review these records and de-select any that should not be changed by typing 1 next to the record, then selecting OK. The de-selected cars will no longer be highlighted.

6. When you are sure that only the records you want to change are selected, choose Make Change to modify the history record.

The TMS EDI communication features run automatically in the background of the system. As waybills, consists, and other records are received from your EDI partners, they are stored in the EDI Message handler and are available for review. Records that cannot be interpreted or used in the system are flagged as errors.

RMI maintains a history of every message you receive and send via EDI. You can use this history to work with your partners and resolve possible problems.

You can also review the EDI associated with a car from any TMS window that shows a car’s waybill.

Reviewing EDI Messages and Correcting Errors

On the Inbound/Outbound EDI window, you can review your EDI messages to check for messages received. You can also find errors, flag records for retransmission, or look at train reporting messages.

To review and correct EDI messages:

The Inbound/Outbound EDI list window shows all EDI messages received and transmitted by your railroad. For more information about the fields that appear on this window, see “Field Definitions” on page 42.

2. You can enter values in the header fields to search for a particular record or type of record. For example, enter 418 in the Message Type field and I in the I/O field to see all inbound 418 (Consist) messages.

TMS TIPS: This window offers two options for quickly searching for EDI by car. The Search Lead Car option allows you to enter a car Initial/Number and find any message(s) in which that car was the first car or the only car.

The Search Lead/Trailing Car option allows you to enter a car Initial/Number and find any message(s) containing that car.

4. Review the list for errors. The message Status will show any possible issues and errors. This window offers several options you can use to correct errors or determine the message’s status:

• Enter 7 next to the message to retransmit the message. Depending on the error, a message detailing the type of error may appear at the bottom of the window, or the Cars in Error window may appear, showing specifically which cars are in error.

• Enter S next to the message to retransmit.

• Enter V next to the message to review errors associated with a rejected message.

• Enter 5 next to the message to review the actual EDI detail.

• For outbound messages, check the ACK column to see if it is set to Y. This indicates the message has been acknowledged as received.

If you want to then

print the EDI message type 6 next to the message and select OK.

review Car Movement History for a car type H next to the message and select OK.

view the schedule for a car type C next to the message and select OK.

look at all cars interchanged on a 418 message

Rcvr/Sndr Code representing the origin of the message. The following are common examples:

AAR Message received from or sent to the Association of American Railroads.

RRWS Waybill sent or received through Forward and Store.

Road Railroad that sent or received the message.EIF Query to the TMS Equipment Information File.

The query brings back information such as car dimensions, pool assignments, capacities, and car hire rate.

FMS Message exchanged with RMI's Fleet Management System.

RMBL Bill of lading received from a customer.

I/O Indicates whether the message is inbound or outbound.

Message Type Message type. The following are common examples:161 Train consist message (Usually for haulage/

trackage rights movements).418 Advance Consist.404 Bill of Lading.417 Waybill.419 Request for Blocking.420 Response to a request for blocking.426 Revenue waybill for Interline Settlements.824 Error message received from RAILINC’s forward

At times, you may want to run the EDI transmission job at a time other than its automatically scheduled time. For example, you may have just created an advance consist message, and your connecting carrier is standing by for the transmission. Rather than wait for the scheduled transmission, you can transmit immediately.

To manually start an EDI job:

1. Go to the EDI menu.TMS Main Menu 35 EDI Fast Path = /EDI

2. Select option 10 Start EDI Job (AAR). You can also use Fast Path EDAAR.

TMS automatically starts the conversion and EDI transmission in the background. No further action is necessary.

TMS TROUBLESHOOTING: Your connecting carrier may not receive the EDI transmission immediately. At times, your conversion and transmission process may slow down the communication process.

Reviewing Forward and Store Errors

If you transmit a 417 waybill message to Forward and Store that contains an error, you will receive an 824 message informing you of the error. You can use the EDI Message Handler to view those errors and make the necessary changes in the waybill to correct them.

To view a forward and store error:

TMS TIPS: You can select Alt View to change the view so that a different type of message (All, Rejected, Warning, Embargo) shows.

Modifying EDI Partner Roads

The EDI Partner Roads option enables you to review and modify the railroads set up as your EDI partners. TMS automatically adds to this table as you send and receive EDI. Sometimes, however, you many have to add a new partner road manually. For example, you may want to re-direct some EDI messages to an agency other than Raillinc.

TMS TIPS: You can also set up a railroad as an EDI partner in the TMS railroad reference file. See the TMS Guide: System Maintenance for more information.

To modify EDI Partner Roads:

1. Go to the Edit EDI Partners window. (Figure 31)TMS Main Menu 35 EDI 3 EDI Partner RoadsFast Path = EDIPR

2. Select Add to define a new EDI partner road.

3. Enter or modify information in the fields as necessary, then select OK to save your changes.

4. Exit to return to the EDI menu.

Outb Msg Hdr Type

Header type for the outbound message. I indicates an ISA message. Leave this field blank for a TRAIN II message.

Snd 997 Y instructs TMS to send a 997 EDI message.

ISA Qual Qualifier field used in the ISA header.

404 Addr, 410 Addr, 417 Addr, 418 Addr:Main/Sub

Main and Sub addresses as needed for each type of message.
