Under Home Owners Association laws, 119 of the 361 homeowners must attend or send a proxy in their absence for the Annual Meeting to be started. Unfortunately, there were only 88 homeowners and proxies so the meeting could not be officially started. As a result, the cur- rent Board of Directors had only 2 options. 1. To hold another Annual Meeting in Janu- ary 2006 which would cost money for the Home Owners Association to rent the Deerwood Elementary cafeteria again and to print and mail 361 new notices and proxies to each homeowner. 2. To keep the same Board of Directors for 2006 because there is no quorum to elect a new Board of Directors. The Board of Directors chose option 2 to stay on the Board for another year to not incur additional costs that were not budgeted. So our Board of Directors for 2006 will remain the same: President – Luis Quiles Vice President – Cori Garavuso Secretary – Cathy Kraft Treasurer – Mike Murphy Director – Russ Niewold Director – Roger Simmons Director – Open There is one opening on the Board because one individual from last year’s board has moved out of the neighborhood. If you are interested in filling this position and being a part of the 2006 board, please contact Presi- dent, Luis Quiles at e-mail [email protected]. Please remember this Board is made up of neighbors and friends who have made a commitment for another year to do their best to serve our community. They have stepped forward to devote time away from their fami- lies and jobs to help make our community the best it can be. 2005 Annual Meeting Results The annual meeting scheduled for November 14, 2005 at Deerwood Elementary was never able to be called to order because there was no quorum present. Under Home Owners Association laws, 119 of the 361 homeowners must attend or send a proxy in their absence for the Annual Meeting to be started. On November 15, 2005, the Board of Directors approved the 2006 Villages of Rio Pinar Community Association and Club Asso-ciation budgets. We all have lots of questions. And I’m sure many of you have questions regarding our community. Questions like:

• How does the Board of Directors operate?

• Why do we have certain Home Owners Association rules?

• How does the Board of Directors get notified when there is something broken in a common area?

If you have questions like these or in other areas of our community, the Communications Committee would like to help you find the answers. You can e-mail your ques-tions to the Communications Committee at [email protected] or you can drop your ques-tion in my mailbox at 2331 Treymore Drive. The com-mittee will research your question so we can all have a better understanding of our neighborhood. The commit-tee asks that along with your question you include your name and e-mail or street address so we can reply di-rectly to you with the answer. We do plan to publish some of these questions and answers in each newsletter. But with space limitations all may not be included so we would like to reply to each question individually. So please remember to include your name and address for this reply. Your name will not be included if your ques-tion is published in the newsletter. The following is a questions already received from a resident.

Posting Gate Codes? Question: Why do residents post their private gate entry code at the front gate call box for anyone to use?

Answer: Apparently, over the past few months, some residents hosting parties at the clubhouse have posted their gate entry number on the call box for their guests to

use to enter our community. One would have to assume these residents are doing this because they are not at their homes (because they are at the clubhouse) to answer the phone to let their guests in the gate.

Unfortunately, when a personal gate entry code is taped to the call box, not only are your guests using the code to enter the community, but also anyone else who pulls up to the call box is free to use it that day and any day in the future. Therefore, everyone, not just your in-vited guests, is given access to your community and your party that day.

Some suggestions on how to make sure only invited guests come to your party:

1) Give your gate code to your guests when they RSVP for the party explaining that they will need that number to enter the party. Make it fun – tell them it’s the secret password to get into the party.

2) Give your gate code to guests when you give them directions to the clubhouse. Most likely, your guests will be bringing directions or a map with them when coming to the party so they will have the access code when they come to the gate.

3) Have a family member or friend greet guests at the gate at the start time of the party to give them the code for entry as they pull up. Please remember when taping your gate code to the call box, you are inviting everyone into your commu-nity and your party. Also, when selling your house and having an Open House, please post your call number on your “Open House” signs not your gate code. The community has had some home burglaries this past year so please make an extra effort to protect your gate code for the safety and security of our entire community. Thank you!

In an effort to reduce Association costs, The Preserve Newsletter will be combining with The Com-munity Connection Newsletter established by Jenny Wemert, Realtor. Instead of having two newsletter mailings each month, we will be combining to just have the cost of one printing and mailing. The Pre-serve Association Communication Committee will continue to write and produce the newsletter. How-ever, Jenny Wemert has offered to cover the cost of this printing and mailing of the combined newsletter for 2006 as part of her business marketing budget. Thank you Jenny!

Exercise Room Update Please do not move or re-arrange the exercise equipment in the clubhouse exercise room. Recently, equipment was moved in the exercise room because it was not working properly and caused grease to be spread across the carpet. Our neighbor, Phil Hampton, has volunteered to coordinate clubhouse equipment repairs. If equipment is broken or needs repair, please contact Phil Hampton at 407-737-8999 or e-mail [email protected]. Phil will notify the appropriate people to get the equipment repaired and follow-up on the required action. A sign with Phil’s contact info is posted in the exercise room. Thank you for your help with this matter. Also, the Board has decided to defer repair of the Men’s Sauna to the new year because the repair is very expensive and not budgeted in the 2005 budget. Starting the new year, the Board of Directors will look into the repairs of the sauna as soon as possible.
