The Patient Manager utilizes browser technology

The “Patient Manager” utilizes the newest Windows browser technology. Designed for the future,

the new “Patient Manager” provides access to every part of the electronic medical record from the

Navigator menu screen. Whether you would like to review notes, prescriptions, letters, visual fields,

images or drawings, you can navigate the entire record from this screen. The “Patient Manager” also

uses ifa’s “SmartScreen”, a trademarked user interfaces technology. All data is entered to the record

through the “Patient Manager” using “SmartScreen” input windows. This concept allows for rapid

concise data entry using your own customized menu routines.

The screen below is the opening menu screen. The center window displays a summary of all stored

events for the patient. This viewer uses HTML technology. Any area underlined is automatically linked

to another document or display.

In this example you can click on a date and review the contents of that day’s examination, phone call,

post-op visit, etc. immediately.

The Form Generator develops comprehensive documentation

The ifa form generator takes any paper examination and transforms it to an active HTML document.

These forms are created in a similar order to your paper records. This helps minimize the learning

curve and reduces the intimidation of the electronic medical record. Data entry is faster. Exam

forms are designed depending on the examination routine you will use.

The form generator lets you design any individual

patient record.

Complete histories are captured quickly; default

values (normals) may be preset.

Past information can be copied forward into today’s

examination and event.

If you need to change forms, simply call up a

different one and the information will automatically

copy into the new form.

The form generator allows each examination to have all

appropriate data fields for a particular level of service.

Design examination forms for post-ops, follow-ups, sub-

specialty routines, etc.

Custom designed forms have designated SmartScreen templates attached to them.

Data entry for routine exams is fast and accurate. The custom forms enhance navigation of data

input and help monitor good practice patterns, all data entry follows your practice’s guidelines.

SmartScreen – the user interface

Ifa’s unique SmartScreen user interface ensures fast and simple data entry. Data entry is done

intuitively by selecting a “button” on the SmartScreen menu corresponding to a data field in the

form. Buttons are logically linked to the defined fields in the form to prevent errors and to provide

random entry of data. All data such as history, findings, refractions, visual acuity, physician

impressions, treatment plans, and more are quickly entered, captured and displayed using user-

defined SmartScreens and forms.

A complete “Pre-Op LASIK Evaluation” is shown with the three SmartScreens corresponding to the

entire examination form.

Unlimited user defined forms can be created, each with their own specific SmartScreen menus.

There is no limit to the number of SmartScreens per form. However, the goal is to make them as

brief and concise as possible in order to further minimize data input navigation.

Exam forms can be preset with normative data by using “macro” keys. To change an entry, click the

data field and the corresponding SmartScreen buttons will appear with your choices.

You can also copy forward information from a previous visit. The program allows you to copy all data

or select individual sections from the previous exam.

Free text can be entered in every data field area.

Drawings are critical for documentation

A drawing program must provide basic features for very quick and simple documentation of graphical

findings. It should also have the ability to provide very detailed information when required. The ifa

medical record employs two complimentary programs. One method uses quick scratchpad graphics

for simple work. The other employs the full features of the ifaImage program. All drawings are

displayed in HTML review windows with the textual findings of the exam note. Drawings can

automatically be merged into referral letters, patient letters or any other hardcopy correspondence

you may require.

ifaEyeDraw

For a more detailed drawing click “Special Tests” in

the left-hand menu. This opens ifaEyeDraw.

Choose a template (like the one to the right) and

drag & drop retinal symbols or draw freehand.

ifaEyeDraw also allows you to make

drawings on stored pictures. For longitudinal picture

comparisons there is a unique “save as” feature.

You can look at multiple graphical impressions

created from one template or one picture over time.

Trend graphs

The ifa electronic medical record browser automatically generates a graphic trend report of intra-

ocular readings with recorded glaucoma medications. It can also trend visual acuity measurements

for different categories, such as pre-op, post-op, IOL and more.

Simply click the menu choice on the left-hand navigation menu option “visual acuity” or “tonometry”

and choose “graphics” and it will display your results.

This is an effective graphical tool for patient education and to follow a patient’s progress over time.

This information can be incorporated into a referral letter in WORD for ifa or transmitted in an HTML

document over the internet for co-management purposes.

Digital imaging

The ifa system has the capability of storing any type of image. Your photo slit lamp, fundus camera

and your A/B scan can become an input device to the medical record when combined with a CCD

camera or a flash sync device. These images can be called to the screen, printed or even merged into

a referral letter. Your complex retinal drawings can be combined with FA pictures or fundus pictures.

All external practice documents (letters, tests, insurance cards, etc.) are easily scanned directly into

the patient’s electronic record via a standard scanner.

Special Tests – PeriData a visual field management program

The ifa browser and Navigator can be integrated to other applications. The database connects to

various image applications and PeriData for Windows. The program links these foreign applications

making all of the clinical results from the visual field systems (all Humphrey and Octopus perimeters)

available in the examination lane. As soon as the visual field is completed, the results can be sent to

the database and it is ready for your review and management.

PeriData supports all Humphrey instruments and field test strategies. You can have your SITA and

FASTPAC analysis done in the exam lane when you see your patients.

Automatic letter writing

ifa’s automatic letter writing function will do 90 % of your correspondence. Exam findings, diagnoses,

pictures and more can be set to merge automatically with any number of pre-stored letters which

can be printed, faxed or even e-mailed. Of course, the digital letter remains part of your

documentation in the patient’s file. You can also store consent forms and pre-op screening forms

that have been completed “electronically” by the patient. All of the written correspondence or forms

you presently photocopy over and over again can be part of the “Word for ifa” module.

The new “WORD for ifa” application interface lets you enjoy the full word processing features of

WORD and combines it with your entire medical record database. Using standard Windows tools also

allows the user to incorporate WinFax, an Internet browser or other tools in order to communicate

clinical data and results to the outside world.

Surgery paperwork and forms

The ifa system can be used to create and store the documentation required for legal purposes. The

automated digital forms system simplifies the creation of surgery documentation. Important data

(diagnoses, acuity, allergies, medical history, etc.) can be merged from the patient’s medical record

into the surgery documentation. (*Some experience with Microsoft WORD is required to work with

these forms since it utilizes the “auto text” features of WORD.).

All the information for the reports can be generated with these formats even if the data field does

not exist in the ifa database. For example, blood pressure measurements can be typed into the form

and/or auto text boxes are utilized. Dictation of this information may still be required. However, it

can be transcribed directly to the form, which then becomes part of the patient’s electronic medical

record.

*Note: A combination of “merged data” from the ifa database, “auto text drop down” windows and

“auto text boxes” is incorporated into this form to complete the data entry. You need to have a basic

understanding of Microsoft WORD to use these functions.

different interfaces to diagnostic instrumentation. This integration creates productivity through rapid

data transfer of information directly into the record. There will be no more transcription, no more
